Use the GST Portal’s refund tracker to see where your application is in the processing workflow. After signing in, open Services > Refunds > Track Application Status, then search with your filing year or Application Reference Number (ARN). The official portal documentation also describes a pre-login route: Services > Track Application Status > Refund, followed by the ARN. The GST Portal shows the application stage; the Public Financial Management System (PFMS) is the separate place to check bank validation and disbursal progress.
What the two status checks tell you
A GST refund has two related but different journeys. First, the GST Portal records whether the application is moving through the departmental workflow and identifies the stage pending with the officer or taxpayer. Second, PFMS handles the payment-side checks, including bank-account validation and disbursal tracking. Seeing progress in one system does not automatically prove progress in the other.
| Where you check | Question it answers | Reference you need | What it does not prove |
|---|---|---|---|
| GST Portal refund tracker | Where is the refund application in the processing workflow? | ARN or filing year, as offered by the tracker | That the sanctioned amount has reached your bank |
| PFMS | Has bank validation or payment disbursal progressed? | Payment-related details shown through the PFMS route | That the application itself has been approved |
This separation is set out in the GST Portal’s advisory on refund tracking: Advisory: Tracking GST Refund Application Status on the GST Portal and PFMS portal.
There is no separate product, subscription or paid service required for either status check. Start with the government portals and use professional assistance only if you need help interpreting your particular filing, notice or order.

Before you start: locate your ARN
The ARN is the most useful reference for finding a submitted refund. It appears in the filing acknowledgement or ARN receipt. If you no longer have the receipt, the GST user guide says a submitted application can be opened from Services > Refunds > My Saved/Filed Applications. The ARN is displayed as a hyperlink there, and you can use it to download the ARN receipt. Follow the detailed instructions in View Submitted or Saved Application for Refund.
- Copy the ARN exactly, including letters, numbers and punctuation.
- Keep the filing acknowledgement available in case the tracker asks you to confirm the filing year.
- If several refunds were filed, match the ARN to the relevant tax period and application before interpreting a result.
- Check that the record is a submitted application, not merely a saved draft.
The filing-year selector is an alternative search method documented for the refund tracker. It can help when you know when the application was filed but do not have the ARN immediately available. If you use the year search, compare the returned application with your acknowledgement and tax period so that a similarly timed filing is not mistaken for the one you want.
Choose the right tracking route
Use the signed-in route when you need to review your filed applications or retrieve an ARN receipt. Use the documented pre-login route when you have the ARN but cannot currently sign in. Both routes are for locating the application stage; neither replaces PFMS for payment confirmation.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
| Situation | Practical route | What to have ready |
|---|---|---|
| You can sign in and need your records | Services > Refunds > Track Application Status | Credentials plus ARN or filing year |
| You cannot sign in but have the acknowledgement | Services > Track Application Status > Refund | ARN |
| You need to know whether money moved | PFMS payment-status route | Payment-related details requested by PFMS |
Portal menus may be labelled slightly differently after an update. Look for the refund tracking function rather than treating a small wording change as evidence that the service has disappeared.
Check the application after signing in
- Sign in to the GST Portal using your taxpayer credentials.
- Open Services > Refunds > Track Application Status.
- Select the filing year if the page offers that search option, or enter the ARN.
- Submit the search and read the stage shown for that application.
- Record the exact wording, date and any reference number displayed before leaving the page.
The official advisory says the tracker identifies the exact point at which the application is pending with the officer or taxpayer. Treat the displayed stage as a workflow location, not as a promise that approval or payment will occur by a particular date. No processing-time estimate is established by the official material cited here.
If you are checking several applications, run each ARN separately and keep the results with the corresponding filing year and tax period. A status that belongs to one ARN cannot safely be applied to another refund filed by the same taxpayer.
Use the pre-login ARN route when you cannot sign in
The GST Portal’s February 2021 functionality note documents tracking without logging in. Its interface wording is: “Now taxpayers can navigate to Services > Track Application Status > Select the Refund option > Enter ARN to track their refund application, without logging into the GST Portal.”
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitches- Open the GST Portal’s public tracking area.
- Choose Services > Track Application Status.
- Select Refund.
- Enter the ARN from the acknowledgement.
- Run the search and inspect the stage display.
That functionality note is available in the official compilation of February 2021 changes: New Functionalities made available for Taxpayers on GST Portal in February, 2021. Portal labels can be revised, so use the visible refund-tracking option if the wording differs slightly while retaining the same sequence.

How to read the stage display
For pre-login tracking, the official functionality description says the current stage is shown in green and the remaining pending stages in grey. This is a visual indication of position in the workflow:
- Green current stage: the point the application has reached according to the tracker.
- Grey later stages: steps that the tracker still shows as pending.
- Pending with officer or taxpayer: the party identified by the portal as having the next action in the displayed workflow.
Do not infer a completion date from the colors. They show sequence, not a guaranteed service-level time. Also avoid assigning a meaning to a label that is not explained in the official material. If the portal displays wording outside the documented examples, preserve the exact text and seek clarification from the GST help channels or a qualified professional rather than guessing.
A grey stage is not, by itself, proof that the application is defective or that an officer has refused it. It only indicates that the tracker places that later step after the current stage. Likewise, an officer or taxpayer designation tells you where the workflow is waiting according to the portal; it does not provide a completion date.
Understand RFD-06 outcomes
The official portal functionality update lists three RFD-06 order outcomes:
| Displayed outcome | What you can state accurately | What still needs a separate check |
|---|---|---|
| Sanctioned | The order outcome shown for the refund is sanctioned. | Whether payment has completed and reached the bank |
| Partially sanctioned | The order outcome shown is partially sanctioned; the result is not a full sanction of the application amount. | Payment movement and any remaining amount or issue |
| Rejected | The order outcome shown is rejected. | The precise reason and any remedy, which must be read from the order or case record |
A sanctioned or partially sanctioned RFD-06 outcome is not the same as a bank-credit confirmation. The February 2021 functionality documentation lists these outcomes and should be read together with the refund-tracking advisory: GST Portal February 2021 functionality compilation.
Use the exact outcome in any email or internal record. Calling a partially sanctioned order “approved in full” can create a misleading expectation about the amount payable. Calling a rejected order merely “pending” is equally inaccurate unless the portal separately shows another application stage.
Check PFMS for payment and bank movement
Once you need to know whether the payment side has advanced, use PFMS rather than relying only on the GST Portal stage. The GST Portal advisory assigns bank-account validation and disbursal tracking to PFMS. It describes validation at two payment-related points: before the officer issues the payment order and again before final disbursal.
Recommended Free Tools
- First establish the GST Portal application or RFD-06 outcome.
- Move to the PFMS status route for the payment-side information described in the advisory.
- Check whether the bank-validation or disbursal step is shown as progressing, pending or requiring attention.
- Compare the PFMS result with the GST Portal result; they answer different questions and may not change at the same time.
If the GST Portal says “sanctioned” but PFMS does not show completed disbursal, describe the case as sanctioned with payment still being checked—not as money already credited. Conversely, a payment-side message cannot by itself be used to rewrite the application’s departmental stage.

The two validation points matter because a payment order and a final bank disbursal are separate events. A taxpayer may therefore see an order outcome in the GST Portal while PFMS is still reporting a bank-validation or disbursal step. Record both messages and their dates instead of collapsing them into one status.
A practical decision tree for common results
The tracker shows a stage pending with the officer
The portal is identifying the officer as the party associated with the next workflow step. Save a screenshot or note the exact stage and date. Do not convert that display into an estimated approval date; the official sources do not publish one for an individual case.
The tracker shows a stage pending with the taxpayer
Read the accompanying notice, order or request in the portal and respond through the prescribed GST workflow if one is available. Keep the ARN and submission records together so that any response is tied to the correct application. If the requested action is unclear, a GST practitioner or chartered accountant can help interpret the filing or a deficiency. Professional assistance does not guarantee faster government processing.
The result is sanctioned
Report the RFD-06 outcome as sanctioned. Then perform the PFMS check to establish whether bank validation and disbursal have progressed. Do not tell a recipient that the refund has reached the bank solely from the word “sanctioned.”
The result is partially sanctioned
Record the outcome exactly as partially sanctioned. Treat it as different from a full sanction, and use the order details to determine what amount or claim was covered. Use PFMS for the payment trail; the application screen alone does not establish credit to the bank.
The result is rejected
Record the rejection exactly as displayed and open the relevant order or case details for the stated reason. The status label by itself does not establish what corrective option is available. If the reason or next procedural step is difficult to interpret, obtain case-specific advice from a qualified GST professional.
The ARN cannot be found
Return to Services > Refunds > My Saved/Filed Applications after signing in and look for the submitted application. Use its ARN hyperlink to retrieve the receipt. Confirm that you are looking at the correct filing rather than a saved but unsubmitted draft.
The Tool Desk
Outbyte Driver Updater FREEScan for outdated or missing drivers - takes under a minuteDriver Scan →Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →The portal does not return the expected application
- Re-enter the ARN carefully instead of relying on a copied value that may contain an extra space.
- Try the filing-year option when available.
- Confirm that the application was submitted and not merely saved.
- Compare the ARN with the acknowledgement receipt.
- If the record remains unavailable, retain the error wording and seek official portal support or professional help.
The GST Portal and PFMS appear to disagree
First check that you are comparing the same refund and the same payment-related record. Then describe each result separately: the GST Portal stage or RFD-06 outcome on one hand, and PFMS bank-validation or disbursal information on the other. An apparent mismatch may simply reflect that departmental processing and payment processing are at different points.

What “approved,” “pending” and “paid” mean in this guide
Readers often use “approved” as a general term, but the portal can show a specific RFD-06 outcome or an intermediate workflow stage. For accurate communication, use the exact displayed wording. “Pending” should identify whether the tracker places the next step with the officer or taxpayer. “Paid” should be reserved for a payment result supported by the PFMS disbursal information, not merely for a sanctioned application.
| If you see | Use this plain-language description |
|---|---|
| A workflow stage with later stages grey | The application is at that stage; later stages remain pending in the tracker. |
| RFD-06 sanctioned | The refund order outcome is sanctioned; payment still requires PFMS confirmation. |
| RFD-06 partially sanctioned | The order outcome is partially sanctioned; do not describe it as a full approval. |
| RFD-06 rejected | The order outcome is rejected; consult the order for the reason and any available procedure. |
| PFMS disbursal information | The payment-side status is being reported; compare it with the GST Portal application stage. |
Keep a record while you monitor the case
A simple record prevents confusion when the same taxpayer has multiple refund applications:
- ARN and ARN-receipt file
- Filing year and relevant tax period
- Date each tracker was checked
- Exact GST Portal stage or RFD-06 outcome
- Whether the page identified the officer or taxpayer as the pending party
- PFMS bank-validation or disbursal result
- Copies of notices, deficiency communications and orders
Use the exact text rather than a shorthand such as “approved” or “stuck.” That record gives a GST practitioner, chartered accountant or portal support representative enough context to discuss the correct application without assuming that two similar filings are the same case. Include the screenshot or downloaded receipt when possible, and note whether the result came from the signed-in tracker or the pre-login ARN route.
Limits of what the tracker can tell you
The official material supports the navigation paths, ARN and filing-year searches, the current-stage display, the GST Portal/PFMS division and the listed RFD-06 outcomes. It does not provide a complete glossary for every possible refund message, a guaranteed processing schedule, or a success-rate statistic. Therefore:
- Do not invent a meaning for an unlisted status label.
- Do not promise an approval or payment date.
- Do not call a refund paid solely because an order is sanctioned.
- Do not treat a grey stage as evidence of a fault; it only indicates a later pending stage in the documented display.
For the underlying navigation and feature descriptions, consult the GST Portal documents: refund tracking advisory, February 2021 functionality update, January 2022 functionality update, and the submitted or saved application guide.
Fast checklist
- Find the ARN on the acknowledgement or in My Saved/Filed Applications.
- Open Services > Refunds > Track Application Status after signing in, or use the documented pre-login refund tracker.
- Search with the ARN or filing year.
- Write down the exact stage and whether the portal identifies the officer or taxpayer.
- If an RFD-06 outcome appears, record sanctioned, partially sanctioned or rejected exactly as shown.
- Use PFMS to check bank validation and disbursal progress.
- Do not equate sanction with bank credit or infer a completion date from the display.
Frequently Asked Questions
Can I check a GST refund without logging in?
Yes. The GST Portal’s February 2021 functionality documentation describes a pre-login route: Services > Track Application Status > Refund, followed by the ARN. This route is for tracking the application stage. PFMS remains the separate route for bank validation and disbursal information.
What if I have lost my ARN receipt?
After signing in, open Services > Refunds > My Saved/Filed Applications. For a submitted application, the ARN appears as a hyperlink and can be used to download the ARN receipt. Check that you select the submitted application rather than a saved draft.
Quick wins for a faster PC:
Clear out junk files and repair common Windows errorsFree Scan →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Repair Windows errors before they cause bigger problemsFix Now →Does “sanctioned” mean the refund is in my bank account?
No. “Sanctioned” is an RFD-06 order outcome. It does not by itself prove that payment has been disbursed or credited. Check PFMS for the bank-validation and disbursal status.

What does “partially sanctioned” mean?
It means the displayed RFD-06 outcome is partial, not a full sanction of the application amount. Read the order for the covered amount or claim details and use PFMS to follow payment movement.
How do I know whether the officer or I must act next?
Read the party identified by the GST Portal at the displayed pending stage. If it says pending with the taxpayer, review any notice, order or request and respond through the prescribed workflow. If it says pending with the officer, record the stage and date without assuming an approval deadline.
Why are some stages green and others grey?
The official pre-login tracking description uses green for the current stage and grey for remaining pending stages. The colors show workflow position and sequence, not a guaranteed completion time or proof of a fault.
Can I use only the filing year instead of the ARN?
The refund tracker documentation describes filing-year selection as an available search method. When the result appears, compare it with your acknowledgement, tax period and other records to confirm that it is the correct application.
What should I do if my application is rejected?
Record the RFD-06 outcome exactly as rejected and open the related order or case details for the stated reason. The label alone does not establish what remedy or next procedure is available. A qualified GST practitioner or chartered accountant can help interpret the case if necessary.
How long will approval or payment take?
The cited GST Portal documents do not establish an individual completion date or processing-time estimate. The tracker shows workflow position; PFMS shows payment-side progress. Do not infer a deadline from the green or grey display.
Is professional help required to track a refund?
No. The official GST Portal and PFMS routes are the primary ways to check status. Professional help is optional and may be useful for interpreting a deficiency, filing detail or order. Hiring a practitioner does not guarantee faster government processing.

The Bottom Line
Find the ARN, check Services > Refunds > Track Application Status or the documented pre-login refund route, and record the exact stage or RFD-06 outcome. Then use PFMS to verify bank validation and disbursal. A green stage or sanctioned order shows application progress, not automatic proof that the refund has reached your bank.
