Before pasting personal information into an AI app, identify the exact app and account, open its current privacy and activity controls, and check more than the model-training switch. Review retention, human review, memory, connected services, uploads, sharing, and administrator policies. If you cannot determine what is collected, who can access it, or how long it is kept, redact the information or do not submit it.
How do I check an AI app’s privacy settings before sharing personal information?
Use this repeatable check every time you add a new AI service, account, device, or integration. A setting that limits model improvement is only one decision. The service may still process a prompt to answer it, detect abuse, maintain security, provide support, comply with law, or perform other operations described in its privacy notice.
- Identify the exact service and account. Record the app or feature name, whether you are signed in with a personal or work/school account, and whether you are using a web, mobile, or desktop version. Note any browser extension, operating-system assistant, plug-in, or connected account involved.
- Open the current privacy controls. Look for Settings, Privacy, Data Controls, Activity, Personalization, or a similarly named menu. If the labels differ, use the provider’s official help page for the version you actually use rather than copying an old screenshot.
- Read the data-use description. Determine whether prompts, responses, feedback, uploaded files, images, audio, video, screen content, device data, or connected-app information are collected.
- Separate improvement, history, review, and deletion. Find each control independently. Turning off one does not automatically turn off the others.
- Inspect permissions and sharing. Check memory, personalization, public links, exports, third-party connections, and device permissions for the microphone, camera, contacts, photos, files, browser context, or screen.
- Decide what to disclose. Remove names, account numbers, exact addresses, credentials, private correspondence, and unnecessary attachments. Use a synthetic example or a short redacted excerpt where possible.
Keep a note of the settings you selected and the date. Menus, defaults, and product terms can change after an update, so repeat the check when a major feature or account type changes.
First, identify the product, account, and platform
Privacy controls are scoped to a particular product and account. A consumer chat app, a developer API, a workplace assistant, and an operating-system feature from the same company can have different data practices. A control in one service should not be assumed to govern another.

Check the signed-in identity
- Personal account: You generally control the visible activity and personalization settings, subject to the provider’s terms.
- Work or school account: An organization may set retention, disable options, review activity, or route data through enterprise policies. An administrator can make a setting unavailable to you.
- Shared device or family account: Other people with access to the device or account may see history, downloaded files, notifications, or shared links even if the provider’s servers are configured correctly.
Check where the request is running
Web, iOS, Android, Windows, macOS, browser extensions, and embedded assistants can expose different controls. A mobile voice feature may request microphone access that the text website never uses. A desktop assistant may see screen content or local files after you grant permission. Confirm the application name, publisher, version, and account before changing settings.
Check for a third-party connection
If the assistant can search email, cloud storage, calendars, contacts, photos, a browser, or another service, you are evaluating two privacy policies: the AI provider’s policy and the connected service’s policy. Disconnect integrations that are not needed for the task and review what information the integration can return, including excerpts, summaries, and inferences.
Open Privacy, Data Controls, or Activity settings
Start with the app’s settings rather than the chat composer. Look for labels such as Privacy, Data Controls, Activity, History, Personalization, Memory, Connected apps, and Shared links. Read the explanatory text beside each switch; a label such as “history off” may address visibility or storage, not every form of processing.

- What kinds of prompts, responses, files, feedback, and generated content are collected?
- Is activity used to improve models or other services?
- Can people review content for safety, support, quality, or abuse investigations?
- What is the default retention period, and can you choose another period?
- What happens when you delete a chat, turn off activity, or close the account?
- Are there legal, security, fraud-prevention, or safety exceptions?
- Do memory, personalization, connected apps, or public links create additional copies?
Will my AI chats be used to train the model?
Find the provider’s model-improvement or service-improvement control and determine exactly what it changes. Ask whether it applies only to future activity, whether feedback submissions are treated separately, and whether safety, security, support, or legal processing continues.

ChatGPT (OpenAI)
OpenAI’s consumer ChatGPT documentation describes an “Improve the model for everyone” control under Settings > Data Controls. Turning that control off addresses model improvement; it is not a promise that the service cannot process the conversation to answer it, maintain security, investigate abuse, provide support, or meet legal obligations. The same data-controls documentation covers chat history, data export, account deletion, shared links, and memory. The available options can differ for managed workspaces and other account types, so use the controls shown in your account.
Gemini Apps (Google)
Google calls its principal activity control Keep Activity in the Gemini Apps privacy materials. The notice says some activity is used to provide the service and protect Google, users, and the public even when Keep Activity is off. When Keep Activity is on, activity that includes connected-app data may be used to improve Google services, including training generative AI models. Turning it off limits future chats being used for that improvement purpose, subject to exceptions and other processing described in Google’s notice.
Microsoft Copilot
Microsoft’s personal Copilot privacy controls and FAQ apply to personal Microsoft accounts and consumer Copilot experiences. Microsoft 365 Copilot for work or school has a separate protection and administration context. Use the privacy controls for the exact Copilot version instead of assuming a consumer setting applies to an organization-managed assistant.
What an opt-out does not establish
- It does not prove that no employee, contractor, or automated safety system can access content.
- It does not erase copies already retained, reviewed, exported, backed up, or required for security or law.
- It may not cover feedback, uploaded files, voice or video, connected-app results, or a separate assistant feature.
- It may apply prospectively, leaving earlier activity under the previous setting.
Can a person at the company read my chats?
Do not infer the answer from a training switch. Providers may describe human review for safety, quality, support, abuse investigations, or other operational reasons. The scope, access controls, and retention period differ by product and account.
Read the provider’s sections on human review, safety, feedback, and support. Check whether submitting a thumbs-up, thumbs-down, bug report, or support ticket sends the associated conversation for review. A conversation that disappears from your visible history can still be subject to the provider’s stated review or security processes.

Google’s Gemini Apps Privacy Hub gives a specific warning: Please don’t enter confidential information that you wouldn’t want a reviewer to see or Google to use to improve our services, including machine-learning technologies.
This is guidance for Gemini Apps under the scope of that notice, not a universal statement about every AI service.
Microsoft’s Privacy FAQ for Microsoft Copilot similarly states: You shouldn’t provide any confidential or sensitive personal data that you would not want Microsoft to use for purposes explained in this FAQ and in the Microsoft Privacy Statement.
Treat these warnings as a practical disclosure rule: if human review would cause harm, do not submit the unredacted information.
If I turn off chat history or delete a conversation, is it really deleted?
History visibility, retention, model improvement, and complete erasure are separate questions. A deletion button may remove an item from the account interface while the provider retains limited data for security, legal, abuse-prevention, backups, or previously completed review.
Check the default and selectable retention period
Gemini Apps’ Privacy Hub, updated September 24, 2026, describes a default activity auto-delete period of 18 months. It lists user-selectable alternatives of 3 months, 36 months, or indefinite retention. These figures apply to Gemini Apps under the account and service scope of Google’s notice; they are not an industry-wide default.
Check exceptions after deletion
Google’s Gemini Apps notice says chats reviewed by human reviewers and related data are not deleted when a user deletes Gemini Apps activity; those materials may be retained for up to three years. This is a provider-specific disclosure dated June 29, 2026, and should not be generalized to other Google products or AI applications.

Use every available deletion control
- Delete the individual conversation if only one item is sensitive.
- Use the activity-management page to delete a selected range or all activity.
- Remove public or shared links separately; deleting your local history may not revoke a link already sent to someone else.
- Delete saved memories or personalization entries separately from chats.
- Revoke connected-app access and remove files from the connected service when appropriate.
- Submit an account-deletion or privacy request if you need the provider’s formal process, then read its stated exceptions and timelines.
After deletion, check whether search results, exports, shared links, downloaded files, browser history, or another signed-in device still expose the content.
Does this setting apply to uploaded files, voice, images, and connected apps too?
Never assume a text-chat control covers every input type. Before using a feature, identify the data it can access and whether it creates a separate record.

Google’s Connected Apps guidance notes that connected-app information can include excerpts, summaries, and inferences. Consider the original connected content potentially implicated even when the assistant displays only a short answer.

Yes. Organization-managed accounts can have different data boundaries, retention rules, audit systems, and administrator controls from personal accounts. The person who pays for or administers the service may be able to enable, restrict, or monitor features.
Before using an organization account
- Confirm whether the account is personal, business, education, or a guest identity.
- Read the organization’s acceptable-use, records-retention, and security policies.
- Ask whether administrators can access prompts, files, logs, or audit exports.
- Determine whether the assistant uses organization data to answer requests and whether that data is isolated from public model training.
- Check whether deleting a chat in your interface conflicts with legal holds, backups, or organizational retention.
Microsoft explicitly separates personal Copilot experiences from Microsoft 365 Copilot for work or school. Google’s Gemini activity materials also note that work or school controls may be administrator-managed. OpenAI workspace administrators and account type can affect which ChatGPT options appear. If the policy is unclear, ask the administrator or privacy contact before entering personnel records, customer data, student information, health details, or confidential business material.

How the main controls differ
The following comparison uses only the documented scopes of the named products. It is not a ranking of which service is “most private.” Read the current notice for your account before relying on any row.

What should I share after checking the settings?
Apply data minimization even when the controls appear favorable. The goal is to give the assistant enough context to perform the task, not to submit the complete record.
Redact direct identifiers
- Replace names with roles such as “customer A” or “employee B.”
- Remove account, passport, driver-license, tax, medical-record, and payment numbers.
- Generalize exact addresses, dates of birth, phone numbers, email addresses, and GPS locations.
- Delete credentials, API keys, recovery codes, private encryption keys, and authentication cookies.
Minimize context
Paste the smallest excerpt that answers the question. Remove unrelated pages from a PDF, crop faces from images, mute unnecessary audio, and disable integrations that are not required. A synthetic example often produces the same writing, coding, or planning help without exposing a real person’s information.

You may have authority to use your own data but not a colleague’s, customer’s, patient’s, student’s, or family member’s. Obtain the required permission and follow contractual, professional, and organizational rules before submitting someone else’s information.
What to do when the privacy controls are unclear
Uncertainty is itself a reason to reduce disclosure. Do not treat a vague “private” label, an incognito window, or a temporary chat as proof of zero retention or zero review.
- Pause the upload or message.
- Read the provider’s current privacy notice and feature-specific help page.
- Search the notice for “retention,” “human review,” “safety,” “feedback,” “connected apps,” “deletion,” and “administrator.”
- Ask the provider or your organization’s privacy contact a specific question: what data is stored, for how long, who may access it, and what deletion removes.
- Replace the content with a redacted or synthetic version while you resolve the uncertainty.
- If the answer remains unclear and the information is sensitive, do not submit it.
Recheck after updates and new features
Privacy settings are not a one-time inspection. A provider can add memory, voice, image analysis, browser control, connectors, or new sharing options without preserving the old menu layout. Recheck after changing account type, installing a new app, granting a permission, enabling a connector, or accepting a major terms update.
At a minimum, review the settings when you first create the account, before a sensitive project, after a product update, and whenever another person will use the same account or device. Keep the provider, product scope, setting name, and review date in your notes so you can spot changes.

A final pre-send checklist
- Am I in the intended app, account, and platform?
- Is this a personal account or an organization-managed account?
- Do I know whether prompts and attachments can be used for model or service improvement?
- Have I checked history, auto-delete, deletion exceptions, and human review separately?
- Are memory, personalization, connected apps, browser context, screen, microphone, or camera enabled?
- Could a shared link, export, notification, or another device expose the content?
- Have I removed identifiers, credentials, and unrelated details?
- Would I accept the provider’s stated review and retention practices if the information were displayed to a reviewer?
- If any answer is unknown, can I use a synthetic example or avoid sending the information?
