To change sharing permissions in OneDrive on the web, select the file or folder, open Info or Details in the upper-right corner, then choose Manage access. From there, you can review existing access, adjust a person’s permissions, or manage a sharing link. To set permissions for a new link, select Share and choose the audience and view/edit setting before sending it.
Change permissions on a file or folder already shared
- Sign in to OneDrive on the web and select one file or folder. Some access details require a single item to be selected.
- Open Info or Details in the upper-right area, then select Manage access. The panel can show people, groups, and links associated with the item.
- To change a named person’s direct access, select that person and use the available permission controls, or remove their access.
- To change or revoke link-based access, open the link’s settings or remove the link. Removing a link disables that route to the file; it does not delete the file.
Microsoft says the owner, or someone with edit permissions, can change or stop sharing in this flow. The exact controls depend on the access type and account. Some existing link types may not be editable in place; if the needed setting is unavailable, create a new link with the desired settings and share it with the intended recipients.
Choose permissions for a new sharing link
Select the item and choose Share, then open the link settings before sending. Depending on the account and organization policy, the audience choices can include Anyone, people in the organization, people with existing access, or Specific people. Work or school administrators can restrict which choices appear.

Then choose whether recipients can view or edit, if those options are available. View access allows viewing without editing. Edit access allows changes. For a shared folder, edit permissions have wider consequences: editors may copy, move, edit, rename, share, and delete items they can access. Grant folder editing only when that breadth is appropriate.

Stop sharing without confusing links and direct access
OneDrive can grant access through separate paths: a named person’s direct permission, a link, or permission inherited from a parent folder or site. In Manage access, identify the route you intend to remove. Removing one link does not revoke a person’s separate direct or inherited access; likewise, removing a person’s direct permission may not invalidate a link they can use.
If the item’s access comes from a parent folder or site, changing the individual file may not be enough. Address the permission at the parent folder or site where it was granted. Changes to folder permissions can also affect files within that folder. Microsoft’s access overview guidance explains how to inspect who has access.

Optional link controls and why they may be missing
- Expiration dates and passwords: Microsoft lists these as options for Microsoft 365 subscribers. Folder links have additional qualifications in its guidance, so check the controls shown for your account and item.
- Block download: For work or school accounts, this may be available on view-only links. Microsoft says recipients then do not see download, print, or copy options and can only view supported files on the web. An administrator may disable this setting. It does not prevent screenshots or every other form of capture.
- Audience options: An organization’s administrator can restrict link types, so an audience choice may be missing or unavailable.
- Permission controls: The item’s link type, existing access, account type, and inherited permissions can affect whether you can edit a setting directly.
