For most communities, start on matrix.org if you need the quickest, lowest-maintenance entry point. Choose managed hosting when you want a community-owned domain and dedicated administration without running servers. Self-host when you have people who can consistently handle security, backups, monitoring, upgrades, and incident recovery. The right choice is an operations and governance decision—not simply a software preference.
A Matrix homeserver hosts accounts and gives them a domain-based identity such as @username:example.com. Homeservers federate, so members on different servers can communicate. That federation also means room events and media can be copied to every participating homeserver. Selecting a server does not, by itself, guarantee exclusive data residence or end-to-end encryption.
What a homeserver controls
A homeserver is the service that stores Matrix accounts, authenticates users, serves clients, and communicates with other homeservers through Matrix APIs. Its domain becomes part of every account ID and can also be used for room aliases. Changing homeservers therefore affects identity, administration, support responsibility, and where the service operator stores account and room data.
Federation distributes control—and can distribute data
Matrix federation lets users on separate homeservers join the same room. When a homeserver participates in a room, it keeps a local copy of room events and synchronizes with other participating servers. Messages, usernames, display names, and files can consequently be shared with connected services and replicated across participating homeservers. Depending on room settings, people who join later may receive earlier room history.

Decentralization means no single homeserver has to host every Matrix user. It does not mean that a room’s data stays only on the server where it was created. Ask which homeservers will participate in important rooms, what retention controls exist, and whether bridges or integrations create additional copies.
Federation is different from end-to-end encryption
End-to-end encryption is performed by users’ devices: devices encrypt and decrypt message content. Federation describes which servers store and exchange room events. An encrypted room can still have encrypted events stored on several homeservers, while server operators may still see account metadata, membership information, traffic details, and unencrypted content in rooms that are not end-to-end encrypted. Choose a homeserver for its operational and jurisdictional properties; do not treat the choice as a substitute for enabling encryption and managing device verification.
The three practical routes
| Route | Best fit | What you must resolve |
|---|---|---|
| matrix.org | A community that wants to start quickly without operating infrastructure. | Current account and attachment limits, terms, privacy policy, domain branding, support expectations, and whether the Foundation’s service fits your data-handling requirements. |
| Managed Matrix hosting | A community that wants its own domain or dedicated resources while outsourcing much of the operation. | Who performs updates, backups, restores, incident response, bridge administration, and migration; where data is stored; what federation policies apply; and what happens if the provider closes. |
| Self-hosting | A community with an administrator or technical partner that needs direct control of deployment and policy. | Security patching, monitoring, abuse handling, domain renewal, backup and restore testing, federation, bridges, capacity planning, and succession when the current administrator leaves. |
When matrix.org is the sensible starting point
The Matrix.org Foundation describes its service as an easy way to try Matrix without requiring a community to run its own server. It removes the initial work of selecting software, provisioning infrastructure, configuring federation, and maintaining a database. That makes it suitable for a volunteer group testing whether Matrix meets its communication needs.
Advantages
- No server deployment or routine patching for your organizers.
- A known public homeserver that can communicate with the wider Matrix network.
- A fast path for inviting members and creating rooms and Spaces.
- No need to design a backup, monitoring, or disaster-recovery system before starting.
Questions to answer first
- Can the service’s matrix.org account domain represent your community, or do you require IDs on your own domain?
- Do current attachment and data-use limits fit your expected media traffic?
- Are the Foundation’s current terms and privacy policy acceptable for your jurisdiction and membership?
- Who controls the initial administrator accounts, recovery methods, and room power levels?
Current service limits are changeable
The Foundation’s current pricing page, accessed in 2026, lists a maximum attachment size of 10 MB on the free plan and 100 MB on the premium plan. It lists free-plan attachment and data use of 100 MB per 24 hours, up to 500 MB per 28 days, and premium-plan use of 1 GB per 24 hours, up to 5 GB per 28 days. The page also describes an unallocated-account fair-use limit of 500 MB per 24 hours, up to 2 GB per 28 days.
These limits are listed as subject to review and the page says plan details are not finalized. Verify the live limits immediately before committing to a media-heavy community. The Foundation’s Homeserver Terms show an effective date of 14 August 2025 for existing users; those terms apply to the Foundation’s service, not to every Matrix homeserver.

When managed hosting is the better compromise
Managed hosting gives your community a homeserver operated by a provider. You can often use a community-controlled domain, obtain dedicated or reserved resources, and receive operational support without recruiting a full-time administrator. The Foundation’s hosting directory is an informational list: it states that the Foundation does not endorse listed providers or warrant their services.
What managed hosting can provide
- Provisioning and upgrades for the chosen homeserver software.
- Infrastructure monitoring and an escalation path for incidents.
- Configured databases, media storage, TLS certificates, and federation settings.
- Optional bridges, custom development, on-premises support, or scalable deployments, depending on the contract.
- A domain-based identity that remains useful if the community changes operators, provided the domain itself stays under your control.
Examples in the Foundation directory
The directory describes services from Communick, fairkom, Ungleich.ch, etke.cc, Ossrox, Federated Computer, IndieHosters, Datanauten, and Hostsharing eG, among others. These are examples of service models, not rankings or recommendations. Features, locations, prices, and support commitments can change, so obtain written terms from each candidate.

- Legal entity and location: Which company contracts with you, and in which countries are the homeserver, database, media, backups, and support staff located?
- Data lifecycle: How long are account records, media, logs, and deleted-room data retained? How are deletion requests handled?
- Backups: How often are backups made, how long are they retained, are they encrypted, and when was the last restore test?
- Incidents: What is the support channel, response target, maintenance policy, and notification process for outages or security events?
- Federation: Are there restrictions on federating with particular servers, room versions, or large public rooms?
- Bridges and integrations: Who owns and maintains bridges, bot credentials, webhooks, and third-party accounts?
- Portability: Can you export account or media data, move the domain, and receive usable backups if you leave?
- Business continuity: What notice and assistance are provided if the provider discontinues the service?
A low monthly price is not useful if restoring your rooms, changing DNS, or recovering administrator access is impossible. Treat portability and recovery as contract requirements rather than assurances made on a sales page.
When self-hosting is justified
Self-hosting places the community or its technical partner in charge of the software and infrastructure. It can provide the greatest independence over account policy, data location, federation rules, retention, bridges, and upgrades. It also makes your team responsible for every failure mode.
Operational responsibilities
- Apply homeserver, operating-system, database, and dependency security updates.
- Protect signing keys, administrator credentials, registration tokens, and bridge secrets.
- Monitor disk space, database health, federation queues, media storage, and certificate expiry.
- Run encrypted backups and perform documented restore drills, not just backup jobs.
- Handle spam, abuse reports, moderation escalations, and federation reputation.
- Renew and secure the domain used for account IDs and room aliases.
- Maintain bridges and integrations, including their external service credentials.
- Document who can take over when the original administrator is unavailable.
Software and deployment choices
The Foundation’s live server directory lists Synapse as stable and shows other implementations at different maturity levels, including stable options such as Continuwuity and projects marked beta or with other statuses. A maturity label is only a starting point. Check room-version support, federation behavior, administration tools, documentation, backup compatibility, bridge support, release cadence, and whether the project fits your workload.

The official distributions directory lists deployment approaches including Ansible, Docker, and Kubernetes. It also describes Syncloud as a self-hosting platform that can run applications on a user’s own device and bundle a Matrix homeserver, client, database, and bridges. These options show that self-hosting can be packaged for different skill levels; they do not establish a universal hardware specification. Size storage and compute from expected users, concurrent activity, media volume, retention, and bridge traffic, then test under your own conditions.

Control, jurisdiction, and privacy questions
Before choosing a route, write down which control you actually need. A community may care about several different controls:
- Identity control: owning the domain in IDs such as
@name:community.exampleand room aliases. - Operational control: deciding when to patch, how to configure registration, and which servers to federate with.
- Data control: selecting storage and backup jurisdictions and defining retention and deletion.
- Governance control: ensuring multiple trusted people can administer rooms and Spaces.
- Integration control: managing bridges, bots, moderation tools, and external credentials.
No homeserver can control copies held by other participating homeservers. A room’s federation footprint depends on its members and configuration. Encryption can reduce who can read message content, but it does not eliminate replicated event storage or all metadata. Ask providers specifically what they can see and retain for encrypted and unencrypted rooms.
Plan room governance before you invite members
Room power levels determine who can change settings, invite users, remove users, and perform other administrative actions. Treat the initial administrator account as a governance role, not as a personal account that can be abandoned.
Minimum succession plan
- Create at least two trusted administrator accounts with independent recovery methods.
- Record which rooms and Spaces require shared administration and document their current power levels.
- Store recovery keys and emergency procedures in a protected location accessible to the organization, not only one volunteer.
- Review administrator access when people leave the organizing team.
- Test that a second administrator can perform essential actions before an emergency occurs.
Power level 100 is effectively shared room ownership. The official switching guidance cautions that co-owners cannot unilaterally take back what has been shared, so grant that level deliberately and document the decision.

Can you move a Matrix community later?
You can move room and Space administration to an account on another homeserver. The official switching procedure is:
- Create an account on the destination homeserver, ideally using a domain controlled by the community.
- Join every room and Space that must remain under the community’s administration.
- Promote the destination account to power level 100 in each room and Space.
- Verify that the new account can change settings and manage members.
- Demote or remove the previous administrator account where appropriate, while retaining a documented emergency path.
This is an administration transfer, not a guaranteed full account migration. The procedure does not promise automatic movement of message history, media, third-party identities, bridges, device keys, or client settings. Federation means existing room data may remain on other participating homeservers. Ask the destination provider or technical partner for a written migration plan covering exports, imports, media, aliases, encrypted-device recovery, and downtime.
A decision process for your organizing team
Step 1: Define the community’s non-negotiables
- Must IDs and room aliases use your own domain?
- Do legal or contractual rules require a particular country or data processor?
- Will members exchange large files or mostly text?
- Are bridges to other networks essential?
- How quickly must someone respond to an outage?
- Can a named person patch and restore the service outside event hours?
Step 2: Estimate operational capacity honestly
If no one can commit to security updates, monitoring, backups, and recovery drills, exclude self-hosting even if sovereignty is attractive. If volunteers can operate software but not infrastructure, compare managed hosting with a support contract. If the community only needs a low-friction trial, matrix.org is usually the simplest starting point.
Step 3: Separate must-have control from nice-to-have control
Owning a domain does not require owning a server: managed hosting can provide both domain-based identity and outsourced operation. Conversely, self-hosting does not prevent federation copies on remote servers. This distinction prevents paying for infrastructure that does not solve the actual concern.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Step 4: Test the exit path before signing up
Ask how you would change providers, move DNS, preserve room aliases, recover encrypted devices, and obtain backups. If the answer is unclear, the service creates avoidable dependency regardless of its advertised features.
Step 5: Run a small pilot
Create representative rooms, test invitations from another homeserver, upload the largest files you expect, verify moderation and bridges, inspect administrator recovery, and perform a restore or migration exercise where the operator allows it. A pilot reveals operational gaps that feature lists do not.
Quick Recap
Quick selection guide
| Your situation | Likely route | Reason |
|---|---|---|
| You are evaluating Matrix, have limited technical help, and can use matrix.org identities. | matrix.org | Fastest start with the least infrastructure work; verify current limits and terms first. |
| You need your own domain, predictable support, and a dedicated service but do not want on-call operations. | Managed hosting | Outsources routine operation while preserving more branding and contractual control. |
| You have named administrators, a technical partner, and requirements for deployment or jurisdictional control. | Self-hosting | Provides direct control, with full responsibility for maintenance and recovery. |
| You are unsure whether the community will last or who will administer it next year. | Start simply, document governance | A small matrix.org or managed deployment can be transferred later, but only if power levels, domain ownership, and recovery access are planned from the beginning. |
Final checklist before launch
- Document the homeserver operator, legal entity, and data jurisdictions.
- Confirm current attachment, fair-use, and retention limits in writing.
- Verify whether federation, room versions, and required bridges are supported.
