Choose by workflow, not by feature count. Pick Joplin if you want a conventional notebook and to-do structure, several synchronization destinations, and a plugin ecosystem. Pick Standard Notes if end-to-end encryption and long-term data access are your first concerns. Consider Obsidian only as an adjacent local-first comparison: its source is not established as open source in the material available here. Logseq and SiYuan are worth investigating when linked or outline-style work appeals to you, but verify their current documentation before committing.
The right choice depends on how you organize notes, where you need them synchronized, how portable the data must remain, and how much setup and maintenance you are willing to handle.
Start with the workflow you need to support
An open-source label does not tell you whether an app fits your day-to-day work. Before installing anything, describe what a successful week of note-taking looks like. The answers determine which trade-offs matter.

- Notebook and task structure: You think in projects, notebooks, and checklists, and want notes to behave like documents stored in recognizable folders.
- Linked knowledge: You move between related ideas, references, and source notes more than you browse a fixed folder tree.
- Outlines and blocks: You capture small items quickly and reorganize them later rather than writing complete documents immediately.
- Mixed use: You need meeting notes, attachments, to-do lists, and longer reference pages in one place.
Write down two or three real examples, such as “weekly project review,” “research notes with links,” or “offline meeting checklist.” Test those examples in every candidate instead of judging from screenshots.

Separate capture from retrieval
Fast capture and reliable retrieval are different requirements. A quick-entry workflow may favor an app that opens directly to a new note, while a research workflow may depend on predictable notebooks, links, search, or export. Rank the activities you perform most often; a rarely used feature should not outweigh the action you repeat dozens of times a week.
Decide how much structure you want to impose
A fixed notebook hierarchy can reduce decisions and make a shared process easier to explain. A highly flexible system can adapt as projects change, but it also leaves you responsible for naming conventions, links, tags, templates, and cleanup. Choose the smallest amount of structure that keeps notes findable.
Compare the candidates at a glance
The table below uses only capabilities documented by the vendors or identified as candidates for further investigation. “Not established” means the cited material does not support a current claim, not that the capability is absent.

Evaluate synchronization and privacy together
“Syncs across devices” is incomplete as a requirement. You also need to know where encrypted data is created, which service stores it, whether you must configure encryption, and what happens when one device is offline.
Write a synchronization requirement
Specify the devices and the timing you need: for example, a desktop and phone during a commute, or two computers that are normally online. Then decide whether you need a hosted service, a server you control, or a file-based route. A service that is technically supported may still require more administration than you want.
Understand end-to-end encryption claims
Joplin documents end-to-end encrypted synchronization through several destinations, but do not assume every destination has identical setup or that encryption is automatically configured in every installation. Read the current instructions for the specific route before moving sensitive notes.

Standard Notes describes its app as end-to-end encrypted and emphasizes privacy and data longevity. Confirm how your chosen clients, account recovery method, and exports interact with that model before relying on it for irreplaceable records.

If you compare Obsidian, keep its security statement separate from the open-source decision: Obsidian says its optional Sync service uses AES-256 encryption, while the available material does not establish the app as open source. Its optional service is not required simply to use the application. Read the current security documentation and pricing page before making a cost or threat-model decision.
Match the threat model to the data
- For ordinary personal planning, prioritize dependable access and recovery.
- For confidential work, verify encryption behavior, account recovery, device access, and whether attachments receive the same protection as note text.
- For regulated or organizational records, involve your administrator or compliance team; an app’s open-source status alone does not establish regulatory suitability.
- For offline or intermittent connectivity, test reading, editing, and later conflict handling with the network disabled.
Test synchronization before migration
- Install the candidate on two devices using throwaway test notes.
- Create a note on device A, wait for synchronization, and confirm it appears on device B.
- Edit the same note separately on both devices while one is offline. Reconnect and observe the conflict behavior.
- Add an attachment or checklist if your workflow uses them, then verify that it arrives intact.
- Turn off synchronization temporarily and confirm that local notes remain available as expected.
- Delete a test note and verify how deletion propagates and whether recovery is possible.
Do this test before importing years of notes. It reveals practical limitations that a feature list cannot.
Make portability a first-class requirement
Portability means more than having an export button. Your notes should remain understandable if you change applications, stop paying for a hosted service, or need to open them without the original client.

Ask four concrete questions:
- What format does a full export use?
- Can you export a single note as well as the entire library?
- Are images, files, links, checklists, and metadata preserved?
- Can another application import the result without a proprietary conversion step?
Standard Notes documents note import and export, making those questions explicit. The available product description does not establish every supported format or attachment rule, so check the current documentation against your own sample library.
Joplin’s notebook model may feel familiar, but verify the exact export options and how they represent notebooks, tags, links, and attachments before choosing it as a long-term archive.
Run a round-trip test
- Create a small test library containing plain text, headings, a checklist, a link, an image, and a file attachment.
- Export it using the app’s documented full-library method.
- Open the exported files outside the app with ordinary tools where possible.
- Import the export into a separate test profile or another candidate app.
- Compare the result with the original and record anything that changed.
Keep the original export untouched. It is both a migration test and an independent backup candidate.
Plan for a future exit
Schedule an occasional export rather than waiting for a crisis. Store at least one copy in a location independent of the notes app, and document how to decrypt or open it. A portable archive is useful only if your future self can identify the format and the required keys.
Decide how much customization you can maintain
Plugins, themes, templates, and scripts can make an app fit your process, but every addition becomes part of the system you must update and troubleshoot.

Joplin’s extension model
Joplin documents plugins and themes. That is useful when you need to extend a conventional notebook-and-to-do workflow or change its appearance. Keep a written list of essential extensions, export or back up their configuration when possible, and test updates against a copy of your notes. A workflow that depends on many extensions may be less portable than the underlying notes.
Use a customization budget
Set a limit before installing extras: for example, one extension for capture and one for a specific repeated task. If a requirement cannot be met without a long chain of add-ons, reconsider whether a different app is a better base. The goal is a dependable notes system, not an endless configuration project.
Distinguish themes from data features
A theme changes presentation; it should not determine whether you can read or export your notes. Keep critical information in standard note content and avoid relying on visual formatting that disappears outside the app.
Account for service dependence and cost
The local application and a hosted synchronization service are separate decisions. An app may be free and open source while a convenient hosted sync option has its own price, limits, account requirements, and availability.
List recurring dependencies
- Hosted synchronization or storage fees
- Account recovery and authentication requirements
- Server maintenance if you operate your own destination
- Paid extensions or features needed by your workflow
- Time spent resolving conflicts and maintaining backups
No current prices or plan limits are established in the cited material. Check the provider’s current terms before budgeting, and do not infer that advanced functions are free merely because the core application is described as free.
Choose hosted versus self-managed sync
Hosted sync reduces infrastructure work but creates dependence on a provider’s availability and policies. A self-managed destination can offer more control but shifts updates, backups, security, and troubleshooting to you. Joplin’s documented destinations include both third-party cloud services and Joplin Cloud; compare the operational work, not just the number of choices.
When Joplin is the sensible starting point
Start with Joplin when your mental model is a set of notebooks containing notes and to-do items, and you want to choose among several synchronization destinations. Its official help describes it as a free, open-source notes and to-do application organized into notebooks. The same documentation describes end-to-end encrypted synchronization through Nextcloud, Dropbox, OneDrive, and Joplin Cloud, plus plugins and themes.
Before adopting it, answer these questions:
- Which synchronization destination will you use, and what configuration does that route require?
- Do your notes depend on plugins or themes that must be maintained?
- Does the export format preserve your attachments and organization?
- Can you use the app comfortably with synchronization temporarily disabled?
Joplin is a strong candidate for structured personal knowledge and task notes, but the convenience of a choice is not the same as a guarantee that every route is equally simple.

When Standard Notes deserves priority
Prioritize Standard Notes when encrypted note-taking and long-term access are more important than a broad comparison of workflow features. Its product page describes the application as free, open source, and end-to-end encrypted, with an emphasis on privacy and data longevity. It also documents importing and exporting notes.
Use a trial library to verify the details that matter to you:
- How your required note types appear after import
- Whether exports include attachments and the metadata you need
- How recovery works if you lose access to a device
- Which functions are included in the current plan you intend to use
The available product description does not establish current feature tiers, platform comparisons, or which advanced functions are free. Confirm those boundaries directly before making a commitment.
When an adjacent local-first app changes the comparison
Obsidian can help clarify what you mean by “open source,” even though the available material does not establish it as an open-source option. Its pages describe optional Sync and Publish services, and its security page says Sync uses AES-256 encryption. You can therefore compare a local-first workflow with an open-source app, but label the distinction clearly when discussing your shortlist.
Use Obsidian as an adjacent comparison if local files, optional hosted services, and extensive personal customization appeal to you. Do not treat its optional Sync service as mandatory, and verify current pricing and terms before including it in a budget.

A comparison article from Ossium lists Joplin, Standard Notes, SiYuan, AppFlowy, Logseq, and Trilium among open-source note-taking options, with differences involving formats, synchronization, and mobile support. That list is useful for discovering alternatives, not for making current feature claims.

A practical selection scorecard
Score each candidate from 1 (poor fit) to 5 (excellent fit) using your own priorities. Weight the first three categories most heavily if notes are mission-critical.

Multiply each score by its importance to you, then compare totals. If a candidate fails a non-negotiable requirement, reject it regardless of its overall score.
A migration plan that limits risk
- Inventory your source: Record note count, attachments, tags, links, and any encrypted or proprietary content.
- Create an untouched backup: Keep the original application data and a separate export before changing anything.
- Build a pilot library: Choose representative notes, including the hardest attachment and formatting cases.
- Test import: Compare structure, links, checklists, dates, and files with the originals.
- Run the workflow: Use the pilot for real capture, retrieval, synchronization, and export.
- Migrate in batches: Move older or less critical material first; keep the source read-only during the transition.
- Verify after migration: Search for missing notes, broken links, and unreadable attachments before decommissioning the old app.
No migration is automatically seamless across every source application. Attachment handling and available export formats determine the actual effort.
Common failure modes and fixes

Open-source licensing and privacy protections are related but not identical. Check synchronization, encryption, account recovery, logs, and backups separately.
“The sync option is listed, so setup will be effortless.”
Different destinations can require different credentials, server settings, or encryption configuration. Test the exact route with non-sensitive notes first.
“Export exists, so migration is solved.”
Export may omit attachments, metadata, or relationships. Perform a round-trip test and preserve the original archive.
“More plugins mean a better workflow.”
Extensions add maintenance and can reduce portability. Keep the core process usable with minimal dependencies.

Apps, plans, and synchronization services change. Use current official documentation for final decisions, especially for pricing, encryption behavior, and device support.
