The right self-hosted replacement is not the app with the longest feature list. It is the combination of software and operating practices that preserves your important workflows, data, integrations and access controls without creating an unmanageable maintenance job. Choose by the work people do, then prove migration, security, recovery and support in a small pilot before moving everyone.
Self-hosting changes who is responsible when storage fills, a certificate expires, an update breaks an integration or a user needs an account restored. Treat the decision as an operating-model change as well as a software purchase, and a staged or hybrid arrangement may be the safest result.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minuteWhat self-hosting changes
With a conventional SaaS service, the provider normally operates the application, database, storage, network edge, upgrades and much of the recovery process. With a self-hosted deployment, your organization (or a provider you hire to run infrastructure for you) controls those layers. You may gain more control over data location, upgrades and customization, but you also inherit the work and the consequences of getting it wrong.
The exact burden depends on the application and architecture. Mattermost’s deployment guidance, for example, calls out a database, file storage, a reverse proxy and TLS as preparation items. Its security guidance discusses identity controls such as single sign-on options, VPN use, monitoring and encrypted backups. Those are planning requirements, not a universal checklist for every product, so confirm the project-specific documentation for each candidate.

- Entry-level NAS Personal Storage:UGREEN NAS DH2300 is your first and best NAS made easy. It is designed for beginners who want a simple, private way to store videos, photos and personal files, which is intuitive for users moving from cloud storage or external drives and move away from scattered date across devices. This entry-level NAS 2-bay perfect for personal entertainment, photo storage, and easy data backup (doesn't support Docker or virtual machines).
- Set Your Devices Free, Expand Your Digital World: This unified storage hub supports massive capacity up to 64TB.*Storage drives not included. Stop Deleting, Start Storing. You can store 22 million 3MB images, or 2 million 30MB songs, or 43K 1.5GB movies or 67 million 1MB documents! UGREEN NAS is a better way to free up storage across all your devices such as phones, computers, tablets and also does automatic backups across devices regardless of the operating system—Window, iOS, Android or macOS.
- The Smarter Long-term Way to Store: Unlike cloud storage with recurring monthly fees, a UGREEN NAS enclosure requires only a one-time purchase for long-term use. For example, you only need to pay $459.98 for a NAS, while for cloud storage, you need to pay $719.88 per year, $2,159.64 for 3 years, $3,599.40 for 5 years. You will save $6,738.82 over 10 years with UGREEN NAS! *NAS cost based on DH2300 + 12TB HDD; cloud cost based on 12TB plan (e.g. $59.99/month).
- Blazing Speed, Minimal Power: Equipped with a high-performance processor, 1GbE port, and 4GB RAM on Board, this NAS handles multiple tasks with ease. File transfers reach up to 125MB/s—a 1GB file takes only 8 seconds. Don't let slow clouds hold you back; they often need over 100 seconds for the same task. The difference is clear.
- Let AI Better Organize Your Memories: UGREEN NAS uses AI to tag faces, locations, texts, and objects—so you can effortlessly find any photo by searching for who or what's in it in seconds. It also automatically finds and deletes similar or duplicate photo, backs up live photos and allows you to share them with your friends or family with just one tap. Everything stays effortlessly organized, powered by intelligent tagging and recognition.
Self-hosting is therefore not automatically cheaper, safer or more private than SaaS. It can improve control when you can operate it reliably; it can increase risk when patching, access management or recovery are treated as afterthoughts.
1. Inventory the work before looking at products
Start with the current workflow, not a list of familiar brand names. Document what each group does, what records it creates and what must continue working on the day after migration.
Record the users and jobs
- List user groups, external collaborators, service accounts and administrators.
- Describe the jobs in plain language: for example, “assign recurring engineering tasks,” “share controlled project folders,” or “search a customer-support conversation.”
- Capture the critical views, approvals, notifications, reports, automations and mobile or desktop clients people actually use.
- Mark seasonal peaks, uptime expectations and any workflow that cannot tolerate a long outage.
Map the data and rules
- Identify records, attachments, comments, revisions, metadata, custom fields and audit history.
- Write down retention, deletion, legal-hold and export requirements.
- Document role and permission structures, guest access and group membership sources.
- Note authentication dependencies, such as an existing identity provider, directory or multi-factor policy.
Classify requirements
Put each requirement in one of three groups:
- Must-have: losing it would block a business process, violate a policy or create unacceptable risk.
- Desirable: useful, but a temporary workaround is acceptable.
- Replaceable: a feature users like that can be removed or redesigned if the core outcome remains intact.
Ask users about the “small” features they rely on without naming them as requirements. Saved searches, calendar sync, webhook triggers and export formats often surface only when someone tries to migrate.
2. Shortlist by job category, then verify the boundaries
Open-source licensing or a self-hosted installer does not make two products interchangeable. A task manager, collaboration platform and team chat have different data models and operating needs.
| Work category | Example project capabilities | Questions to verify |
|---|---|---|
| Files and collaboration | Nextcloud describes migration from Microsoft 365, Google Workspace and other platforms, private-cloud deployment on owned infrastructure or through a trusted provider, and hybrid operation. Its external-storage module lists Windows shares using SMB/CIFS, SharePoint, FTP/SFTP, WebDAV, S3 object storage and other Nextcloud instances. | Which file metadata, sharing links, versions, comments, calendars and accounts move? Are external-storage connectors supported in the exact version and edition you will run? |
| Team chat | Mattermost documents Kubernetes, Linux and Docker Compose deployment approaches. Its documentation says Docker Compose is intended for evaluation, testing and development, while production guidance and plan requirements differ by deployment method. | How will search, files, channels, guests, integrations, retention and identity be operated in production? Which deployment path is supported for your scale? |
| Tasks and projects | Vikunja lists list, Kanban, Gantt and table views, and advertises imports from Todoist, Trello, Microsoft To-Do and other platforms. It can be installed with Docker or native binaries. | Do the imports include the fields, comments, dates, recurring rules, attachments and user assignments your team uses? Which views and automations are available in the release you plan to deploy? |
These descriptions come from the projects’ own product and migration documentation. Treat them as capability statements to validate in your environment, not as an independent head-to-head ranking.
3. Test migration, not just installation
A migration is more than copying files. It includes identities, permissions, attachments, integrations, custom data, retention rules and authentication. A product can import the visible records while leaving the surrounding workflow unusable.

Build a migration inventory
- Export a representative sample from the current service, including ordinary records, large attachments, special characters, archived items and the most complex permissions.
- List every integration: email delivery, calendars, identity providers, webhooks, bots, automation jobs, storage connectors and reporting tools.
- Record custom fields, labels, workflows, templates, retention settings and audit requirements separately from the main content.
- Define acceptance tests for users, permissions, search, notifications, links, exports and recovery.
Understand what an export omits
Mattermost documents mmctl export and import procedures but states that its documented exports omit integrations, custom data and some security settings. Plan those items as separate rebuild work; do not assume a successful import recreated them.
Vikunja advertises built-in imports from Todoist, Trello, Microsoft To-Do and other platforms. Confirm the current importer behavior with sample data, because an advertised source list does not establish that every field or attachment is preserved.
Validate before retiring the source
- Import the sample into an isolated destination.
- Compare record counts, attachment counts, owners, permissions, dates, links and search results.
- Reconnect integrations and test both successful events and failure notifications.
- Have representative users complete real tasks for several days.
- Document defects, decide whether to fix or accept each one, and keep the source service available until acceptance criteria are met.
Mattermost specifically recommends retaining the source until the destination has been used and verified, and calls for several days of validation in a cloud-to-self-hosted migration. The same discipline is prudent for other products.
4. Make identity and integration a first-class comparison
Users experience a replacement through sign-in, notifications and connected systems as much as through the application interface. Compare these capabilities before choosing a finalist:

- Authorization: group-to-role mapping, project or folder permissions, guest boundaries and administrator separation.
- Provisioning: automatic joiner, mover and leaver handling; deactivation should remove access without deleting required records.
- Integrations: documented APIs, webhooks, import/export formats, rate limits and failure handling.
- Client support: browser, mobile, desktop, command-line and accessibility requirements for your users.
Test a suspended account, a permission change and a failed integration during the pilot. A feature that works only when an administrator manually repairs it is an operating cost, even if the application lists it as supported.
5. Design the deployment and recovery model
Assign an operator before you select the software. That person or team owns routine patching, monitoring, storage growth, incident response and recovery testing. A self-hosted app without a named operator is an unowned production service.

Plan the production components
- Application and database: choose supported versions, sizing, upgrade paths and a separate test environment where possible.
- File storage: estimate attachment growth, temporary files, previews and version history; decide how expansion and encryption will work.
- Network edge: configure a reverse proxy, DNS, certificates and secure administrative access. Mattermost lists a reverse proxy and TLS among its deployment preparation items.
- Observability: monitor availability, disk space, database health, certificate expiry, queues, failed jobs and authentication errors.
- Backups: protect database content, uploaded files, configuration, encryption keys and any external storage references.
Prove restoration
- Define a recovery point objective (how much data you can lose) and a recovery time objective (how long the service may be unavailable).
- Take an encrypted backup and store at least one copy separately from the production host.
- Restore into an isolated environment, not over the live instance.
- Verify logins, permissions, attachments, search, integrations and scheduled jobs after the restore.
- Record the elapsed time, missing steps and owner for each recovery task; repeat after major upgrades.
Backups that have never been restored are an assumption, not a recovery plan. A NAS or external storage system may fit the architecture, but neither is universally required; select storage based on the application’s supported design and your recovery objectives.
Apply security controls deliberately
Mattermost’s security guidance discusses SSO options, VPN use, monitoring and encrypted backups. Regardless of product, decide where each control lives: application, identity provider, network, host or storage layer. Minimize administrator access, patch supported components promptly, separate test and production credentials, and log access to sensitive data. Document who responds to a compromised account or exposed host.
6. Check license, edition and support before committing
“Self-hosted” describes where software runs, not what you may modify or redistribute. Verify the exact release and edition you will use:
- License name and obligations for modifications, distribution and derivative works.
- Features reserved for a commercial or enterprise edition.
- Whether hosted and self-hosted versions have different functionality or release timing.
- Security-update policy, supported versions and end-of-life dates.
- Available documentation, community help, paid support and response expectations.
Vikunja states that its self-hosted version is licensed under AGPLv3. Mattermost documents licensing conditions for derivative works and describes a commercial option for some internal modifications. Have legal and procurement owners review the terms that apply to your intended deployment; do not infer permissions from a download button or from the word “open source.”
7. Calculate total operating cost, not the download price
Include recurring infrastructure and people costs: compute, database and storage, bandwidth, certificates, monitoring, backup storage, patching time, incident response, recovery tests, migration labor, training and support. Also price the cost of downtime and the risk of losing an integration.
| Item | What to include | Questions |
|---|---|---|
| Infrastructure | Servers or hosted instances, database, file storage, network transfer and redundancy | How will capacity and availability change as data grows? |
| Operations labor | Patching, upgrades, monitoring, access administration and user support | Who performs the work during holidays or an incident? |
| Resilience | Backup storage, off-site copies, restore tests and recovery exercises | Can you meet the stated recovery objectives? |
| Implementation | Migration scripts, data cleanup, integration rebuilds, testing and training | Which work is one-time, and which becomes recurring? |
| Support and licensing | Commercial editions, subscriptions, consultants and legal review | What response time do critical incidents require? |
Vikunja’s 2026 comparison page shows 0 € per year for its self-hosted option for a 15-person team billed yearly. The same page lists 750 € per year for Vikunja Cloud (Org), approximately 1,440 € for Todoist Business and approximately 1,978 € for Asana Premium for a 15-person team billed yearly; it says the competitor figures are based on published pricing pages as of April 2026 and warns that actual costs may vary. Those are publisher-presented software-price comparisons, not total-cost-of-ownership results. Add your actual infrastructure and labor before drawing a savings conclusion.

8. Run a bounded pilot
Choose one representative team and one workflow with a clear boundary. Avoid starting with the most regulated or business-critical system unless you already have a tested operating capability.
- Set success criteria: specify required features, migration completeness, response time, availability, recovery results and user tasks that must pass.
- Prepare realistic data: include ordinary and difficult records, attachments, permissions and integration events.
- Operate it like production: use the intended identity controls, TLS, backups, monitoring and update process rather than a disposable demo setup.
- Measure effort: log setup time, weekly maintenance, failed jobs, support requests and time spent repairing workarounds.
- Collect task-level feedback: ask where users lost time or changed behavior, not only whether they “liked” the interface.
- Review the evidence: fix blockers, document accepted differences and decide whether to expand, redesign or stop.
Expand in stages only when both the product and the operating model meet the criteria. Keep the original service available for groups that are not ready.
9. Use a hybrid arrangement when it is the better fit
A complete replacement is not a requirement. Nextcloud explicitly describes moving part of your tools while keeping others in a hybrid setup. You might self-host files while retaining an existing identity service, move project tasks while keeping a specialized office platform, or run chat locally while another provider remains the system of record for documents.
Quick wins for a faster PC:
Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Repair Windows errors before they cause bigger problemsFix Now →Scan for outdated or missing drivers - takes under a minuteDriver Scan →Define the boundary precisely: which system owns each record, where users authenticate, how links cross systems, which retention policy applies and what happens when one service is unavailable. Hybrid designs can reduce migration scope, but they add integration and support boundaries that must be documented.
10. Score finalists on the risks that matter to you
Use a weighted scorecard only after identifying your must-have requirements. Do not give equal weight to features that have no business impact.
| Axis | Evidence to collect |
|---|---|
| Workflow coverage | Observed user tasks, required views, automation and accessibility tests |
| Portability | Import/export formats, omitted data, repeatable test results and rollback path |
| Integrations and identity | SSO, provisioning, permissions, APIs, webhooks and failure handling |
| Deployment and recovery | Supported architecture, patch process, monitoring, backup and restore test |
| Security responsibility | Control ownership, logging, encryption, network design and incident procedure |
| License and support | Edition boundaries, modification rights, update policy and response options |
| Total operating cost | Infrastructure, labor, migration, training, support and downtime exposure |
| Usability and adoption | Completion of representative tasks, support volume and accessibility feedback |
Record the evidence behind every score and the date and version tested. Vendor features, licenses, prices and hosted terms can change, so a score without a version is difficult to defend later.

Common failure modes and fixes
Choosing by “open source” label
Symptom: the product is licensed permissively but lacks a required workflow or integration. Fix: start with must-have tasks and pass/fail acceptance tests.
Assuming an export is a complete migration
Symptom: records arrive, but permissions, integrations or custom fields do not. Fix: inventory omitted data, rebuild dependencies explicitly and keep the source until verification is complete.
Running a development topology in production
Symptom: a quick Docker Compose installation has no durable backup, monitoring or upgrade plan. Fix: follow the project’s production deployment guidance; Mattermost identifies Docker Compose as an evaluation, testing and development approach rather than a general production recommendation.
Counting only subscription savings
Symptom: the application is free, but staff spend unplanned hours on outages and maintenance. Fix: include labor, recovery, support and downtime in the financial model.
Leaving operations unassigned
Symptom: certificates expire, patches wait and no one knows who can restore the service. Fix: name a primary and backup operator, publish escalation steps and rehearse recovery.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Moving everything at once
Symptom: one failed integration disrupts every team. Fix: pilot a bounded workflow, migrate incrementally and retain a hybrid option.
