The best AI note-taking app is the one that accepts the material you actually read, shows where each summary claim came from, protects information to the standard your work requires, and lets you leave with usable notes. Start by listing your source formats—web pages, PDFs, ebooks, newsletters, video, or existing highlights—then compare citation behavior, privacy controls, export options, workflow fit, and current cost. A polished demo is less important than being able to verify a sentence and recover your archive later.
Three useful patterns emerge from the available product documentation: Google’s NotebookLM (also presented as Gemini Notebook) is source-grounded and returns inline citations; Readwise Reader is a reading and annotation hub that can export highlights into NotebookLM; and Notion AI puts PDF analysis, web and connected-app research, and database summaries inside an existing workspace. Those descriptions establish capabilities, not a head-to-head accuracy winner.
What to decide before you compare apps
“AI note-taking app” covers several different jobs. One product may be a reading inbox, another a source notebook for question answering, and another an AI layer over a team workspace. Choosing by the most impressive generated paragraph can leave you with an app that cannot ingest your files, cannot show its evidence, or makes your notes difficult to move.

Write a concrete requirement such as: “I save journal articles and newsletters, annotate them on my phone, and need a cited briefing I can audit.” This exposes the trade-offs that a generic feature list hides. A student working mainly with PDFs has a different first filter from a researcher collecting RSS feeds and YouTube videos, or a team that already stores every project note in a workspace.

Separate capture, synthesis, and storage
- Capture: getting the original source into the service, with its text, images, metadata, and location information intact.
- Synthesis: asking for a summary, comparison, outline, or unanswered-question list.
- Storage: retaining the source, highlights, annotations, and generated notes in a form you can search, export, and reuse.
Some people need all three in one application. Others get a better result by collecting and annotating in a reading app, then sending selected material to a source-grounded notebook. The latter is a workflow, not a defect: it lets each tool do the job it is designed for.
Use source capture as the first filter
An app cannot summarize a source it cannot import reliably. Make an inventory of your normal material before looking at plans or model names.
Match the formats you actually use
Readwise describes Reader as a cross-platform reading app for articles, PDFs, EPUBs, email newsletters, RSS feeds, YouTube videos, X threads, and other reading material. Its page also says users can import PDFs and ebooks and export documents, feeds, uploaded files, highlights, and annotations. See the current capability and offer details at Readwise Reader.

Do not assume that a format accepted by a browser reader will be accepted in the same way by NotebookLM; confirm the current import documentation for your account before committing a large archive.
Notion AI can answer questions using workspace, connected-app, and web information, analyze PDFs and images, summarize databases, and summarize or transcribe meeting notes, according to Notion’s security and privacy documentation. That makes it a natural candidate when your source material already lives in Notion or a connected service rather than in a separate reading inbox. Test difficult sources, not just clean web pages
Use at least one source with dense claims, footnotes, tables, or unusual formatting. Add the format you use most often—such as a long PDF, an EPUB, a newsletter, or a video transcript. Check whether headings, page numbers, speaker labels, links, and captions survive import. A summary built from missing pages or a broken transcript can sound convincing while answering the wrong question.
Check what happens to highlights and notes
If you already annotate elsewhere, determine whether the app can bring those annotations across without flattening them into plain text. Readwise documents an export path in which highlights and notes are sent to Google Docs and then added as NotebookLM sources. Its integration guide says the sync can run daily, can include highlight locations, and can create either one document for everything or one document per Readwise item. NotebookLM: choose it when source-grounded answers are the priority
Google’s product page says, “As a research assistant, Gemini Notebook’s advantage is being source-grounded.” It also describes answers with inline citations and says organization data is not used to train Gemini Notebook. You can review the product description at Google’s NotebookLM page.
Why citations change the evaluation
A fluent paragraph is not evidence that the underlying source supports it. Inline citations give you a route back to the relevant passage, so you can inspect whether the wording is justified, whether the model omitted a qualification, and whether two sources actually disagree. Treat a citation as an invitation to verify, not as an automatic guarantee of entailment.
What is still unknown from the available page
The product page reviewed for this guide did not establish a complete list of import formats, current plan limits, or a pricing schedule. Those omissions matter if you have a large archive or rely on a less common format. Check the current Google documentation immediately before adoption, and run a small representative import rather than moving your entire library first.

When NotebookLM is a poor first choice
If your main problem is collecting web articles, newsletters, videos, and annotations over months, you may still need a reading inbox. In that case, a capture tool such as Reader can precede NotebookLM, with the documented Google Docs export supplying the highlights you want to question.
Readwise Reader: choose it when reading and annotation come first
Reader is designed around a cross-platform reading library rather than a blank AI chat. Its documented categories include articles, PDFs, EPUBs, email newsletters, RSS feeds, YouTube videos, X threads, and more. It also describes imports for PDFs and ebooks and exports for documents, feeds, uploaded files, highlights, and annotations. Those functions address the two long-term problems that a summarizer alone does not solve: getting material into one place and keeping your work recoverable.
Use the documented Reader-to-NotebookLM workflow
- Collect and annotate items in Reader.
- Open Reader’s NotebookLM export integration and choose whether to export a single combined document or one Google Doc per Readwise item.
- Enable automatic daily sync if you want new highlights to flow over time, and include highlight locations when you need to return to the exact place in the original item.
- Add the resulting Google Docs to NotebookLM as sources.
- Ask NotebookLM for a summary or comparison, then follow its citations back to the source material.
This arrangement preserves Reader as the reading archive while using NotebookLM for source-grounded questions. It also avoids treating one application as the answer to every workflow problem.

Understand the stated privacy boundary
Readwise says Reader and Readwise AI use OpenAI and that content sent through the OpenAI API is opted out of training. Its privacy documentation states: “No. The OpenAI API allows users to opt out of their content being used for training data, which we have done.” The same page says Reader and Readwise do not offer end-to-end encryption. These are the vendor’s stated practices, not an independent security audit; review the full Readwise privacy documentation before uploading confidential material.
Account for the published price terms
At the time checked in 2026, Reader listed a 30-day free trial with no credit card required. The full Readwise subscription was listed at $9.99 per month when billed annually or $12.99 per month when billed monthly. The site also describes discounts for certain groups and regions. Prices, eligibility, and trial terms can change, so verify the live offer at Readwise Reader before paying.
Notion AI: choose it when your notes already live in a workspace
Notion AI is a workspace-first choice. Notion describes features for answering questions from workspace, connected-app, and web information; analyzing PDFs and images; generating database summaries; and summarizing or transcribing meeting notes. If your research records, project pages, and databases are already in Notion, keeping synthesis in that same context can reduce copying between tools.
Control external web access
Notion says workspace owners can enable or disable web search and require confirmation before external web requests. Those controls matter when you need the AI to stay within approved internal material or want a person to approve every outbound request. Configure them at the workspace level and explain the policy to collaborators; a setting that exists but is misunderstood is not an effective safeguard.
Interpret the security statements precisely
Notion says Notion AI falls within its SOC 2 Type 2 report and ISO 27001 certification scope. That describes the scope of the vendor’s stated controls; it does not establish that Notion is universally safer than another product or that your particular workspace configuration is risk-free. Read the details in Notion AI security and privacy practices, including how connected apps and web requests are handled.

Know what the available documentation does not answer
The reviewed Notion page did not settle current AI pricing, usage allowances, or a complete source-export matrix. Get those terms for your edition and region before migrating a research archive. If exporting your notes is a requirement, perform an actual export-and-reimport check rather than assuming that workspace pages and generated answers will leave in the same format.
Evaluate evidence traceability, not just summary style
Use the same questions in every candidate so that writing style does not dominate your judgment:

For every output, open the cited passage or source reference. Record whether it actually supports the generated wording, whether the location is easy to inspect, and whether page numbers, headings, timestamps, or highlight locations are preserved. A citation that leads to an entire document with no useful location is less practical than a citation that lands beside the relevant paragraph.
Check omissions and invented connections
Compare the output with the original text, especially around negations, dates, sample sizes, exceptions, and competing explanations. Ask the app to identify uncertainty rather than forcing a single conclusion. Do not award extra credit merely because an answer contains citations: a model can cite a nearby passage while overstating what that passage proves.
Review privacy before uploading sources
Privacy is a product-specific decision, not a universal label. For each candidate, answer four questions in the current terms and privacy documentation:
- What content is sent to the model provider when you summarize or search?
- Is that content retained, and for how long?
- What training-use setting or opt-out applies to your account?
- Which administrators, connected apps, or web requests can access the material?
Apply the answers to your actual sources. Public articles, unpublished research, customer records, legal documents, and health information have different risk tolerances. If the policy is unclear, keep sensitive files out of the service or remove identifying details before import. Vendor statements such as Readwise’s OpenAI training opt-out and Notion’s SOC 2 Type 2 and ISO 27001 scope should be read as documented practices, not as a substitute for your organization’s security review.
Make portability a purchase requirement
Your notes can outlive a subscription, a product name, or a model provider. Before building a long-term archive, test whether you can export:
- Original documents and uploaded files
- Feeds, saved items, and metadata
- Highlights and their locations
- Free-form annotations and tags
- Generated summaries or question-and-answer notes
Open the exported files in another application and check that text, links, dates, page references, and encoding remain usable. Readwise explicitly says Reader users can export documents, feeds, uploaded files, highlights, and annotations. For NotebookLM and Notion, the reviewed pages did not establish complete export details, so verify the formats and any account restrictions directly before relying on them as your only archive.
Run a small, repeatable evaluation
A short trial with representative material is more informative than a generic feature tour. Use this sequence for each candidate:

- Select two or three sources. Include one dense source with many claims and one source in the format you use most.
- Import without cleaning away the hard parts. Keep footnotes, tables, page breaks, captions, or transcript labels that normally appear in your work.
- Ask identical questions. Request a thesis summary, supporting claims, disagreements, and unresolved questions.
- Audit the references. Follow every citation or source link and mark whether the passage supports the exact claim and whether its location is easy to inspect.
- Look for omissions and hallucinations. Compare numbers, dates, names, negations, and qualifications with the originals.
- Export the work. Move the source material, annotations, and generated notes into another app and inspect what survived.
- Read the current privacy and plan terms. Confirm model-provider handling, retention, web-search controls, trial conditions, pricing, and usage limits for your edition and region.
Keep a simple scorecard with one row per requirement and a note for every failure. The winner is the tool that performs reliably on your material and leaves you with auditable, portable work—not the one that writes the most attractive first draft.
Choose by workflow, not by feature count
Choose a source notebook first when…
- Your sources are already gathered and you mainly need cited questions and comparisons.
- You want to inspect supporting passages while reading an answer.
- You can confirm that your normal file types and volume are supported.
NotebookLM fits this pattern based on Google’s source-grounding and inline-citation description, subject to checking its current formats and limits.
Choose a reading hub first when…
- Your biggest problem is collecting articles, PDFs, ebooks, newsletters, feeds, videos, and annotations.
- You want an archive you can export independently of the summarization model.
- You are comfortable sending selected highlights to a separate source notebook.
Reader fits this pattern based on its documented capture, annotation, export, and NotebookLM integration features.

Common mistakes and how to avoid them
Choosing from a clean demo
Problem: A short, well-formatted web page hides import and transcription failures.
Fix: Test a long, dense source in your dominant format before subscribing.
Treating a citation as proof
Problem: The cited passage may be adjacent to the claim without entailing it.
Fix: Read the cited text and compare qualifiers, numbers, and scope with the generated sentence.
Ignoring the capture-to-summary handoff
Problem: Your reading app and AI notebook each work well, but moving highlights between them becomes manual busywork.
Fix: Test the complete path, such as Reader’s Google Docs export into NotebookLM, including daily sync and location data if you need them.
Uploading sensitive material before reading the policy
Problem: You discover retention, provider, or encryption limitations after the archive is already uploaded.
Fix: Review current privacy documentation first and start with non-sensitive sources.
Locking the archive to one service
Problem: Your summaries are useful, but the original files, highlights, or annotations cannot be recovered in a practical format.
Fix: Perform an export test at the start and schedule periodic backups.
Comparing prices without their conditions
Problem: A monthly figure may depend on annual billing, a temporary trial, a region, or usage limits.
