Choose a familiar typeface with clearly different character shapes, then set its size, spacing, alignment, contrast, and file structure for the way people will actually read it. There is no universally “most accessible” font. A typeface that works in a printed handout may be too small on a projected slide, and a visually clear font can still produce an inaccessible file if headings, lists, contrast, or PDF tags are missing.

What makes a font accessible?

Font accessibility is the combined result of letterform design and the surrounding layout. A usable choice lets readers distinguish characters quickly, follow lines without losing their place, enlarge or restyle text when needed, and navigate the document with assistive technology. Accessibility Standards Canada’s 2025 design standard emphasizes recognizable letterforms, balanced proportions, medium and even stroke weight, consistent use, and testing with the intended audience rather than naming one winning family. Its guidance is available in the Design section of the plain-language standard.

Microsoft describes an accessible slide font as one that does not exclude or slow the reading of people with low vision, reading disabilities, or blindness. That outcome depends on more than the font file: size, contrast, line length, spacing, alignment, wording, and the structure retained in the document all matter. The practical goal is resilient text that remains usable when a reader changes settings or uses assistive technology.

How to compare typefaces before you choose one

Check commonly confused characters

Type a short test string containing I l 1 O 0 rn m b d p q, plus punctuation and numerals used in your content. Look for obvious differences in height, counters, tails, and terminals. The uppercase “I,” lowercase “l,” and numeral “1” should not look interchangeable. “O” and “0” should be distinguishable, and the sequence “rn” should not resemble “m.” Mirror-image pairs such as “b” and “d” or “p” and “q” need enough visual information to be tracked reliably. Accessibility Standards Canada recommends this kind of recognizable character treatment.

Prefer balanced, moderate forms

Choose regular or medium weights with even strokes and open counters. Avoid condensed faces when they force narrow letter shapes or tight word spacing. Avoid ornamental, highly irregular, or decorative designs for running text. Microsoft’s PowerPoint guidance specifically warns against compressed and fancy fonts for slides; the same caution applies to handouts and reports when clarity is the priority.

Do not use font category as a shortcut

Several official guides give familiar sans serif examples, but no cited standard establishes that every sans serif is accessible or every serif is inaccessible. A well-designed serif can be readable for a particular audience and task; an unsuitable sans serif can still be too light, tight, small, or unfamiliar. Treat “sans serif” as a starting option, not a diagnostic rule, and test the actual text with actual readers.

Limit variety and assign each face a purpose

Accessibility Standards Canada suggests using no more than three typefaces in one communication, with consistent roles for headings, body text, and emphasis. In most documents, one family with several weights is simpler than mixing unrelated faces. Keep emphasis brief: long passages in italics or all capitals are harder to read, and all-capital headings can be difficult to scan.

Typeface examples for ordinary documents

For a general document, start with a familiar, widely available family such as Arial, Aptos, Verdana, Calibri, Lato, or Helvetica. These are examples named by guidance, not a ranked list or a guarantee. Check that the chosen face is available on the devices or systems that will open the file, and embed fonts when your publishing workflow and licensing permit. If a substitute font may be used, verify the exported file rather than assuming its layout will remain unchanged.

Decision axis What to look for What to avoid
Character distinction Clear differences among I/l/1, O/0, rn/m, and b/d/p/q Ambiguous shapes that make codes, names, or numbers easy to misread
Stroke and proportion Medium, even strokes; open counters; balanced width Very thin, cramped, condensed, or highly irregular forms
Familiarity A face readers already recognize or can learn quickly Decorative display faces for paragraphs or dense slides
Emphasis Short, meaningful use of weight or color Long italic passages, extensive underlining, or all-cap blocks
Consistency One stable family and predictable styles Frequent changes that make hierarchy harder to follow

Set document size for the reading context

There is no single binding point size for every document. The cited recommendations describe different contexts: GOV.UK guidance uses 12 points as a minimum example for covered documents; the British Dyslexia Association’s 2023 guide gives 12–14 points or larger on request; Accessibility Standards Canada gives 14 points as an example of larger type; and the U.S. National Library of Medicine says 12 points is readable by most users. Read these as context-specific baselines, not permission to ignore a reader’s request for larger text.

Use case Starting guidance How to refine it
Continuous document 12 points is a commonly cited minimum; 12–14 points or 14 points may be more comfortable for some audiences Increase size for low vision, older readers, poor print quality, long reading sessions, or a viewing distance greater than normal
Large-print or requested accommodation Use the size requested by the reader or service specification Reflow and retest headings, tables, page breaks, and references after enlarging
Digital document Use a size that remains readable at the intended zoom and window width Check 200% zoom and make sure content does not disappear or require awkward horizontal movement

Size interacts with the font’s x-height, weight, contrast, print quality, and line length. Two fonts set at 12 points will not appear equally large. Judge the actual rendered page or screen, not the number in the formatting toolbar.

Spacing, alignment, and line shape

Use left alignment for normal reading

Left-aligned text gives each line a predictable starting edge. Full justification can create uneven gaps between words that interrupt tracking and word recognition; W3C explains this problem in its guidance for WCAG 2.1 Success Criterion 1.4.8, Visual Presentation. Center or right alignment may be appropriate for short labels, but not for long paragraphs.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Provide comfortable line and paragraph spacing

Increase line spacing enough that adjacent lines do not visually collide, and separate paragraphs with consistent spacing instead of repeated blank lines or spaces. Keep lines short enough to find the next line easily. WCAG 2.1’s Level AAA visual-presentation guidance describes line lengths of no more than 80 characters or glyphs (40 for Chinese, Japanese, or Korean text), non-justified text, generous line and paragraph spacing, and resizing to 200% without loss of content or function in the specified context. These are criterion provisions and explanatory guidance, not a rule that every printed document must use identical settings.

Understand the WCAG text-spacing requirement

WCAG 2.2 Success Criterion 1.4.12, Text Spacing, tests whether content remains usable when a reader applies specified spacing changes: line height of 1.5 times the font size, paragraph spacing of 2 times the font size, letter spacing of 0.12 times the font size, and word spacing of 0.16 times the font size. These values are not mandatory author defaults. Authors must ensure that applying them does not hide content or break functions. W3C also notes that this criterion currently does not apply to PDF, so passing this web criterion alone does not validate a PDF’s typography.

Make the document itself accessible

A readable typeface cannot compensate for an image containing text, a heading that is merely bold body text, or a PDF with no logical reading order. Build accessibility into the source file before export.

  1. Use real styles. Apply Heading 1, Heading 2, and subsequent heading levels instead of changing size and weight manually. This creates a navigation structure for screen-reader users.
  2. Use semantic lists and tables. Insert list and table structures with the authoring tool’s controls. Do not simulate bullets with repeated characters or align columns with spaces.
  3. Keep text as text. Do not paste a scanned page or screenshot where selectable, searchable text is required. Provide meaningful alternative text for informative images and mark decorative images as decorative.
  4. Set language and reading order. Identify the document language and check that columns, sidebars, captions, and tables are read in a sensible sequence.
  5. Check contrast. Ensure foreground and background colors remain distinguishable, including in headings, links, and text placed over images.
  6. Run the authoring tool’s checker. Microsoft provides accessibility guidance for Word at its Word accessibility page. Resolve flagged structure, reading-order, and contrast issues, then inspect the rendered file manually.
  7. Export a tagged PDF when PDF is required. Microsoft’s PowerPoint guidance says to include accessibility tags when exporting presentation content so screen readers and other assistive technology can navigate it. Open the exported PDF, test headings and reading order, and confirm that text remains selectable.

Choose fonts and sizes for presentations

Slides must be readable from the back of the expected room, not just from the author’s monitor. Microsoft recommends 18 points or larger for PowerPoint text. Dyslexia Scotland’s typed-content guide suggests a 32-point minimum for slides and asks authors to consider different screen sizes and viewing distances. These figures differ because they address different contexts; use the venue, screen, audience, and amount of text to decide, then test from a realistic seat.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Presentation condition Practical choice Verification
Small room, close viewing At least Microsoft’s 18-point recommendation; increase for dense or high-stakes content View on the actual display at the farthest seat
Large room or projected screen Use substantially larger type; Dyslexia Scotland suggests 32 points minimum Check contrast, focus, and character distinction under the room’s lighting
Remote or mixed devices Favor larger type and fewer words so content survives laptop, tablet, and projector scaling Review the deck at common window sizes and in presentation mode

Give each slide one clear reading path

Use a simple sans serif option with clear characters, left-align paragraphs and lists, and leave generous space around text. Keep sentences concise; move supporting detail into speaker notes or a handout rather than shrinking the font. Microsoft advises adequate white space and warns against using multiple blank lines or repeated spaces as a layout method. Use consistent title, body, and caption styles so the audience can predict where to look.

Test from the audience’s position

  1. Open the deck in the presentation mode and display it on the screen or projector that will actually be used, when possible.
  2. Stand at the back and at the sides of the room. Ask another person to read the smallest text and distinguish test characters such as I l 1 O 0.
  3. Check slides with charts, footnotes, links, and colored text separately; these usually expose contrast and size problems first.
  4. Reduce wording or split the slide before reducing type size. If a slide still fails at the required distance, redesign it rather than asking the audience to compensate.

Should you use a dyslexia-specific font?

No source here establishes a specialty dyslexia font as the default answer. Readers with dyslexia differ in what helps them, and preferences can change with size, spacing, language, and task. Start with clear forms, adequate size, left alignment, comfortable spacing, and short lines. Ask the intended reader what works, offer an editable or reflowable digital version where feasible, and test alternatives rather than imposing one “dyslexia font” on everyone.

A repeatable selection and testing workflow

  1. Define the audience and medium. Record whether the output is print, a reflowable digital document, a fixed PDF, a projected deck, or a hybrid. Note viewing distance, expected zoom, language, and any known accommodation requests.
  2. Shortlist two or three familiar families. Compare character distinction, stroke weight, proportions, available weights, licensing, and whether the family is present on the systems that will open the file.
  3. Build a realistic sample. Use your actual headings, body paragraphs, names, numbers, URLs, tables, and punctuation. Include the most demanding slide or page, not a generic sentence.
  4. Set context-specific size and spacing. Use the document or slide guidance above as a starting point. Adjust line and paragraph spacing, maintain left alignment for blocks, and avoid forced justification.
  5. Check visual access. Inspect contrast, italics, all caps, line length, wrapping, page breaks, and the smallest text. View print at normal reading distance and slides from the back of the room.
  6. Check structural access. Run the Word or PowerPoint accessibility checker, inspect heading navigation and reading order, verify alternative text, and export a tagged PDF when needed.
  7. Test with representative readers. Ask people who use magnification, screen readers, dyslexia accommodations, or large print when those perspectives are relevant. Record concrete issues, revise, and retest.
  8. Freeze and document the system. Save named styles, theme fonts, size rules, and export settings so future contributors do not reintroduce an inaccessible substitute.

Common mistakes and fixes

Problem Why it fails Fix
Choosing a font from a “best accessible fonts” list without testing Legibility changes with size, language, display, and reader preference Use lists as a shortlist, then test real content with the audience
Shrinking slide text to fit more words Readers at the back cannot recover missing detail Cut words, split the slide, or move detail to notes or a handout
Using full justification for paragraphs Variable word gaps disrupt tracking Left-align normal text
Relying on bold, color, or size alone for hierarchy Screen readers and some readers may not perceive the visual cue Use semantic heading styles and clear labels
Exporting a visually perfect but untagged PDF Assistive technology may encounter an incorrect order or no navigation Export with tags, inspect the PDF, and repair structure before distribution
Assuming WCAG text-spacing values are default formatting The criterion tests resilience to user changes, not a required author preset Keep content functional when those values are applied; remember the criterion’s current PDF scope

Frequently Asked Questions

Is there one universally accessible font?

No. Official guidance emphasizes recognizable characters, balanced proportions, moderate strokes, consistent styles, and testing with the intended audience rather than naming one universal family.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What is the best font size for a presentation?

Use the venue and viewing distance. Microsoft recommends at least 18 points, while Dyslexia Scotland suggests 32 points minimum for slides; test from the back of the actual room.

Are sans serif fonts automatically better for dyslexia?

No. Sans serif examples are common in guidance, but accessibility depends on the specific letterforms, size, spacing, contrast, and reader preference.

The Bottom Line

Pick a familiar, clearly drawn typeface, size it for the real reading distance, use left alignment and comfortable spacing, and validate the complete document structure. Testing with representative readers is more reliable than relying on a font category or a “best font” list.
