Choose a security awareness training platform by starting with the behavior your staff need to learn—not with a vendor’s feature list. Decide which risks matter to your business, how employees should report suspicious messages, and what participation records you need. Then compare training and practice, reporting, measurement, administrative effort, integrations, privacy, support, and the full cost of operating the program.

A platform can help organize training and practice, but it does not replace email filtering, multifactor authentication (MFA), incident response, or other safeguards. For a very small team, free learning resources may be enough to get started; a paid service may be worthwhile when assignment, tracking, simulations, or reporting would otherwise take too much staff time.

How do I choose a security awareness training platform for a small business?

Use a simple sequence: define the outcomes, set your must-haves, compare providers against the same questions, and verify the commercial and privacy terms before you commit. The right choice depends less on the size of a vendor’s course library than on whether your team can deliver relevant training, make reporting suspicious messages easy, and review meaningful records without creating a new administrative burden.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Identify the risks and required actions. List the communication channels and situations your employees encounter, such as unexpected email attachments, requests to change payment details, or messages asking for credentials. Decide what you want staff to do when something seems suspicious.
  2. Set the operating requirements. Decide who will assign training, follow up on overdue work, receive employee reports, and maintain records. Note the email, identity, or user-management systems the service must work with.
  3. Separate must-haves from preferences. For example, easy employee reporting and completion records may be essential; a particular simulation library may be optional.
  4. Ask each provider the same questions. Use the comparison checklist below and request written answers on pricing, data handling, integrations, and support.
  5. Test the workflow before buying broadly. If a trial or demonstration is available, check the actual administrator and employee experience. Confirm current terms directly with the provider; advertised features and offers can change.
  6. Review the decision against your obligations. Your legal, regulatory, and contractual requirements depend on your industry, location, data, and agreements. A training platform alone does not establish compliance.

The Federal Trade Commission (FTC) advises businesses to train employees regularly, update training as risks and vulnerabilities change, and track participation. Its small-business cybersecurity guidance also recommends teaching staff how to avoid scams, considering simulations, and providing a way to report suspicious communications. NIST’s 2025 small-business phishing resource frames defense as technology, process, and people: it includes filtering and MFA alongside awareness training, an easy reporting mechanism, and meaningful metrics. Together, those recommendations support evaluating a platform as one component of a broader security program.

What should I look for in security awareness training software?

Evaluate the service against the work it must make easier. The following checklist focuses on practical capabilities rather than vendor-defined feature names.

Area Questions to ask Why it matters
Content and relevance Does the material address the risks, roles, communication channels, and work arrangements your staff actually have? Can employees use it in appropriate languages and formats? Training is more useful when examples and instructions apply to employees’ daily decisions.
Practice and feedback Can you run authorized, controlled simulations? Can employees receive follow-up learning that explains what to notice and what to do? Practice can reinforce a lesson, but a click by itself is not a complete measure of security awareness or breach risk.
Employee reporting Can staff report a suspicious message through a clear, low-friction route? Who receives the report, and what can administrators do with it? FTC guidance emphasizes giving employees a way to report suspicious communications. A lesson that tells people to report without an operational reporting path leaves an important gap.
Participation and records Can you assign learning, see who has completed it, follow up on overdue work, and export records? What do scores and other reported measures mean? FTC guidance recommends tracking participation; NIST includes meaningful metrics in its phishing-defense process model. Records help an administrator manage the program and answer internal questions.
Administration How are users added and removed? How are lessons assigned and reminders sent? How much time does it take to review results and reported messages? A capability that requires more attention than your team can sustain may not be useful in practice.
Integrations and support Does the service fit your email environment, identity or user directory, and reporting workflow? What support is available to your administrators? Check the actual integration and support terms for your environment rather than relying on a broad compatibility claim.
Privacy and security What employee and behavioral data are collected? Where is data stored, who can access it, and how long is it retained? How can data be deleted? What contractual terms apply? Training and simulation records can concern identifiable employees. The answers need to fit your business’s obligations and privacy practices.
Total cost What are the billing unit and period, seat minimums, onboarding fees, add-ons, renewal terms, and expected staff hours? A starting price or trial offer may not represent the cost for your team or the effort needed to operate the service.

Content should fit the work, not just the course catalog

Ask for a content outline and examples, then compare them with situations your employees are likely to face. Consider job differences: an employee who approves payments may need practice verifying a change request through a known channel, while another role may need clearer guidance on handling unexpected links or attachments. These are examples to help you define your own learning goals, not a claim that every business needs the same curriculum.

Check whether lessons are understandable and accessible to your workforce. If employees work in different languages, locations, or formats, ask what is actually available and whether administrators can assign the suitable version. Confirm whether content can be updated when risks change, and how you will know that the current assigned material addresses the topics you care about.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Look for practice that teaches the next action

A simulation is useful only when it is authorized, controlled, and followed by an appropriate response. Ask what happens when an employee interacts with a simulated message: does the service offer an explanation, a short refresher, or another learning action? Check whether the administrator can use more than a single click/no-click result to understand participation and reporting behavior.

Do not treat a simulation score as a universal measure of risk. A score is defined by the platform and by the activity being measured; a low click rate alone does not prove that a company is secure or that training prevented a breach. Evaluate how a vendor defines each measure, what the measure can and cannot tell you, and whether the results lead to a useful next step.

Make reporting part of the employee workflow

Before choosing a training service, map what an employee should do after spotting a suspicious communication. Identify the reporting channel, who reviews incoming reports, and how the business will handle a possible incident. Then determine whether the platform supports that workflow or whether you need a separate process or tool.

Test the route from the employee’s point of view: can staff find it quickly, do they know what information to provide, and can the responsible person review reports? A reporting button can be a useful feature, but its presence alone does not show that it connects to a staffed, understood response process. Make sure your written instructions and actual workflow agree.

Check the meaning and usefulness of reports

Completion records answer whether assigned work was finished; they do not, on their own, show whether employees can recognize or report a suspicious message. Ask to see sample administrator reports and an explanation of each metric. Check how records can be exported, who can access them, and whether the reporting period and definitions are clear.

Choose a small set of measures that match your objectives. For example, if the program aims to improve reporting, determine whether you can see reporting activity and how you will interpret it. Do not set a target based on a vendor’s score without understanding its calculation and limitations. NIST’s guidance supports meaningful metrics, not the assumption that one platform-defined number captures the company’s overall security.

How should a small business compare providers?

Use a consistent comparison sheet rather than relying on demonstrations or marketing language. Record what each provider confirms, what remains unclear, and when you verified the information. The table below can be copied into a buying worksheet.

Comparison item Record for each provider
Team and billing fit How the service charges; any minimum seats; billing period; whether the terms fit your expected user count.
Training library Relevant topics, employee roles, available languages and formats, and how content updates are handled.
Simulations and learning follow-up Available practice options, controls for running simulations, follow-up learning, and definitions of reported results.
Employee reporting workflow How employees submit suspicious messages, who receives them, and how the workflow fits your existing response process.
Records and exports Completion records, outcome reporting, export options, metric definitions, and administrator access.
Administration effort Setup steps, user provisioning, assignments, reminders, review duties, and estimated staff time.
Integrations Specific email, identity, directory, or reporting integrations confirmed for your environment.
Privacy and security terms Data collected, storage location, access controls, retention and deletion, and applicable contract terms.
Support Support channels, availability, scope, and who can use them under the offer being considered.
Total cost Recurring subscription, minimums, onboarding, add-ons, renewal conditions, and the internal time required to run the program.

For each answer, distinguish a documented commitment from a demonstration, a general sales statement, or an unanswered question. Write down the date and geographic market for any price or availability detail: terms can change, and a statement made for one region or plan may not apply to another.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Weigh fit and operating effort, not the feature count

Start by marking which requirements are essential. A small team might prioritize a simple way to assign training, reliable participation records, a reporting route, and a manageable workload. Another business may need additional language coverage or integration with an existing identity directory. Those priorities come from your operations and obligations, not from a universal ranking of features.

  • 【Plug and play】: This mouse and keyboard pad is powered by USB, plug and play, no driver required. One button control light modes. Press one time to change the lighting mode, press twice to change the brightness, press and hold about 3 seconds turn ON/OFF.

For any remaining options, compare the trade-offs. A broader catalog is not automatically better if staff cannot find relevant lessons. A simulation feature may add little if nobody owns follow-up or report handling. An integration is useful only if it works with your specific systems and reduces work or errors. If a provider cannot answer a material question about privacy, cost, or administration, treat that uncertainty as a decision factor rather than assuming the answer is favorable.

What does a security awareness platform cost?

There is no single defensible price for this category in the available provider information: offers, seat requirements, billing periods, and included features vary and may change. Compare current written quotes for your expected number of users and the same billing period, rather than extrapolating from an advertised starting price or assuming a trial reflects the eventual bill.

Calculate the operating cost using the same time horizon for each option:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Total program cost = subscription charges + onboarding and add-ons + internal administration time.

For internal time, estimate the recurring work to add or remove users, assign lessons, send reminders, handle reports, review results, and maintain records. Include staff time even if it does not appear on a vendor invoice. Ask whether onboarding, support, integrations, or particular reporting features are included or separately charged, and clarify renewal terms before signing.

A low subscription figure may be a poor fit if the team must build and maintain much of the process manually. Conversely, a paid service may be unnecessary when an organization can meet its immediate training goals with free learning material and a straightforward internal process. The decision should reflect the total work and outcomes needed, not only the monthly charge.

Are free or low-cost resources enough?

They can be a sensible starting point, especially for a very small organization that needs learning content but does not yet need a managed assignment, simulation, or evidence workflow. NIST’s NICE curated online-learning page lists Wizer Security Awareness Training as free and describes videos, quizzes, employee progress reports, and certificates. That is the listing’s description, not an independent evaluation; verify the provider’s current availability, terms, and included features before relying on it.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

CISA’s small-business resource listing includes printable cybersecurity essentials and online training on device data protection and password managers. Those resources may help an organization begin training or supplement other learning. A resource listing is not necessarily a substitute for the management functions a particular business requires, such as assigning courses, tracking completion across staff, running simulations, routing reports, or maintaining records in a particular format.

Before selecting a free resource, write down the jobs it will and will not perform. Decide who will distribute the material, how participation will be recorded, how employees will report suspicious communications, and what follow-up will happen. A free lesson without an ownership and reporting process may be less useful than its content suggests; it can still be valuable as one part of a managed program.

Which platform capabilities do current examples illustrate?

Provider pages show different ways services describe the category, but the claims below are vendor descriptions, not independent tests, security reviews, or endorsements. Feature availability and commercial terms should be confirmed directly for the plan, region, and date relevant to your purchase.

Provider example What its own materials describe What to verify
Fortinet FortiSAT Cloud Fortinet describes a SaaS security-awareness and phishing-simulation service with training modules, phishing simulations, a reporting button, user and group management, dashboards, and risk scoring. Confirm which features apply to the offer available to your business, how reporting connects to your response workflow, how scores are defined, and what the current commercial and data terms are.
HumanRisk Shield Its page describes training, phishing simulations, and policy acknowledgements for growing businesses and managed service providers. It displays an Essential price and a no-seat-minimum claim. Confirm current price, billing conditions, and the seat claim directly. Review the provider’s measurement method and privacy documentation; a vendor-defined score is not a universal standard.
PhishSkill Its U.S. product page advertises simulation, training, per-user monthly Starter pricing, no minimum commitment, and a 30-day trial. These are the provider’s own marketing statements, not an independent price comparison or proof of fit. Verify present availability, current terms, included features, and the total cost for your team.

These examples illustrate why the same checklist matters across services: reported capability names do not answer questions about your staff’s workflow, the exact plan, administration, data terms, or cost. No provider in this comparison has been independently tested or ranked here.

How do privacy, compliance, and other security controls affect the decision?

Training platforms may collect records linked to employees, including participation and simulation behavior. Before entering staff information, establish what the service collects, where it is stored, which people or subcontractors can access it, how long it is retained, and how it can be deleted. Check whether the contract covers the business’s requirements, and whether internal policies explain the use of training and simulation data to employees.

The FTC describes NIST Cybersecurity Framework 2.0 as free, voluntary, and flexible, and advises businesses to understand and document applicable legal, regulatory, and contractual requirements and assess supplier risks. Requirements vary with sector, location, contracts, and the data handled. A provider’s generic framework or regulation claim is not proof that a customer has satisfied its specific duties; ask the people responsible for your legal and security obligations to assess the actual requirements.

Keep platform selection within the broader defense plan. NIST’s 2025 phishing resource includes technology, process, and people measures, naming filtering and MFA alongside training, clear reporting, and meaningful metrics. Training can help employees recognize and respond to suspicious communications, while technical safeguards and a practiced response process address other parts of the problem. Do not treat a course subscription as a substitute for those controls.

How should you roll out and maintain the program?

Choose an owner before launch. That person need not be a full-time security specialist, but someone must be accountable for assigning learning, resolving overdue participation, keeping reporting instructions current, and reviewing the records the business needs.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Set a practical training schedule. FTC guidance recommends recurring training and updating it as risks and vulnerabilities change. Choose a cadence your team can sustain and a process for introducing timely updates when relevant risks shift.
  2. Assign learning to the right people. Use roles or groups when relevant content differs. Confirm that new employees can be added and departing employees removed without leaving inaccurate records or access.
  3. Explain what employees should do. Tell staff how to report a suspicious message, what information to include, and what not to do while awaiting a response. The platform’s instructions should match the business’s actual process.
  4. Track participation and follow up. Review completion records on a defined schedule. The FTC suggests considering access controls for employees who miss required training; if your business uses such a measure, establish who decides, what access is affected, and how employees can complete missed work.
  5. Review the program, not just the score. Check participation, questions employees raise, reporting workflow, and whether assigned lessons remain relevant. Treat platform metrics as inputs for decisions, not as proof that the business is secure.
  6. Update the process when conditions change. Revisit content, reporting instructions, user groups, and provider terms when the business changes systems, roles, contracts, or relevant risks.

Keep training proportionate to the team and the work. A short, relevant lesson paired with a clear action and a functioning reporting route is more operationally useful than a larger program whose assignments, metrics, and follow-up nobody owns.

Common selection mistakes to avoid

  • Buying for the longest feature list. Select for the requirements your business can explain and operate; extra capabilities do not automatically improve outcomes.
  • Counting simulation clicks as the whole result. A click rate is a platform-defined measure of a particular activity, not a universal predictor of breach risk. Include reporting, learning follow-up, and participation in the program review.
  • Assuming a reporting button equals incident response. Confirm who receives employee reports and what happens next.
  • Comparing only headline prices. Include minimum seats, billing period, onboarding, add-ons, renewal terms, and administrative labor.
  • Assuming a vendor claim establishes compliance. Assess the actual legal, regulatory, contractual, and data-handling requirements that apply to your business.
  • Ignoring employee data terms. Check collection, storage, access, retention, deletion, and contract provisions before uploading staff records.
  • Leaving ownership undefined. Without an accountable administrator and a response path, even useful training and reporting features can go unused.

Decision checklist

  • We know which employee behaviors and business risks the program should address.
  • Employees have a clear, tested way to report suspicious communications.
  • We can assign relevant content and track participation in a format we can use.
  • We understand the definitions and limits of the provider’s metrics.
  • We know who will administer the service and review reports.
  • We confirmed fit with our email, identity, and reporting workflows.
  • We reviewed employee-data handling, retention, deletion, access, and contractual terms.
  • We compared current total costs, including internal operating time, across the same user count and billing period.
  • We have considered free resources without assuming they provide all the management features we may need.
  • Training is part of a wider plan that includes technical safeguards and incident response.

If you cannot answer one of these questions, resolve it before treating a feature list, score, advertised price, or compliance claim as a reason to buy.
