Track a GST registration after its Application Reference Number (ARN) is generated by opening Services > Registration > Track Application Status on the official GST Portal. Enter the requested application details to see whether it is approved, rejected, pending for processing, pending for clarification, or awaiting an order. If you receive a REG-03 clarification notice, submit a complete REG-04 reply electronically within seven working days; do not file a second application simply because the first one is still pending.
Check your GST registration status online
The ARN is the key reference for a submitted GST registration application. The GST Portal registration manual explains the tracking process and status colours in its registration guide. Menu wording can change slightly as the portal is updated, but the tracking function remains under Registration services.
- Go to the official GST Portal and sign in if the portal requests authentication.
- Open Services > Registration > Track Application Status.
- Select the application type and enter the ARN or other details requested on screen.
- Complete the captcha and submit the search.
- Record the displayed status, ARN, date, and any notice or order number. Save a PDF or screenshot for your records.
The portal uses colour coding to make the result easier to read: green indicates an approved application, red indicates a rejected application, and orange indicates a pending-for-processing or pending-for-order state. A colour is only a status indicator; open the application details to find the action and deadline that apply to your case.

Pending for Processing
“Pending for Processing” means the application was successfully filed and the decision is still pending with the concerned tax official. It does not, by itself, mean the application is defective or that you should submit another one. Check the submission date, risk or verification indicators shown in the record, and whether a clarification notice has been issued.

Pending for Clarification
This status means a REG-03 notice has been issued. The officer has identified a question or document issue and is waiting for your electronic response. Open the notice immediately, read every point, and use the portal response function to file REG-04 within seven working days of receiving REG-03.
Clarification filed and pending for order
After REG-04 is submitted, the application can show that the clarification has been filed and an order is pending. Keep the acknowledgement and monitor the ARN. If the applicable seven-working-day period passes without action, use the escalation route described below rather than opening a duplicate application.
Approved or rejected
An approved application produces the registration outcome and related certificate or order in the portal. A rejected application should be read together with the written reasons in the order. If the result is unexpected, obtain advice on the available remedy and the relevant time limit; a new application is not automatically the correct response.

Processing timelines: seven working days versus 30 days
CBIC Instruction No. 03/2025-GST, issued on 17 April 2025, sets processing instructions rather than an unconditional guarantee that every application will finish by a particular calendar date. The applicable track depends on completeness, risk flags, Aadhaar authentication, clarification, and physical verification.

“Working days” are not the same as calendar days. GST Portal guidance defines them as days excluding weekends and gazetted holidays. Count from the relevant submission or receipt date using the holiday calendar applicable to the office handling the application. The seven- and 30-day figures are procedural periods set by the instruction, not statistics about average processing time or a promise of approval.
Respond to a REG-03 clarification notice correctly
A clarification notice is a request for a specific explanation or evidence. The response must be filed electronically in REG-04; a telephone conversation or an email outside the portal does not replace the required filing.
- Open the notice. From the ARN record, view REG-03 and note its issue date, receipt date, response deadline, and each ground listed by the officer.
- Make a point-by-point checklist. Copy each question into your working notes and identify the document or explanation that answers it. Do not upload unrelated files simply to make the submission larger.
- Correct inconsistencies. Compare names, addresses, dates, ownership details, and constitution information across the application and every attachment.
- Prepare readable files. Upload complete pages at a resolution that allows seals, signatures, dates, and addresses to be read. A cropped, password-protected, or blurred file can leave the issue unresolved.
- Submit REG-04 before the deadline. Use the portal response screen, attach the evidence, complete any declaration, and submit. Download the acknowledgement and note the filing time.
- Continue monitoring. A submitted clarification changes the status but does not itself grant registration. Watch for the order, another portal message, or a request connected with physical verification.
CBIC instructs officers to act on a satisfactory reply within seven working days of receiving it. If the response is not satisfactory, or no response is filed within the allowed period, the officer may issue REG-05 with written reasons.

This sentence appears in CBIC Instruction No. 03/2025-GST. It is a direction to avoid unsupported or unnecessary queries, not a reason to ignore a notice that has actually been issued.
Fix the document problems that most often cause delay
CBIC identifies recurring clarification subjects as proof of the principal place of business, business constitution, and identity details for the authorised signatory or owner. Officers are expected to check that documents are legible, complete, relevant, and consistent with REG-01, particularly the address and evidence for each place of business.
Principal-place-of-business address
- Compare the complete address typed in REG-01 with the premises document, including unit or floor number, street, locality, city, state, and PIN code.
- Correct omissions, spelling differences, and mismatched numbers before uploading the reply.
- Use a document that clearly identifies the premises and the person whose right to occupy or own it is being relied upon.
Owned premises
For an owned property, CBIC lists a property-tax receipt, municipal khata, or the owner’s electricity bill as examples. Under the instruction, one acceptable document establishing ownership should generally be sufficient for this purpose. Upload the complete document and ensure the owner’s name and address can be read.

- Provide a valid rent or lease agreement.
- Provide a listed document establishing the lessor’s ownership of the premises.
- For an unregistered lease, include the lessor’s identity proof as required by the instruction.
- For a registered lease, the instruction says the lessor’s identity proof should not be sought solely for that purpose.
- If a utility connection is in the tenant’s name, include that evidence with the rent agreement where it supports the occupancy and address.
Consent or shared premises
Use the route that matches the arrangement described in the instruction: a consent letter together with evidence of the consenter’s identity and ownership, or the specific shared-premises documentation applicable to the case. The names and address in the consent letter, ownership proof, and REG-01 should agree.

Business constitution
For a partnership, the partnership deed is the constitution proof. CBIC says additional certificates such as Udyam/MSME, shop-establishment, or trade-licence certificates should not be demanded for that purpose. A company, trust, society, limited liability partnership, or other organisation should instead provide the registration certificate or other proof of constitution appropriate to that entity.
Identity of the owner or authorised signatory
Check that the identity document, application profile, authorisation, and digital-signature or Aadhaar details use the same legal name and identifying information. If an authorised signatory is acting for an organisation, include the authorisation evidence requested in the notice and ensure the signatory’s role is consistent throughout the submission.

CBIC warns officers against presumptive queries that are unrelated to the documents or information submitted. If REG-03 asks for an item that does not follow from the stated grounds, do not simply ignore it. Reply through REG-04, explain why the request is not connected to the cited deficiency, and attach the relevant evidence. You may refer to Instruction No. 03/2025-GST in the explanation.
The instruction permits an additional document request only after the specified supervisory approval. That procedural safeguard does not guarantee that a challenge will succeed, so keep the response factual and tied to the notice rather than making accusations or uploading a mass of irrelevant material.

What to do when the portal still shows pending
First identify the exact pending stage
- Pending for processing: the filing is with the concerned official for a decision; check whether the applicable risk or verification track explains the elapsed time.
- Pending for clarification: REG-03 requires a REG-04 response within seven working days.
- Clarification filed and pending for order: the response is on record and the official must decide whether to approve or issue a reasoned order.
Contact the jurisdictional officer after an overdue clarification response
If REG-04 has been filed and more than the applicable seven working days have passed without further action, GST Portal known-issues guidance says to contact the jurisdictional officer. On the portal, use Services > User Services > Contact to find the officer’s details. Include the ARN, REG-03 and REG-04 dates, acknowledgement number, and a concise description of what remains pending.
The same guidance says that an inaccessible clarification page should be raised with the jurisdictional officer. Save a screenshot showing the inaccessible page and the time of the attempt so the officer can identify the record.
Handle technical errors with evidence
For a portal error, record the exact message, the page and filing stage, ARN or Temporary Reference Number (TRN), date and time, browser or device details if available, and screenshots or acknowledgement files. Use the official GST self-service support facility or the jurisdictional contact route. The GST Portal’s known-issues document specifically discusses Digital Signature Certificate (DSC) submission errors and recommends registering or updating the DSC where that error occurs. Do not assume that a DSC fix resolves an unrelated portal error.
Dates, Aadhaar authentication, and verification cautions
Risk classification and Aadhaar authentication can change the processing route. A failed Aadhaar authentication, opting out of Aadhaar authentication, or a physical-verification decision can place an application in the 30-day track described by the 2025 instruction. Keep the contact details and premises information current so an officer can arrange verification if required.
The GST Portal has an Aadhaar-authentication FAQ at its registration help page. Authentication rules and deemed-approval provisions can change, so rely on the live portal instructions and current law for a particular application rather than applying an old time limit from an undated copy.
A practical checklist before you submit
- ARN or TRN recorded and searchable in Track Application Status.
- Exact legal names match across REG-01, identity documents, constitution proof, authorisation, and premises evidence.
- Complete principal-place-of-business address matches every premises document.
- Ownership, lease, consent, or shared-premises evidence follows the applicable route.
- Files are legible, complete, relevant, and open without a password.
- REG-03 points answered individually in REG-04.
- Seven-working-day response deadline calculated without weekends and gazetted holidays.
- Submission acknowledgement downloaded and stored.
- Jurisdictional officer contact details available if the clarification page is inaccessible or an overdue REG-04 has not been processed.
