The right data center provider is the one that can run your workloads, in a named facility, under written service and security commitments that fit your risk, geography, growth plan and budget. Start by deciding whether you need colocation, cloud, managed hosting or a hybrid. Then document workload requirements, shortlist specific sites, send every candidate the same RFP, verify evidence and compare like-for-like total cost.
Do not choose from a provider’s corporate marketing page alone. Power, cooling, network routes, certifications, staffing, deployment lead times and failover options can differ substantially between facilities owned by the same company.
Decide which operating model fits the workload
“Data center provider” can describe several very different contracts. The first decision is who owns the hardware and who operates each layer of the service.
| Model | What you consume | Typical responsibilities to clarify | Best fit |
|---|---|---|---|
| Colocation | Space, power, cooling, physical security and connectivity for equipment you own | You usually manage servers, operating systems, applications and much of the security; the facility manages building systems and agreed on-site services | Organizations that need hardware control, predictable physical placement or specialized equipment without building a facility |
| Cloud infrastructure | Virtual or physical compute, storage and network capacity on demand | Provider manages the underlying facility and hardware; you remain responsible for configuration, identities, data, applications and the security controls assigned to you | Variable demand, rapid provisioning, distributed applications or teams that do not want to buy hardware |
| Managed hosting | Dedicated or virtual infrastructure plus operational administration | Define exactly which patching, monitoring, backup, incident response and compliance tasks are included, and which remain yours | Teams that need a provider to operate more of the stack |
| Hybrid | A planned combination of two or more models | Document integration, identity, data movement, monitoring, failover and ownership at every boundary | Workloads with different latency, control, resilience or regulatory needs |
Cloud services let an organization consume computing resources without owning physical hardware. Colocation houses customer-owned infrastructure in a provider facility. Managed services transfer some operational work to the provider. A hybrid design can combine these approaches, but it also creates integration and responsibility boundaries that must be written down.

Build a responsibility matrix
For every shortlisted offer, assign an owner for hardware replacement, firmware, operating-system patches, application patches, backups, encryption keys, physical access, network controls, vulnerability management, incident notification, recovery testing and evidence production. If a sales proposal uses a phrase such as “fully managed,” ask which tasks, hours, response targets and exclusions that phrase actually covers.
Translate the workload into measurable requirements
Before contacting providers, create a requirements sheet covering current demand and a forecast horizon (commonly three to five years, or the period that matches your capital and contract planning). Avoid vague requirements such as “high performance” or “secure.” State measurable thresholds and the consequence of missing each one.
Performance and capacity
- Compute architecture, processor features, memory, storage media, IOPS or throughput and equipment dimensions.
- Number of racks, usable rack units, average and peak power per rack, voltage and connector types.
- Thermal output and cooling method, including any liquid-cooling or unusually high-density requirement.
- Current capacity, peak capacity and the date by which additional racks, power or cooling will be needed.
- Equipment compatibility rules, loading limits, delivery path and installation constraints.
Availability and recovery
- Required service availability and which components are covered: facility power, cooling, cross-connects, internet transit, managed systems or the application itself.
- Recovery time objective (RTO), recovery point objective (RPO), maximum tolerable data loss and acceptable manual workarounds.
- Whether production and recovery sites must be in different utility, seismic, flood or other hazard zones.
- How often backups, failover and full recovery exercises must be performed, and what evidence you will receive.
Geography and data location
List countries, states or provinces where data may be stored, processed and backed up. Note latency targets for users, branch offices, factories and dependent services. Legal requirements depend on your industry and the jurisdictions involved; a provider cannot determine them without that context. Ask where each copy, replica, log and support-access session occurs, not merely where the company is headquartered.

Name the regulations, contractual obligations and customer audits that apply to the workload. Then specify the control evidence you need: physical entry controls, visitor records, camera retention, cage or suite options, network segmentation, DDoS protection, vulnerability handling, incident response, privileged-access controls and secure media destruction. A certificate or audit report is meaningful only when its scope identifies the relevant facility, legal entity, service and period.
Network and integration
- Required bandwidth, burst behavior, latency and jitter between users, sites and major dependencies.
- Carrier choices, physically diverse entrances, redundant network paths and routing options.
- Private connections or cloud on-ramps, cross-connect lead times and recurring charges.
- Addressing, firewall, DDoS and monitoring responsibilities on both sides of the handoff.
People and operating hours
Specify support coverage, local staffing, remote-hands tasks, dispatch authorization, escalation levels and target response times. A 24/7 help desk is not the same as 24/7 engineering staff at the facility. State the skills required during a power, network or hardware incident and whether named contacts are available to your team.

Evaluate a named facility, not a provider’s brand
Ask for a facility-specific specification sheet and written answers. Within one provider portfolio, sites can differ in available power, rack density, cooling, carriers, certifications, deployment time and recovery design.
Power, cooling and physical resilience
- Utility feeds, generator capacity, fuel arrangements, UPS topology, maintenance windows and test records.
- Available power per rack, usable capacity today and expansion lead time.
- Cooling redundancy, temperature and humidity ranges, monitoring and high-density options.
- Building access, loading procedures, fire suppression, water-leak detection and equipment compatibility.
- Exposure to relevant hazards such as flood, wildfire, storm, seismic activity, neighboring industrial risks or prolonged utility interruption.
Ask what “redundant” means in practice: separate equipment, separate rooms, separate power paths, separate fuel systems or only a spare component. Request diagrams or an engineering briefing when the distinction affects your recovery design.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteConnectivity at that site
Obtain the actual carrier list, entrance diversity, meet-me-room design, cross-connect pricing and standard installation interval. Confirm whether two circuits use genuinely separate paths and whether a single construction event, room or provider can still disconnect both. For cloud on-ramps, ask which locations and service types are available and what happens during a provider-side maintenance event.
Test reliability claims with evidence and contract language
A reliability target is useful only when the provider can measure it, exclude defined events transparently and provide a remedy when it misses the target. Request:
- Historical uptime and incident summaries for the specific site and service, including duration, cause and customer impact.
- Design and operating procedures for power, cooling, network and security-system failover.
- Planned-maintenance notice periods, maintenance windows and emergency-change practices.
- Incident communication channels, update intervals, post-incident reports and escalation contacts.
- SLA measurement points, reporting method, exclusions, service-credit formula, claim deadline and any cap on remedies.
- Recovery arrangements, secondary sites, backup custody and evidence from completed failover or recovery tests.
Telstra’s due-diligence checklist, for example, asks buyers to examine historic uptime, failover, operational stability and experience with critical incidents. Use those questions as prompts, but require answers for the facility and service you will actually buy.

Microsoft Service Assurance says, “Critical datacenter facilities use multiple layers of redundant systems to sustain faults and minimize service disruptions.” That statement describes Microsoft’s own facilities and operations; it is not an industry-wide guarantee. Likewise, a 99.99% SLA advertised by Hut 8 for named Canadian sites is an operator claim for those facilities, not a universal data-center benchmark. Verify the current SLA text and its scope before relying on either figure.

Separate physical, network, platform and operational controls. Ask who performs each control, how often it is tested and what evidence you receive.
Physical controls
- Identity verification, badges, multifactor entry, mantraps, visitor approval and escort rules.
- Camera coverage and retention, access-log retention and the process for retrieving records.
- Private cages, cabinets or suites; lock ownership; emergency access; and dual-control requirements.
- Receiving, chain of custody, storage and destruction of drives and other media.
- Background screening, training and access termination for staff and contractors.
Cyber and operational controls
- Network segmentation, firewall administration, DDoS protection, out-of-band access and vulnerability management.
- Privileged-access approval, logging, monitoring, alert triage and incident-response ownership.
- Backup encryption, key custody, retention, deletion and restoration testing.
- Notification timing, forensic cooperation, evidence preservation and customer communication after an incident.
Read assurance reports precisely
For every certification, attestation or audit report, confirm the legal entity, facility address, covered service, control period and exceptions. A report for a cloud platform may not cover a colocation suite; a report for one country may not cover support staff or backup sites elsewhere. Map each required control to the document and note any customer responsibility.
Compare support and operational fit
Operational quality often determines whether a technically suitable facility works for your team.
Questions to ask
- How quickly can a ticket reach an engineer with authority to act?
- Is support staffed locally at all hours, or is overnight work dispatched from another region?
- What remote-hands tasks are included, billed hourly or excluded?
- How are maintenance notices delivered, acknowledged and coordinated with your change calendar?
- Who can authorize emergency access, circuit changes, equipment disposal or vendor entry?
- Can the provider supply named escalation contacts and a quarterly service review?
Tour the facility when practical and meet operations staff. Ask them to walk through a recent incident, a planned maintenance event, visitor handling and an escalation from your team. A tour cannot prove every control, but evasive answers, unavailable procedures or a large gap between sales and operations are warning signs.

Calculate the total cost of the same configuration
Request an itemized quote for an identical service configuration from every candidate. Separate one-time, recurring, usage-based and exit costs.
| Cost category | Items to include |
|---|---|
| Facility and power | Rack or cabinet, reserved and metered power, demand charges, cooling or high-density premiums, installation and deposits |
| Network | Internet transit, ports, cross-connect installation and recurring fees, private links, cloud on-ramps, DDoS services and IP addresses |
| Operations | Remote hands, monitoring, managed systems, backup, security services, support tiers and on-site escort charges |
| Usage and overages | Bandwidth transfer, power above commitment, storage, API or transaction fees, emergency work and after-hours rates |
| Contract and lifecycle | Term discounts, annual increases, minimum commits, migration, de-installation, equipment storage, shipping, data extraction and early termination |
For cloud options, model compute, storage, snapshots, requests, data transfer and support at your measured usage and at forecast peaks. For colocation, include the labor and travel your team will need. A lower monthly rack price can be offset by expensive cross-connects, constrained power expansion or paid incident work.
Run a disciplined RFP
- Inventory workloads. Record applications, dependencies, data classes, users, latency, capacity, rack power and density, availability, RTO, RPO, compliance, staffing and budget. Add a forecast and the assumptions behind it.
- Choose the models to compare. Decide whether owned facility, colocation, cloud, managed hosting or hybrid designs can meet the requirements. Draw responsibility and integration boundaries before requesting prices.
- Shortlist suitable geographies and sites. Check residency, latency, hazard exposure, utility diversity and the separation between primary and recovery locations.
- Send identical written questions. Request site-level power, cooling, connectivity, security, assurance documents, SLA text, recovery evidence, deployment lead time and an itemized quote. Consistent questions make answers comparable.
- Verify evidence. Review reports and certificates for scope; ask for incident history, maintenance records, test summaries and current capacity. Mark claims that remain unverified.
- Tour and interview. Meet operations personnel, inspect access and loading procedures where permitted, and test the escalation path with a realistic scenario.
- Score and normalize. Convert each quote to the same capacity, term, support level, resilience and network configuration. Record assumptions and price exclusions rather than averaging incomparable totals.
- Negotiate the contract. Put scope, SLA measurement, remedies, security obligations, data location, notice periods, audit rights, price changes, assistance during migration and exit duties in writing.
- Reassess before signature and at review points. Confirm that capacity, certifications, staffing, pricing and recovery arrangements are still current.
Use a weighted scorecard instead of a popularity ranking
Set weights with the business owners who bear the risk. A regulated payment workload may weight evidence and recovery more heavily than a development environment; a latency-sensitive factory may weight geography and network paths above contract length. Score every candidate against the same definitions and require evidence for a high score.
| Evaluation axis | Evidence to score |
|---|---|
| Workload and service-model fit | Supported equipment or services, responsibility matrix, performance limits and integration effort |
| Geography and residency | Storage, processing, backup and support locations; latency and hazard profile |
| Availability and SLA | Historical incidents, redundancy, measurement, exclusions and remedies |
| Recovery and multi-site design | RTO/RPO support, site separation, failover capability and test evidence |
| Security and compliance | Physical controls, cyber controls, report scope, incident process and media destruction |
| Capacity and growth | Power per rack, cooling, available inventory, expansion lead time and density limits |
| Connectivity | Carriers, diverse paths, cloud on-ramps, latency, cross-connects and redundancy |
| Support and operations | Staffing, response targets, remote hands, escalation and maintenance coordination |
| Total cost | Equivalent configuration, usage charges, increases, migration, overages and exit |
| Provider stability | Financial backing, operational maturity, staffing continuity and tenant concentration risk |
| Sustainability and governance | Energy and cooling practices, reporting, environmental exposure and governance relevant to your policy |
Iron Mountain’s 2026 guidance includes financial backing and tenant concentration among diligence topics, alongside sustainability, services, security, compliance, location, scalability and connectivity. Those dimensions help expose risks that a monthly price comparison misses.

Choosing a brand instead of a site
A broad portfolio claim does not establish that your required carriers, power density, certification or deployment date exist at the selected address. Make the site and service schedule part of the contract.

Treating an SLA as a reliability guarantee
An SLA may exclude maintenance, customer equipment, upstream carriers, force majeure or events outside a defined measurement point. Read the exclusions and remedies; request operational history and test evidence separately.
Assuming certification covers everything
Certificates and reports have boundaries. Match the scope to your legal entity, facility, service and data flow, then document controls that remain your responsibility.
Underestimating expansion and exit
Ask how quickly additional power, racks, ports and cross-connects can be delivered, what happens when capacity is unavailable, and how equipment, data and credentials are returned at termination.
Comparing unlike prices
Normalize power commitment, network routes, support hours, resilience, term, overages and migration labor before declaring one quote cheaper.
When to revisit the decision
Re-evaluate the provider when workload volume, user geography, regulatory scope, recovery objectives, hardware density or business direction changes. Also revisit after a major incident, ownership change, facility expansion, certification lapse, repeated SLA miss or material price increase. Keep the requirements sheet, scorecard, evidence register and responsibility matrix under change control so a future renewal is an informed decision rather than a fresh sales exercise.
