Use a copy of the workbook, then inspect it in this order: check the sheet-tab Unhide command, look for gaps in row and column headers, display formulas, expand outline groups, review active filters, and finally run Excel’s Document Inspector before sharing the file. Unhiding or viewing is reversible; deleting hidden content is not necessarily reversible and can change calculations.
Why hidden Excel content deserves a deliberate check
Hidden worksheets, rows, columns, and formulas are often legitimate. A workbook may keep supporting calculations, lookup tables, import staging data, or presentation-only sections out of sight. The same features can also conceal stale figures, sensitive information, or assumptions that a reviewer needs to see.
Inspection and removal are different tasks. First reveal or report what is hidden and decide whether it belongs in the workbook. Do not use a blanket removal command simply to make a file look clean: deleting a hidden range or sheet that feeds a formula can alter results. Microsoft specifically warns that removing hidden rows, columns, or worksheets containing data may change formula or calculation results.
Start with a safe inspection copy
Save before you reveal or remove anything
- Open the workbook in desktop Excel if possible.
- Use File > Save As and give the copy a clear name, such as
Workbook-inspection-copy.xlsx. - Keep the original unchanged. Perform all unhiding, filter changes, and inspection work on the copy.
Unhide commands normally change only visibility, but later actions such as deleting a sheet or choosing Remove All in Document Inspector can remove information. Excel’s inspector is intended for a review copy because removed information may not be recoverable.

Check whether workbook structure is protected
If Hide or Unhide is unavailable for sheet tabs, the workbook structure may be protected. In a workbook you are authorized to edit, use Review > Protect Workbook to turn off protection and enter the required password. Do not attempt to bypass protection; ask the owner for access or an unprotected review copy.
Use this inspection sequence
| Check | What it reveals | Best use | Reversibility |
|---|---|---|---|
| Sheet-tab Unhide | Hidden worksheets | Fast, sheet-level check | High: revealing a sheet does not delete it |
| Row and column headers | Ordinary hidden rows or columns | Visual review of a worksheet | High: use Unhide Rows or Unhide Columns |
| Show Formulas | Formulas in cells instead of calculated results | Checking how values are produced | High: toggle back to results |
| Outline controls | Collapsed grouped detail | Workbooks with plus/minus buttons or levels | Usually high; grouping and visibility are separate settings |
| Filters | Records excluded from the current view | Tables and filtered lists | High: clear or reapply filters |
| Document Inspector | Hidden sheets, rows, data-containing hidden columns, metadata, and other categories | Pre-sharing or public-release review | Inspection is safe; removal requires a separate decision |
Run the checks in that order so a quick visual review catches obvious omissions before the broader inspection. A complete review also considers objects and cached filter data that the inspector cannot fully handle.
Find and review hidden worksheets
Use the sheet-tab menu
- At the bottom of the workbook, right-click any visible sheet tab.
- If Unhide is available, at least one worksheet is hidden. Select Unhide.
- Choose a sheet from the list and select OK.
- Review the revealed sheet before deciding whether it should remain hidden, be renamed, or be removed.
If Unhide is greyed out or absent, there may be no normally hidden worksheet, or workbook-structure protection may be blocking the command. This check does not by itself identify every kind of concealed object or content inside a visible sheet.
Quick wins for a faster PC:
Repair Windows errors before they cause bigger problemsFix Now →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Clear out junk files and repair common Windows errorsFree Scan →Review dependencies before changing a sheet
Look for formulas, charts, PivotTables, named ranges, or other visible sheets that use the revealed sheet. Supporting sheets are often hidden intentionally. Document why a legitimate hidden sheet remains, especially when the workbook will be distributed to other people.
Reveal hidden rows and columns
Recognize the visual clues
Scan each worksheet for skipped row numbers, skipped column letters, or a double line between visible headers. For example, a visible row 12 followed by row 15 indicates that rows 13 and 14 may be hidden. A visible column C followed by column F indicates that D and E may be hidden. Double boundary lines are another common indicator.

Unhide an ordinary gap
- Select the row headers immediately above and below the gap, or the column headers immediately to the left and right.
- Right-click the selected headers.
- Choose Unhide Rows or Unhide Columns.
- Read the revealed data and check whether formulas or references depend on it.
Selecting adjacent headers matters: selecting only the visible row below a hidden block can leave Excel without a range that spans the hidden rows.
Handle a hidden first row
Row 1 has no visible row above it, so selecting adjacent headers may not work. Select cell A1 through the Name Box (the box to the left of the formula bar) or use Home > Find & Select > Go To and enter A1. Then choose Home > Format > Hide & Unhide > Unhide Rows. Another route is to right-click row 2 and choose Unhide.
Handle a hidden first column
Column A needs the same special treatment. Go to A1, then use Home > Format > Hide & Unhide > Unhide Columns. You can also right-click column B and choose Unhide.
Do not confuse narrow dimensions with hidden dimensions
A row or column reduced to a very small height or width can resemble a hidden one. After unhiding, verify that the dimension is usable and that the data is actually present. A filter or outline can also make rows appear missing even when the rows are not manually hidden.
Display formulas instead of calculated results
Desktop Excel
- Press Ctrl+` (the grave-accent key, usually above Tab) to toggle the worksheet into formula view.
- Alternatively, select Formulas > Show Formulas.
- Scan the sheet for formulas, references to hidden sheets or ranges, and cells that contain hard-coded values where a formula was expected.
- Press Ctrl+` again or select Formulas > Show Formulas again to return to calculated results.
Formula view is a display mode; it does not convert formulas into text or alter the underlying calculations. It applies to the worksheet view, so repeat the check on sheets that matter.

Excel for the web
In Excel for the web, selecting a cell shows that cell’s formula in the formula bar while the grid continues to display its result. Microsoft’s documented instructions for displaying formulas throughout the cells direct users to open the workbook in the desktop application. If you need a whole-sheet formula audit, use desktop Excel rather than assuming the web grid is in formula view.

While formula view is active, pay attention to references that point to a hidden sheet, hidden rows or columns, named ranges, or external workbooks. A hidden input can be valid, but reviewers should know that a displayed result depends on data they cannot currently see.
Expand outline groups and subtotal detail
Excel’s outline feature can collapse detail rows or columns without using the ordinary Hide command. Look above the row headers or beside the column headers for outline levels such as 1, 2, and 3, or plus/minus controls.
- Select the lowest available outline level, such as 3, to show the greatest amount of detail.
- Review the expanded rows or columns for data that was absent from the initial view.
- If you clear an outline, inspect visibility afterward. Removing grouping does not necessarily restore detail rows or columns that were already hidden separately.
Collapsed groups are especially easy to miss in reports that show only subtotals. Expand them before concluding that the visible records are complete.
Check filters that hide records without hiding rows
Inspect AutoFilter and table filters
Filter arrows in a header row indicate that a range or table can exclude records from the current view. A funnel icon or a filter indicator on a column means that a criterion may be active. Open the filter menu and review the selected values, or clear the filter temporarily on the inspection copy.

Filtered-out records are not the same as manually hidden rows. They may reappear when the criterion changes, so record the active criteria when documenting what a recipient can currently see.
Understand filter-cache limits
Excel can retain cached filter values. Microsoft notes that Document Inspector cannot clear filter caches. If unexpected cached values are a concern, remove the filters and then reapply them, following Microsoft’s recommendation. Recheck the resulting view and save the inspection copy separately.
Run Document Inspector before sharing
Open the inspector
- In desktop Excel, select File > Info.
- Choose Check for Issues > Inspect Document.
- In the inspection dialog, select the categories relevant to your release and start the inspection.
- Read each result and use the available review controls to locate the reported content.
- Close the inspector and inspect the workbook yourself before removing anything you do not recognize.
The inspector is designed for workbooks intended for public availability or wider distribution. Its Excel checks include hidden worksheets, hidden rows, and data-containing hidden columns, along with selected metadata and other content categories.
Decide what to do with each finding
- Keep and document: Supporting calculations or inputs may need to remain hidden for layout reasons. Record their purpose and owner.
- Reveal and review: Unhide the item, verify its contents and dependencies, and decide whether recipients should see it.
- Remove deliberately: Delete or remove only content that is not required and that you have confirmed is safe to discard. Make a new copy first.
Do not choose Remove All automatically. A reported hidden sheet or range may supply formulas, and the inspector’s removal action can change the workbook’s behavior.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesKnow what Document Inspector can miss
Document Inspector is a broad pre-sharing check, not proof that every concealed item has been found. Microsoft documents several limits that require manual review.

| Potentially missed or untreated content | What to do |
|---|---|
| Some shapes, charts, controls, pictures, or SmartArt located in hidden columns | Reveal the columns and inspect objects on the worksheet. |
| Objects covered by other objects | Move or select overlapping objects and review their properties and contents. |
| Some external links and embedded files or objects | Review link and object information separately; detection does not necessarily remove them. |
| Active filter caches | Remove and reapply filters, then verify the visible records. |
| Rows or columns that belong to table/list headers or PivotTables | Check the table or PivotTable directly. Inspection may unhide such content rather than remove it. |
A workbook can therefore pass the inspector while still containing an object, linked content, or cached state that matters to your sharing decision. Combine the report with visual review of every relevant worksheet.
Platform and method differences
| Task | Desktop Excel | Excel for the web |
|---|---|---|
| Unhide a worksheet | Use the sheet-tab right-click menu; workbook protection can restrict the command. | Command availability and labels can differ; use the controls presented by the web app or open the file in desktop Excel for the documented full workflow. |
| Unhide rows or columns | Use adjacent headers, or select A1 for hidden first row/column cases and use the Home menu. |
Use the web app’s available row and column controls; switch to desktop Excel if the command is unavailable or the case is ambiguous. |
| Show formulas across a sheet | Ctrl+` or Formulas > Show Formulas. | The formula bar shows the selected cell’s formula; use desktop Excel for whole-sheet formula display. |
| Document Inspector | File > Info > Check for Issues > Inspect Document. | The cited inspection workflow is for desktop Excel; open a copy in desktop Excel for this pre-sharing check. |
Because command locations and capabilities vary by platform, identify where the workbook will be edited and shared before choosing a procedure. A web-only review can miss desktop inspection features.
Troubleshoot common inspection problems
“Unhide” is unavailable for sheets
- Right-click a sheet tab rather than a cell; the command belongs to the tab menu.
- Check Review > Protect Workbook. Structure protection can disable Hide and Unhide.
- If there is no hidden sheet, inspect rows, columns, groups, filters, and objects instead.
Rows still look missing after you unhide them
- Clear or review active filters.
- Expand the lowest outline level.
- Check whether the rows are part of a table or PivotTable.
- Verify that the row height is not merely set to a very small value.
You cannot select the hidden first row or column
Use the Name Box or Go To to select A1, then use Home > Format > Hide & Unhide. Alternatively, right-click row 2 for a hidden row 1 or column B for a hidden column A.
Formula view shows values you did not expect
Check references to hidden sheets and ranges, named ranges, external workbooks, and filtered data. Do not delete the referenced content until you understand the dependency and have preserved the original workbook.
The inspector reports content you cannot see
Use the inspector’s review control to locate the item, then close the dialog and inspect the worksheet or object manually. Covered objects, hidden-column objects, links, embedded files, and filter caches can require a separate check.
A practical release checklist
- Saved an untouched original and a separate inspection copy.
- Checked sheet tabs for an available Unhide command.
- Scanned every relevant worksheet for skipped headers and double-line boundaries.
- Unhid or inspected row 1 and column A when their labels were absent.
- Displayed formulas in desktop Excel and reviewed references to concealed content.
- Expanded outline groups to the lowest detail level.
- Reviewed and, if necessary, removed and reapplied active filters.
- Ran File > Info > Check for Issues > Inspect Document on the copy.
- Reviewed each finding before removing anything.
- Manually checked objects, links, embedded files, tables, and PivotTables covered by the inspector’s limits.
- Documented why legitimate hidden content remains and confirmed that the distributed copy produces the intended results.
What a complete check can and cannot prove
The combination of visual checks, formula view, outline and filter review, and Document Inspector gives you a defensible review of ordinary hidden workbook content. It does not prove that no concealed information exists: some objects, covered content, external links, embedded files, and cached filter data require targeted inspection. Treat the final decision as a question of workbook purpose and audience, not simply whether Excel reports a clean inspection.
