Choose secure file-sharing software by testing six controls in the order they affect exposure: recipient authentication, least-privilege permissions, download and onward-sharing limits, expiration and revocation, spreadsheet-aware data-loss prevention (DLP), and audit visibility. Encryption in transit and at rest is essential, but it does not stop an authenticated recipient from copying data. The right service is the one your organization can configure, monitor, and use consistently for its actual users, devices, locations, and regulatory obligations.
What “secure” means when you share a spreadsheet
A spreadsheet can contain customer identifiers, payroll details, forecasts, bank information, pricing, or formulas that reveal more than the visible values. Security therefore has two parts: protecting the file while the service stores or transmits it, and controlling what an identified recipient can do after access is granted.
Encryption is the baseline, not the decision
Microsoft says SharePoint and OneDrive customer data is encrypted with AES 256-bit keys and that file chunks are encrypted during storage and transmission. Google Drive says uploaded files are encrypted in transit and at rest. These are vendor descriptions of their services, not proof that an authorized recipient cannot copy, photograph, export, or retain the spreadsheet. Encryption also should not be confused with end-to-end encryption, where the provider cannot access plaintext.
Read the provider’s current security and contractual documentation for your edition and region. A feature listed for a platform may require a particular subscription, administrator policy, storage location, or identity configuration.

Identity determines who can open the file
A link is not an identity. An “anyone with the link” URL can be forwarded to an unknown person and normally does not require sign-in. A named-recipient workflow ties access to an identity or to control of a verified email address. For sensitive spreadsheets, start with the narrowest identity requirement and relax it only when the business process demands it.
Permissions determine what an authorized user can do
Separate these permissions in your evaluation:
- View versus edit access.
- Access to one file versus a folder or shared drive.
- Download, print, copy, or synchronization rights.
- Ability to share onward with other people.
- Time limit and immediate revocation.
A platform that offers encryption but gives every link editor rights is not a suitable control for confidential workbooks.
Use the same comparison framework for every service
Score each candidate against the following questions. Record the answer for the exact plan, tenant configuration, and user population you will deploy; do not compare marketing pages for different editions.
| Control area | Questions to verify | Evidence to request |
|---|---|---|
| Recipient identity | Can you require named external recipients to authenticate? Can a recipient prove control of an email address without creating a provider account? | Working test with an external address, including a forwarded-link attempt. |
| Permission scope | Can access be limited to one person, one file, view-only use, and a short period? Can an administrator revoke it immediately? | Sharing dialog, administrator policy, and revocation test. |
| Download and onward sharing | Can download be disabled? Can recipients reshare, copy, print, or sync? What happens if a link is forwarded? | Recipient-side test on web and mobile clients. |
| Sensitive-data controls | Can policies detect identifiers or spreadsheet content and block, warn, or alert on external sharing? Which formats and storage locations are covered? | Current DLP reference and an evaluation using representative Excel, CSV, and TSV files. |
| Audit and response | Are link creation, access, permission changes, downloads, and blocked attempts logged? How long are events retained and who can investigate them? | Sample audit events, retention setting, export method, and alert workflow. |
| Governance fit | Can sharing be limited by organization, domain, user, device, location, or risk state? Does it integrate with your identity, retention, and compliance processes? | Policy documentation and a pilot with your identity provider and managed devices. |
| Operational burden | Who approves exceptions, reviews stale links, handles departing users, and supports external recipients? | Named owners, service-level expectations, and a documented review schedule. |
Plan prices and plan-by-plan entitlements are not established here. Obtain a current quote and written feature confirmation before procurement, because audit retention, DLP, device conditions, and external-sharing controls can vary by subscription.
How to evaluate a service before you adopt it
- Classify the spreadsheet. Label the data as public, internal, confidential, regulated, or otherwise appropriate to your policy. Identify columns that must never leave the organization and whether formulas or hidden sheets contain additional information.
- Define the recipient. List the individuals or partner domains that need access. Decide whether each person needs view, comment, or edit rights, and whether an external identity can authenticate.
- Set the maximum exposure. Choose a single file instead of a broad folder when practical. Set an expiration date, prohibit download where supported, and disable onward sharing unless it is required.
- Run an external-recipient test. Send a non-production copy to a personal address and a partner address. Test first-time sign-in, a forwarded link, mobile access, a wrong-recipient attempt, and access after revocation.
- Test DLP with realistic data. Use safe samples that contain the same kinds of identifiers and spreadsheet formats as production. Verify whether the service blocks, warns, quarantines, or merely logs the action.
- Inspect audit evidence. Confirm that administrators can identify who created the link, who opened the file, what permissions changed, and which attempts were blocked. Check event retention against your investigation needs.
- Pilot the daily workflow. Have the people who prepare and receive spreadsheets use the controls for several sharing cycles. If the secure path is too difficult, users may bypass governance with personal links or unsanctioned services.
- Document exceptions. Require an owner, business reason, expiry date, and review for any broader link or downloadable copy. Make the exception visible to administrators.
Microsoft OneDrive and SharePoint: controls to verify
Microsoft documents encryption for customer data in SharePoint and OneDrive, including AES 256-bit keys and encrypted transmission. Its safeguarding guidance recommends multifactor authentication, device-based Conditional Access, DLP, and activity auditing. These are documented capabilities and recommendations; they protect you only when the tenant is configured and the appropriate policies are enabled.

Choose the narrowest link type
Microsoft identifies three common link scopes:
| Link type | Identity requirement | Security implication |
|---|---|---|
| Anyone | No sign-in required | Convenient, but the URL can be forwarded. Microsoft cautions that this may be unsuitable for sensitive information. |
| People in the organization | Sign-in with an organizational account | Keeps access inside the tenant but does not identify an external partner. |
| Specific people | Named recipients authenticate | Microsoft describes this as the best choice when access must be limited to specified users. |
Use Specific people for confidential spreadsheets. Microsoft Support documents a flow that can verify an external recipient with a one-time passcode sent to that person’s email, even without a Microsoft account, depending on the recipient and tenant settings. Test that behavior with the actual partner address rather than assuming it is enabled.
Limit external sharing and make it reversible
Tenant and site administrators can restrict external sharing, limit it to approved domains, require external authentication, and configure expiration or read-only behavior for supported links. In the sharing experience, remove access when the project ends and use Block download where the option is available. A blocked download does not prevent every form of capture: a recipient who can view the workbook may still transcribe values, take screenshots, or use another camera or application.
Recommended Free Tools
Microsoft’s collaboration guidance warns: “A configuration that allows users to share content freely can lead to accidental sharing of confidential data.” The same guidance also notes that an excessively restrictive environment can push users toward alternatives outside governance. Tune policies to the data classification and provide an approved exception path rather than making every workflow impossible.
Use Purview DLP where it matches your data
Microsoft’s Purview DLP policy reference includes spreadsheet formats such as Excel, CSV, and TSV. Policies can identify sensitive content shared outside the organization and, depending on configuration, restrict access or alert administrators. Coverage and actions depend on the location, policy, and subscription. The reference describes a specific external-user or domain blocking sub-option as public preview; do not treat preview behavior as universally available or production-ready.
Confirm which licenses include the required DLP locations and actions, then test with representative files. A policy that scans email or endpoint activity may not protect a workbook stored in every SharePoint or OneDrive location.

Google Drive: what the available security statement proves—and what it does not
Google Drive Help states that uploaded files are encrypted in transit and at rest. It also says that files accessed offline are stored on the device, which creates a separate endpoint risk that your device-management policy must address.
That security overview alone does not establish comparable Google Workspace plan details for spreadsheet-aware DLP, external-access auditing, domain restrictions, or download controls. If Google Drive is a candidate, obtain current documentation for the exact Workspace edition and test named-recipient sharing, forwarding, revocation, audit events, and DLP behavior in your tenant. Do not infer feature parity from encryption statements.

Dropbox Protect: a governance layer, not a replacement for file sharing
Dropbox describes Protect as a data-access governance product for security and IT administrators. Its guide says it can provide a unified access view across Dropbox, Google Drive, and Microsoft 365, identify risk, make bulk permission changes, apply automated policies, issue alerts, and produce reports. The administrator guide covers reviewing external sharing and public links, adjusting permissions, and tracking changes.
Use this type of product when your problem is visibility and remediation across several storage systems. Verify which underlying services, identities, events, and actions are actually covered in your edition. The documentation does not establish that a governance layer replaces the file-sharing service, supplies identical controls in every connected system, or fits every organization.

A secure workflow for sending an Excel, CSV, or TSV file to an external partner
- Minimize the data. Remove unused columns, hidden sheets, comments, old versions, and identifiers the recipient does not need. Save a separate sharing copy so the internal master remains governed.
- Store it in the approved service. Do not attach the only copy to an email or place it in a personal account. Apply the organization’s classification label if your service supports one.
- Invite named recipients. Use a specific-people or equivalent named-recipient option. Enter each address individually and verify spelling through a second channel for high-risk transfers.
- Assign the least privilege. Give view access when editing is unnecessary. If editing is required, remove the permission after the agreed delivery window and keep the master protected.
- Set an end date. Use link expiration or a calendar reminder owned by a named person. A reminder is not a substitute for an actual expiration control, but it prevents temporary access from becoming permanent when no such control exists.
- Restrict copying where practical. Enable a documented download-blocking or read-only setting when it does not break the workflow. Tell recipients that viewing still permits manual capture.
- Apply DLP policy. Let the policy block or warn on sensitive identifiers and alert the security team. Record any approved exception with its owner and expiry.
- Send context separately. Do not put passwords, identity details, or sensitive explanations in the same message as the link. Use an approved second channel when your policy requires it.
- Verify access and logs. Confirm that the intended recipient opened the file and that the event appears in the audit trail. Investigate an unexpected identity, location, or download.
- Revoke and review. Remove access when the task ends, review inherited folder permissions, and delete obsolete copies according to retention rules.
Common failure modes and fixes
An “anyone” link was forwarded
Replace it with a named-recipient link, revoke the original URL, and inspect access logs for unknown viewers. If business partners cannot authenticate, use the provider’s documented email verification or one-time-passcode flow where available rather than falling back to an anonymous link.
The recipient cannot open the file
Check whether the invitation went to an alias, whether the recipient is using a different account, and whether external sharing is blocked at the tenant or site level. Resend to the verified address and avoid broadening the link until the identity problem is understood.
Download blocking breaks the business process
Decide whether the recipient truly needs a local copy. If so, issue a time-limited, watermarked or minimized export under an approved exception, log the decision, and revoke access when delivery is complete. Do not claim that a browser-only view prevents copying.
DLP does not detect the spreadsheet
Check the file format, storage location, policy scope, licensing, and detection rule. Excel, CSV, and TSV are named in Microsoft’s reference, but that does not mean every rule, location, or action applies to every tenant. Test with a safe sample and review the policy’s audit event.

Users create unsanctioned copies
Reduce friction in the approved workflow, give users a clear request path for external collaboration, and monitor public links and unusual sharing. Microsoft’s guidance recognizes that controls that are too open can expose confidential data while controls that are too restrictive can drive users outside governance.
Administration, audit, and ongoing review
Secure sharing is an operating process rather than a one-time setting. Assign ownership for policy, user support, incident response, and periodic access review.
- Access reviews: remove former employees, contractors, and partner contacts; review inherited folder and group permissions.
- Link reviews: find public or anonymous links, links without expiration, and links unused for a defined period.
- Event monitoring: alert on external sharing, bulk downloads, permission elevation, blocked DLP actions, and access from unexpected locations or devices.
- Device controls: require managed devices or Conditional Access for high-risk data where the service supports it, especially because offline files are stored locally.
- Retention and legal needs: verify how long audit events, deleted files, and versions remain available and whether that matches your obligations.
- Incident response: document how to revoke links, block a domain or user, preserve logs, notify stakeholders, and determine what data was exposed.
Run the external-recipient test again after major tenant, subscription, identity, or policy changes. Feature behavior can change when an administrator alters sharing defaults or when a provider moves a control between editions.
How to make the final choice
Select the service that satisfies your highest-risk use case without requiring users to circumvent it. For a Microsoft-centered organization, OneDrive or SharePoint may provide a coherent path when named-recipient links, Conditional Access, auditing, and Purview DLP are licensed and configured. Google Drive can meet a requirement for encrypted storage and transmission, but its encryption overview is not enough to establish equivalent DLP and audit controls; verify the Workspace edition directly. Dropbox Protect can add cross-service governance and remediation, but it should be assessed as an administrative layer connected to underlying storage systems.
Do not award a “most secure” title from feature lists. Compare a working configuration, not a product logo: the identity challenge a recipient faces, the permissions they receive, the data rules that trigger, the audit evidence an administrator can retrieve, and the speed of revocation when something changes. Match the result to your contracts, geography, retention obligations, and risk tolerance before moving production spreadsheets.
