To connect Gemini to an app, sign in with the Google account you want to use, open Settings → Connected Apps, inspect the app’s supported actions, authorize only the access you understand, and then explicitly ask Gemini to use that service. Use Android Device assistance for phone controls, Google Workspace for Gmail and productivity data, custom MCP apps for compatible third-party servers, and Gemini Spark when the task must run on a schedule. A connection never grants every action in an app, so verify important changes in the destination service.
Choose the Gemini connection route that matches your task
“Connect Gemini to an app” can mean several different features. Select the route by the outcome you need, not by the app’s name.

Your own Connected Apps page is authoritative. Google changes availability by account type, location, language, device, and product rollout, so an app shown in another person’s account may not appear for you.
Check eligibility before connecting anything
Confirm the account and activity settings
Open Gemini while signed in to the Google account that owns the data or service. Keep Activity is required for Workspace connections and most personal Connected Apps. If Keep Activity is off, Google says only specified Android apps—including Device assistance, Phone, Messages, and WhatsApp—remain available under the listed conditions. Turning the setting on can therefore change which integrations appear.

Check organization policy for work or school accounts
A Workspace user cannot enable an integration that an administrator has blocked. The organization must have a qualifying edition, and an administrator must allow app access. If the Workspace option is missing, contact the administrator rather than repeatedly reconnecting your personal account.
Check device, language, and country limits
Personal Connected Apps, Android actions, custom MCP apps, and Spark do not have identical geographic or platform coverage. Custom MCP instructions currently specify a personal account, age 18 or older, US availability, and English. Spark also lists regional exclusions. Treat these as eligibility gates, not troubleshooting errors.
Connect a supported app in Gemini
- Open Gemini and choose the correct account. Use the account that should read the information or make the change.
- Open the integration list. Go to Settings → Connected Apps. In some current interfaces the entry is under Personal Intelligence; web and Android menu placement can differ.
- Inspect the app details. Read the app-specific supported and unsupported actions before authorizing it. A connection is not blanket access.
- Connect or enable the service. Follow the account-linking and consent screens. Grant only permissions that match the task you intend to perform.
- Start a new conversation. When the interface supports it, type
@and select the service. This makes the intended integration explicit even when Gemini could choose it automatically. - State the action and scope. Say whether you want a search, summary, draft, reminder, event, note, or other supported operation. Name dates, people, files, and limits where relevant.
- Review confirmation requests. Read what Gemini proposes to change. Approve only an action you recognize.
- Verify in the destination app. Check Gmail, Calendar, Drive, Keep, Tasks, the Android notification panel, or the third-party service itself. Gemini can be mistaken or return outdated information.
Some Connected Apps are designed to work without an explicit selector. Using @ is still useful when a prompt could involve several services or when you need to ensure that Gemini uses a particular app.

What the Workspace connection can do
With the supported Workspace connection, Gemini can search, summarize, and answer questions about Gmail, Docs, and Drive content. It can create, edit, or retrieve Google Tasks; create and retrieve Google Keep notes and lists; and create or manage Calendar events.

- Ask what is on today’s Calendar and request a specific change to an event.
- Extract dates or other details from an email and turn them into a Tasks reminder.
- Find a Workspace document and summarize its relevant section.
- Save a shopping or planning list to Keep.
In a new conversation, name the service or content type instead of pasting a document or email URL. For example, ask Gemini to “search Gmail for the itinerary from the airline and list the travel dates,” or “find the project brief in Drive and summarize the risks.” Once the conversation establishes the Workspace context, follow-up prompts can refer to that context.
Workspace actions Gemini does not support through this connection
- It cannot access comments or images in Docs or Gmail through the documented basic connection.
- It cannot access pictures and videos in Drive.
- It cannot create or move Drive folders.
- It cannot count Drive items or calculate storage totals.
These limits apply to the Workspace Connected Apps documentation and should not be assumed to describe every action available in Spark. Spark documents a separate Workspace action set.
Use Gemini for Android device assistance
Phone controls and media
On Android, Gemini can help manage alarms and timers, open apps, control media, and change some device settings. The exact commands depend on the phone, manufacturer software, enabled settings, and rollout stage.

Notifications
Reading or replying to notifications requires notification access. Google says some notification actions are being released gradually, and certain voice or media message types are not supported. If Gemini cannot see an eligible notification, check Android’s notification-access permission and whether that message type is supported.

Default-assistant requirement
Selected setting controls require the Google app to be the device’s default digital assistant. If a command only produces a web answer instead of changing a setting, check the default-assistant selection and the permission requested by Android.
Build scheduled workflows with Gemini Spark
When Spark is the right tool
Use Spark when “automation” means a goal that should continue, repeat, or run later. A Spark task describes what to accomplish, a schedule describes when to run it, and a skill provides reusable instructions about how to carry it out.
Google’s documented Spark Workspace actions include Calendar management, Gmail search and drafting, Drive file operations, Docs and Sheets editing, Keep notes, and Tasks. Spark can also use some Connected Apps and other Google services. Shared-document edits may require confirmation.

Create a task and schedule
- Open Spark with an eligible personal account and Keep Activity enabled.
- Describe the outcome in plain language, including the source service, output, schedule, and any boundaries. Example: “Every Monday at 9 a.m., search Gmail for invoices received during the previous week, list the vendor and amount, and save the summary to a Keep note.”
- Review the proposed connected sources, schedule, and permissions.
- Confirm the task only after checking that the destination and recurrence are correct.
- Monitor runs and respond when Spark asks for input or a takeover. Review the resulting email draft, document edit, note, or task in its original service.
Google’s Spark help currently states a maximum of 15 concurrent tasks. This is a dated product limit and may change, so check the current Spark help before creating a larger set of schedules.

Supervise rather than blindly delegate
Spark may browse logged-in websites, use connected sources, or pause for user takeover. Avoid delegating sensitive transfers, legal commitments, account-security changes, or irreversible deletions without active review. A scheduled run is not proof that the intended result was achieved.
Connect a custom MCP app
Add the server from Gemini on the web
- Open the Gemini web app and go to Settings → Connected Apps.
- Choose the option to add a custom app and enter the MCP server URL supplied by the provider.
- Ensure the server follows MCP specifications. If it does not support Dynamic Client Registration, open the advanced options and enter the credentials the provider requires.
- Review the requested scopes and the provider’s privacy policy, terms, and documentation before authorizing.
- In a prompt, type
@and select the custom app when the selector is available.
Google’s dedicated custom-app instructions currently describe use in Spark workflows or quick actions in chat. A separate general Connected Apps page says custom apps are available only to users with Spark access and within Spark tasks. Because those descriptions differ, do not promise ordinary-chat support; check the controls shown in the user’s account.
Understand the security boundary
Google states that it does not control, monitor, or secure third-party MCP servers. Chat information and connected-source information can be shared with a custom app, and the server may request more data than a particular task needs. Google’s documented warning says: “Currently, Gemini requires manual confirmation for any write actions, but Gemini can make mistakes.” Treat manual confirmation as a final review, not as a guarantee of correctness.

@Gmail Find messages from the last seven days containing “renewal,” summarize the deadline, and draft—but do not send—a reply.@Calendar Add a 30-minute event tomorrow at 2 p.m. called “Design review,” invite Alex, and ask me before sending invitations.@Drive Find the latest project brief, summarize risks only, and cite the file name in your answer.@Keep Save the grocery items from this conversation as a checklist called “Saturday shopping.”@Tasks Turn the three action items in this email into separate tasks due next Friday; show me the titles before creating them.
For scheduled work, include a recurrence, time zone, source date range, output location, and what should happen when information is missing. Ask for a draft or preview before a send, publish, delete, or permission change.
Troubleshoot common connection problems
“Why can’t I connect the Google Workspace app?”
- Verify that Gemini and the Workspace data use the same Google account.
- Turn on Keep Activity if your organization permits it.
- For work or school accounts, ask an administrator whether the edition qualifies and app access is enabled.
- Check whether the requested operation is one of the documented unsupported actions, such as moving Drive folders or reading Gmail comments.
“Why can’t I connect to an app?”
- Search the Connected Apps list rather than relying on a tutorial that may describe a different country, language, device, or rollout.
- Open the app’s details and read its support list.
- Confirm that the account is eligible and that any required subscription, age, or location condition is met.
- Disconnect and reconnect only after checking the permission screen; repeated authorization cannot add an unsupported action.
Gemini answers but does not use the connected service
Start a new conversation, select the app with @, and name the service in the request. Avoid vague wording such as “handle this” when several sources could apply. Then ask Gemini to identify the file, message, event, or note it used.
The action is missing or produces the wrong result
Compare the requested operation with the app’s supported-actions page. Check date, account, device, and language assumptions, then inspect the destination app directly. For Android, review notification access and default-assistant settings. For Spark, open the task history and respond to any takeover or confirmation request.

- Minimize permissions. Connect only the services needed for the stated job.
- Read third-party terms. External providers process information under their own privacy policies; this is especially important for custom MCP servers.
- Prefer previews. Ask for a draft, proposed event, or list of changes before sending, editing, or deleting.
- Separate sensitive accounts. Do not connect financial, health, employment, or private communications data to a server whose retention and sharing practices you cannot verify.
- Audit the result. Check the original app after every important run and revoke access when a service is no longer needed.
- Expect errors. Google warns that Gemini responses can be outdated or mistaken; a successful-looking response is not a transaction receipt.
A practical decision checklist
- Define the desired outcome: lookup, one-off change, phone control, third-party tool call, or recurring workflow.
- Choose Connected Apps, Workspace, Android Device assistance, custom MCP, or Spark accordingly.
- Check account type, Keep Activity, administrator policy, device, language, country, subscription, and age requirements.
- Read the app-specific supported and unsupported actions.
- Connect with the minimum permissions and select the app with
@when possible. - Prompt with explicit scope, dates, destination, and confirmation boundaries.
- Review every proposed write and verify the final state in the destination service.
Following this sequence prevents the most common misconception: that an app appearing under Connected Apps gives Gemini unrestricted control. The integration is useful only within the actions, permissions, account, and platform that Google and the service currently document.
