SOC 2 evidence automation connects relevant systems to controls, collects and organizes evidence, and preserves enough context for people to review what happened. It can make evidence work more consistent, but it does not establish by itself that a control operated effectively or replace control owners’ and auditors’ judgment. Build the workflow around the Trust Services Criteria relevant to your system and examination—not around a generic checklist or a vendor’s feature list.

What SOC 2 evidence automation should do

A useful evidence workflow links each relevant control to the source data that can help demonstrate it, then makes that evidence available for review with its timing, origin, and context intact. Depending on the control, evidence may come from connected systems, manually supplied records, or both. In its report for May 1, 2024–April 30, 2025, OneTrust describes its Certification Automation system as supporting both automated and manual evidence collection, audit-process management, and compliance monitoring. That is an example of one examined product, not a universal specification for SOC 2 software. OneTrust 2025 SOC 2 report

The important distinction is between collecting evidence and assessing what it proves. A connector might retrieve a configuration snapshot or a record of an approval. A person still needs to determine whether that evidence is relevant, complete, and persuasive for the control and period under examination. A workflow that gathers files but loses who supplied them, when they were collected, or what event they relate to can create volume without making review easier.

Start with the criteria and the examination scope

SOC 2 engagements use the AICPA Trust Services Criteria to evaluate controls over the categories relevant to the organization’s system. The AICPA identifies five categories: security, availability, processing integrity, confidentiality, and privacy. Which categories apply depends on the system and examination; a generic control checklist should not be treated as a complete audit specification. AICPA Trust Services Criteria resource

Before configuring automation, agree with control owners and the service auditor on the system boundary, relevant criteria, examination period, and evidence expected for each control. Do not assume that a particular connector, screenshot, or evidence frequency is required for every organization. For questions about coverage of a period—for example, six months—confirm the scope and evidence expectations with the auditor rather than inferring a universal requirement from a community discussion or a software checklist.

Map controls to sources before choosing integrations

For each control in scope, record what event or condition needs to be demonstrated, who owns the control, which system holds the evidence, and how a reviewer can tell the evidence is complete and current. Then test whether the available integration supplies that information in a reviewable form. A connection to a source system is not useful merely because it is available; the collected fields and context must serve the control’s purpose.

  1. Define the control outcome. Describe what should happen and what evidence would show it, using language agreed with the control owner and auditor.
  2. Identify the authoritative source. Locate the system or record that captures the event, configuration, approval, or population relevant to the control.
  3. Check evidence quality. Verify that collection preserves relevant dates, ownership, status, and context, and that a reviewer can trace an item back to its source.
  4. Set operating expectations. Decide how often evidence is collected, what makes it stale or incomplete for your process, and who investigates a gap.
  5. Document manual steps. If a connector cannot provide the needed evidence, specify who supplies it, how it is reviewed, and where the supporting record is retained.

OneTrust’s 2025 report describes integrations with cloud services, version-control systems, workstation-management services, and employee-population systems; examples named include AWS, Google Cloud Platform, Microsoft Azure, GitHub, GitLab, BambooHR, and identity providers. The report also describes controls over integration policies, access to integration changes, integration errors, and approval and testing of integration changes. Its auditor reported no exceptions in the listed integration-control tests for May 1, 2024–April 30, 2025. These are examples from that report, not a required integration list or a comparison of products. OneTrust 2025 SOC 2 report

Govern integrations as part of the control surface

Integrations can affect the accuracy and availability of collected evidence, so treat connector setup and changes as governed work. Assign responsibility for each integration, restrict who can alter its configuration, and define how failures are detected, routed, and resolved. Preserve enough information to explain what changed and whether the change was reviewed and tested. These are practical safeguards, not a universal verbatim checklist from the AICPA.

When evaluating a build or buy option, compare it against your actual systems and controls. Ask whether missing or stale data is visible, whether connector permissions are appropriately limited, how errors reach an owner, and how changes to a connector are approved and tested. Confirm how the system distinguishes successful collection from a control failure, and how much manual follow-up remains. The available reports do not establish a universal integration set or rank automation platforms.

Make audit trails reconstruct consequential actions

An audit trail should let a reviewer reconstruct a consequential action rather than show only its final state. For a change, an implementation pattern is to retain the request or ticket, owner, appropriate approval and its timing, testing or review record, implementation outcome, and related logs or release notes. The exact records depend on the control and system; this list is practical guidance, not a universal AICPA checklist.

The 2024 OneTrust report reproduces this criterion attributed to AICPA Trust Services Criterion CC8.1: “The entity authorizes, designs, develops or acquires, configures, documents, tests, approves, and implements changes to infrastructure, data, software, and procedures to meet its objectives.” The criterion’s sequence illustrates why retaining only a deployment record may leave important parts of a change difficult to demonstrate. OneTrust’s 2025 report describes logging administrative activity, logon attempts, configuration changes, and role changes, along with approval before production changes. The precise event types to record in another organization depend on its system and controls. Keep logs protected and accessible to the people responsible for review, and define retention and access practices that fit the examination and applicable requirements.

Design approvals so the record proves they happened

An approval workflow needs more than an enabled button or a configured routing rule. It should preserve who requested an action, who approved it, when the approval occurred relative to implementation, and what was approved. Where review or testing is part of the process, retain that record too. Define how exceptions—such as urgent changes or an unavailable approver—are handled, authorized, and documented.

The distinction between design and operation is visible across two separate OneTrust reporting periods. Its 2024 report says change-approval controls were not consistently performed during May 1, 2023–April 30, 2024. Its later report covers May 1, 2024–April 30, 2025 and describes tested integration and evidence controls. Those findings belong to their stated periods; they should not be blended into a claim about every period or every organization. 2024 report; 2025 report

Test the workflow, not just the dashboard

Before relying on an automated workflow, walk through a real or representative control event from source to review. Confirm that the expected evidence appears, that an error or missing record is surfaced to an owner, and that the retained trail explains the sequence of events. Periodically check whether the evidence is still connected to the right control and whether people are completing required manual steps. A dashboard showing a control as “ready” is not a substitute for examining its supporting records.

The independent service auditor in OneTrust’s 2025 report cautions: “There are inherent limitations in the effectiveness of any system of internal control, including the possibility of human error and the circumvention of controls.” Automation can support consistent collection and follow-up, but it cannot remove those limitations or transfer control ownership to the software. OneTrust 2025 SOC 2 report

A practical implementation sequence

  1. Set the boundary. Confirm the system, applicable Trust Services Criteria, examination period, and control owners.
  2. Build a control-to-evidence map. For each relevant control, identify the evidence source, collection method, review owner, and manual dependencies.
  3. Prioritize integrations. Connect sources that can supply meaningful, traceable evidence; document gaps rather than marking them complete by assumption.
  4. Govern connector and workflow changes. Establish access limits, approvals, testing, error routing, and retained change records appropriate to your process.
  5. Run an operating walkthrough. Trace sample events through collection, approval, review, and retention; correct unclear ownership or missing evidence paths.
  6. Maintain the process. Review failures and stale or incomplete evidence, and reassess mappings when the system or controls change.

The result should be a reviewable chain from control to source, evidence, and human assessment—not simply a larger repository of collected files.
