To find out what a free AI assistant does with your prompts and files, identify the exact app, plan, account state and country; read its current privacy and retention pages; then verify the live controls for model improvement, history, temporary chats, memory, feedback and connected apps. Training, storage, human review and deletion are separate questions, so a “do not train” setting does not automatically delete chats or prevent every safety-related retention.
Start with the exact AI service and account
Privacy terms can differ between a consumer app, an API, a business workspace and a school or employer-managed account. The same company may use different defaults and labels on each surface. Before reading a policy, record:
- The provider and precise product name, such as a consumer web app, mobile app, API or workspace.
- Whether you are signed in, signed out, or using an account administered by an employer or school.
- Your plan (free individual, paid individual, business or education) and country or region.
- The device and browser where you will change settings. Some controls are account-wide; others apply only to a product surface or workspace.
Keep a note of the policy title, URL, “last updated” date and the date you checked your account. Interfaces and terms change, and a screenshot of the setting state can help you prove what you selected.
Do not rely on a provider’s brand name alone. A consumer chatbot, an API key, an embedded assistant in another application and an employer’s managed workspace can have different data-use defaults, retention periods and administrator controls. A signed-out session may also be covered by a different notice than a signed-in account. If you switch from a browser to a mobile app, check whether the same account-level setting follows you.

Read the provider’s privacy and retention pages
Use first-party documentation rather than a review or a search snippet. Find both the general privacy notice and a product-specific data-use or retention help page. Within those pages, search for these terms:
- Prompts, inputs, outputs and files: whether text, images, documents, code, voice or metadata are collected.
- Training, model improvement or personalization: the default, the opt-out control and whether it covers old or only future content.
- Service providers and authorized personnel: who may process data and for what operational or safety reasons.
- Human review, safety and abuse investigations: circumstances in which a conversation can be inspected even after an improvement opt-out.
- Retention and deletion: how long ordinary chats, deleted chats, temporary chats, logs, backups and reviewed samples remain.
- Feedback, shared links and connected apps: whether a rating, public link or third-party integration receives separate treatment.
Copy the exact wording that applies to your product and region. A policy for an API or business plan cannot be assumed to describe a free consumer app.
Look for distinctions between “may collect,” “may use,” “may retain” and “will delete.” Those verbs answer different questions. Also note whether a page says “new conversations,” “future content,” “eligible content” or “content associated with feedback.” A narrow phrase may leave files, ratings, old chats or safety records outside the control you intended to use.

Documentation explains the rule; the account page shows what is enabled for you. Open settings and check each control separately.
- Model improvement or training. Look for a switch with wording such as “Improve the model.” Note whether it applies to new conversations only, and whether feedback is excluded from the opt-out.
- Chat or activity history. Determine whether chats appear in your history, are used for personalization, and are retained when history is disabled.
- Temporary, incognito or private chats. Read the separate description instead of assuming that “temporary” means instant deletion or zero logging.
- Memory and personalization. Check what profile information is saved and how to view, edit or delete it. Memory can be separate from chat history.
- Feedback and ratings. Find out whether thumbs-up, thumbs-down, written comments or shared examples can be retained or used for improvement.
- Connected applications. Review which drives, mailboxes, calendars or other services are linked and whose privacy terms govern copied content.
- Public or shared links. Remove links you no longer need and verify whether anyone with the link can view the conversation.
After changing a setting, close and reopen the page to confirm the current state. If a workspace administrator controls it, your personal toggle may not override the organization’s policy.
Check the scope shown next to each control. One switch might cover the account, while another applies only to a particular assistant, browser or workspace. If the interface does not state the scope, note that uncertainty and ask the provider or administrator. A control that changes “activity” may not change memory, shared links, imported files or data already sent to a connected application.
Keep four questions separate
Is the content used to train or improve a model?
“Training” or “model improvement” means the provider may use eligible prompts, responses or files to develop or tune models. An opt-out generally changes future eligibility; it does not necessarily erase material already in a history, safety log or completed training process. Feedback can have its own rule.
Is the content stored?
Storage includes visible chat history, operational logs, abuse-prevention records, backups and copies made by a connected service. A conversation can be excluded from model improvement and still be retained to provide history, detect abuse or meet security requirements.

Can people review it?
Providers may allow authorized staff or contractors to inspect limited content for safety, support, quality or abuse investigations. The policy should identify the purposes and exceptions. Do not treat “not used for training” as “never seen by a person.”
What does deletion remove, and when?
Deleting a chat can remove it from the visible interface first, while backend systems, backups or a safety-reviewed copy follow a separate schedule. Data already incorporated into a model-training pipeline may not be reversible by deleting the original chat. Look for explicit timelines and exclusions.
These four questions should appear as separate columns in your notes. A provider can answer “no” to training while answering “yes” to storage and limited human review. It can also offer a delete button without promising immediate removal from backups or material already placed in a training pipeline. Never convert one favorable answer into a general privacy claim.

Turning off model improvement
Confirm whether the switch is prospective, account-wide and limited to a particular product. Check the treatment of feedback, uploaded files, shared links and connected-app data. Keep using the history and deletion controls independently.
Turning off chat history
History controls can hide or stop listing conversations without stopping all operational retention. Read whether prompts remain in safety logs, how long they are kept and whether the setting affects mobile, web and other devices.
Using temporary or incognito chat
Temporary modes often reduce normal history and improvement use, but providers may retain content for a defined safety period. Verify the exact window, whether files and feedback are included, and whether the mode is available on every client.
Deleting a conversation
Use the product’s delete command, then check the retention page for backend deletion, backups, reviewed samples and model-training exceptions. “Removed from history” describes the interface, not necessarily immediate erasure from every system.

Submitting feedback
Treat a rating, correction or written comment as a separate data event. Some providers use the associated conversation for improvement even when ordinary chats are opted out, and feedback can have a stated retention period. Read the feedback-specific language before clicking a rating on a sensitive exchange.
Cost, plan and requirement trade-offs
A free plan is not a single privacy category, and paying is not proof of zero retention. Business, education and API products may publish different defaults or controls, but you must verify the terms for the exact plan and region. Compare the documented behavior, not the price or marketing label.
For low-sensitivity experiments, a free consumer account may be acceptable after you disable improvement where possible, remove identifiers and understand history and deletion. For confidential, regulated or contract-restricted material, require a plan whose published terms address training, retention, review, administrator access and deletion in the way your organization needs. If the provider does not state a necessary condition, treat that gap as unresolved rather than assuming the paid tier supplies it.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsThere is no universal “private” score. A tool with a short visible-history period may still retain safety-reviewed samples; another may offer a clear training opt-out while keeping ordinary chats. Record which requirement matters—no model improvement, a maximum retention window, no human review, regional processing or administrator control—and compare each service against that requirement.
Official examples: three consumer services
The following examples were reviewed on 13 October 2026. They illustrate why a single privacy score is misleading; verify the current notice, product surface and region before relying on a setting.
| Service and scope | Documented behavior | How to interpret it |
|---|---|---|
| ChatGPT individual services | OpenAI says prompts, responses, images and files may be used to improve model performance depending on settings. In Settings > Data controls, turning off “Improve the model for everyone” means new conversations are not used for training. Feedback on a response can still make the associated conversation eligible. Temporary Chats are not used to improve models while temporary, but may be retained for up to 30 days for safety. | Training opt-out and deletion are different. Saved chats can remain in history, and feedback and temporary-chat safety retention need separate checks. See OpenAI’s consumer-data explanation, model-improvement guidance and Data controls in ChatGPT. |
| Claude Free and other consumer plans | Anthropic says chats and coding sessions may be used for model improvement when the user enables the setting, when a conversation is flagged for safety review, or through another explicit opt-in. Incognito chats are not used to improve Claude even when improvement is enabled. Feedback may be stored for up to five years. Deleted conversations disappear from chat history immediately and are deleted from backend systems within 30 days. If improvement use is permitted, de-identified data may remain in training pipelines for up to five years. | Incognito and opt-out settings have defined scope and safety or feedback exceptions. The history-removal event and backend deletion deadline are different. Read Anthropic’s model-training article and retention article. |
| Google Gemini Apps | Google’s notice covers signed-in Gemini Apps; signed-out use is addressed through the Google Privacy Policy. Prompts, shared files and other interaction or device data may be collected, and some data is reviewed by human reviewers. Gemini Apps Activity controls improvement use and allows auto-delete to be changed from the default 18 months to 3 months, 36 months or indefinite. Chats reviewed by human reviewers and related data may be retained for up to three years after activity deletion. Connected third-party apps operate under their own policies. | Turning off or deleting activity does not eliminate every processing path. Check reviewer-retention language and each connected app. See the Gemini Apps Privacy Hub. |
OpenAI’s own wording captures the central distinction: when “Improve the model for everyone” is off, “your new conversations won’t be used to train OpenAI models. They can still appear in your chat history.” That is a provider statement about ChatGPT, not a rule to apply automatically to another service.
The time periods in these examples are provider-specific retention statements, not industry averages. Claude’s up-to-30-day backend deletion period, possible five-year de-identified training-pipeline retention and feedback retention, ChatGPT’s possible 30-day Temporary Chat safety retention, and Gemini’s 18-month default activity auto-delete and up-to-three-year reviewer retention should not be generalized to other products.

- Improvement or training default, and whether the opt-out covers future chats, past chats, files and feedback.
- History behavior, temporary-chat behavior and memory or personalization.
- Retention after deletion, including safety-reviewed material and backups.
- Who may review content and under what documented conditions.
- Personal, business and API terms.
- Country, account state, product surface and connected-app scope.
Record “not stated” only when the provider’s current documentation genuinely does not answer a question. Do not convert an unmentioned detail into a claim that the data is not collected.
Add a column for the evidence you checked: page title, URL, update date, access date and the exact setting label. Add another for whether the control is prospective or retrospective. This prevents a familiar label such as “history off” from being mistaken for a deletion guarantee. If two tools both offer an opt-out, compare whether it covers files, feedback, connected content and safety review before calling them equivalent.
A practical privacy check you can repeat
- Inventory the data. List the prompt types, attachments, personal identifiers, confidential business material and integrations you plan to use. Classify what would cause harm if retained or reviewed.
- Map the account. Write down product, plan, country, sign-in state, administrator and devices.
- Capture the sources. Save the privacy notice, data-use page and retention page with their update dates.
- Search for exceptions. Look specifically for safety review, feedback, legal retention, service providers, connected apps and content already used in training.
- Record settings. Note the current state of improvement, history, temporary chat, memory, feedback and integrations. Take a screenshot if policy permits.
- Test with harmless data. If you need to understand the interface, use a fictional prompt and file rather than real confidential material. Verify where the test appears and how deletion works.
- Change the minimum necessary controls. Disable improvement, history or integrations as appropriate, then reopen settings and confirm the change persisted.
- Delete and verify. Remove test chats, shared links and uploaded files, then check the provider’s stated backend timeline instead of assuming immediate erasure.
- Escalate ambiguity. Ask the provider or workspace administrator a specific question that quotes the relevant policy wording. Do not submit sensitive information while the scope is unclear.
Repeat this check when you change plans, add a device, connect a new application or begin submitting a new category of sensitive material. A saved screenshot is useful evidence of the setting at one moment, but it does not replace checking the current notice after an update.
Common mistakes and safer responses
- “No training” means no storage. It does not. Check history, logs, safety retention and deletion windows separately.
- Deleting visible history means everything is gone. Look for backend, backup, reviewer and training-pipeline exceptions.
- Temporary means zero retention. Temporary modes can have safety windows; read the stated duration.
- A paid or business plan automatically guarantees privacy. Plan terms can differ, but payment alone is not proof of no retention or review. Verify the published controls.
- A setting applies everywhere. Confirm web, mobile, API and workspace scope and whether an administrator can override it.
- A connected app is covered by the AI provider’s policy. Imported or exported content may be processed under the third party’s terms.
- A thumbs-down is harmless feedback. Feedback can be stored or make the related conversation eligible for improvement; check the provider’s rule first.
- Policy language never changes. Record dates and revisit the pages before a new category of sensitive data is submitted.
- Signed-out use has the same rules as signed-in use. Confirm which notice covers the session; Gemini Apps, for example, distinguishes signed-in use from signed-out use.
- Disconnecting an integration deletes imported content. Removing access may stop future retrieval but does not necessarily erase copies already transferred.
When the documentation is not enough
If the provider cannot clearly state whether a prompt is retained, reviewed or used for improvement, treat that uncertainty as a risk rather than inferring a favorable answer. Remove names, account numbers, secrets and unique identifiers; summarize a document instead of uploading the original; or choose a plan whose documented terms meet your requirement. For regulated, contractual or employer-controlled data, obtain approval from the responsible administrator or privacy team before use.
Ask a focused question rather than “Is this private?” For example: “For a signed-in free account in my country, with model improvement disabled, how long are uploaded files and feedback retained, can authorized reviewers access them for safety, and when is a deleted chat removed from backend systems?” Keep the answer with the policy version and do not submit the sensitive material while waiting.
The reliable answer is always tied to a particular service, plan, account and date. Recheck the official pages and the live controls whenever the interface changes, you switch products or you connect a new app.
Frequently Asked Questions
Does turning off model improvement stop an AI tool from storing my chats?
No. It usually changes whether future eligible content can be used to improve models. Chat history, operational logs, safety records, backups, feedback and connected-app copies may still have separate retention rules.
If I turn off chat history, are my prompts still stored?
Possibly. History controls may only stop conversations from appearing in the interface. Read the provider’s retention and safety language for logs, temporary sessions and deletion timing.

Does a free AI chatbot save uploaded files?
You must check the exact product notice. Determine whether files are retained separately, whether extracted text is copied into logs, and whether an integration sends the file to a third party under its own policy.
Can employees or human reviewers read my AI chats?
Some providers permit authorized personnel or contractors to review limited content for safety, support, quality or abuse investigations. “Not used for training” does not mean “never reviewed.”
If I delete an AI chat, is it deleted from the company’s servers?
Not necessarily immediately. Visible history removal, backend deletion, backups, safety-reviewed copies and information already placed in a training pipeline can follow different schedules. Look for a stated timeline.
Recommended Free Tools
What does temporary or incognito chat actually do?
It commonly reduces normal history and model-improvement use, but may still allow a defined safety-retention period. Check the exact duration and whether files, feedback and every client are covered.
Does a paid or business plan guarantee that my data is not retained?
No. Plans can have different defaults and controls, but payment alone is not proof of no retention or human review. Verify the published terms for the exact plan, region and administrator setup.
What should I do if the privacy policy is unclear?
Treat the uncertainty as a risk. Use fictional test data, remove identifiers, summarize rather than upload originals, ask the provider or administrator a specific question, or choose a plan whose documented terms meet your requirement.
The Bottom Line
Check the exact product, plan, account and country; read the current first-party privacy and retention pages; and verify every live control. Training opt-out, history, temporary chat, human review, connected apps and deletion answer different questions. If the provider cannot document the treatment you need, do not submit sensitive data.
