The best team messaging app is the one that fits your existing identity, productivity suite, compliance rules, external-partner workflows, and budget—not the one with the longest feature list. Start by documenting requirements, then shortlist plans that work with your current systems, verify administration and retention controls, run a pilot with representative teams, and select the service that delivers the required workflows at the lowest sustainable total cost.

Slack, Microsoft Teams, and Google Chat each make sense in different environments. Slack emphasizes a broad third-party app ecosystem and channel collaboration; Teams offers deep Microsoft 365 administration and licensing options; Google Chat is closely integrated with Google Workspace. Those descriptions come from the vendors and do not establish a universal winner or independent performance advantage.

1. Start with organizational requirements

Do not begin by asking which app is most popular. Begin with the work your people must complete, the systems they already use, and the controls your organization must prove to customers, auditors, regulators, or internal leadership.

What’s actually slowing this PC down?

Define the outcomes the app must support

Write down concrete outcomes rather than vague goals such as “better communication.” Examples include resolving customer incidents, coordinating releases, sharing files with a project team, obtaining an approval, or keeping a searchable record of a decision. Each outcome should identify participants, information sensitivity, response-time expectations, and the systems involved.

Inventory your current environment

List your identity provider, email and calendar suite, document storage, meeting platform, ticketing system, developer tools, HR systems, security tools, and existing chat products. Record who administers each system and whether it is already covered by a contract. An apparently inexpensive chat service can become costly if it requires a second identity directory, duplicate meeting licenses, or custom integration work.

Google Chat is integrated with Google Workspace. Teams is included with many Microsoft 365 licenses, although the exact license, country, edition, and feature entitlements must be checked. Slack’s vendor material emphasizes integrations with third-party tools and a marketplace of more than 2,600 apps; that count is a Slack-published figure, not an independent audit. Confirm that the integrations you actually need are available for your plan and supported versions.

Separate mandatory controls from preferences

Create two lists. A mandatory requirement is a pass/fail gate: for example, single sign-on, a specific retention period, legal hold, mobile management, or a required data location. A preference affects scoring but should not eliminate a candidate by itself. This separation prevents attractive interface features from outweighing a control your organization legally or operationally needs.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Requirement area Questions to document Evidence to request
Identity and access Which identity provider, sign-in methods, multifactor rules, lifecycle automation, and privileged roles are required? Administrator documentation, license matrix, and a configuration demonstration.
Data governance How long must messages and files be retained? Are legal holds, exports, discovery, audit logs, or deletion rules required? Plan-specific retention and compliance documentation, including edition and region.
Collaboration Do teams need channels, spaces, threads, direct messages, file collaboration, approvals, or workflow automation? Product documentation and a scripted pilot task.
External users Will guests, federated users, shared channels, or anonymous links be allowed? Who controls history and membership? External-access policy documentation and a test with a real partner scenario.
Operations Who handles provisioning, moderation, incident response, support, and app approvals? Role and policy settings in an administrator test tenant.
Cost What is the required tier, user count, storage, add-ons, migration work, and support commitment? Written quote or contract terms for your geography and billing method.

2. Build a shortlist that fits your ecosystem

Shortlist two or three eligible plans, not merely two or three brand names. A free tier may lack the history, security, administration, or support controls that make the service viable. Conversely, a plan already covered by your productivity-suite agreement may have a lower incremental cost than a separate subscription.

Slack

Slack organizes work around channels and offers external collaboration through Slack Connect. Slack also promotes a large third-party app marketplace; its product material states that the marketplace contains more than 2,600 apps. Treat that number as a vendor claim and validate each critical integration, including its permissions, data handling, and plan requirements.

When accessed for this article, Slack’s pricing page displayed a Pro rate of $7.25 per user per month when billed annually. The same page described 90 days of searchable message history on the free plan. Both figures are time-sensitive, vendor-published US-dollar details, not universal or permanent prices. Recheck the current page, your currency, taxes, user-count discounts, and contract terms before purchasing.

Microsoft Teams

Teams is often evaluated alongside Microsoft 365 because many Microsoft 365 licenses include it. Inclusion does not mean every feature is included: verify the precise license and any separate requirements for advanced security, compliance, telephony, meeting capacity, or storage.

Microsoft documents controls for messaging policies, federation, guest access, private and shared channels, application management, governance, retention, archiving, and conditional access. These controls can be valuable where identity, device compliance, and document collaboration are already administered in Microsoft 365. Test the settings in the exact edition your organization owns rather than relying on a general feature list.

Google Chat

Google positions Chat as an organization service integrated with Workspace collaboration. Administrators can control service availability, history behavior, and retention-related settings; logs and investigation capabilities depend on the Workspace edition. Verify which edition supplies each control and whether it applies to direct messages, spaces, files, and external conversations.

Google’s documented behavior for certain external one-to-one conversations is especially important: the organization that starts the conversation determines the message-history policy. If your organization and a partner have different defaults, the resulting history may not match either user’s expectation. Include this case in a pilot and obtain a written policy decision before enabling external messaging broadly.

3. Compare candidates on the workflows people actually use

A feature checklist cannot predict adoption. Score every shortlisted plan against the same scripted tasks, using representative users from departments with different needs.

Message organization and retrieval

Test how a user creates a channel or space, starts a thread, mentions a colleague, edits or deletes a message, and finds a decision made weeks earlier. Search for exact words, a sender, a date range, and an attached file. Record whether results include direct messages, archived areas, external conversations, and deleted content under your retention policy. Search speed matters less than whether users can reliably distinguish an authoritative decision from informal discussion.

Files and integrations

Have a pilot team share a document, edit it concurrently, link a ticket, receive an automated alert, and revoke an integration. Confirm which system remains the source of truth and what permissions the chat app receives. An integration that can read every channel may violate least-privilege requirements even if it is convenient.

Meetings, notifications, and mobile use

Run a short meeting from a desktop browser, a managed phone, and an unmanaged phone if that situation is allowed. Check calendar scheduling, screen sharing, captions, recording, notification quiet hours, and the behavior of links opened outside the app. Ask participants to complete a day of normal work with notifications configured to their preference; excessive interruptions are an adoption problem, not a cosmetic issue.

External collaboration

Use an actual partner workflow: invite an external person, exchange a file, remove the person, and review what remains searchable. For Teams, distinguish federation, guest access, and shared channels because they have different membership and policy behavior. For Slack, test the exact Slack Connect arrangement and its administrative approval path. For Google Chat, test both an externally initiated and internally initiated one-to-one conversation so the history-policy difference is visible.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

4. Validate administration, security, and compliance before rollout

Security labels and marketing promises are not substitutes for checking the service, edition, configuration, and jurisdiction you will operate.

Identity and lifecycle

Verify single sign-on, multifactor enforcement, automated joiner-mover-leaver processes, session controls, and administrator role separation. Create a test employee, change the person’s department, suspend the account, and confirm how quickly access and group membership change. Check whether a departed user’s messages, files, and integrations remain available under your retention and ownership rules.

Policy and app management

Document who can create channels or spaces, invite guests, install applications, use webhooks, create public links, and change retention settings. Establish an approval workflow for applications and connectors. Teams documentation covers messaging policies, app controls, governance, private and shared channels, and conditional access; map each documented control to the administrator role that will operate it.

Retention, discovery, and audit

Ask for exact behavior by content type: direct messages, channel or space messages, files, recordings, reactions, and edits. Determine whether retention is a fixed period, a preservation rule, or a deletion schedule, and whether legal holds override ordinary deletion. Confirm export formats, audit-log fields, investigation tools, and the time required to retrieve records. Google documents edition-dependent retention, logs, and investigation functions, so record the Workspace edition in your requirements sheet.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Microsoft’s Teams security guide states, “No system can guarantee complete security.” Treat that statement as a reminder to evaluate configuration, endpoint security, identity protection, user training, and incident response alongside the product’s controls.

Data location and contractual terms

Confirm where customer content is stored, which subprocessors handle it, how support personnel can access it, and what happens at termination. Match those terms to your regulatory obligations and customer contracts. A compliance badge does not prove that your selected plan, region, or configuration satisfies a particular obligation.

5. Calculate total cost, not just the displayed subscription

Build a three-year model using the number of active users, occasional users, guests, administrators, and external collaborators. Include the required tier rather than comparing one vendor’s paid plan with another vendor’s free plan.

Cost component What to include
Licenses Required plan for each user type, annual versus monthly billing, taxes, currency conversion, minimum seats, and expected growth.
Existing entitlements Features already included in Microsoft 365, Google Workspace, or another contract, plus any limitations that require an upgrade.
Add-ons Advanced compliance, archiving, identity, meeting, storage, telephony, analytics, or premium support.
Implementation Directory integration, policy design, migration, custom connectors, testing, and documentation.
Operations Administrator time, moderation, help-desk volume, audits, incident response, and periodic access reviews.
Exit and contingency Export, archive conversion, contract termination, and the cost of retaining records if you change platforms.

Use the displayed Slack Pro figure of $7.25 per user per month billed annually only as a dated reference point from the accessed US pricing page, not as a quote. Likewise, treat the free-plan 90-day searchable-history limit as a plan detail that must be rechecked. Obtain written pricing for all shortlisted plans and document what happens when a user exceeds storage, history, guest, or application limits.

  1. Choose success criteria. Define measurable checks such as completing a hand-off, finding a prior decision, onboarding a user, removing access, exporting a record, and inviting a partner without violating policy.
  2. Prepare realistic data. Use sanitized but representative files, channel names, notification patterns, retention rules, and integrations. Do not test only a blank environment.
  3. Configure the candidate as production-like. Apply identity, multifactor, mobile, application, guest, retention, and conditional-access policies before asking users for feedback.
  4. Script common tasks. Require every candidate to support the same channel or space, direct-message, search, file-collaboration, meeting, mobile, and external-conversation scenarios.
  5. Measure administration. Time provisioning, policy changes, application approval, access removal, audit retrieval, and recovery from a mistaken deletion or invitation.
  6. Collect structured feedback. Ask what blocked the task, what workaround was used, how discoverable the feature was, and whether the participant would use it without training. Separate a product limitation from a configuration or training issue.
  7. Review evidence with stakeholders. Have security, legal, IT, records management, finance, and representative business owners review the same results and unresolved risks.
  8. Make a documented decision. Record which mandatory requirements passed, which preferences influenced the score, the total-cost assumptions, known exceptions, and the owner and date for each follow-up action.

7. Plan migration and adoption

Design information architecture before moving messages

Define naming conventions, channel or space ownership, archival rules, and boundaries between announcements, project work, support, and informal conversation. Migrating every historical message can preserve clutter and increase cost. Decide which records must be retained, which can be exported to an archive, and which are transient.

Stage integrations and permissions

Start with high-value, low-risk integrations. Use least privilege, document data flows, and assign an owner for each connector. Disable or remove unused applications after the pilot. Publish a process for requesting new apps so employees are not driven toward unsanctioned tools.

Train for behavior, not buttons

Teach when to use a channel or space instead of a direct message, how to title and summarize decisions, how to share sensitive files, and how to configure notifications. Provide short examples for mobile users and external conversations. Managers should model the behavior by recording decisions in the shared location rather than leaving them in private chats.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Operate after launch

Review guest accounts, inactive channels or spaces, application permissions, retention reports, and audit logs on a defined schedule. Track help-desk themes and failed searches during the first months. Update policies when the vendor changes features, editions, prices, or default behavior.

8. Use a decision matrix that makes trade-offs visible

Assign weights that reflect your organization, then score only evidence from documentation, a contract, or the pilot. A sample structure is:

Category Suggested questions Example weight
Suite and integration fit Does it work with the identity, files, calendars, meetings, and business systems already in use? 20%
Workflow usability Can representative users organize, search, share, meet, and work on mobile without unsafe workarounds? 20%
Administration and security Can administrators enforce access, application, device, and policy controls? 20%
Retention and audit Does the exact plan support required retention, discovery, export, logs, and investigation? 15%
External collaboration Can partners work under clear membership, history, and ownership rules? 10%
Total cost What is the three-year cost including entitlements, add-ons, labor, and exit? 10%
Migration and adoption How difficult is rollout, training, migration, and ongoing support? 5%

The weights are a starting point, not a universal formula. A regulated organization may increase governance and retention; a partner-heavy organization may increase external collaboration; a company already standardized on one productivity suite may give more weight to entitlement and integration fit. Keep mandatory requirements as gates even when a candidate’s weighted score is high.

Common selection mistakes and how to avoid them

  • Choosing on a headline price: compare the required tier, existing entitlements, add-ons, taxes, implementation, and support.
  • Assuming inclusion means parity: verify the exact Microsoft 365 or Workspace edition and every needed feature.
  • Treating a compliance label as proof: inspect retention, legal hold, audit, export, data location, and configuration behavior.
  • Ignoring external policy differences: test federation, guests, shared channels, Slack Connect, and Google external-history behavior with real partners.
  • Piloting only the interface: include provisioning, access removal, application approval, mobile controls, records retrieval, and incident procedures.
  • Migrating everything by default: classify records first and preserve only what policy or business need requires.
  • Allowing uncontrolled integrations: require approval, least privilege, ownership, and periodic review for every connector.
  • Declaring a winner without evidence: document unresolved requirements and choose the plan with the best demonstrated fit and sustainable cost.

What the final recommendation should contain

Your approval memo should name the selected plan and edition, eligible user populations, identity and device assumptions, retention and external-access configuration, integration owners, migration scope, three-year cost model, pilot results, exceptions, and review dates. State which features depend on geography, contract, or future configuration. This gives leadership a defensible decision and gives administrators a concrete launch checklist.
