To preserve the original look of copied text, paste it normally and choose Keep Source Formatting (or the destination app’s equivalent). Choose Merge Formatting when the text should fit the destination document’s style, and choose Keep Text Only or Paste without formatting for clean, unstyled text.
The correct result depends on both applications. Clipboard data can contain several representations, such as plain text, rich text, or HTML, and formatting survives only when the destination supports a compatible representation.
Choose the result you want before you paste
“Without losing formatting” can mean three different things. Decide which one you need before using a shortcut:

These choices are not interchangeable. “Merge Formatting” is not a way to preserve every source detail, and “Paste without formatting” deliberately removes styling.

Check compatibility before copying a long passage
A short test can prevent a document-wide cleanup. Identify the source and destination first: a desktop word processor, browser page, web editor, email composer, spreadsheet, code editor, or plain-text field. Then check whether the destination offers rich paste, destination styles, Paste Special, or only plain text.
- Copy one heading, one ordinary paragraph, and one small table or list.
- Paste the sample using the mode you plan to use for the full passage.
- Compare fonts, colors, links, list numbering, spacing, table borders, and images.
- If the sample is acceptable, transfer the larger selection. If not, change the paste mode or plan to reapply destination styles.
This test also reveals whether the source is supplying a rich clipboard representation at all. Text may look formatted on screen while the source offers only characters to the clipboard.
Copy and paste in desktop Microsoft Word
Desktop Word exposes the clearest controls for deciding how a paste should look. The options and their effects are documented by Microsoft in Control the formatting when you paste text.

- Select the text, table, or other content in the source application and copy it with
Ctrl+Con Windows orCommand+Con Mac. - Click in the Word document where the content should go.
- Paste with
Ctrl+VorCommand+V. - When the small Paste Options button appears beside the pasted content, open it and select Keep Source Formatting.
This is the appropriate first choice when the copied material’s original design matters. It preserves only the source features Word can interpret, so an identical visual result is not guaranteed when the source is another application.
Make pasted text match the Word document
- Copy and paste the content as usual.
- Open the Paste Options button.
- Select Merge Formatting.
Use this when you are assembling one consistent report from multiple sources. The pasted paragraph generally takes on the surrounding document’s style, while some character-level emphasis can remain.
Remove all source styling
- Paste the content.
- Open Paste Options.
- Select Keep Text Only.
This is useful for eliminating odd fonts, colored backgrounds, web spacing, and other unwanted formatting. Word then treats the result as ordinary text in the destination context.
When the Paste Options button is missing
The button may be hidden, disabled for a particular content type, or dismissed after you click elsewhere. Open Word’s Home tab and use the arrow under Paste to expose the available choices. The exact options depend on what was copied and where it is being inserted.
Preserve structure, not just appearance
Before accepting the paste, inspect heading levels, bullet and numbered lists, hyperlinks, tables, line spacing, and images separately. A paragraph can retain its font while a list restarts at the wrong number, a table loses borders, or an image arrives as a separate object. Correcting one local feature is usually safer than recopying the entire document.
Set Word’s default paste behavior
If you repeatedly choose the same option, change Word’s defaults instead of correcting every paste. In desktop Word, go to File > Options > Advanced, then scroll to the Cut, copy, and paste section. Microsoft documents separate defaults for different paste contexts, so review each setting that applies to your workflow.

Choose a source-preserving default when you routinely move designed content between documents. Choose a destination-oriented or text-only default when consistency and cleanup matter more. You can still override the default from Paste Options for an individual insertion.
Defaults are context-sensitive: pasting within the same document, between Word documents, from another program, or into a different style environment may each have a separate setting. Review the relevant entry rather than assuming one global switch controls every paste.

Google Docs has separate shortcuts for ordinary paste and paste without formatting. Google lists them in Keyboard shortcuts for Google Docs.

Preserve formatting in Docs
- Copy the content from the source with the platform’s copy shortcut.
- Place the cursor in the Google Docs document.
- Use the normal paste shortcut, not the paste-without-formatting shortcut.
- Inspect the result and manually adjust any styles that the source and Docs cannot represent identically.
Google Docs does not provide a universal promise that every source style, table behavior, or embedded object will survive. If a browser intercepts a menu command or the clipboard menu is unavailable, use the documented keyboard shortcut instead. Google explains the browser-security limitation in Copy and paste text and images.
Remember that Ctrl+Shift+V or Command+Shift+V is intentionally destructive to source styling. It is useful for cleaning web text, not for preserving a designed heading, colored label, or table appearance.
Copying through Office for the web
Web versions of Office have their own rules. In Word for the web, Microsoft documents Keep Source Formatting and Paste Text Only for external text. The product retains only formatting that can be copied, and Microsoft warns that some aspects may not paste as expected. See Copy and paste in Office for the web.
Word for the web
- Copy the text from the source.
- Click in the Word for the web document.
- Paste, then use the available paste control to select Keep Source Formatting when you want the source appearance, or Paste Text Only for unformatted text.
- Check headings, lists, links, tables, and spacing because unsupported features may change.
Excel for the web qualification
Microsoft describes a specific browser distinction for pasting external text into Excel for the web: in the documented case, Edge and Chrome retain formatting, while other browsers paste plain text. This is not a universal rule for every Office web application or every kind of content. Treat the browser and app combination as part of the compatibility decision.
Do not extrapolate that Excel behavior to Word for the web, Google Docs, or another browser editor. The application, browser, copied content, and insertion point all affect which clipboard representation is selected.
Use Paste Special when normal paste is not enough
Paste Special lets you select a particular representation of the copied content instead of accepting the destination’s default. Microsoft describes the feature in Paste Special.

- Copy the source content.
- In the destination, open the application’s Paste Special command. In Word, it is available from the arrow under Home > Paste when the copied content supports additional formats.
- Review the listed formats. Select a formatted representation when you need styling, or a text-only representation when you need clean text.
- Confirm the insertion and inspect the result.
The list is not fixed. It changes with the source, destination, operating system, and application. A format shown for one copied item may not appear for another.

Use Paste Special when normal paste gives an unexpected result, when you need to compare rich and plain representations, or when a destination offers a choice such as HTML, rich text, unformatted Unicode text, or an application-specific object. Select the least complex representation that still meets your goal; a text-only choice is often more portable, while a rich choice is more faithful when supported.
Why formatting disappears
Copying does not place only one kind of data on the clipboard. Windows documentation explains that clipboard content can be offered in multiple formats; plain text carries characters but no visual styling, while richer formats such as RTF can carry additional presentation information. The destination chooses a representation it understands. Microsoft’s technical explanation is in Clipboard Formats.
The source did not provide a rich representation
A source may copy only plain text, even if the text looks styled on screen. If no RTF, HTML, or other rich representation is placed on the clipboard, the destination cannot recreate the original appearance.
The destination cannot interpret the available representation
One application may offer HTML or RTF while another accepts only plain text for that insertion point. In that case, the characters transfer but fonts, colors, spacing, and other styling do not.

Word, Google Docs, web editors, email composers, and code-oriented editors do not use identical style systems. A heading, list, table, or embedded object can therefore be transformed even when both applications support rich paste.
Browser security blocks menu-based clipboard access
Web applications may be prevented from reading or writing the computer clipboard through a menu command. If a browser-based editor refuses a menu paste, try its documented keyboard shortcut, then use the editor’s own paste control if available.
The insertion point has restrictions
Some fields accept only characters, not rich objects. Examples include many password boxes, code editors, search fields, form controls, and plain-text email modes. No source-side setting can make a plain-text destination display font, color, or paragraph styling.

A reliable cross-application workflow
Use this process whenever the source and destination are different products:
- Identify the source. Note whether it is desktop software, a browser page, a web editor, an email message, or a plain-text environment.
- Identify the destination. Check whether it supports rich paste, destination styles, Paste Special, or only plain text.
- Choose the outcome. Select source-preserving, merged, or text-only paste before inserting the content.
- Copy the complete selection. Include the formatted paragraphs, list markers, table, or other material you intend to transfer. Selecting only part of a styled region can produce a different result.
- Use the destination’s paste control. Do not assume that a normal
Ctrl+VorCommand+Vuses the same default in every application. - Inspect structural elements. Check headings, bullet and numbered lists, hyperlinks, tables, line spacing, and images separately; these often have different compatibility requirements.
- Correct locally. If the destination supports the text but not one visual feature, adjust that feature after pasting rather than repeatedly recopying the entire passage.
Common scenarios and the best choice
Web page to Word
Use Keep Source Formatting first if you need the page’s visual treatment. Web pages can contain CSS effects or layout elements that Word does not reproduce, so check spacing, links, lists, and tables after insertion. Use Keep Text Only when the page brings unwanted backgrounds or inconsistent fonts.
One Word document to another
Use Keep Source Formatting when the documents intentionally use different designs. Use Merge Formatting when the pasted material should look like the receiving document. If both documents rely on carefully defined styles, compare the result with the destination’s existing headings and list levels.
Word to Google Docs
Use the normal paste shortcut when you want Docs to attempt a rich transfer. If the result contains unwanted Word styling, undo it and use Google Docs’ paste-without-formatting shortcut, then apply Docs styles deliberately.
Google Docs to a plain-text editor
A plain-text editor cannot display source fonts, colors, or paragraph styling. Use a text-only paste or ordinary paste knowing that the destination will keep characters rather than appearance.
Email or web form to a document
Start with source-preserving paste only when the email or form’s formatting is useful. Otherwise, paste without formatting and apply the document’s own styles; this avoids importing colored backgrounds, irregular spacing, or hidden web markup.
Spreadsheet cell to a document
Decide whether the cell’s visual formatting or only its value matters. A rich paste may bring a table or spreadsheet object, while text-only paste brings characters and separators. Test a small range first because formulas, number formats, borders, and merged cells are application-specific.

- Reapply styles after transfer: if the text arrives correctly but a particular heading or list level does not, use the destination’s styles instead of expecting an exact cross-product conversion.
- Check whether the paste control was dismissed: undo, paste again, and open the Paste Options arrow immediately before clicking elsewhere.
- Try the keyboard route in a browser: menu-based clipboard actions may be blocked by browser security even when the documented shortcut works.
- Separate content from design: if rich transfer remains unreliable, paste text only, then apply the destination’s headings, lists, links, and spacing manually.
What can and cannot be guaranteed
There is no universal “preserve everything” paste command. The source must place a rich representation on the clipboard, and the destination must support that representation. Even when both conditions are met, applications can map styles, tables, links, images, and spacing differently.
