Compare gateways with the same merchant profile, not headline percentages. Model your average order value, transaction mix, card origins, currencies, refunds, disputes and payout destination; then add percentage fees, fixed fees, payment-method charges, cross-border and conversion costs, and any fee for faster access to funds.
Also separate payment approval from money reaching your bank. A provider may authorize a payment immediately, place it into a payable batch later, initiate a payout on a schedule, and rely on the bank for the final deposit. Cut-off times, weekends, holidays, currencies and account eligibility can change the actual arrival date.
What you are comparing: payment processing versus payout
“Settlement time” is used loosely. Before comparing providers, name the event you care about: a successful authorization, a cleared transaction, a payout becoming payable, a payout being sent, or cleared money in your bank account.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minute| Stage | What happens | Question to ask |
|---|---|---|
| Authorization | The customer’s bank or wallet approves or declines the payment. | How long does approval take, and when can I treat the order as paid? |
| Processing or clearing | The provider confirms the transaction and applies its fees, refunds, reversals or risk holds. | When is the transaction eligible for payout? |
| Payable batch | Eligible transactions are grouped according to the provider’s payout model and frequency. | What event starts the payout clock? |
| Payout initiation | The provider sends a net amount to your nominated bank account. | What cut-off, currency and priority apply? |
| Bank availability | Your bank receives and posts the transfer, subject to its own processing calendar. | When can I actually use the money? |
Adyen describes payouts as net of refunds, chargebacks and transaction costs and states: “The funds you get are calculated on a net basis.” Its documentation says arrival can take up to two days depending on currencies and banks. That is different from promising that every customer payment appears in your bank the next day.

Start with one merchant profile
A comparison is meaningful only when every provider is tested against the same assumptions. Write the profile down before opening pricing pages or requesting quotes.
- Location: record the country of your merchant account and the country where the payout bank is located.
- Sales channels: separate online checkout, in-person payments, invoices, manually keyed transactions and recurring billing.
- Volume: enter monthly transaction count, monthly value and average ticket size. Fixed fees have a much larger effect on small tickets.
- Payment mix: estimate domestic and international cards, debit and credit cards, wallets, bank methods and any local alternatives you need.
- Card geography: identify where cards are issued, not only where customers live. A local customer using a foreign-issued card can trigger a different rate.
- Currencies: list currencies used for customer presentment, provider settlement and your bank account. Note where conversion occurs.
- After-sale activity: estimate refunds, partial refunds, voids, failed payments, disputes and chargebacks.
- Cash-flow requirement: specify the latest acceptable bank-arrival date, desired payout frequency, weekend needs and whether an instant option is worth paying for.
- Commercial terms: record monthly or setup charges, additional products, negotiated pricing, minimums and contract or reserve requirements.
Keep quoted prices separate from your assumptions. Also identify whether a quote includes interchange, card-network assessments and other pass-through charges. A blended rate and an interchange-plus quote cannot be compared by percentage alone.
Calculate the effective cost, not just the advertised rate
For each provider, calculate a representative month using the same transaction file. A basic model is:
The Tool Desk
Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →effective cost = percentage fees + fixed transaction fees + payment-method fees + cross-border fees + currency-conversion costs + refund/dispute costs + payout fees + recurring or account fees
Then divide by the month’s processed volume to obtain an effective percentage. Keep each component visible so a change in card mix or ticket size does not hide the reason the result changed.
Why average ticket size changes the answer
Suppose a provider charges 2.9% plus $0.30 on a successful domestic card transaction. On a hypothetical $50 order, the processing charge is $1.75 (2.9% of $50 is $1.45, plus $0.30). On a hypothetical $10 order, it is $0.59, which is 5.9% of the sale. The same advertised percentage therefore produces very different effective costs for a subscription business, a low-priced digital product and a high-value service.

Run the calculation by transaction type rather than applying one average to everything. A month with many small orders can be more expensive than a month with the same revenue in fewer large orders.
Interchange-plus versus blended pricing
Adyen describes a fixed processing fee plus a fee determined by the payment method. It also describes Interchange++ pricing, where variable interchange is passed through. A flat blended quote bundles some components into one rate; an interchange-plus quote exposes variable components. Request the actual interchange, network and provider components for a sample month before declaring either structure cheaper.
Fees that commonly change the result
Payment method and card origin
Rates can differ between cards, wallets, bank transfers and other methods. Domestic and non-domestic cards may have separate schedules. Ask whether the provider classifies a transaction by the merchant account country, the card-issuing country, the customer’s location or the settlement currency.
International and currency-conversion charges
Model both the cross-border transaction fee and the foreign-exchange spread or conversion fee. Check whether conversion is mandatory, whether you can hold multiple settlement currencies, and which exchange-rate source and markup apply. A low card rate can be offset by converting every payout into your home currency.
Refunds, reversals and failed payments
Find out whether the original processing fee is returned when you refund a payment. Check separate treatment for partial refunds, voids before capture, failed authorizations and expired payments. Include chargeback fees, representment costs and any reserve or rolling hold in a cash-flow model.
Faster payouts
Instant or same-day access is often an optional paid service. Compare its percentage or fixed charge, minimum fee, per-day limits, eligible currencies, operating hours and eligibility rules with the standard schedule. A faster payout can be valuable for payroll or inventory, but it should be modeled as a financing cost rather than assumed to be free.

Account and product charges
Look for setup, monthly, gateway, invoicing, recurring-billing, fraud-tool, terminal and reporting charges. Adyen’s cited UK information says it has no setup or monthly fee on that page, while separately noting that other products are priced separately. That statement does not establish the terms for every market or product.
Official fee examples, labeled by market and date
The figures below illustrate why geography, payment type and date must travel with every number. They are not a league table and do not identify a universally cheapest provider.
| Provider and scope | Published example | What to verify |
|---|---|---|
| Stripe, Standard example | 2.9% + 30¢ per successful domestic card transaction. Its pricing information says rates are country-specific and depend on the payment method. It lists Instant Payouts at 1.5% of Instant Payouts volume, with a 50¢ minimum. | Your merchant country, method, account eligibility, and whether the instant-payout charge applies to the amount you need to move. |
| Adyen, cited UK information | A fixed processing fee plus a payment-method fee; no setup or monthly fee is described on the cited page. | The exact method schedule, market, product add-ons and whether pricing is blended or Interchange++. |
| Square UK schedule, updated 2 February 2026 | 1.4% + 25p for online UK-card transactions; 2.5% + 25p for online non-UK-card transactions; a separate 1.5% international transaction fee and 1.5% instant-transfer fee are listed. | That the transaction is online, the card classification is correct, and the current UK terms still apply to your account. |
| PayPal US merchant fee page, last updated October 1, 2026 | Separate domestic rates by payment type, including 2.99% + a fixed fee for standard credit and debit card payments and 3.49% + a fixed fee for PayPal Checkout. | The US account requirement, the exact fixed-fee schedule, payment type and any currency or cross-border charge. |
These examples are snapshots from the stated markets and dates. Pricing pages change, and a provider may quote different terms after reviewing your volume, risk profile or payment mix.

Payout models and frequency
Providers can group funds by sales day, use a pass-through model or apply another payout model. Frequency may be daily, rolling, weekly or monthly. A daily schedule does not necessarily mean daily bank availability: the batch may close after your transaction, wait for a risk review, and then face bank processing time.
Adyen documents payout models and frequencies and says the bank-arrival window can be up to two days depending on currencies and banks. It also notes that payouts are net of refunds, chargebacks and transaction costs. Stripe describes rolling, weekly and monthly payout options and a dashboard showing expected deposit dates and payout history; like-for-like settlement is limited to select regions.
Cut-off times, weekends and bank holidays
Ask for the daily cut-off by currency, region and payout priority. A payment or payout instruction submitted after the relevant cut-off can be processed on the next business day. Weekends and bank holidays can therefore add a calendar day or more even when the stated delay is short.

Adyen’s payout-service documentation says priority affects speed and that higher priority can incur higher fees. It gives cut-offs by region, currency and priority rather than promising one universal arrival time. Square’s US payment terms explain that a custom close-of-day changes the 24-hour period grouped for payout, so the configured business-day boundary matters.
Bank posting is outside the gateway
Request an expected-date example that includes the receiving bank. “Payout initiated” means the provider sent the transfer; it does not prove that your bank has posted cleared funds. Confirm supported payout rails, account-name matching, local holidays and whether your bank accepts the payout currency.
A step-by-step comparison workflow
- Set the scope. Choose one merchant country, payout-bank country, sales channel and analysis month. Write the required arrival date and currencies at the top of the worksheet.
- Build the transaction file. Enter count, value, average ticket, card origin, payment method, currency, refunds and disputes. Use your own representative month instead of a provider’s sample basket.
- Collect the complete schedules. Save the standard processing rate, fixed fee, method-specific charges, international and conversion fees, refund policy, dispute fees, payout fees and account charges.
- Normalize the pricing. Convert recurring charges and one-time fees into a clearly labeled monthly assumption. Do not blend quoted amounts with guesses.
- Calculate each transaction type. Apply the correct rate and fixed charge to domestic cards, foreign cards, wallets and other methods. Sum the rows to obtain total monthly cost and effective percentage.
- Model payout timing. Record the event starting the clock, batch frequency, cut-off, delay, weekend and holiday rule, eligible currencies, minimums and bank-arrival window.
- Price the speed requirement. Add the cost of instant or priority payouts only to the volume that would use them. Compare that cost with the consequence of waiting for standard funds.
- Run sensitivity cases. Recalculate with a smaller ticket, a higher foreign-card share, a refund-heavy month and a holiday week. A provider that wins one case may lose another.
- Confirm account-specific terms. Ask sales or support to confirm the exact country, methods, currencies, payout bank and eligibility in writing before signing.
- Document the decision. Keep the dated fee sheets, assumptions, quote, payout calendar and a copy of the acceptance terms so a future price change can be identified.
Use a decision matrix instead of a single winner
| Criterion | What good evidence looks like | Why it matters |
|---|---|---|
| Effective cost | A monthly calculation using your own transaction mix, with pass-through components shown. | Prevents a low headline rate from hiding fixed, method or conversion charges. |
| Payout predictability | Documented batch rule, cut-off, holiday treatment and bank-arrival range. | Supports payroll, inventory and cash-reserve planning. |
| Coverage | Every required card origin, wallet, alternative method and settlement currency is supported. | A cheap method is irrelevant if customers cannot use it. |
| Speed options | Standard and expedited payout eligibility, limits and fees are explicit. | Lets you buy speed selectively instead of paying for it on every sale. |
| Refund and dispute handling | Fee-retention, chargeback and reserve rules are written and operationally clear. | Protects margins during returns or fraud spikes. |
| Integration fit | Required checkout, recurring, invoice, reporting and reconciliation features are available in your region. | Lower processing cost can be outweighed by engineering and support work. |
Questions to ask before accepting an offer
- Which country and legal entity determine my rates?
- How are domestic, foreign, commercial and premium cards classified?
- Which fees are included in the quoted rate, and which interchange, network or provider charges are passed through?
- Is the fixed fee charged on every attempt, only successful payments, or also refunds and reversals?
- What happens to fees after a full or partial refund?
- What are the dispute, chargeback, reserve and delayed-funds rules?
- Which currencies can customers pay in, which currencies can I hold, and which currencies can be paid out?
- Where is conversion performed, and what markup or rate source is used?
- What starts the payout clock, and what are the cut-offs for my currency and time zone?
- How do weekends and bank holidays affect the expected bank-arrival date?
- Are instant or priority payouts available to this account, at what fee, with what limits?
- Are there setup, monthly, minimum-volume, contract or termination charges?
- Can the quoted terms change automatically, and how much notice will I receive?
Common comparison mistakes and fixes
Comparing different countries
A US card rate, a UK online-card rate and a global marketing headline are not interchangeable. Put the merchant country and the schedule date in every spreadsheet row.
Using one average rate for mixed methods
Separate cards, wallets, bank methods and manually keyed payments. Method-specific fees can dominate the result when one channel grows.
Calling payout initiation “settlement”
Label each date as authorization, payable, initiated or bank-available. Ask for a calendar example around a weekend and a bank holiday.

One-click scans. No signup required.
Ignoring small-ticket economics
Recalculate at the lowest realistic order value. Fixed fees can turn a seemingly attractive percentage into an expensive effective rate.

Assuming instant access is free
Model standard and expedited payouts separately. Use the faster service only for the amount needed to meet a cash-flow deadline.
Treating a published page as a guarantee
Pricing and payout availability can change, and eligibility can be account-specific. Obtain current terms for your legal entity and preserve the date of the quote.
Choose based on your actual constraint
If margin is the constraint
Prioritize the effective monthly cost after card mix, fixed charges, refunds and conversion. A processor with a slightly higher percentage may still win if it avoids costly currency conversion or method surcharges.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
If cash flow is the constraint
Prioritize predictable payout initiation and bank arrival, then compare the cost of priority access for only the transactions that need it. Keep a reserve for weekends, holidays and risk holds.
If international growth is the constraint
Verify card-origin coverage, local payment methods, settlement currencies and conversion mechanics before comparing domestic card rates. Calculate each destination market separately.
If implementation time is the constraint
Confirm that checkout, recurring billing, invoices, reconciliation exports and webhooks are available in your market. Include engineering, support and migration effort in the total cost of ownership.
Final checklist
- Same merchant country, payout bank and analysis period for every provider.
- Same transaction count, average ticket, channels, methods, card origins and currencies.
- Percentage, fixed, cross-border, conversion, refund, dispute, account and payout charges itemized.
- Interchange and network pass-through components identified.
- Authorization, payable batch, payout initiation and bank availability treated as separate events.
- Frequency, cut-off, time zone, weekend, holiday, currency and minimum rules recorded.
- Standard and instant-payout costs modeled separately.
- Current, account-specific terms confirmed before signing.
There is no universal cheapest or fastest gateway from headline prices alone. The defensible choice is the provider whose fully itemized cost and documented payout behavior fit your merchant profile and cash-flow deadline. Recheck official terms immediately before signup; the cited Square UK schedule was updated 2 February 2026, the cited PayPal US merchant page was last updated October 1, 2026, and pricing and payout rules can change after those dates.
