Connect an enterprise AI agent to ERP or asset-management software as a governed identity and transaction workflow, not as a simple API integration. Give each production agent a distinct principal, narrowly scoped permissions, allowlisted tools, deterministic approval gates for risky actions, downstream authorization checks, complete audit trails, and a tested shutdown path. Start with observable read-only work, then expand autonomy only when those controls have been demonstrated in the exact environment.
The right design depends on the ERP and asset platform, version, API, deployment model, industry, and jurisdiction. The controls below are platform-agnostic architecture patterns; use the current documentation for your specific products before configuring authentication, roles, connectors, or approval features.
What a safe connection actually controls
An agent can plan a multi-step workflow, call tools, retrieve records, and submit changes. That combination creates more risk than a conventional integration that performs one predetermined operation. Microsoft Learn describes agentic systems as able to “plan and execute multistep workflows by calling tools (APIs, plugins, automation runbooks) and accessing enterprise data.” Every additional boundary is a security boundary: an agent-to-tool call, tool-to-service call, plugin, model, retrieval source, and hand-off to another agent can add an opportunity for misuse or compromise.
A safe connection answers five questions for every attempted action:

- Who is acting? A traceable agent identity, its owner, and, where relevant, the human who initiated the request.
- What is it allowed to do? A task-specific set of resources, data classes, and actions.
- What must be approved? High-impact, irreversible, bulk, administrative, or permission-changing operations.
- Where is the decision enforced? In deterministic application and downstream service controls, not only in a model prompt.
- How can operators see and stop it? End-to-end logs, correlation identifiers, revocation, token invalidation, and a reliable pause or kill mechanism.
“Least privilege” is therefore more specific than assigning a low-privilege service account. The scope must match the workflow, affected resources, and exact operation, and each downstream system must enforce it independently.
Reference architecture for ERP and asset workflows
A practical design separates planning, evidence gathering, policy evaluation, execution, and recovery. The agent may propose a sequence, but policy components decide whether each tool call is permitted.
- Request and context layer: receives the user request, tenant or business-unit context, data classification, and initiating-user identity where applicable.
- Agent runtime: plans steps and requests tools. It has a dedicated identity and no implicit administrative access.
- Policy and approval layer: evaluates the agent, user, task, resource, action, risk signals, and approval state. It blocks prohibited operations regardless of model output.
- Tool gateway: exposes only allowlisted operations with validated schemas, limits, and timeouts. It records every request and result.
- ERP and asset-management services: authenticate and authorize each call themselves. They do not trust a prior decision made only by the orchestrator.
- Audit, detection, and recovery: correlates requests, tool calls, downstream transactions, approvals, and outcomes; it supports alerting, rollback, credential rotation, and shutdown.
Keep planning and execution separable. A read-only evidence-gathering role can produce a proposed change for a reviewer or a second, tightly constrained execution role. This limits the damage if a retrieved document contains malicious instructions or if the model selects an unintended tool.
Step 1: Map the workflow before connecting a system
Write the business workflow in concrete terms before creating an application registration or connector. “Manage maintenance” is too broad; “find overdue inspections for plant A, summarize the records, and draft—not submit—a work-order update” is testable.
Document the business purpose and boundaries
- Name the task, accountable business owner, technical owner, and approving authority.
- List every ERP, asset repository, data warehouse, ticketing system, model, plugin, retrieval index, automation runbook, and external data source involved.
- Identify records and assets that may be read, created, changed, exported, or deleted.
- Classify the data, including personal, financial, safety, regulated, confidential, and operational information.
- State permitted actions and explicit prohibitions. Include tenant, company-code, plant, site, business-unit, and environment boundaries where they apply.
- Define which actions require a human, dual control, a second system, a dollar or quantity threshold, or a maintenance-window condition.
- Describe the effect of an incorrect or unauthorized result: financial posting, production interruption, safety exposure, inventory distortion, privacy breach, or loss of evidence.
Treat every agent-to-tool and agent-to-service interaction as a boundary. Microsoft’s guidance on reducing autonomous-agent risk notes that each interaction expands the attack surface and can introduce indirect prompt injection, unintended actions, or data exfiltration.

Build an action inventory
| Action class | Typical examples | Initial treatment |
|---|---|---|
| Read | Retrieve an asset history, inventory balance, vendor record, or open work order | Allow only approved repositories and fields; begin read-only |
| Prepare | Draft a work-order update, reconciliation proposal, or exception list | Store as a pending object; require validation before submission |
| Write | Create or update a work order, purchase request, asset status, or master-data field | Allow the exact operation and fields; gate according to impact |
| High impact | Bulk updates, financial posting, deletion, export, permission change, or production-affecting command | Deny by default; require deterministic approval and strong evidence |
The examples are illustrative. Your system owner must define the actual impact and approval thresholds for each object and operation.
Step 2: Give every production agent a distinct identity
Create a unique, dedicated principal for each production agent or independently governed workflow. Record a named owner or sponsor, an approver, purpose, environment, data authorization, tool dependencies, credential location, and review date. Do not use a broad shared credential as a substitute for agent-specific authorization: shared identities make attribution, revocation, and incident scoping unreliable.
Recommended Free Tools
Bind identity to the workflow
- Use separate identities for development, test, and production.
- Separate agents with materially different purposes or risk, even when they use the same model.
- Keep a machine-readable inventory of agent identity, model version, tools, plugins, prompt or policy package, data sources, and owners.
- Use short-lived tokens or delegated credentials where the platform supports them; protect secrets in an approved vault and rotate them.
- Record the initiating user (“on behalf of”) when a user starts a workflow, while retaining the agent principal as the executing identity.
- Review effective permissions across the agent, its tools, role assignments, and downstream services. Remove stale grants and deny unreviewed integrations, guest paths, and cross-tenant access by default.
Impersonating a human account may preserve a familiar audit name but can erase the distinction between a person and autonomous software. If a platform requires delegation, preserve both principals and constrain the delegated operation, audience, duration, and resources.
Re-review identity when the system changes
Trigger an access review when the workflow, model, tool, plugin, data source, tenant, deployment environment, or business purpose changes materially. A model upgrade or newly enabled connector can alter what the agent can infer or execute even if the original API role is unchanged.
Step 3: Scope authorization to task, resource, data, and action
Authorization should be narrow along four dimensions:

- 【Smooth and waterproof surface】: Micro-textured cloth surface, for extremely precise mouse control and a smooth movement. When liquid splashes on the gaming mouse pad, it forms water droplets and slides down. Will not delay your work or gameplay.
- 【Plug and play】: This mouse and keyboard pad is powered by USB, plug and play, no driver required. One button control light modes. Press one time to change the lighting mode, press twice to change the brightness, press and hold about 3 seconds turn ON/OFF.
- Task: the business purpose, such as inspection summarization or maintenance triage.
- Resource: specific companies, plants, sites, asset classes, repositories, records, or fields.
- Data: approved attributes and classifications, with masking or filtering for unnecessary sensitive values.
- Action: named API operations and allowed verbs, not an unrestricted object role.
For example, an inspection-summary agent might read inspection results for two sites and write nothing. A separate work-order agent might read those results and create a draft work order but have no delete, export, user-management, or permission-changing capability. These are architecture patterns, not universal role mappings; the exact implementation depends on the product’s authorization model.

Enforce authorization twice
The orchestrator should evaluate policy before invoking a tool, but the ERP or asset service must validate the caller, resource, operation, and relevant context on every call. A compromised orchestrator, replayed request, or alternate client must not bypass downstream enforcement. Test both layers by sending denied operations directly to the service and confirming that they remain denied.
Use deny-by-default tool exposure
Expose a small allowlist of typed operations rather than a general-purpose HTTP client. Validate identifiers, ranges, pagination, maximum batch size, destination, and required fields. Reject unknown parameters and ambiguous natural-language requests. Keep administrative, delete, export, permission, and cross-tenant functions disabled unless a documented workflow needs one and the additional controls are in place.
Step 4: Put deterministic controls around writes
Model reasoning is not an authorization mechanism. Microsoft’s secure-agent guidance recommends defense in depth that assumes individual layers can fail. Put hard gates in application logic and make the stop condition independent of the model’s willingness to comply.
Separate evidence from execution
- Collect approved records with a read-only identity.
- Normalize and validate the evidence, including freshness, source, and record ownership.
- Generate a proposed change with a structured diff showing every field and value to be modified.
- Run policy checks for scope, risk, segregation of duties, approval state, and duplicate or conflicting transactions.
- Obtain the required approval through a system-controlled workflow.
- Submit only the approved operation using a narrowly scoped write identity.
- Verify the downstream result and record the transaction identifier.
Gate high-risk and irreversible operations
Require explicit approval for bulk changes, financial postings, deletion, exports, permission changes, safety-related status changes, production-affecting commands, and any operation your risk owner classifies as irreversible. Make approvals specific to the proposed operation, resource set, parameters, approver, time window, and expiration. Do not treat a generic “continue” response in a chat as sufficient evidence.

Provide pause, stop, and recovery paths
- Pause queued work before the next tool call and prevent new calls after disablement.
- Revoke or rotate the agent credential and invalidate outstanding tokens.
- Disable tool routes or network paths independently of the model runtime.
- Use idempotency keys and transaction limits to prevent retries from duplicating changes.
- Retain change history and a tested rollback or compensating action for remediation workflows.
- Escalate uncertain, conflicting, or partially completed transactions to an operator.
Rollback is not always possible for a financial posting, external message, or physical action. Classify such operations as irreversible and require stronger pre-execution controls rather than assuming recovery will be available.
Step 5: Protect prompts, retrieved data, and dependencies
Retrieved text is data, not authority. A work-order note, email, attachment, web page, or asset description can contain instructions designed to manipulate tool selection or exfiltrate data. Keep untrusted content distinct from system policy and tool definitions, and never let retrieved text grant permissions.
Defend against indirect prompt injection
- Label the source and trust level of every retrieved item.
- Strip or quarantine content that attempts to redefine policy, request secrets, or instruct the agent to bypass review.
- Constrain tool arguments with schemas and server-side validation.
- Require confirmation when an action is based on untrusted or conflicting evidence.
- Test malicious documents, poisoned records, encoded instructions, and cross-record data-leakage attempts.
Govern sensitive data and memory
Apply classification, minimization, masking, retention, and output rules to prompts, context windows, logs, caches, and long-lived memory. Store only the memory needed for the approved task, with an owner, retention period, access policy, and deletion process. Ensure a response cannot disclose fields that the initiating user or agent is not authorized to see merely because the model inferred them from a broader context.
Inventory and change-control dependencies
Track model versions, system prompts, policy packages, plugins, connectors, grounding indexes, runbooks, and external services. Review and test changes before production release, record the resulting configuration, and monitor for abnormal tool use, data volume, destinations, timing, or error patterns. Dependency inventory is part of the security boundary, not administrative paperwork.
Step 6: Log the complete transaction and prepare containment
Capture enough information to reconstruct what happened without relying on the final natural-language answer. At minimum, record:

- Agent principal, owner, role, effective scope, environment, and model or policy version.
- Initiating user or calling application, when applicable.
- Request, approval state, policy decision, tool name, validated arguments, target resource, and downstream response.
- Correlation ID spanning the agent, gateway, ERP, asset service, and recovery actions.
- Time, outcome, retry count, error, transaction identifier, and data classification.
Protect logs against alteration, restrict access, and set retention according to contractual, regulatory, investigative, and operational needs. Avoid logging secrets or unnecessary sensitive payloads; retain a secure reference or redacted representation when full content is not required.
Test the containment procedure
- Disable the agent identity and confirm new requests fail.
- Revoke credentials and invalidate active tokens or sessions.
- Remove a previously granted permission and verify the agent cannot use a stale token or cached role.
- Call the downstream ERP or asset service directly with the revoked principal and confirm its own authorization check denies access.
- Pause queued execution, inspect partially completed work, and perform the documented rollback or compensating action.
- Restore only after an owner approves the cause, scope, and corrective changes.
NIST SP 800-171 Rev. 3 includes controls to restrict privileged accounts, prevent non-privileged users from executing privileged functions, and log execution of privileged functions. Its language is a general security baseline, not an AI-agent-specific rule and not automatically applicable to every organization; determine applicability from your environment and obligations.
How to compare implementation choices
When evaluating an orchestration pattern, connector, or platform feature, compare capabilities rather than brand names. A feature that looks convenient but cannot provide downstream enforcement or reliable revocation is not suitable for a high-impact workflow.

Test before expanding autonomy
Begin with a constrained, observable workflow. A useful progression is read-only retrieval, then draft generation, then narrowly scoped writes with approval, and only later carefully bounded automation. Each stage should have an explicit exit criterion rather than an assumption that a capable model is safe because earlier demonstrations succeeded.
Security and failure tests
- Attempt access to another tenant, plant, site, company code, asset class, or restricted field.
- Replay an expired approval, token, or request and verify rejection.
- Change a role or remove a permission while work is queued and verify enforcement.
- Inject malicious instructions into a retrieved record or attachment.
- Send malformed, oversized, duplicate, or conflicting tool arguments.
- Force timeouts, partial failures, retries, and downstream outages.
- Attempt delete, export, bulk update, permission change, and administrative calls through every exposed route.
- Disable the agent during planning, approval, and execution and confirm no unauthorized continuation.
Operational readiness measures
Track control coverage, not invented success percentages. Before production, you should be able to show that every agent has an owner and distinct identity; permissions are task-scoped; high-risk actions are gated; logs support end-to-end tracing; dependencies are inventoried; and revocation, pause, and recovery have been exercised. Record exceptions with an owner, expiration date, compensating control, and approval.
Platform-specific limits and documentation
Generic architecture guidance cannot establish an API path, connector behavior, authentication flow, compatibility matrix, or role mapping for a particular ERP or asset-management product. Product names, editions, API versions, deployment models, and tenant configurations materially change the implementation. Consult the current official documentation for the exact platform and test the documented behavior in a non-production environment.
A vendor publishing agent-governance material is not evidence that every deployment is compliant or that a particular connector implements these controls. For example, a June 2026 compliance brief associated with SAP Joule Agents addresses auditability, regulatory compliance, and human oversight under the EU AI Act, but a landing page does not establish detailed configuration steps or universal compliance conclusions. Treat such material as context and verify the controls in your own deployment.

- Autonomy expansion has an owner, evidence threshold, change record, and rollback plan.
For organizations without the staff to design and test these controls, an independent enterprise AI security architecture or implementation specialist may help. Select any provider through your normal procurement and assurance process; the architecture still needs to be validated against the exact ERP, asset platform, data obligations, and operating model.
