An AI receptionist for small business can answer routine calls, route callers, take messages, and—on some plans—book appointments or send follow-up texts. What it can do, how it connects to your phone setup, and how quickly its minutes run out all depend on the provider and plan. Compare the call workflow and fallback first, then the price.
What an AI receptionist can—and cannot—take off your hands
These are hosted services that answer inbound calls using an AI voice. Depending on the plan, they may respond to common questions, collect caller details, transfer calls, take messages, schedule appointments, or provide transcripts and summaries. Some services also offer missed-call follow-up. Feature lists are provider-specific; a listed capability does not establish how accurately it works or whether callers will find it helpful.
Think of the service as a defined part of your call workflow, not an automatic replacement for every conversation. Decide which calls it should handle, which it should route to a person, and what it should do when it cannot answer. No independent comparative performance study or hands-on test is established for the options described here.

Before comparing plans, map the calls you want handled. Include common questions, booking requests, urgent calls, sales inquiries, and callers who need a person. Then ask the provider to demonstrate those cases using your business’s actual policies and terminology.
#1 Best Overall
Set a clear fallback for unsupported questions
Ask whether the receptionist can transfer to a live person, take a message, or record a callback request—and what it says if none of those options is available. Establish what information it should collect, who receives the message, and how quickly a human is expected to respond. Do not assume that all services avoid guessing or provide the same escalation options; have the provider walk through realistic edge cases.
Test transfers and after-hours behavior
Check whether callers can reach a person during business hours, whether calls can be routed to different people or teams, and what happens when a transfer is unanswered. For evenings and weekends, confirm whether the AI continues with the same rules, takes messages, or directs urgent callers elsewhere. Make sure the caller-facing instructions match the way your business actually handles urgent situations.
Verify booking and follow-up details
If you want appointments booked, confirm which calendars can be connected, how conflicts and cancellations are handled, and whether the AI can book only within approved hours. If the plan offers missed-call text-back, ask what triggers a message and what it contains. A feature name alone does not tell you whether it fits your scheduling or customer-service process.

Check compatibility with your current number and phone system
Do not infer compatibility from a service being cloud-based. Confirm whether it requires a new number, can work with your existing number, or depends on call forwarding or another setup step. Ask who configures the routing and how callers are affected while it is being changed.
For example, Phone.com describes its AI Receptionist as an add-on that requires an active Phone.com plan. The provider separately lists a monthly option for use with any phone system and an option paired with its own phone service; those structures are not interchangeable. Ask each provider to confirm the precise phone-system requirements for the plan you are considering.
Also check the operational details that can make an otherwise compatible service impractical:

Compare plans by allowance and billing model, not monthly price alone
The following are vendor-published offers displayed in 2026, not a ranked market survey or an independent comparison. Prices and plan terms can change. Check the current offer, billing interval, included allowance, and required phone service directly with the provider before signing up.

| Provider and plan | Published price | Allowance and terms |
|---|---|---|
| Phone.com AI Receptionist | $29.99 per month | 100 AI receptionist minutes; requires an active Phone.com plan. The provider lists call answering, routing, appointment scheduling, custom business knowledge, and Google and Outlook calendar integration. |
| Abby Starter | $165 per month | 50 Abby Minutes, which Abby describes as covering up to 100 minutes of AI calls. The provider lists bilingual answering, appointment booking, transcripts, and summaries. |
| Ansa Business | $119 per month when billed annually, or $149 month-to-month | The provider lists multiple lines, calendar, CRM and Jobber integrations, team routing, and warm transfer. A done-for-you setup is listed at $199 one-time. |
| First AI Employee Essential | $99 per month after the trial unless canceled | The provider lists a seven-day trial with up to 400 minutes. Its other listed plans are Growth at $199 per month with 1,000 minutes and Scale at $349 per month with 2,000 minutes. |
These figures use different allowance labels and conditions. Abby’s conversion from Abby Minutes to AI-call minutes is the provider’s own plan description. First AI Employee’s trial is temporary, not a recurring monthly allowance. Phone.com charges for its receptionist add-on separately from the required active plan. Compare the actual total you would pay and the billable-minute definition—not just the headline monthly amount.
One way to estimate fit is to review recent call logs and calculate how many calls the service would handle in a typical month. Multiply expected calls by their average duration to estimate minutes, then allow for busier periods and transfers or other usage the plan may count. Ask the provider exactly how it measures minutes, whether unused allowance rolls over, and what happens when you exceed it: overage charges, pay-as-you-go billing, or a service limit. Do not assume any of those terms unless the plan states them.

To assess whether the subscription makes financial sense, use your own numbers: the monthly service cost, the number of calls it is likely to handle, and the value to your business of a call that would otherwise go unanswered or take staff time. No independent missed-call, labor-saving, or revenue-recovery figure is established for these services, so a general savings claim would not be a sound basis for choosing one.

When a service records or transcribes conversations, find out what the provider stores, who can access it, how long it is retained, and whether it may be used to improve or train models. Confirm what notices callers hear and how consent is handled for the jurisdictions where you operate and the people you call. Vendor feature pages alone do not establish that a particular business setup complies with applicable law.

Scan for outdated or missing drivers - takes under a minuteDriver Scan →Repair Windows errors before they cause bigger problemsFix Now →The legal distinction between inbound reception and outbound AI calls matters. In FCC Declaratory Ruling FCC 24-17, adopted February 2, 2024 and released February 8, 2024, the Federal Communications Commission said that the Telephone Consumer Protection Act’s restrictions on “artificial or prerecorded voice” encompass current AI technologies that generate human voices. The ruling concerns covered outbound calls; prior express consent generally applies unless an emergency purpose or applicable exemption is present. It is not a blanket legal conclusion about every inbound customer-service conversation.

The Federal Trade Commission’s business guidance says state laws vary on whether and how telephone conversations may be recorded and on consent requirements. If your service records or transcribes calls, identify the jurisdictions and call flows involved, review your notices and consent practices, and examine the provider’s storage, access, and retention terms. Consult an attorney about requirements for your specific operations.
A practical checklist before choosing
- Define the call scope. List the questions and requests the AI may handle and the cases that must go to a person.
- Test failure handling. Ask what happens for an unsupported question, an unanswered transfer, an urgent call, and a booking conflict.
- Confirm phone requirements. Get written confirmation of number, forwarding, existing-system, and setup requirements for the exact plan.
- Calculate usage. Estimate minutes from your call history and clarify the plan’s minute definition, overage rate or limit, and trial end date.
- Verify workflow connections. Confirm that your calendar, CRM, team routing, and any required integrations are supported on that plan.
- Review privacy and compliance. Check recording and transcription behavior, caller notices, consent handling, access, retention, and model-use terms.
- Start with a controlled rollout. If possible, test a secondary line or limited call flow, review transcripts and handoffs, and keep a clear path to restore your previous routing.
When an AI receptionist is a good fit
It is most promising when your business receives predictable routine questions, has clear booking or routing rules, and can define a reliable human fallback. It is a weaker fit if calls require frequent judgment, exceptions are difficult to codify, or a missed escalation could cause serious harm. In that case, keep a person in the critical path and limit the AI to a narrow, supervised role.
