You can turn a spreadsheet into a batch of scheduled social posts by importing it through a scheduler that supports bulk uploads. The reliable way to do it is to start with that scheduler’s own template, match its date, time, account and media rules, then review the import results before approving or scheduling valid rows. Uploading can be quick; processing and publishing are not always immediate.
How do I bulk upload posts from a CSV or spreadsheet?
The exact controls and file requirements depend on the scheduling service, but the workflow is usually the same. Treat the scheduler’s downloadable template as the specification rather than assuming a spreadsheet prepared for another product will work.
- Choose the scheduler and accounts. Confirm that it supports the social networks, account types and post formats you intend to use, including any image or link requirements.
- Download its current import template. Keep the supplied header names and column structure. Different tools use different fields, file types and date formats.
- Enter one post per row. Add the intended account or channel, message, scheduled date and time, and only the links, media or campaign fields that the template supports.
- Check the file format, timezone and dates. Save or export in an accepted format. Confirm which timezone the import uses and enter times in the required format.
- Upload and review validation. Read the import summary, preview the posts, and correct rejected or incomplete rows.
- Approve or schedule the valid posts. Some services require an approval step. After confirming the import, check the calendar or import status to verify what is scheduled.
Do not treat a successful upload as proof that every post is ready to publish. Validation, approval permissions and processing queues can affect what happens next.
Why should I use the scheduler’s template?
A spreadsheet is not a universal import format. One scheduler may expect a column named “message,” while another may require a different header, additional account information or platform-specific settings. Even when two tools accept CSV files, their schemas are not interchangeable.

PostDaily’s Help Center, updated August 22, 2026, says that “Filling in your own spreadsheet from scratch is the most common reason an import fails.” Its documented per-channel CSV uses text, image_url, tags and posting_time. Use those fields only for PostDaily’s specified import—not as a general template for other services.
Dates, times and timezones: what should I check?
Use the format specified by the selected importer, and verify how it interprets the scheduled time. A date that looks clear to you may be read differently by software; a correct date entered in the wrong timezone can also place a post at the wrong local time.

These are service-specific examples, not a shared industry standard. Check the current template and upload dialog for the scheduler you actually use.

Media support varies by service and post type. Check whether your importer accepts file uploads, URLs, or both, and whether it requires a particular kind of URL. For example, PostDaily requires images to use publicly reachable direct HTTPS links; a shared Google Drive or Dropbox page may not qualify. A link that opens a preview page is not necessarily a direct image URL.

What can slow down or block scheduled posts?
- Incorrect headers or missing fields: The importer may reject rows that do not match its template.
- Invalid dates or times: A wrong format, past time or timezone mismatch can prevent a post from being scheduled as intended.
- Unsupported media: A private, inaccessible or non-direct media link may fail the service’s checks.
- Approval requirements: A post or import can remain pending if your account’s permissions require someone to approve it.
- Processing time: A file may be accepted before all posts finish processing.
HubSpot says bulk-upload processing can take 15 minutes to 24 hours. Its documentation, updated July 27, 2026, lists support for up to 300 posts and 50 social accounts, and says the feature is available with Marketing Hub Professional and Enterprise. The article also recommends uploading a day ahead if a post could otherwise be due during processing. These limits and plan requirements apply to HubSpot, not to bulk upload generally. How many posts can you import at once?
Limits depend on the product. For example, PostFast’s Help article, updated September 7, 2026, documents a maximum of 200 posts per import and a 10 MB CSV limit. It validates rows individually, allows invalid rows to be fixed and reuploaded, and may hold an import for approval depending on permissions. These are PostFast-specific limits and workflow details. HubSpot documents up to 300 posts and 50 social accounts per bulk upload; its limits and plan access differ from PostFast’s. Neither figure should be assumed to apply to another scheduler.

How should you compare bulk schedulers?
Before committing a large batch, compare the capabilities that determine whether your posts can be imported and published as intended:
- Supported social networks, account types and post formats
- Maximum accounts and posts per import
- Accepted file types and the exact template fields
- Media and link requirements
- Date format, timezone handling and scheduling lead time
- Row-level validation, previews, approval controls and import-status tracking
- Plan or subscription access to bulk upload
A service that accepts a file quickly may still be a poor fit if it lacks your required post type, account or review workflow. Verify these details in the product’s current documentation and template before preparing the full batch.
