Choose the workplace AI assistant that can work with the information and apps your task already depends on—not the one with the broadest feature list. Microsoft Copilot is a natural fit for Microsoft 365 work, Gemini for Google Workspace, and ChatGPT Business or Enterprise for teams seeking a managed assistant workspace with internal GPT sharing and organization controls. Those are ecosystem-fit observations based on vendor documentation, not an independent ranking of answer quality.
Start with the task and the information it needs
List the work you want help with: drafting, spreadsheet analysis, meeting follow-up, finding information across company files, research, or a repeatable team workflow. Then identify where the necessary material lives—such as email, documents, meetings, or a connected business app. An assistant can only ground its response in sources available to that account, product, and configuration.
For a fair comparison, use an organization-approved account and representative non-sensitive material. Check setup effort, permitted source access, whether the answer exposes sources you can verify, how much correction it needs, and how naturally the workflow fits your existing suite. This is a way to evaluate options for your own work, not a claim that one product has been independently tested as better.
How the three options fit workplace systems
| Option | Where it naturally fits | Work information and controls to check |
|---|---|---|
| ChatGPT Business or Enterprise | A managed assistant workspace, including internal GPT creation and sharing. | OpenAI describes organization controls, feature and access controls, and SAML SSO on its enterprise privacy page. Verify which protections and settings apply to your organization’s specific product and plan. OpenAI enterprise privacy |
| Microsoft Copilot | Microsoft 365 apps and work centered on Microsoft content. | Automatic grounding in Microsoft Graph and Work IQ is described for the premium Microsoft 365 Copilot experience. Other options may require uploaded files, open Outlook or Teams content, or an agent. Check the license and access available to your account. Microsoft Copilot overview |
| Gemini for Google Workspace | Google Workspace apps, including Gmail, Docs, Meet, Sheets, Slides, Drive, and Chat. | Workspace-data access follows administrator settings and the user’s existing permissions. Feature availability depends on edition. Google Workspace with Gemini; Google access controls |
The table describes documented product fit, not comparable performance. Vendor feature pages explain their own systems; the cited material does not establish a universal winner or a head-to-head accuracy or productivity result.

What each assistant can access depends on the account and plan
ChatGPT for workplace use
OpenAI’s enterprise privacy page, updated January 8, 2026, says business data is not used to train models by default. It also describes business customers’ control of inputs and outputs, SAML single sign-on, feature and access controls, and the ability for workspace members to build and share GPTs internally. Treat these as statements about the business products named on that page; check your organization’s plan and settings before relying on a particular control. OpenAI enterprise privacy
Microsoft Copilot
Microsoft’s overview distinguishes Copilot Chat and other license levels. It says the premium Microsoft 365 Copilot experience can ground responses automatically in Microsoft Graph and Work IQ. Depending on the option, using organizational data may instead require uploading files, opening Outlook or Teams content, or using a pay-as-you-go agent. Confirm the entitlement attached to the work account rather than assuming that every Copilot experience can search the same company information. Microsoft Copilot overview
Microsoft Learn says prompts, responses, and data accessed through Microsoft Graph are not used to train foundation models in the enterprise context it describes. The page also explains that web search queries have different handling from prompts and responses under its core enterprise-protection explanation. Review the exact feature and terms before entering sensitive information, especially when web-connected functionality is involved. Microsoft enterprise data protection
Microsoft says Copilot Chat used while signed in with a work or school account receives enterprise data protection. That statement concerns the work or school account context; do not assume a personal account has the same protections. Microsoft Support: data protection for Copilot Chat
Rank #3
Gemini for Google Workspace
Google describes Gemini features across Workspace apps such as Gmail, Docs, Meet, Sheets, Slides, Drive, and Chat. Its business FAQ says qualifying Workspace users receive enterprise-grade protections, including that submissions are not used to train models or reviewed by humans. Those statements apply to users with qualifying Workspace protections, not automatically to every consumer Gemini Apps configuration. Check the Workspace edition and administrator settings for the features your team intends to use. Google Workspace with Gemini; Google Workspace with Gemini FAQ for Business
Google says Gemini access to Workspace data follows administrator settings and existing user permissions. Google also documents integrations with third-party services in supported Workspace apps; the help page says these integrations support read actions only, and some require separate subscriptions and administrator enablement. Check the current integration list and configuration before making one part of a workflow. Google access controls; Gmail Help: Gemini integrations
Rank #4
Separate business protections from consumer terms
Privacy claims are specific to a product, account, and plan. Microsoft distinguishes work or school Copilot Chat from other account contexts; Google distinguishes qualifying Workspace protections from consumer Gemini Apps use; and OpenAI’s enterprise privacy page describes named business products. Before entering company information, confirm the signed-in account, the product being used, and the terms or contract that cover it.

- Ask an administrator which account and license are approved for the task.
- Confirm which files, mail, meetings, and connected sources the assistant can access, and whether that access follows existing permissions.
- Check administrator controls relevant to your organization, such as access, retention, audit, data region, and connected-source restrictions.
- Review the handling of web-connected features separately when the vendor documents different treatment.
Choose by workflow, not by a generic ranking
Choose Microsoft Copilot when the work is in Microsoft 365
It is a natural candidate if the task depends on Microsoft 365 apps or organizational information in the Microsoft environment. The deciding question is whether the specific Copilot license and configuration available to you can use the relevant sources with the access you expect.
Best Value
Choose Gemini when the work is in Google Workspace
It is a natural candidate when the task happens in Workspace apps and the needed information is available under the user’s permissions and administrator settings. Verify edition-specific availability and any separate requirements for connected services.
Choose ChatGPT Business or Enterprise when a managed assistant workspace fits better
It may suit teams looking for organization-managed assistant access and internal GPT sharing. Confirm which controls and features are included in the organization’s actual business plan and how any connected sources are governed.
Run a small, safe evaluation before wider adoption
- Pick one real task. For example, draft a meeting follow-up from approved notes or locate a policy answer in approved documents.
- Use approved accounts and non-sensitive material. Do not paste confidential work content into an account unless your organization has authorized that product and configuration for it.
- Check source access. Note the setup required and whether the assistant can use the relevant permitted files, mail, meetings, or connected services.
- Verify the result. Check any source references or exposed materials, factual accuracy, and the amount of editing needed before using the response.
- Ask the administrator to validate deployment details. Confirm licensing, access, data handling, retention, and relevant settings before expanding beyond the trial task.
Feature names, license entitlements, availability by region, and administrator settings can change. Recheck current vendor documentation for the account and edition your organization will use.
