For frequent shipping, barcode, or inventory labels, choose a dedicated label printer; for documents and occasional supported label sheets, choose an office printer. If your business does both jobs regularly, a two-printer setup is often the more practical fit. The right choice depends on label format, volume, media compatibility, and the documents your office needs—not on a single “best” printer for every task.
Do you need a separate shipping label printer?
If you print package labels regularly, a roll-fed label printer is designed for that workflow and avoids routing label jobs through ordinary document-paper handling. Brother lists its QL-1100c for adhesive paper labels up to 4 inches wide and up to 69 standard labels per minute, with USB connection to a PC or Mac. Those are manufacturer-published specifications, not independent test results, and the cited listing is from Brother Canada; verify the exact model suffix, compatible DK media, and local availability before buying. See Brother Canada’s QL-1100c listing.
A dedicated label printer does not replace an office printer for invoices, reports, or other documents. For a business with both frequent shipping labels and substantial document work, keeping a label printer beside a document printer can be more suitable than asking one machine to handle incompatible media and very different workloads.

Some office printers support particular adhesive label sheets, but compatibility is specific to the printer and media. Brother lists Avery Laser Label #5160 among the recommended paper brands for its HL-L6400DW monochrome laser printer. That makes it a possible option for occasional supported sheet labels alongside office documents; it is not a dedicated shipping-label printer. Check the printer’s current manual and the label manufacturer’s instructions for stock, tray, and feed guidance before loading sheets. See Brother’s HL-L6400DW specifications.

Brother positions the HL-L6400DW for demanding workgroups, so its capacity may be more than a light home office needs. Its published specifications include up to 52 pages per minute, a 520-sheet standard tray plus a 50-sheet multipurpose tray, and approximate yields of 12,000 pages for the included toner and 20,000 pages for optional ultra-high-yield toner. These are manufacturer figures; actual output and yield vary with use. They describe a workgroup document printer, not label performance.
Which printer fits each label workflow?
| Workflow | Example | What to check | Important limitation |
|---|---|---|---|
| Shipping and package labels | Brother QL-1100c | Label width, compatible DK rolls, USB and host setup, cutter, recurring roll cost | The cited listing is Canadian; confirm the exact local model and media. |
| Documents plus occasional sheet labels | Brother HL-L6400DW | Monochrome needs, document volume, duplexing, paper capacity, toner yield, supported label sheets | Brother positions it for demanding workgroups; it is not a roll-fed shipping label printer. |
| Durable narrow labels, QR codes, and barcodes | Brother PT-P900WC | Tape width, laminated media, connection options, software workflow, durability requirements | Its label format is not interchangeable with a 4-inch shipping-label printer. |
| On-demand color product labels | Epson ColorWorks CW-C6500P | Media finish, color needs, peel-and-present, software and workflow integration | The matte configuration’s ink is not recommended for gloss label stock. |
When is a tape or industrial label printer a better fit?
For durable identification labels, barcodes, and QR codes on narrower media, Brother’s PT-P900WC is a desktop industrial label printer rather than a package-label machine. Brother specifies laminated labels up to 36 mm wide and USB/Wi-Fi options; the page also lists a two-year limited warranty. Confirm current operating-system and software compatibility on Brother’s PT-P900WC product page before selecting it for a particular workstation or mobile workflow.

When does color product labeling justify a specialized printer?
For businesses that need on-demand color labels and a more integrated application workflow, Epson’s ColorWorks CW-C6500P is a specialized option. Epson lists peel-and-present and integration features, with speeds up to 5 inches per second and resolution up to 1200 dpi. These are published specifications, not comparative test results. The cited page warns that ink for the matte configuration is not recommended for gloss label stock, so match the printer configuration and media finish to the finished label. See Epson’s ColorWorks CW-C6500P page.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minuteHow to compare printers before buying
- Identify the label format. Decide whether your labels come on sheets, rolls, or tape. Confirm the printer supports the exact size and media type you intend to use.
- Estimate the recurring workload. Separate occasional label sheets from daily shipping or production runs. Compare the printer’s stated speed with your actual workflow, and do not treat a maximum speed as a measure of overall value.
- Match print technology to the result. Choose monochrome when labels and documents do not require color; consider specialized color output when product-label appearance is central. Check that the media finish is supported.
- Verify the workflow and connection. Confirm USB, Wi-Fi, computer or mobile compatibility, software, and any cutter or peel-and-present function your process needs.
- Calculate total operating cost. Consider the printer and compatible consumables together, including recurring rolls, tapes, or sheets. Current prices and comparable operating-cost rankings are not established here; check local availability and current media costs.
- Check the manufacturer’s media guidance. Use the exact supported stock and feed path. A printer that handles one label sheet or roll is not automatically compatible with another adhesive label.
Should you buy one printer or two?
Choose one office printer if documents are the main job and label sheets are occasional, provided the manufacturer supports the exact stock. Add a dedicated label printer when shipping or operational labels recur often enough that a roll- or tape-based workflow is useful. Businesses that need both high-volume document printing and frequent labels may benefit from separate machines; businesses producing color product labels may need a specialized printer and compatible application workflow.
