Word on Windows 11 supports two different kinds of collaboration:

  • Co-authoring: several people edit the same cloud-stored document.
  • Reviewing: people comment on a document or suggest changes for someone else to accept or reject.

For live collaboration, the document must be saved as a .docx file in OneDrive or SharePoint Online. A file saved only in C:UsersYourNameDocuments, on a traditional network drive, or as a legacy .doc file will not provide Word’s normal supported co-authoring experience.

Before you share a Word document

Check these requirements first:

Requirement Why it matters
OneDrive or SharePoint Online Stores one shared copy that collaborators can access and update.
.docx format Word for the web supports co-authoring in this format. The older .doc format must be converted.
Supported Word version The instructions apply to Word for Microsoft 365 and Word 2016, 2019, 2021, and 2024, although features vary by version.
Internet connection Word must synchronize edits with OneDrive or SharePoint.

Some advanced table features and document elements may work differently in Word for the web or mobile apps. For the most predictable results, use the desktop version of Word for Windows 11 when the document contains complex layouts, fields, or embedded objects.

Save a document to OneDrive or SharePoint

If the file is currently stored on your computer, move it to a supported cloud location before sharing it.

  1. Open the document in Word.
  2. Select File > Save As. In some versions, use File > Save a Copy.
  3. Select OneDrive.
  4. Choose OneDrive – Personal for a personal Microsoft account, or select your organization’s OneDrive or a SharePoint site for work or school files.
  5. Open the destination folder and enter a file name.
  6. Make sure the file type is Word Document (*.docx).
  7. Select Save.

When supported by your Microsoft 365 setup, saving to OneDrive or SharePoint enables AutoSave and Version History. AutoSave is normally enabled for files stored in OneDrive, OneDrive for Business, or SharePoint Online. Check the AutoSave switch at the upper-left of the Word window before making substantial edits.

Convert a legacy .doc file

Word for the web does not co-author a legacy .doc file. Open it in Word for Windows 11 and select File > Info > Convert, if that option is shown, or use File > Save As and choose Word Document (*.docx). Share the converted .docx file rather than the original.

Share the document from Word

  1. With the cloud-stored document open, select Share near the upper-right corner.
  2. You can also select File > Share.
  3. If the file is still local, Word asks you to upload it to OneDrive. Choose a destination and continue.
  4. Enter the recipient’s name or email address, or select people from the suggested list.
  5. Choose the permission offered by the sharing dialog. Use Can edit for co-authors, Can view for readers, or Can review when available for comments and suggested revisions.
  6. Add a message if needed.
  7. Select Send.

The recipient receives a link to the cloud file, not an independent synchronized copy. Everyone with permission works against the same stored document.

Control sharing permissions

For more control than the quick Share dialog provides, configure the link in OneDrive:

  1. Open OneDrive and locate the document.
  2. Select the file, then select Share.
  3. Select the Settings gear in the sharing dialog.
  4. Choose who can use the link: Anyone, People in your organization with the link, People with existing access, or Specific people, depending on what your account allows.
  5. Under Other settings, choose the available options, such as Allow editing, Block download, Set expiration date, Set password, or Open in review mode only.
  6. Select Apply, then copy the link or enter recipients and select Send.
Permission What it allows Important limitation
Can edit Direct editing, comments, and normal saving. Use only for people who should change the original.
Can view Reading the original file. View-only access does not necessarily stop someone downloading and editing a separate copy.
Can review Comments and suggested revisions without direct editing. Availability depends on the account and sharing interface.
Anyone with the link Access for whoever receives the link. The link can be forwarded. An administrator may disable this option.
Specific people Access limited to named recipients. Usually the safest choice for confidential documents.

Permission edge case: “Open in review mode only” does not remove permissions someone already has. A person who already has edit access may still be able to switch to Editing mode.

Co-author a document in Word

After the file is shared, each collaborator opens the link and signs in with the account that has access. In Word for the web, there is no separate co-authoring command: open the document and edit it normally.

In the desktop app, Word may show the names or initials of other people working in the file. Colored indicators can show where another collaborator is editing. Word for the web generally displays presence and real-time changes most clearly.

Desktop Word versions that do not offer the newest collaboration indicators may still synchronize simultaneous edits, but collaborators might need to save periodically before everyone sees the latest changes.

Switch between Viewing, Reviewing, and Editing modes

In supported Word versions, the current document mode appears near Share in the upper-right area of the ribbon.

  • Viewing: read-only access.
  • Reviewing: add comments and suggested revisions. Word automatically uses Track Changes > Just Mine in this mode.
  • Editing: make direct changes and save them, provided your account has edit permission.

To change modes, select the current mode button and choose Viewing, Reviewing, or Editing. If Editing is not listed, your sharing permission or the document’s policy does not allow direct editing.

Add comments and mention collaborators

Add a comment

  1. Select the relevant text, or place the cursor where the comment belongs.
  2. Select Review > New Comment.
  3. Type the comment.
  4. Select Post comment or press Ctrl+Enter.

You can also right-click selected text and choose New comment, or press Ctrl+Alt+M. Reply to an existing thread to keep the discussion attached to the same passage.

To manage a comment, select the pencil icon to edit it or open More thread actions (…) to resolve, delete, or copy a link to the thread. Modern comments support text, limited formatting, and images, but they do not support every Word object. Tables, equations, shapes, fields, and some paragraph and font formatting are not available inside the modern comment box.

Notify a person with an @mention

With a work or school Microsoft 365 account:

  1. Start a comment using Review > New Comment.
  2. Type @ followed by the person’s first or last name.
  3. Select the person from the suggestions.
  4. Post the comment.

Word may notify the person by email and include a link to the comment. If that person does not already have permission to open the document, Word may ask whether to grant access. Some enterprise versions also show an Assign to option for turning a comment into a task.

Use Track Changes for formal review

Co-authoring and Track Changes solve different problems. Co-authoring lets people work in one file at the same time; Track Changes records edits so an owner can review them later.

Turn on tracking

  1. Select Review > Track Changes.
  2. Choose For Everyone to track changes made by all authors, or Just Mine to track only your edits.

To control the display, select the markup menu—often labeled All Markup—on the Review tab. Choose Simple Markup, All Markup, No Markup, or Original.

For more precise filtering, use Review > Show Markup and choose whether to show balloons, insertions and deletions, formatting, or changes from specific people.

Accept or reject revisions

  1. Select Review > Changes > Next.
  2. Choose Accept or Reject.
  3. Continue through the document.

To process everything at once, use Review > Changes > Accept > Accept All Changes or the corresponding Reject All Changes command. Word also provides options to accept or reject all changes and stop tracking.

Turning off Track Changes only stops Word from marking new edits. It does not remove revisions already in the document; those must still be accepted or rejected.

A reviewer restricted to Reviewing mode may not be able to turn off tracking. The document owner must share the file with review mode disabled, or the reviewer must save a separate copy for untracked editing.

Restore an earlier version

Use Version History if someone makes unwanted edits to a file stored in OneDrive or SharePoint:

  1. Select the document’s file name at the top of the Word window.
  2. Select Version History.
  3. Choose an earlier version.
  4. Inspect it in Word.
  5. Select Restore if you want it to replace the current version.

Version History is useful for cloud documents, but it should not be treated as a complete local backup strategy. For important documents, retain a separate backup according to your organization’s policy.

Fix common Word collaboration problems

Message or symptom Likely cause What to do
Co-authoring is unavailable The file is local, uses .doc, is marked as final, or contains an unsupported feature such as an ActiveX control or OLE object. Save a clean .docx copy to OneDrive or SharePoint. Check whether the document is encrypted, checked out, password-protected, or restricted by an administrator.
Upload Pending Word cannot currently reach or save to the server. Check the internet connection. Leave Word open with AutoSave enabled so it can retry.
Refresh Recommended A newer server version exists and Word could not refresh your local session automatically. Select Refresh, then continue editing the current cloud version.
Upload Failed: Save as / Discard Word could not merge your local edits with changes already on the server. Select Save a Copy, reopen the live document, and manually add any missing edits.
Upload Failed: Resolve Conflict Conflicting edits need a decision. Select Resolve, open the Conflicts tab, use Next, and accept or reject each conflict. AutoSave remains off until resolution.
Changes appear under “Microsoft Word” Word recovered conflicting edits as tracked revisions. Select Review Changes, then accept or reject the recovered revisions.

Other blockers include very large documents, master documents with subdocuments, HTML framesets, unsupported Information Rights Management or sensitivity-label settings, and organization policies such as disabled co-authoring or automerge.

FAQ

Can I collaborate in Word without OneDrive?

For Word’s supported live co-authoring experience, use OneDrive or SharePoint Online. A normal local folder or traditional network share does not provide the same cloud co-authoring and synchronization features.

Can two people edit a Word document at the same time?

Yes. Save the document as a .docx file in OneDrive or SharePoint Online, share it with edit permission, and have both people open the shared link. Word displays collaborators and synchronized changes in supported versions.

What is the difference between co-authoring and Track Changes?

Co-authoring controls simultaneous work on one shared cloud file. Track Changes records insertions, deletions, and formatting changes for later acceptance or rejection. Track Changes is not required for co-authoring.

Does view-only sharing prevent someone from editing a copy?

It protects the original document from direct edits, but it may not prevent downloading the file and editing a separate copy. Use download blocking where your Microsoft 365 sharing settings support it.

Why can’t I select Editing mode in Word?

Your link may grant view or review access instead of edit access, or an organization policy may restrict editing. An existing review-only link also does not remove edit permissions that a person already has.

What should I do if Word says Upload Pending?

Check your connection and leave Word open with AutoSave enabled. Word can retry the upload. Avoid closing the application until the file shows that the latest changes have synchronized.

Can I recover a previous version of a shared document?

Yes, for supported OneDrive and SharePoint files. Select the file name at the top of Word, choose Version History, open an earlier version, and select Restore if it should replace the current version.

The Bottom Line

For reliable collaboration in Word on Windows 11, save a .docx document to OneDrive or SharePoint Online, share the link with the narrowest permission that fits the task, and use Word’s comments or Reviewing mode for feedback. Use Track Changes when revisions need formal approval, and Version History when you need to undo a damaging edit.
