Word collaboration works best when everyone opens the same .docx file from OneDrive or SharePoint Online. That gives collaborators one shared document, rather than a collection of email attachments, and enables AutoSave, comments, co-authoring, and Version History in supported Microsoft 365 setups.
The instructions below apply to Word for Microsoft 365 and Word 2016, 2019, 2021, and 2024 on Windows.
What you need before sharing a Word document
For Microsoft’s supported live co-authoring experience, the document must be stored in one of these locations:

- OneDrive for work or school
- SharePoint Online, usually for team or organization files
A file saved only in C:UsersYourNameDocuments, on a conventional network share, or on an unsupported server does not provide Word’s normal cloud co-authoring features.

Use the modern Word Document (*.docx) format. The older .doc format must be converted before it can be co-authored in Word for the web.
Save a Word document to OneDrive or SharePoint
- Open the document in Word for Windows.
- Select File > Save As or File > Save a Copy.
- Select OneDrive. You may see OneDrive – Personal, your organization’s OneDrive, or a SharePoint location.
- Open the folder where the document should be stored.
- Enter a file name and confirm that the file type is Word Document (*.docx).
- Select Save.
Once the file is stored in OneDrive or SharePoint Online, Word can use AutoSave and maintain Version History when those features are supported by your account and organization. In Microsoft 365, AutoSave is normally enabled by default for files in these locations.
Check the AutoSave switch in the upper-left corner of Word. If it is off, turn it on before collaborating. AutoSave cannot work correctly while Word cannot connect to the cloud service.
Share the document from Word
- With the document open, select Share near the upper-right corner of the ribbon. You can also select File > Share.
- If the document is still local, Word asks you to upload it to OneDrive. Follow the prompt and choose the appropriate account and folder.
- Enter the recipient’s name or email address, or select people from the suggested list.
- Choose whether recipients can edit or only view the document, if Word presents that option.
- Add a message if useful.
- Select Send.
The recipient receives a link to the cloud file, not an independent synchronized attachment. Everyone with access works against the same stored document. They can open the link in Word for the web or, where supported, in the Word desktop app.
Choose what recipients are allowed to do
For more control than the basic Share dialog provides, configure the link in OneDrive:
- Open OneDrive and locate the document.
- Select the file, then select Share.
- Select the Settings gear in the sharing dialog.
- Under who can use the link, select an option such as Anyone, People in <Your Organization> with the link, People with existing access, or Specific people.
- Under Other settings, select the permissions available to your account.
- Select Apply, then select Copy or enter recipients and select Send.

- Review mode does not override existing access. Someone who already has edit permission may still be able to open the document in Editing mode.
- View-only does not necessarily prevent copying. A recipient may be able to download a copy and edit that copy, even though the original remains unchanged. Use Block download where it is available and appropriate.
An Anyone link can be forwarded to another person and used by whoever receives it. Many organizations disable this option through Microsoft 365 administrator policy. For confidential documents, use Specific people instead.

After sharing the file with edit permission, collaborators can open and edit it at the same time. Word can display who else is working in the document and use colored indicators to show where other people are active.
Word for the web generally gives the clearest real-time presence and change indicators. Supported desktop versions of Word can also co-author, although older or non-subscription editions may show fewer live indicators. In those versions, users may need to save periodically for changes to be exchanged.
There is no separate “start co-authoring” command in Word for the web. Open the shared document and edit it normally. The document’s cloud location and permissions determine whether collaboration is available.
Use Viewing, Reviewing, and Editing modes
In supported Word versions, the current document mode appears near Share in the upper-right area of the ribbon. Select the mode button to switch between the following options:

- Select the current mode button near Share.
- Select Viewing, Reviewing, or Editing.
If Editing is unavailable, your account probably has view or review permission rather than edit permission. The document owner must change the sharing permission.

Add comments and mention collaborators
Add a comment
- Select the text that needs discussion, or place the cursor where the comment belongs.
- Select Review > New Comment.
- Type the comment.
- Select Post comment, or press Ctrl + Enter.
You can also right-click selected text and select New comment, press Ctrl + Alt + M, or select New in the Comments pane.
To manage a comment, select its pencil icon to edit it. Select More thread actions (…) to delete the comment, copy a link to it, or resolve the thread. Use Reply to continue the discussion without creating a separate comment.
Modern comments support text, limited formatting, and images in Microsoft 365 Word, but they are not a full Word editing surface. You cannot use every font and paragraph setting there, and tables, equations, shapes, and fields are not supported in the modern comment box.
Mention someone in a comment
With a work or school Microsoft 365 account:
- Add a comment through Review > New Comment.
- Type
@followed by the person’s first or last name. - Select the person from the suggestions.
- Post the comment.
Word may prompt you to grant the person access if they cannot already open the document. An @mention can send an email notification containing a link to the comment. In supported enterprise versions, you may also see Assign to, which turns the mention into a task.
Track changes for a formal review
Co-authoring and Track Changes solve different problems. Co-authoring lets several people work in one cloud file at the same time. Track Changes records insertions, deletions, and formatting changes so an editor can approve or reject them later.
- Open the Review tab.
- Select Track Changes.
- Choose For Everyone to track changes from all authors, or Just Mine to track only your own edits.
To change how revisions appear, select the markup menu, commonly shown as All Markup, on the Review tab. Choose:

For additional display controls, use Review > Show Markup. You can show or hide balloons, insertions and deletions, formatting, or revisions from specific people.

Accept or reject revisions
- Select Review > Changes > Next to move through revisions.
- Select Accept or Reject for each change.
To process all revisions at once, use one of these commands:
- Review > Changes > Accept > Accept All Changes
- Review > Changes > Accept > Accept All Changes and Stop Tracking
- Review > Changes > Reject > Reject All Changes
- Review > Changes > Reject > Reject All Changes and Stop Tracking
Turning off Track Changes does not remove revisions that are already in the document. Those changes remain until you accept or reject them.
A reviewer in Reviewing mode may not be able to turn off tracking. The document owner must share the file again with review mode disabled, or the reviewer must save a separate copy.
Restore an earlier version
OneDrive and SharePoint Version History can recover an earlier cloud version if someone makes unwanted edits.
- In Word, select the document’s file name at the top of the window.
- Select Version History.
- Select an earlier version.
- Review its contents.
- Select Restore to replace the current version with it.
Version History is for supported cloud-stored Microsoft 365 files. It is useful for recovering collaboration mistakes, but it should not be treated as a complete replacement for independent local backups.

Fix common Word collaboration problems

Practical collaboration habits
- Use a descriptive file name and keep the working document in one shared cloud location.
- Use comments for questions and decisions; use Track Changes when an editor must approve wording.
- Give external recipients access to specific people rather than using an unrestricted Anyone link.
- Resolve upload warnings before closing Word. A change that exists only locally may not be present in the shared file.
- Use Version History before attempting a large cleanup or accepting a large batch of revisions.
- Remember that some table features may not be available in Word for the web or mobile apps. Open the file in desktop Word when a layout or table operation is unavailable.

Can I collaborate on a Word document saved on my computer?
Not with Word’s supported live co-authoring experience. Save the document as a .docx file in OneDrive or SharePoint Online, then share that cloud file.
Do collaborators need Word for the web?
No. Supported desktop versions of Word can co-author cloud documents. Word for the web generally provides the clearest real-time presence and change indicators, however.
What is the difference between co-authoring and Track Changes?
Co-authoring lets multiple people work in the same cloud document. Track Changes records edits so someone can review, accept, or reject them later. They are separate features and can be used together.

No. Turning tracking off stops Word from marking new edits. Existing revisions must still be accepted or rejected.
Can a view-only recipient edit a copy?
A view-only permission protects the original document, but it may not prevent the recipient from downloading a copy and editing that separate copy. Block download, where available, provides an additional restriction.
Why can someone with review permission still edit my document?
Review-only sharing does not override permissions the person already has. If that person previously received edit access, they may still be able to switch to Editing mode.
What happens if I move a shared OneDrive file?
Existing sharing links can stop working after a file or folder is moved. Create and distribute a new sharing link from the file’s new location.

For reliable Word collaboration, save a .docx file to OneDrive or SharePoint Online, share the link with the least access recipients need, and use the appropriate mode: Editing for direct work, Reviewing for suggested revisions, and Viewing for read-only access. Comments, @mentions, Track Changes, and Version History then provide the tools needed to coordinate and recover work without passing separate attachments around.
