The most reliable external drive is not a particular brand or capacity. It is a drive that fits your computer, has enough room for current files and retained versions, works with a backup routine you will actually run, and is only one part of a 3-2-1 backup plan. Choose the exact model by its published interface, operating-system support, power needs, warranty and enclosure design; then keep another copy offline or offsite and periodically prove that files can be restored.

What “reliable” means for a backup drive

Reliability has two separate parts. The hardware must remain readable, and your backup process must preserve usable copies. A well-reviewed drive can still fail, be dropped, become corrupted, be stolen or be encrypted by ransomware while connected to an infected computer. Conversely, an ordinary drive can be part of a resilient system when you keep multiple copies, disconnect one copy and test restorations.

For that reason, do not treat an external drive as the only home for important files. CISA’s guidance for home users and organizations uses the 3-2-1 rule: “Whatever backup options you choose, remember to follow the 3-2-1 rule of backups:3 – Keep 3 copies of any important file: 1 primary and 2 backups.” Its two other requirements are two different media types and one copy stored offsite. A local external drive can provide one backup copy, but it cannot satisfy the whole rule by itself.

1. Inventory what you need to protect

Measure the data, not the computer’s advertised storage

Start with the folders and applications that must be recoverable: documents, photos, videos, project files, mail archives, databases and configuration exports. Check their actual size in your operating system and include files currently stored on internal disks, memory cards and other removable media. A drive advertised as 2 TB will show less usable space after formatting, and the backup program may need additional working space.

There is no universal capacity multiplier established for every backup situation. Instead, compare your measured data with the exact drive’s usable capacity and the backup software’s version-retention behavior. If the software keeps daily, weekly or monthly versions, estimate how quickly those versions accumulate. If it creates a full image of the computer, include the operating system, applications and free space that the image format requires.

Allow for growth and recovery headroom

A drive that is almost full is difficult to use for versioned backups and leaves little room for a temporary replacement copy during recovery. Record your current total, your expected annual growth and the retention period you want. Recheck the estimate before buying rather than relying on a generic “twice your internal drive” rule. No such rule fits every file mix or retention policy.

2. Choose HDD, SSD or both

External hard disk drives

Hard disk drives generally make large capacities practical for a local archive and scheduled backups. Portable HDDs are commonly bus-powered, so a single USB cable can provide data and power; Western Digital describes this category as intended for backing up or carrying data. A desktop external HDD is a better physical fit when it will remain beside a computer and you want a higher-capacity stationary device, but check whether the exact model needs a separate power adapter.

Mechanical disks contain moving parts. Protect them from impacts while operating and from pressure or drops when stored. Their suitability depends on the enclosure, interface and internal mechanism in the specific product, not only on the category name.

External solid-state drives

CISA lists solid-state storage as a backup medium for home users. An external SSD has no spinning platters, which can make it convenient for frequent travel and quiet desk use. However, the evidence available here does not establish a universal speed or reliability advantage for every external SSD over every HDD. Compare the capacity, cost, connector, warranty and your workload instead of assuming that “SSD” guarantees longer life.

Use different media when the data matters

The 3-2-1 rule calls for two media types. One practical arrangement is an external HDD for routine local history plus an SSD, cloud repository or other offsite copy. The second medium should be genuinely independent enough to remain available if the first device fails or is lost. A second identical drive kept in the same bag does not provide much protection against theft, fire or a single accident.

3. Match the physical format to your routine

Portable drive

Choose a portable model when you will carry it between locations, connect it to a laptop or store it away after each backup. Bus power reduces cable clutter, but the computer’s port must supply the required power. Use the cable supplied with the drive where possible, and verify the connector on both ends before purchase. A portable enclosure is easier to move and easier to drop, so include a protective case and a consistent eject-and-store habit.

Desktop drive

Choose a desktop model when the drive will stay at a workstation, hold a large file history or serve several scheduled jobs. A mains adapter can provide steadier power than a laptop port, but it creates another failure point and makes the unit less convenient to relocate. Keep the adapter with the drive and label both ends of any proprietary cable.

Rotating or removable use

An offline copy is most useful when it is actually disconnected. A practical pattern is to connect the drive for a scheduled backup, allow the job to finish, verify it, safely eject the volume and store it separately. If your software requires the drive to remain connected for continuous versioning, designate a second drive for offline rotation so at least one recent copy is isolated from the computer.

4. Verify the connector, interface and operating-system support

Do not infer compatibility from a product family name. Read the exact model’s specification sheet for its connector, included cable, supported operating systems, file-system guidance and power requirements. USB-A and USB-C describe connector shapes, not identical performance; a USB-C plug can still operate at the speed of the drive and host port behind it. Check whether your computer has the required port or needs a reliable adapter.

Seagate’s Backup Plus Portable datasheet is an example of a product-specific claim: that line lists up to 5 TB and Windows/Mac compatibility. Those figures apply to that product line and configuration, not to every portable HDD. Western Digital likewise notes that top capacities, speeds and resistance features apply only to selected models. Treat every capacity, interface and durability statement as model-specific.

On a shared drive, confirm that the backup application can write to the chosen file system and preserve the metadata you care about. If the drive will move between Windows and macOS, check whether your software supports a cross-platform format or whether each computer needs its own volume. Reformatting erases existing data, so copy anything important elsewhere before changing the file system.

5. Compare models using evidence that matters

Use the same checklist for every candidate. Record the exact model number, advertised and usable capacity, interface, power arrangement, dimensions, included cable, supported systems, warranty term and any regional limitations. Check the current price per usable capacity, not only the headline price. A lower-cost drive that cannot hold your retention history may cost more after you add a second unit.

Criterion Questions to answer Why it affects a backup choice
Capacity How much data exists now? How fast will it grow? How many versions will be retained? Insufficient headroom causes failed or shortened backup histories.
Connection Which connector and interface does the computer support? Is the cable included? An otherwise suitable drive is useless if it cannot connect reliably.
Power Is it bus-powered, or does it require a wall adapter? Power determines portability and whether a laptop port can run the drive.
Operating systems Does the exact model and backup application support your Windows, macOS or other system? Compatibility includes software and file-system behavior, not just a plug.
Physical use Will it travel, remain on a desk or rotate between locations? Portability changes exposure to impact, loss and environmental damage.
Warranty What term, region, exclusions and service process apply to this model? A warranty is a replacement remedy, not a promise that data will be recovered.
Backup fit Can your software schedule jobs, retain versions, verify them and restore individual files? The best hardware is ineffective if the routine cannot meet your recovery needs.
Isolation Can you disconnect it after a job and keep another copy offsite? Offline and offsite copies reduce exposure to ransomware and local disasters.

6. Interpret failure-rate statistics carefully

Published fleet statistics can show that storage devices fail, but they cannot rank consumer external-drive models. Backblaze reported a 1.36% annualized failure rate for 2025 across 344,196 qualifying data-center hard drives in its 2026 report. That monitored and filtered population is not a retail sample of portable enclosures. It includes data-center drives operating in a managed environment, with the company’s stated inclusion criteria and methodology.

Use the figure as context for planning redundancy, not as the probability that your particular external drive will fail this year. The report does not establish a current head-to-head reliability ranking for consumer external drives, and it cannot predict an individual unit’s outcome. Give greater weight to the exact model’s specification, warranty, fit with your routine and your ability to maintain independent copies.

7. Build a repeatable 3-2-1 backup routine

Define the three copies

  1. Primary copy: the files you actively use on the computer or working storage.
  2. Local backup: the external drive that receives scheduled copies and versions.
  3. Independent backup: another drive, remote storage or other copy kept separately from the first two.

CISA’s rule also requires two media types and one offsite copy. For example, a local external HDD can hold versioned backups, while an SSD rotated to another location or a remote repository supplies the second medium and offsite location. The exact combination depends on your privacy, bandwidth, budget and restore-time requirements.

Set the schedule from acceptable data loss

Schedule backups as often as the files change and as much work as you can afford to recreate. Daily jobs may suit office documents; active creative projects may need more frequent versions; a rarely changed archive may need less. Configure retention deliberately so old versions do not consume all capacity. A schedule that runs only when remembered is not a dependable schedule, so use your operating system or backup application’s scheduler and enable completion notifications.

Verify and disconnect

  1. Connect the external drive and confirm that the computer identifies the intended volume.
  2. Run the scheduled backup and wait for the application to report completion, not merely that files were queued.
  3. Use the software’s verification or integrity-check option when available, and inspect a few expected folders.
  4. Safely eject the volume through the operating system.
  5. Store the disconnected drive in its designated secure location and update the offsite copy according to your rotation plan.

Separate, tested backups are especially important against ransomware. CISA describes an offline drive as a way to isolate a copy from network connections that ransomware might reach. Disconnecting does not protect a backup while a compromised computer is actively writing to it, which is why the verification and safe-eject steps belong in the routine.

  • The available storage capacity may vary.

8. Protect the drive when it is not in use

Western Digital’s storage guidance recommends keeping unused drives in a cool, dry place away from impacts, pressure and temperature extremes. Store a portable drive where it cannot be crushed in a bag, exposed to moisture or left in a hot vehicle. Keep the drive and its cable together, and label the drive with an inventory name rather than sensitive personal information.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Do not open a single-drive external enclosure to inspect or replace its internal mechanism unless the manufacturer explicitly permits it. Western Digital states that opening such an enclosure voids its warranty. If a drive begins clicking, disconnects repeatedly or becomes unusually slow, stop using it for further writes and work from another copy; continued operation can make recovery harder.

9. Test that restoration really works

A backup is only valuable if the files can be restored. CISA recommends testing backups. Begin with a small restore to a different folder and open the files in their normal applications. Then perform a larger test that reflects a realistic failure, such as restoring a project directory or rebuilding a replacement computer from an image. Record the steps, required passwords or encryption keys and the time required.

  • Check that file names, dates, permissions and folder structure survive the restore.
  • Open several file types, including the largest or most important ones.
  • Confirm that version history contains the dates you expect.
  • Test the offsite copy, not only the drive kept beside the computer.
  • Replace a cable or port and repeat the test if intermittent disconnects occur.

Run a restore test after changing backup software, file-system format, operating system or retention settings. A successful copy operation alone does not prove that an application can reconstruct your working data.

10. Common mistakes and fixes

Buying by capacity alone

Symptom: the drive fills quickly or older versions disappear. Fix: measure the protected data, include growth and version retention, and choose usable headroom based on the software’s behavior.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Keeping every copy connected

Symptom: ransomware or an accidental deletion reaches all backups. Fix: disconnect and safely eject a rotation drive after verification, and maintain a separate offsite copy.

Assuming a connector guarantees compatibility

Symptom: the drive is not detected, mounts read-only or cannot be used by the backup application. Fix: check the exact model’s cable, host port, operating-system support and file-system requirements before reformatting.

Using a warranty as a backup plan

Symptom: a failed drive can be replaced, but the data is gone. Fix: maintain independent copies and test restores; a warranty generally addresses the hardware, not data recovery.

Treating a fleet statistic as a product guarantee

Symptom: a data-center failure percentage is used to declare one consumer model safest. Fix: use fleet data only as broad context and compare the exact product’s specifications, warranty and fit.

Frequently asked questions

Is an external SSD automatically more reliable than an external HDD?

No universal advantage is established here. An SSD may suit travel and quiet operation, while an HDD can offer practical high capacity. Choose using the exact model’s specifications, warranty, cost and your backup routine, then protect both with independent copies.

How much larger should the backup drive be than my files?

No single multiplier applies to every workload. Measure the data, account for future growth and check how your software stores full and incremental versions. Buy enough usable headroom for the retention period you actually plan to keep.

Can one external drive satisfy the 3-2-1 rule?

No. It can provide one backup copy. The rule also calls for three total copies, two media types and one offsite copy, so add independent storage and a separate location.

Does a manufacturer warranty mean my files are protected?

No. A warranty may replace a defective device under its terms, but it does not restore lost files. Keep multiple copies and test that they restore correctly.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Should I leave the backup drive plugged in all the time?

That depends on whether you need continuous versioning, but an offline copy is less exposed to ransomware that can reach network-connected or currently attached storage. For a scheduled routine, connect the drive, verify the job, safely eject it and store it separately; keep another copy available for recovery.
