On Windows, set Word, Excel, and PowerPoint as the defaults for their file types in Settings > Apps > Default apps. Search for .docx, .xlsx, or .pptx, select the current app, and choose the installed app you want. Do this separately for each extension. If a file opens correctly from File Explorer but a link opens in a browser, change the separate Microsoft 365 link preference instead.
The key is to match the setting to the way you open the file: Windows file associations handle local files launched from File Explorer, while eligible links to OneDrive or SharePoint files may follow a Microsoft 365 preference. The steps below help you identify which situation you have, set the right default, and avoid changing a file’s name or format by mistake.
First identify what you are opening
The right setting depends on where the file lives and how you open it. A document in a local folder that you launch from File Explorer uses a Windows file association. A link to a file stored on OneDrive or SharePoint may instead use a Microsoft 365 preference for opening supported links in a desktop app or browser.

| A file on your computer opens in the wrong app from File Explorer | Windows default app for that extension | Settings > Apps > Default apps |
| A supported OneDrive or SharePoint file link opens in a browser instead of an Office desktop app | Microsoft 365 preference for opening eligible links | Microsoft 365 app preferences; the choice applies to documented scenarios across Word, Excel, PowerPoint, and Outlook |
| A work-device policy changes how eligible cloud links open | Organization-managed Group Policy | Ask your administrator; this policy is separate from Windows file associations |
Microsoft’s guidance identifies .docx as a Word document, .xlsx as an Excel workbook, and .pptx as a PowerPoint presentation. These common modern formats are separate file types, so selecting Word for .docx does not also set the default for Excel or PowerPoint.

Before changing anything, try to reproduce the issue in a simple way. Open a local file from File Explorer, then separately try the link that has been opening unexpectedly. If the local file launches in the app you want and only the link opens in a browser, focus on Microsoft 365 link behavior rather than repeatedly changing Windows defaults. If both open in the wrong program, check the file association first.
Set the Windows default for each Office file type
- Open Windows Settings. Go to Settings > Apps > Default apps. These instructions apply to Windows 10 and Windows 11; labels and available choices can vary by Windows build and installed apps.
- Search for an extension. Enter
.docxin the Default apps search field. Select the result or its current app association. - Choose the preferred installed app. Select the desktop app you want to open that file type, then confirm the change if Windows asks.
- Repeat for the other extensions. Search for
.xlsxand.pptxseparately, and select the desired app for each. - Test from File Explorer. Open a file with the matching extension to confirm that the association works. If it does not, verify the extension and that the selected app is installed.
Windows lets you change defaults by file type or by app. Searching by extension is the clearest route when the goal is to make a particular kind of Office file open in a particular program. The list only offers apps Windows can use for that type; the exact available choices depend on what is installed.
Work through the three common extensions as three separate choices. For example, you might choose Word for .docx, Excel for .xlsx, and PowerPoint for .pptx. You can also choose another installed app for one or more types if that better fits your workflow. Do not assume that picking one app for a document automatically assigns it to spreadsheets and presentations.
There is no special purchase required to change a Windows default. The setting is part of Windows, and the procedure itself does not require buying a product. However, the app you want to select must be installed and available to Windows. If it is not installed, it will not appear as an available choice simply because you changed the default-app setting.
Change the app for just one file
If you want a one-time choice rather than a new default, right-click the file in File Explorer and choose Open with > Choose another app. Select the app for that file. Windows may offer an option to make the selection the default; leave that option unselected if you only want to open this one item differently.
This is useful when you occasionally need to inspect a file in another installed program but want your usual app to remain the default. It can also help you check whether a second app can open a particular file before changing your everyday association. A one-time Open with action for a local file is distinct from the one-time choice available for some cloud links.
Know which extensions need their own defaults
Office extensions that look related are not necessarily the same file type. In particular, macro-enabled files use different extensions from the standard macro-free “x” formats. If you regularly open these files, set their associations individually.

Microsoft says the corresponding .docx, .xlsx, and .pptx formats cannot contain VBA or XLM macros, while the .docm, .xlsm, and .pptm formats can contain VBA macros. Changing the default for an “x” extension does not automatically change its macro-enabled counterpart. The same principle applies to older or other Office file types: set only the extensions you actually use.
This distinction matters even if the filenames look nearly identical. Setting Excel for .xlsx does not guarantee that an .xlsm workbook will also open in Excel, and setting Word for .docx does not automatically cover .docm. If you routinely receive macro-enabled documents, search for each applicable extension in Default apps and make a deliberate choice for it too. The association determines which app Windows tries to launch; it does not determine whether a macro is safe to run.
Legacy formats and other file types may also have separate associations. Set a default for them only if you actually open those files and want a particular app to handle them. Avoid changing a familiar extension to a different one as a shortcut: the extension is an identifier used by Windows, not a conversion tool.
Set a different preference for OneDrive or SharePoint links
If a file opened from File Explorer uses the intended desktop app but a link opens in a browser, the Windows association is probably not the setting controlling that behavior. Eligible Microsoft 365 links to Word, Excel, or PowerPoint files hosted on OneDrive or SharePoint can be configured to open in a desktop app or browser through Microsoft 365 app preferences. Microsoft documents the preference for supported scenarios across the named Office apps and Outlook.
Quick wins for a faster PC:

The precise controls can vary by app and environment, so use the preference exposed in your Microsoft 365 experience rather than changing Windows extensions to fix a link-opening issue. A one-time Open with action can override the default for an individual link.
Use the preference that matches how you work. Choosing Desktop is appropriate when you want an eligible link to open in an installed desktop Office app. Choosing Browser keeps the file in a browser-based experience for eligible links. This cloud preference concerns opening supported links; it does not change what happens when you double-click a downloaded .docx, .xlsx, or .pptx file in File Explorer.
When testing, compare like with like: use a OneDrive or SharePoint link to a supported Office file, and note which app or environment opened that link. A link to a file stored somewhere else, or one launched from a client that does not support the preference, may behave differently. A browser opening by itself is not proof that the local Windows association is incorrect.

When that preference may not apply
The cloud-link preference has eligibility limits. Microsoft identifies unsupported or ineligible cases including a user who is not signed in to Microsoft 365, a file that is not hosted on OneDrive or SharePoint, and a link opened from an unsupported app or environment. The desktop app also needs to be available for a desktop-opening choice to work. If the setting is missing or has no effect, check these conditions before troubleshooting Windows file associations.
Check the account and location first: confirm you are signed in to Microsoft 365 and that the linked file is actually hosted on OneDrive or SharePoint. Then consider the client from which you opened the link. Microsoft’s documented preference applies only in supported scenarios, so the same link behavior should not be assumed for every app, message, or environment. Finally, confirm the appropriate desktop app is installed if you selected Desktop.
Check the actual filename extension
Windows may hide extensions in File Explorer, which can make it difficult to tell whether a file is really a .docx, .docm, or another type. To show them, open File Explorer and choose View > Show > File name extensions. Then inspect the end of the filename and use that exact extension in Default apps.
Do not rename an extension as a repair. Changing a filename from one suffix to another does not convert the file’s contents or make an incompatible file valid for the new format. Use the correct opening app or obtain a properly converted copy instead.
For example, changing a filename ending in .docx to end in .docm does not turn the document into a macro-enabled Word file. Similarly, changing .xlsx to .xlsm does not add the ability to contain macros. If Windows appears to identify a file incorrectly, reveal the extension and confirm the actual type rather than trying suffix changes.

Troubleshoot the common failure cases
The app you want is not listed
- Confirm that the intended desktop app is installed. A default association can only point to an available app.
- Try right-clicking the file and choosing Open with > Choose another app to see other installed choices Windows offers for that file.
- If the app is installed but still unavailable for that extension, Windows labels and choices may vary by build or organization management. Check the app installation and contact your administrator on a managed device.
It can help to test from the file itself: right-click a representative file, choose Open with, and see whether Windows offers the app. If the app is absent from both that list and Default apps, first verify installation rather than changing the extension or choosing an unrelated app.
The wrong app still opens a local file
- Show file extensions using File Explorer > View > Show > File name extensions.
- Confirm that you changed the exact extension in Settings > Apps > Default apps, rather than a similar type such as a macro-enabled variant.
- Open a local copy from File Explorer to test the association directly.
If the setting looks correct but the problem remains, make sure the test file actually has the extension you changed and that the selected app is still installed. Test a local file rather than a shortcut to a cloud location, since the latter may invoke Microsoft 365 link handling instead of relying only on the local association.

Only a link from Outlook, Teams, or another service behaves differently
Distinguish the link’s host and opening environment from the local-file test. Check whether the file is hosted on OneDrive or SharePoint, whether you are signed in to Microsoft 365, and whether the app that opened the link supports the preference. A local Windows association does not override every cloud-link behavior.
Microsoft documents cloud-link scenarios for supported Microsoft 365 experiences, including the named Office apps and Outlook. That does not mean every link from every service or environment follows the same preference. If a link came from an unsupported client or points to content outside OneDrive and SharePoint, check the opening app’s own behavior rather than repeatedly resetting .docx, .xlsx, or .pptx.

Microsoft documents a Windows Group Policy that lets administrators prefer desktop apps for specified OneDrive and SharePoint links opened from Office apps and classic Outlook. This policy is for supported cloud-link scenarios; it does not replace or set the Windows defaults for .docx, .xlsx, or .pptx. Ask your organization’s administrator if the behavior appears centrally managed.
For a work device, separate what you can test yourself from what an administrator controls. You can check the file extension, test a local file from File Explorer, and confirm whether the link points to OneDrive or SharePoint. If only supported cloud links are affected and your organization manages the device, an administrator can confirm whether the documented policy is in use. It is not a substitute setting for personal Windows file associations, and it is not the same thing as a SharePoint site setting.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Compatibility when choosing another office app
Choosing a different installed office suite as the default can change how a file is displayed or edited. Microsoft’s format reference says Word versions listed there can open .odt files, but formatting may be lost when saving and opening in that format. For PowerPoint, Microsoft notes that .odp files can be opened, though some information may be lost when saving and opening. Opening a file is not a guarantee that every feature will be preserved when it is edited or saved in another format.
Microsoft’s extension reference covers the Office versions listed in that reference; it should not be read as a guarantee of complete feature fidelity in every third-party program. For files with important layout, embedded content, or macros, verify the result in the intended app before replacing or resaving the original.
Think of the default-app decision as a convenience setting, not a promise that two office suites will handle every document identically. A file may open successfully while some formatting or information behaves differently when saved. If compatibility is important, inspect the document after opening and preserve the original until you have confirmed the edited copy meets your needs.

Windows version and support note
The default-app procedure applies to Windows 10 and Windows 11, but interface labels and choices can differ across builds. Microsoft support for Windows 10 ended on October 14, 2025. In 2026, Windows 10 users should account for that end-of-support status when deciding how to maintain the computer; the setting procedure itself does not mean the operating system remains supported.
If a screen does not match these labels exactly, look for the Default apps section in Windows Settings and search for the extension directly. The installed applications, Windows build, and organization management can affect which choices appear. The underlying distinction remains the same: file-type defaults control local opening from File Explorer, while eligible cloud links may have a separate Microsoft 365 preference.
A quick decision checklist
- Opening a local file? Identify its exact extension and set that type under Windows Default apps.
- Opening a OneDrive or SharePoint link? Check the Microsoft 365 desktop-or-browser preference and confirm the account, host, app, and environment are eligible.
- Using macro-enabled or older files? Set the relevant extensions separately; do not assume the standard
xformat covers them. - Want to use another app once? Use Open with > Choose another app without changing the default.
- Thinking of renaming a suffix? Do not; a filename change does not convert the file’s contents.
- On a managed work device? Ask an administrator about policy only when supported cloud links appear centrally controlled.
Frequently Asked Questions
How do I make Word open .docx files by default in Windows?
Open Settings > Apps > Default apps, search for .docx, select its current association, and choose Word if it is installed. Test a local document from File Explorer. Set .xlsx and .pptx separately for Excel and PowerPoint.
Why does an Office file link open in a browser even though Word is my default?
A link to a OneDrive or SharePoint file can follow a Microsoft 365 desktop-or-browser preference rather than the Windows association used for local files. Check that preference and confirm you are signed in, the file is hosted on OneDrive or SharePoint, and the app and environment support the option.
Will setting .docx also change .docm?
No. .docx and .docm are separate file types and need separate associations if you use both. The same applies to .xlsx and .xlsm, and to .pptx and .pptm.
How can I open one Office file in a different app without changing the default?
In File Explorer, right-click the file and choose Open with > Choose another app. Select the app for that one file and leave any option to make it the default unselected.
Does changing a file extension convert it to another Office format?
No. Renaming a suffix does not convert the file’s contents. Use the correct app or obtain a properly converted copy instead.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Do I need to buy software to change default apps?
No purchase is required to change the Windows setting. The app you want to choose must, however, be installed and available to Windows.
The Bottom Line
For local files, set the Windows default for each exact extension you use—typically .docx, .xlsx, and .pptx—and set macro-enabled types separately. For links, check the Microsoft 365 preference and its OneDrive or SharePoint eligibility conditions. Test the right scenario, and do not rename an extension expecting it to convert a file.
