To check whether an AI app protects your prompts, inspect the privacy notice and help pages for the exact app, account type, and region you use. Separately verify what the app collects, why it uses that information, who may access it, how long it is retained, and which controls you can actually turn on. A “private,” “incognito,” or “temporary” label alone does not establish that a chat is never stored, processed, or reviewed.
Start with the exact app and account you use
Privacy terms can differ between a consumer chatbot, a workplace workspace, an education account, an API, and an assistant embedded in another product. They can also depend on where you live. Do not assume that a commitment described for one product or plan applies to another.
Before checking settings, record the details that identify your use case:
- Product surface: web, mobile, desktop, API, workplace workspace, or an assistant inside another service.
- Account and plan: personal, organization-managed, education, free, paid, or another stated tier.
- Region: the country or jurisdiction associated with your account and the policy that applies there.
- Data you plan to enter: ordinary questions, personal details, work documents, images, voice, or information from connected services.
Then open the app’s current privacy notice and product-specific help page while signed into the account you actually use. Search those pages for “content,” “prompts,” “uploads,” “feedback,” “service providers,” “model improvement,” “training,” “retention,” “delete,” “temporary,” and “safety.” A general privacy notice may not answer a product-specific question; check both sources and note which one governs the feature or plan.

Be precise about the service boundary, too. An assistant may be built into a separate app or workplace tool, so the company whose name appears on the chat screen may not be the only provider handling the prompt. Check the product’s disclosures for connected services and service providers, and identify the terms that apply to the interaction rather than relying on the interface brand alone.
Ask five separate questions about your data
Do not treat “the app uses my data” as one yes-or-no issue. The following questions concern different activities, and a setting that changes one may not change the others.
1. What information does the app collect?
Look for the categories the provider says it handles. Depending on the product, these may include prompts and responses, documents or images you upload, voice, feedback, identifiers, usage or device information, and data from connected apps. Do not assume a particular app collects every category; confirm its own disclosures.

Also look for what happens when you give feedback, connect another service, use a voice feature, or upload a file. Those actions may involve data beyond the text of a prompt.
Make a list of the ways you expect to use the app and match each one to a disclosure. If you only type questions, do not stop there if you might later upload a document or use voice: the relevant data categories and feature-specific explanations may differ. Feedback deserves a separate check as well. A rating or written comment can include details about the conversation, so find out whether the policy treats feedback differently from ordinary prompts.
2. Why does it use that information?
Find out whether information is used to provide a response, maintain safety or prevent abuse, analyze or improve the product, train or improve models, personalize or advertise, or handle feedback. These purposes are not interchangeable. In particular, opting out of model improvement does not, by itself, show that the service stops processing information to respond to you or to protect the service.
Check whether the provider says a purpose depends on a setting, your feedback, or the type of account. Look for the scope of any opt-out: does it apply to future chats only, a particular product surface, feedback, or all data associated with the account? If the notice does not answer that, do not infer a broader opt-out.

3. Who may access it?
Look for disclosures about human review, support access, contractors or other service providers, connected services, and legal or security exceptions. A provider may say that a subset of content is reviewed, or that people can access information for specified purposes. Record the conditions and the types of information covered.
Removing an account identifier or separating a conversation from an account is not the same as proving that nobody can review it. Likewise, an assurance about model training does not answer who can access data for support, safety, or other disclosed purposes.
Distinguish routine access described for service operation from exceptions described for safety, security, or legal reasons. The relevant question is not only whether human review happens, but what content it can involve, under what circumstances, and whether the provider says service providers may participate. If a policy says only that some content can be reviewed, do not assume the same rule covers every conversation or that the rest can never be accessed.
4. How long is it retained?
Check retention separately for ordinary conversations, deleted conversations, temporary sessions, feedback, and items flagged for safety review. Find out whether the provider describes deletion from active systems, backups, or copies already reviewed or de-identified. If those details are not stated, treat the retention outcome as unknown rather than assuming that pressing Delete erases every copy immediately.
Watch for exceptions such as safety, security, or legal holds. A short retention period for one mode is not necessarily the general retention period for the account, and a deletion control may not cover every kind of information.
When the provider gives different retention periods for different circumstances, write them beside the relevant category instead of recording a single number for “the app.” For example, ordinary history, a temporary session, and an item kept for review may be treated differently. A stated period is useful only when you know which data and situation it covers. If the provider does not explain what happens to backups or previously reviewed copies, note that as an unanswered question rather than filling in the gap yourself.
5. What can you control?
Locate the controls for model improvement, memory, chat history, export, deletion, temporary sessions, and privacy-rights requests. Confirm which account or product they apply to and whether the provider says the change affects existing data, future activity, or both. When available, verify that the app shows the setting as active.

Memory and chat history are distinct concepts: one control may affect saved information used to personalize later interactions, while another manages visible conversation records. Read the feature description rather than relying on a familiar label. Export and deletion are also different: one provides a copy of data, while the other requests its removal under the provider’s stated process and exceptions.

Look for a clear route to make a privacy request if the in-app controls do not answer your question. Record whether the request route is tied to the account, product, or jurisdiction. Do not assume that an export includes every category of information, or that deleting a visible chat also removes feedback, safety-related records, or data subject to a stated exception. The provider’s explanation should define the control’s scope.
Use a repeatable check before sharing information
- Identify the account and product surface. Write down the app, whether you are using web, mobile, desktop, API, or a managed workspace, your account type, and your region.
- Open the applicable disclosures. Read the current privacy notice and the help page for the feature you plan to use. If the account is organization-managed, check the administrator’s guidance or the terms that apply to that workspace.
- Search the key terms. Search for “content,” “prompts,” “uploads,” “feedback,” “service providers,” “model improvement,” “training,” “retention,” “delete,” “temporary,” and “safety.” Record the answers to the five questions above.
- Inspect the account controls. Find model-improvement settings, memory, history, export, deletion, temporary chat, and privacy-request routes. Note what each control covers and any stated exceptions.
- Check a low-risk setting if useful. Change a privacy setting only after reading its description, then confirm the app indicates it is active. Do not use confidential information as a test prompt.
- Compare the policy with your intended use. If you cannot establish that the applicable terms cover sensitive work data, ask your administrator or the provider for the governing terms and data-processing commitments for that exact plan.
- Minimize what you submit. Remove unnecessary names, identifiers, credentials, and confidential details. If the task can be completed with fictional or redacted information, use that instead.
A compact record makes the check easier to repeat. For each item, write down the policy or help page you consulted and its date, the setting name as it appears in your account, whether it was active, and any exception the provider describes. Include unanswered points explicitly. This is more useful than a broad label such as “privacy checked,” especially if you later switch plans or begin using another feature.
Temporary, private, and incognito modes need a closer read
These labels describe product features, not a universal privacy standard. A temporary conversation might not appear in history or be used for model improvement, yet still be processed to generate a reply, support safety, or be retained for a limited period. Human review may also be treated differently for ordinary chats, safety-flagged items, or other exceptions.
For the mode you plan to use, check four things in its own description: whether the content is used to improve models; whether it appears in history or memory; how long it is retained; and whether safety, feedback, or legal exceptions apply. If any answer is missing, do not interpret the mode’s name as a guarantee of no storage or access.
Also check whether the mode changes only the current conversation or a broader account setting. A temporary session’s behavior may not change the handling of ordinary conversations, and turning off model improvement may not turn off safety processing. Treat the setting descriptions as separate commitments, and confirm that the mode is active before using it. Even then, submit only the information needed for the task.
What provider examples show—and what they do not
The following examples illustrate why separate questions matter. They describe statements on the providers’ own pages, not a ranking, certification, or guarantee. Provider policies and controls can change, so check the current official page for the product and account you use.
Google Gemini Apps
Google’s Gemini Apps Privacy Hub says a subset of chats is reviewed by human reviewers, including trained service providers, and that reviewed chats are retained for up to three years. Google says turning off Keep activity stops future chats from being reviewed to improve Google services. It also says temporary chats are not used to improve Google AI with human-review help.

Those statements do not mean that the chats are never processed or retained. Google says chats sent while Keep activity is off, or in temporary chat, may still be used to respond and protect Google, users, and the public, including with reviewer help. It says these chats are retained with the account for 72 hours. The three-year figure applies to reviewed chats; the 72-hour figure applies to the specified Keep activity-off and temporary-chat cases, not to all Gemini conversations.

This example shows why the purpose and retention questions should be read together without being collapsed into one. The statement about stopping future chats from being reviewed to improve Google services is about that use, while the 72-hour statement describes a different, limited retention case. When applying it to your own account, check that you are reading the Gemini Apps information and the current setting description for the feature you intend to use.
OpenAI and ChatGPT
OpenAI’s privacy policy lists controls for model improvement, memory, history export, deletion or archiving, and Temporary Chat. It says Temporary Chats do not appear in history and are not used to improve models. Those points answer particular questions about history and model improvement; they should not be treated as a statement that no processing or retention can occur for any purpose.
OpenAI’s policy also cautions that internet or email transmission is never fully secure or error-free and advises care about what users provide. Check the current product-specific controls in your own account rather than assuming that a menu label or policy description applies identically to every plan or surface.

The existence of controls is not the same as knowing their precise scope for a given account. Confirm the wording that applies to the feature and plan you actually use.
Anthropic and consumer Claude products
Anthropic’s help page dated May 22, 2026, says users can adjust privacy and model-improvement settings, and that incognito chats are not used to improve Claude even when model improvement is enabled. It also says conversations flagged by safety classifiers may still be used to improve internal trust-and-safety models or for related safety purposes.
That page says it covers Free, Pro, and Max accounts, as well as Claude Code used with those accounts. Do not extend those consumer-product statements to commercial or API terms without checking the terms for that service. Anthropic specifically advises care with financial details, health records, credentials, and confidential documents.
The safety-classifier exception is a useful reminder to read beyond the mode label and the general opt-out. If your intended use involves sensitive data, the policy’s explicit examples point to categories that warrant extra caution. Do not infer that a consumer-account explanation governs a commercial deployment simply because both use the Claude name.

Choose a sensible threshold for sensitive information
For routine questions, a clear opt-out and usable deletion controls may be enough for your comfort. For personal, regulated, or confidential work, require stronger evidence: the applicable plan’s governing terms, the provider’s stated handling and retention commitments, and confirmation from an administrator if the account is managed. If the terms do not resolve who can access the data or how it is retained, avoid submitting it until they do.

Do not mistake an enterprise or API promise for a personal-account promise, or vice versa. Confirm the product name, account type, and data covered by the commitment. If an assistant is embedded in another service, check which provider receives the prompt and which terms govern that interaction.
Even a provider’s stated safeguards cannot establish that no security incident or unauthorized access will ever occur. The Federal Trade Commission’s January 2024 technology blog post, “AI Companies: Uphold Your Privacy and Confidentiality Commitments,” states: “There is no AI exemption from the laws on the books.” That is U.S. consumer-protection guidance, not individualized legal advice. For a general risk-management perspective, NIST describes its AI Risk Management Framework as voluntary and intended to support trustworthy AI risk management across the AI lifecycle. NIST’s SP 800-63B-4 privacy material concerns digital identity and authentication, not AI-app certification; its concepts around retention risk, predictability, and manageable controls can inform questions, but cannot certify a chatbot as private.
There is no single privacy score in these examples that can substitute for your own comparison. If you compare two or more apps, use the same rows for each: model-improvement defaults and opt-out scope; human review and service-provider access; retention for regular, temporary, deleted, feedback, and safety cases; export, deletion, and memory controls; differences among personal, enterprise, education, and API terms; and whether the disclosures fit your jurisdiction and intended data. Keep security measures separate from data-use controls: a provider’s security statement does not by itself answer how it uses prompts.
Keep a short record and revisit it when things change
Save the date you checked, the product and account type, the region, the settings you confirmed, and the retention and review statements that matter to your use. Recheck after a product change, account-plan change, new feature, or policy update. A comparison is meaningful only when it asks the same questions across the exact plans and surfaces being considered; no cross-provider privacy score is established by the official sources cited here.

Check the app’s deletion controls and privacy-request route, then read what the provider says deletion covers and how it handles backups, reviewed or de-identified copies, and safety, security, or legal exceptions. Deleting a visible chat is not automatically proof that every associated copy is immediately removed.
Is a temporary or incognito chat completely private?
Not necessarily. Such a mode may change whether a chat appears in history or is used for model improvement, while still allowing processing to respond, safety handling, human review in specified cases, or limited retention. Read the feature’s own terms rather than treating its label as a guarantee.
The Bottom Line
Check the exact app, account type, and region; then verify model improvement, access, retention, and user controls as separate issues. If the applicable terms do not clearly cover the information you plan to share, do not submit it—use redacted or fictional details, or ask the provider or administrator for the governing commitments.
