There is no single cancellation deadline that applies to every Flock Safety customer. Your signed agreement, Order Form, amendments, and incorporated product- or state-specific terms control. First identify whether you are requesting non-renewal at the end of the current term or early termination during the term. Then calculate the deadline from the controlling clause, send notice exactly as required, and preserve proof of delivery and the vendor’s written closeout confirmation.
The short answer: check your signed contract before choosing a deadline
Flock Safety customers do not all use the same contract. Some agreements reference Flock’s online Terms and Conditions; others are standalone Master Services Agreements, public-sector agreements, or negotiated documents with their own renewal and termination language. Flock’s current online terms, marked last updated August 21, 2026, do not automatically replace a separate signed agreement.
The Order Form is especially important because it identifies the services and the period for performance. An Order Form may also incorporate product-specific terms, state-specific provisions, security or privacy terms, and third-party conditions. Read those documents together rather than relying on a general statement such as “Flock contracts require 30 days’ notice.” The reviewed standard terms do not establish one universal ordinary non-renewal period.

1. Collect every document that may control the cancellation
Before sending notice, create one working file containing the complete contract record. Missing an incorporated document can change both the deadline and the amount owed.

Flock’s legal-document hub lists its online terms and related policies. Use it to identify documents referenced by your agreement, but do not assume that the newest web page changes a previously signed contract. Flock’s September 29, 2026 terms-update article explains that the online terms govern customers whose signed agreements reference them; it does not make those terms universal.
2. Decide whether you need non-renewal or early termination
These are different contractual routes. Calling a request “cancellation” without identifying the route can lead to a rejected notice or an unexpected invoice.

Non-renewal at the end of the current term
Non-renewal tells Flock that you do not want another term after the existing Order Form or agreement expires. It normally depends on a renewal clause and a notice deadline measured backward from the expiration date. The contract may renew for a stated period, renew only if both parties sign, or require advance notice to stop an automatic renewal.
The reviewed general online terms say each Order Form states its term, but they do not provide one ordinary non-renewal window for all customers. A City of Troy agreement reviewed as an example includes a 30-day pre-expiration notice clause. That illustrates how an individual public agreement can differ; it is not a rule for other customers.
Early termination during the term
Early termination ends service before the scheduled expiration date. It generally requires a specific contractual right or a recognized ground. Under Flock’s current online Terms and Conditions, listed grounds include:

- An uncured material default after written notice identifies the default and the applicable 30-day cure period expires.
- Certain violations of law or the agreement.
- Enumerated bankruptcy or insolvency events.
- Having no active Order Forms.
Your signed terms may add termination for convenience, customer satisfaction, failure to meet service levels, regulatory change, or another negotiated condition. Do not treat the list above as an exhaustive statement of every customer’s rights.

3. Calculate the notice deadline from the actual clause
Use the contract’s wording and date-counting rules, not a generic calendar assumption. Record both the intended end date and the last date on which notice must be received.
- Identify the event that starts the calculation. It may be the Order Form’s expiration date, the end of a fiscal year, or the date a breach notice is delivered.
- Read the exact timing phrase. “At least 30 days before expiration,” “30 days’ written notice,” and “30 days after receipt” can produce different deadlines.
- Check whether receipt or sending controls. The current online terms describe when notices are deemed effective; another agreement may use a different rule.
- Apply the agreement’s business-day or calendar-day language. If the clause is silent, obtain procurement or legal advice before relying on a disputed calculation.
- Build in delivery margin. Send early enough to allow for courier transit, email-confirmation problems, holidays, and a request for written acknowledgment.
For example, if an individual agreement requires notice at least 30 days before a December 31 expiration, calculate the date under that agreement’s counting convention and ensure Flock receives the notice by the resulting deadline. Do not copy the City of Troy example into a different contract, and do not assume that every Order Form expires on December 31.
The number “30 days” appears in specific contractual provisions, not as a statistic about Flock customers. In the current standard terms it is used for the material-default cure period and, where applicable, non-appropriation notice.
4. Check automatic-renewal language carefully
To answer whether your Flock contract automatically renews, locate the renewal paragraph in each active Order Form and any incorporated agreement. Confirm all of the following:

- The length of the renewal term.
- The deadline for non-renewal notice and whether notice must be received.
- Whether different products or locations have separate renewal dates.
- Whether a purchase order, appropriation, or board action affects renewal.
- Whether pricing, minimum commitments, or hardware charges continue during a renewal.
Flock’s general online terms reviewed for this guide do not state one universal ordinary non-renewal window. If the Order Form says nothing clear, inspect the agreement’s definitions, order hierarchy, and amendment history before concluding that renewal is automatic or that no notice is needed.

5. Public-sector customers: analyze non-appropriation and addenda
The current online terms include a public-funding provision. Where the required funds are not appropriated for a future fiscal year, an applicable public customer may terminate at the end of the relevant fiscal year on 30 days’ written notice, subject to the agreement and any product-specific addenda. The customer remains liable for amounts incurred before termination.
Flock’s September 29, 2026 terms-update article says it removed prior language that restricted non-appropriation based on discretionary budget decisions or treated the right as a termination-for-convenience right. That update does not eliminate the need to read the version incorporated into your signed contract. A customer whose agreement predates or excludes the online terms may be governed by different language.
Review the Safe City Program Addendum if it is incorporated into the contract. Its stated calculation may require reimbursement of discounts after a non-appropriation termination. Therefore, a non-appropriation notice does not automatically mean that all future costs disappear or that discounts are retained without adjustment.
Before sending a public-sector notice, coordinate the contract file with the finance, procurement, and authorized-signature officials who can verify the fiscal-year boundary, appropriation record, and authority to terminate.
6. Send the notice exactly as the contract requires
Use the notice section in the controlling agreement for the recipient, address, permitted delivery methods, signer, and effective date. Under Flock’s current online terms, notices are directed to the email address or mailing address shown in the Order Form.

These rules apply to the current online terms as described; your signed agreement may require a different method or address. If the contract permits email, send from an account associated with the customer entity and request a confirmation. If it requires mailed notice, use the precise legal name and address in the Order Form rather than a general sales contact.

What the notice should say
- The customer’s exact legal name and contact information.
- The agreement, Master Services Agreement, and Order Form numbers or other identifiers.
- The products, locations, and services covered.
- Whether the letter is a non-renewal or an early-termination notice.
- The requested effective date and the contract clause supporting it.
- For a default-based termination, the facts constituting the default, prior notice, and expiration of the cure period.
- For non-appropriation, the fiscal-year basis, appropriation determination, and requested end date, if required by the agreement.
- A request for written confirmation of the effective date, final charges, hardware instructions, data handling, and access shutoff.
Adaptable notice template
Subject: Contract non-renewal/termination notice — [customer legal name] — [agreement or Order Form number]
To the notice recipient identified in the agreement:
[Customer legal name] gives written notice under [clause or section] that it [will not renew / terminates] the services identified in [agreement and Order Form]. The requested effective date is [date].
The contractual basis is [non-renewal under the renewal clause / uncured material default after notice and cure period / non-appropriation / other stated right].
Please confirm in writing:
1. the effective end date;
2. the final amount due and any credits or reimbursement calculation;
3. hardware removal or return instructions;
4. data export, retention, and deletion requirements; and
5. the date service credentials and access will end.

[authorized signer name and title]
[contact information]Replace every bracketed field before sending. Keep the final signed version exactly as delivered.
7. Build a cancellation record that can survive a dispute
A complete file should let a new procurement officer, auditor, or attorney determine what was sent, when it was received, and why the requested date was selected.
- Signed agreement, every active Order Form, amendments, renewal documents, and applicable addenda.
- The clause used, the date calculation, and the intended effective date.
- The final notice showing the customer entity, agreement identifiers, requested date, and contractual basis.
- Delivery evidence required by the agreement: electronic confirmation, courier record, or signed or registered-mail receipt.
- Flock’s written acknowledgment and any disagreement about timing or grounds.
- Invoices, credits, final charges, discount-reimbursement calculations, and payment records.
- Hardware serial numbers, removal appointments, shipping records, and site-access logs.
- Data-export requests, retention instructions, deletion confirmations, and access-termination records.
This is a practical documentation method, not a claim that every item is a contractual condition. The controlling agreement determines which documents are legally required.
8. Confirm the closeout, not just the notice
Ask Flock to confirm the operational end state in writing. The current online terms say Flock will remove applicable Flock Hardware within a commercially reasonable time after termination or expiration. The reviewed materials do not establish one universal data-export deadline or post-termination access period.
Obtain specific answers to these questions:
- What date does service stop, and when will user access be disabled?
- What amount remains due, including prorated charges, taxes, credits, or reimbursement of discounts?
- Which hardware will be removed, by whom, and at whose cost?
- How can the customer export images, alerts, logs, or other records before access ends?
- How long will Flock retain customer data, and when will deletion occur?
- Are integrations, API credentials, mobile accounts, or shared links still active?
Do not infer a data-export or deletion deadline from the hardware-removal language. Confirm those obligations in the applicable product provisions and signed agreement.
9. Compare the terms before deciding which route to use

10. Troubleshoot common cancellation problems
“I cannot find the signed agreement.”
Ask procurement, accounts payable, the contract owner, and the Flock account administrator for the executed PDF and all Order Forms. Search purchase-order records and renewal approvals. Do not rely on a sales email or an unsigned web page to establish the notice deadline. If the deadline is approaching, send a protective notice through every method permitted by the documents you can verify, while stating that the customer reserves its rights under the controlling agreement.

“Flock says the online terms apply, but our MSA says something else.”
Compare the incorporation clause, amendment dates, order-of-precedence language, and the exact version referenced by the signature package. Flock’s September 29, 2026 explanation distinguishes customers governed by referenced online terms from customers with a static standalone agreement. Ask Flock to identify the document and version it believes controls, then have the customer’s procurement or legal authority resolve the conflict.
“We missed the non-renewal date.”
Review whether the agreement provides a termination-for-convenience right, a statutory public-sector right, a material-default remedy, or a negotiation mechanism. Send a notice immediately rather than waiting for the next invoice, and ask whether Flock will agree in writing to an early end date. Do not represent that a late notice automatically cancels the renewal.
“There is a service problem, but the cure period has not ended.”
Follow the default clause precisely. Describe the material default, cite the contractual section, provide the required notice, and allow the full cure period unless the agreement states otherwise. Under the current online terms, the reviewed material-default route uses a 30-day cure period. Preserve technical records, support tickets, incident dates, and any promised remediation.

“Our public agency lost funding.”
Confirm whether the situation is a qualifying non-appropriation under the version of the agreement in force, identify the applicable fiscal-year end, and calculate the 30-day notice requirement if the clause applies. Check for discount-reimbursement language, including the Safe City Program Addendum, and pay amounts incurred before termination.
“Flock acknowledged cancellation but hardware remains onsite.”
Request a written removal schedule, identify each device, and document site access. The current online terms refer to removal within a commercially reasonable time after termination or expiration; obtain a concrete date and instructions rather than assuming that physical removal and account closure happen simultaneously.
11. When professional review is prudent
Consider legal or procurement review when the contract has a large financial commitment, public-funding conditions, multiple Order Forms, disputed defaults, a missed renewal deadline, discount-repayment exposure, or conflicting documents. A reviewer can verify whether a clause creates a right to terminate, whether notice was timely, and whether state-specific provisions alter the result.
Keep the final decision tied to the executed documents. A general web summary, another customer’s agreement, or a sales representative’s informal assurance cannot substitute for the notice and termination language that governs your account.

- Have you identified the signed agreement, every active Order Form, amendments, and incorporated addenda?
- Are you requesting non-renewal or early termination?
- What exact clause supports the request?
- What is the contract-defined effective date, and when must notice be received?
- Does a cure period, fiscal-year rule, or state-specific provision apply?
- Are you sending to the contractual recipient using the required method?
- Have you preserved confirmation of delivery?
- Have you requested written confirmation of final charges, hardware, data, and access closeout?
The safest cancellation is a documented contract exercise: identify the governing version, calculate the date from its language, deliver notice in the prescribed way, and close the account only after the end date and remaining obligations are confirmed in writing.
