An AI second brain is not a particular app: it is a repeatable way to capture useful information, organize it for retrieval, distill what matters, and put it to work. AI can make searching and drafting easier, but it does not guarantee better thinking—and connecting it to your notes changes where their contents may go. Build the workflow around what you need to find and create, then add AI only after you understand its data access and retention.

What does a second brain do?

Forte Labs describes its C.O.D.E. method as Capture, Organize, Distill, and Express: a four-step process for turning information you consume into creative output and concrete results. That is the publisher’s framework, not an independently validated productivity formula. Its practical value is in connecting saved information to later use rather than treating note accumulation as the goal.

Think of the system as an information workflow supported by software, habits, and safeguards. The app is replaceable; the useful test is whether you can save material when you encounter it, retrieve it when needed, and apply it to a real project or decision. Forte Labs says its approach can be used in a person’s preferred app or platform. Forte Labs’ Building a Second Brain overview explains the framework.

How do you run the C.O.D.E. loop?

Capture information worth keeping

Save material that is likely to help with a current project, recurring responsibility, decision, or interest—not everything you read. Use a low-friction inbox that works where ideas arise, whether that is a quick note, a clipped passage, or a saved document. If capturing takes too many taps or decisions, the habit is likely to break down.

Organize for later retrieval

Give saved items a small number of meaningful destinations that reflect what you are working on or expect to revisit. Organize to make retrieval and use easier, not to build a perfect taxonomy. Start with only the structure you can maintain; add a category when you repeatedly struggle to find or reuse something.

Distill the useful idea

Extract the claim, question, decision, or passage that matters. Keep enough context to understand the source and its limits. An AI summary can be a useful navigation aid, but when exact wording, evidence, or nuance matters, retain and check the original rather than treating a generated summary as a substitute.

Express what you have learned

Use distilled notes in something outside the note system: a decision, lesson, presentation, design, conversation, or piece of writing. This closes the loop. If a library grows but never changes what you do or produce, revisit what you capture and how you organize it.

How should you choose the app?

There is no universal winner established by the available evidence. Forte Labs lists tools including Evernote, Notion, Microsoft OneNote, Apple Notes, Roam Research, Obsidian, DevonThink, Bear, and Google Keep among apps its students use, while describing the system as tool-agnostic. Choose against your own workflow and constraints rather than assuming a popular app is the right foundation.

Decision Questions to ask
Capture friction Can you quickly save a thought, document, or passage from the places and devices where you work?
Retrieval Can you find notes using the methods that fit how you write—such as titles, full-text search, tags, links, or an AI query?
Portability Can you export or use your material elsewhere in a durable form? Check the specific app’s current export options; comparable guarantees across the named apps are not established here.
Collaboration Is this a personal library, or will other people need to access and maintain it?
Privacy and control Where is data stored, which services or processors receive it, and do you need local or offline access?
Maintenance Can the system stay understandable without constant filing, tagging, or plugin upkeep?

Try the workflow with a small set of real notes before migrating a large archive. A sensible foundation is the one that makes capture and retrieval dependable while matching your privacy, collaboration, and portability needs. Check the vendor’s current documentation for export behavior and storage details instead of inferring them from an app’s general reputation.

Where can AI fit—and what changes when you add it?

AI features can support search, question answering, writing, and note generation. Vendor documentation describes what products offer; it does not establish that those features improve a user’s thinking or productivity. More importantly, an AI connection may send note contents to a service or processor. Inspect the specific feature, account permissions, provider, training terms, and retention policy before using it with sensitive information.

AI built into a hosted workspace

Notion describes Notion AI as a way to search, chat, and write within a workspace. Its published security documentation says workspace data is not used to train models by default, while information used to power the feature is shared with AI subprocessors under contractual restrictions. Notion also says retention varies by plan and feature: Enterprise workspaces default to zero data retention with LLM providers, while non-Enterprise workspaces default to provider retention of 30 days or fewer; some features may require data-retaining models. These are Notion’s published claims, not a guarantee about every configuration or future policy. Check the current Notion AI security practices for the plan and feature you intend to use.

AI connected to a workspace through another app

OpenAI’s Help Center says the Notion app in ChatGPT can search and read pages that the connected account is authorized to access. Availability depends on plan, workspace configuration, and permissions; connecting does not expose every page in an organization. The documentation also says individual sync is not supported. See OpenAI’s Notion app for ChatGPT documentation for current availability and access details.

AI called from a local note app

The Obsidian Community listing for Second Brain Builder describes generating linked notes through cloud command-line backends or Ollama. It says selected text and surrounding context are sent to the configured backend; with Ollama, processing stays on the user’s machine. The listing describes the plugin as desktop-only and specifies compatibility requirements, which can change. This is one third-party community plugin workflow, not a built-in default capability of Obsidian or an endorsement. Review the Second Brain Builder listing and its current configuration before installing it.

What safeguards make an AI knowledge system safer to use?

  • Start with low-sensitivity notes while configuring a new AI integration; do not assume a connection is private simply because it is convenient.
  • Use explicit access controls and grant only the account, workspace, and pages the feature needs.
  • Before sending material to cloud AI, check the current training and retention terms for the exact plan and feature. “Not used for training” does not mean “never processed or retained.”
  • Keep source notes distinguishable from generated synthesis. Label or date AI-generated content when that will help you review it later.
  • Ask for source locations or citations when available, then verify important claims against the saved original.
  • If local processing is essential, verify the model and the surrounding sync, backup, and plugin setup. Using a local model alone does not prove every part of an installation stays local.

Will you spend more time organizing than using your notes?

That risk is real if the system rewards filing rather than retrieval and output. Keep the structure small, capture selectively, and make regular use of notes in active work. When you notice repeated friction—such as failing to find a recurring reference—make one targeted adjustment instead of rebuilding the taxonomy. The workflow should reduce the effort of doing useful work, not become a separate project that needs constant tending.

Is this just another productivity system you’ll stop using?

A system cannot guarantee consistency. It is more likely to remain useful when capture is easy, the organizational structure is modest, and saved material supports work you already care about. Begin with one active project and a simple inbox; expand only when a recurring need gives you a reason. If you stop using it, the first question is not how to add more tags—it is whether the system still helps you retrieve or apply information.

What evidence supports the productivity claims?

A 2025 arXiv paper, “How People Manage Knowledge in their ‘Second Brains’: A Case Study with Industry Researchers Using Obsidian,” reports an in-depth case study of researchers in a Brazilian lab. It found that participants’ retrieval strategies influenced how they built and maintained their knowledge bases. That is a grounded observation about practice, not proof of broad causal productivity gains. Read the 2025 case study on arXiv.
