Connect warehouse, transportation, and order data by creating a shared data contract before choosing an AI model or integration product. Define each business object and event, assign an authoritative source, align identifiers and master data, then exchange transaction messages and visibility events through interfaces your systems and partners can support. GS1 standards can supply useful identifiers, message structures, and event semantics, but they do not prescribe one architecture or automatically integrate your applications.

What “connecting data” means in an AI project

A warehouse-management system (WMS), transportation-management system (TMS), order platform, enterprise resource planning (ERP) system, carrier portal, and proof-of-delivery application each records part of the same physical process. The records become useful to an AI application only when it can determine that they refer to the same product, location, organization, order, shipment, handling unit, and moment in time.

This is an interoperability problem, not simply a database-copying exercise. GS1 states the governing principle plainly: “Parties exchanging information must have agreement on the structure, meaning and mechanism of data exchange.” GS1 System Architecture treats structure, semantics, and exchange mechanisms as separate design concerns.

For example, a TMS status of DELIVERED may mean that a carrier scanned a parcel at a destination, while the order system may use the same word only after a recipient signed for it. An AI model that joins those values without resolving the meaning can learn from mislabeled outcomes. A sound connection therefore makes the relationship explicit:

  • Identity: which real-world object or party does each record describe?
  • Semantics: what does the status, quantity, timestamp, and location mean?
  • Mechanism: how is the information exchanged, acknowledged, corrected, and replayed?

Start with a shared data contract

Write the contract before selecting an API gateway, data lake, event bus, or model. It is a human-readable and machine-readable agreement covering names, identifiers, formats, ownership, timing, and allowed values. The contract should be versioned so a change in one source does not silently alter historical training data.

Assign an authoritative owner for every entity

There may be many copies of an entity, but only one system should be authoritative for each attribute at a given point in the process. Ownership can differ by field: a product-information service may own dimensions, a WMS may own the quantity physically picked, and a TMS may own the carrier appointment.

Entity Typical authoritative source Identifiers to reconcile Useful fields for linkage
Product or trade item ERP, product master, or synchronized master-data service GTIN or another shared product key; local SKU Description, package hierarchy, dimensions, weight, unit of measure, lot or serial rules
Location Location master, WMS, TMS, or partner directory GLN or agreed location key; warehouse and carrier codes Address, timezone, operating calendar, dock or bin, geospatial reference
Organization or party Party master, ERP, or partner directory GLN or agreed party key; customer, supplier, and carrier account IDs Role, legal name, contacts, service terms, operating region
Logistics unit WMS or packaging process SSCC or another handling-unit ID; pallet, carton, and parcel IDs Parent-child packing hierarchy, contents, weight, dimensions, seal
Order Order-management or ERP system Order number, line number, customer reference Requested items, quantities, promise dates, priority, ship-to and bill-to parties
Shipment or consignment TMS, WMS shipping process, or carrier Shipment, consignment, booking, and tracking IDs Origin, destination, legs, carrier, service, planned and actual times
Event The system or device that observed the action Event ID plus references to object, order, shipment, and location What happened, when, where, why, how, source, confidence, and correction status

Document crosswalks instead of forcing one global key

Local keys will remain. Store a mapping table that records the source system, local value, shared value, effective dates, and mapping confidence. Keep the original value alongside the normalized one so an analyst can trace a prediction back to the source record. When a product is repackaged, retain both the parent logistics-unit relationship and the child identifiers rather than overwriting the earlier state.

Separate master data, transactions, and visibility events

These categories are related, but they answer different questions and should not be flattened into one undifferentiated feed.

Category Purpose Examples AI implications
Master data Relatively stable definitions and identifiers Product attributes, party roles, locations, packaging hierarchy, units of measure Provides the reference context needed to interpret transactions and events
Transaction data Business instructions, commitments, and confirmations Order, order response, despatch advice, receipt confirmation, transport plan, freight invoice, replenishment request Shows what was requested, promised, planned, or financially settled
Visibility-event data Observations or state changes over time Pick, pack, load, depart, arrive, temperature reading, damage inspection, proof-of-delivery observation Supplies the time sequence and operational context for monitoring and prediction

GS1 describes master-data alignment as a design principle for consistent transaction exchange. Its EDI material covers business-process messages, while EPCIS provides a common model for visibility events. Treating an EPCIS event as a replacement for an order or despatch message loses the commercial instruction and response; treating an EDI message as a complete event history loses observations that occur between messages.

How do I connect WMS and TMS data?

Use the following implementation sequence as a practical integration plan. It is an implementation approach, not a mandatory GS1 process.

1. Choose one operational outcome and measurable definitions

Start with a bounded question such as “Which outbound orders are at risk of missing the customer promise?” Define the prediction time, outcome label, acceptable latency, and reconciliation rule. Decide whether “late” means carrier arrival after the appointment, customer receipt after the promise, or another documented event. List the fields required to calculate the measure and the system that owns each field.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

2. Inventory systems, interfaces, and process boundaries

Map order capture, allocation, warehouse execution, carrier tender, loading, transport execution, delivery, returns, and settlement. For each step, record the application, database or file, interface type, update frequency, retention period, and operational owner. Mark where a person, scanner, RFID reader, sensor, or back-end system creates an observation. GS1 architecture includes such capture components, but a barcode or RFID device alone does not solve semantic or application integration.

3. Profile quality before normalization

Measure missing identifiers, duplicate orders, invalid units, impossible timestamps, unknown status codes, orphaned shipment references, and conflicting quantities. Preserve a raw landing copy and attach quality results to each batch or event. Do not silently replace an unknown value with a plausible default; an explicit unknown state is safer for training and reconciliation.

4. Normalize identifiers, units, codes, and time

Convert quantities to an agreed base unit while retaining the source unit and conversion rule. Standardize timezone handling by storing an unambiguous timestamp, the source timezone or offset, and a business-calendar interpretation where needed. Map local statuses to a controlled vocabulary with a documented many-to-one or one-to-many relationship. Never infer that two codes are equivalent solely because their text looks similar.

5. Align master data first

Publish or synchronize products, parties, locations, packaging relationships, and service codes before sending high-volume transactions. Validate that every order line references a current product key, every shipment references known origin and destination locations, and every handling unit has an unambiguous parent-child relationship. When a master record changes, record the effective date so historical events remain interpretable.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

6. Map transactions and events separately

For transactions, define message type, business purpose, sender, receiver, required response, idempotency key, and correction procedure. For events, define the observed object or process, event time, record time, location, business step, disposition, source device or application, and uncertainty. Link an event to an order or shipment only when that relationship is present in the source or established by a governed mapping rule.

7. Select exchange mechanisms that fit each flow

Use synchronous APIs when a process needs an immediate response, scheduled files or EDI when partners already exchange batch business documents, and event-oriented interfaces when many consumers need time-ordered observations. A single solution can use all three. Specify acknowledgements, retries, deduplication, ordering, late-arriving data, schema versions, and replay behavior for every interface.

8. Validate against real operational scenarios

Run cases such as split shipments, partial picks, substituted products, cross-docking, carrier re-tenders, time-zone changes, cancelled orders, damaged cartons, and duplicate scans. Compare source totals with the integrated view. Track failed mappings, duplicate events, latency, missing joins, correction rates, and reconciliation time. Do not release a model feature until its lineage and failure behavior are visible to the operations team.

Where GS1 standards fit

GS1 System Architecture

The GS1 System Architecture describes the components and principles of the GS1 standards system; it explicitly does not define the architecture every end user must implement. An organization can combine GS1 standards with other standards and interfaces and choose a topology that matches its applications and partners. The versioned architecture source identifies version 12.0.0 in October 2024.

GS1 identifiers and master-data alignment

GS1 identification keys can provide common references for products, locations, organizations, and logistics units. They are useful when multiple parties need to join records, but adoption still requires mapping local keys, governing ownership, and maintaining accurate master records. An identifier does not describe every attribute or guarantee that a source system uses it correctly.

GS1 EDI for business transactions

GS1 EDI supports business-process exchange. GS1 Ireland lists data synchronization, orders and responses, despatch advice and receipt confirmation, payment, transport planning and execution, and replenishment among its message areas. Use these messages to communicate instructions, commitments, confirmations, and settlements; do not treat them as a substitute for a complete observation stream.

EPCIS and CBV for visibility events

EPCIS is GS1’s visibility-event standard. Its event model is designed to express the what, when, where, why, and how of objects and processes and to support sharing within an organization and across trading partners. The companion Core Business Vocabulary (CBV) defines values used with EPCIS.

The EPCIS 2.0 material identifies JSON and JSON-LD representations, REST capture and query APIs, sensor-data capabilities, certification details, and GS1 Digital Link URI support. GS1 lists EPCIS/CBV 2.0 as June 2022 and the EPCIS/CBV Implementation Guideline 2.0 as March 2023. These interfaces can make event exchange easier for web-oriented systems, but they do not remove the need to agree on identifiers, vocabulary, ownership, and operational recovery.

Choosing an integration topology

There is no universal ranking. Choose based on semantic control, partner reach, latency, operational ownership, and the ability to replay and reconcile data.

Approach Strengths Risks and suitable use
Point-to-point interfaces Fast for a small number of systems; can use an existing API, EDI connection, or file exchange. Mappings multiply as systems grow, making vocabulary drift and monitoring harder. Reasonable for a tightly bounded pilot with few partners.
Integration platform or hub Centralized transformation, routing, retries, authentication, and interface monitoring across APIs, EDI, and files. Can become a bottleneck or opaque “translation box” unless contracts, ownership, and versioning remain explicit. Useful for heterogeneous WMS, TMS, ERP, and partner connections.
Shared data platform Preserves history, supports cross-domain analytics, lineage, replay, and reusable feature datasets. Does not by itself provide transactional guarantees or correct semantics. Best when paired with governed ingestion, master-data services, and operational interfaces.

Many organizations combine these patterns: operational APIs or EDI for commitments, an event interface for observations, and a governed analytical store for AI features. The important design choice is not where data is stored, but where meaning, quality rules, and recovery responsibilities are enforced.

Design the event and transaction envelopes

A minimum transaction envelope should include message type and version, sender and receiver, business document ID, creation time, effective time, references to orders and parties, payload, acknowledgement status, and an idempotency key. Record whether a message is new, corrected, cancelled, or superseding an earlier message.

A visibility event should carry an event ID, event time, record time, object or process reference, location, business step, disposition or status, source system, and any sensor measurement with unit and calibration context. Keep source timestamps and ingestion timestamps separate so model features do not confuse operational delay with event time. If an event is corrected, issue a correction or superseding event with a link to the original rather than mutating history without trace.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For delayed or duplicated messages, define deterministic behavior: deduplicate by event ID and source, accept late events into the historical timeline, and recompute affected features when the business rule requires it. For out-of-order scans, use event time for process chronology and record time for monitoring pipeline latency.

Make the connected data usable for AI

GS1 Finland explains that AI depends on structurally high-quality, consistent, machine-readable data and that identification keys can help link products, organizations, certifications, events, and history. That explanation is a rationale for disciplined data design, not a measured guarantee of forecast accuracy or model safety.

Build model inputs from governed, time-aware relationships:

  • Join order lines to the product version that was valid when the order was placed.
  • Join warehouse actions to the handling unit and location where they occurred.
  • Join transport milestones to the shipment leg and carrier service actually used.
  • Generate features only from information available before the prediction timestamp to prevent leakage.
  • Retain lineage from each feature to source message, event, mapping rule, and transformation version.
  • Represent missing, late, cancelled, and corrected data explicitly so the model can distinguish them.

Use a human-readable reconciliation view alongside the model dataset. An operations analyst should be able to inspect why an order was linked to a shipment, which event established departure, and whether a late carrier update arrived after the prediction was made.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Common failure modes and fixes

Symptom Likely cause Fix
Orders cannot be matched to shipments Local order, booking, and shipment IDs are treated as interchangeable. Maintain explicit cross-reference keys and require the relationship in the transaction or governed mapping.
Inventory totals disagree across systems Different units, stock states, cut-off times, or treatment of in-transit quantity. Document quantity semantics, normalize units, include as-of timestamps, and reconcile by location and status.
Delivery predictions change after the fact Late events are inserted without preserving prediction-time availability. Store event time and ingestion time, freeze prediction snapshots, and recompute only under a documented rule.
Duplicate scans inflate activity Retries or repeated device submissions lack idempotency. Use a stable event ID, deduplicate at ingestion, and retain duplicate counts for monitoring.
Status dashboards disagree with partners Identical words have different business meanings. Map local codes to controlled vocabulary definitions and publish the triggering condition for each status.
Partner data arrives in an unusable format Interface capability was assumed rather than verified. Agree on supported API, EDI, file, or event formats, test acknowledgements and error responses, and version the contract.
Historical analysis breaks after a master-data change Current product or location attributes overwrite past values. Use effective-dated master records and retain the version referenced by each transaction and event.

Governance questions to settle before production

Standards and interfaces do not answer every organizational requirement. Define who may access each field, how partner consent and contracts are represented, how long raw and derived data are retained, how credentials and keys are managed, and how privacy or regulatory obligations apply to customer, employee, driver, and sensor data. Document incident response, audit access, and deletion or correction procedures with the organization’s security, legal, and compliance owners.

Also establish a change-control board or equivalent ownership for the data contract. A new status value, package hierarchy, carrier code, or timestamp rule should trigger compatibility checks, sample-data validation, and a decision about whether historical features must be rebuilt.

A practical readiness checklist

  • One documented business outcome, prediction time, and success measure.
  • Authoritative owners for products, parties, locations, orders, shipments, logistics units, and events.
  • Crosswalks for local and shared identifiers with effective dates.
  • Master data aligned before high-volume transaction exchange.
  • Separate schemas for business transactions and visibility events.
  • Controlled units, status vocabulary, timezone rules, and correction semantics.
  • Interface contracts covering acknowledgements, retries, idempotency, ordering, replay, and versioning.
  • Quality monitoring for missing joins, duplicates, latency, orphan records, and reconciliation differences.
  • Feature lineage and prediction-time snapshots that prevent leakage.
  • Operational ownership for failures, partner changes, access control, retention, and incident response.

The result is an interoperable foundation on which AI can operate: records are linked by governed identifiers, events have consistent meanings, and every prediction can be traced to the transactions and observations available at the time.
