An SAP exit plan is a controlled business transition, not a software-installation project. To protect operations, decide the destination and scope first, map every process and interface that depends on the current ERP, choose a transition pattern that matches the landscape, rehearse migration in production-like systems, and make cutover a set of measurable business decisions. Keep the legacy environment available until data, audit, and unresolved-process obligations are closed.

This guide uses “SAP exit” primarily to mean leaving a legacy SAP ERP environment for SAP S/4HANA or another SAP offering. A move to a non-SAP ERP requires a destination-specific design for data models, controls, integrations, and legal retention; the sequence below remains useful, but the technical migration details must be rebuilt around that target.

Start by defining the exit you are actually planning

“Exit” can describe several materially different programs. A technical conversion keeps most existing processes and changes the underlying ERP platform. A selective transition moves a chosen scope and may transform processes or organizational structures. A greenfield implementation redesigns processes and builds the target configuration anew. Leaving SAP entirely adds another layer of uncertainty because target functionality, data structures, integration methods, and support terms will differ.

Write the decision in one sentence before selecting tools: “By date, business units will run defined processes on target platform, while specified historical records and exceptions remain accessible through approved method.” If that sentence cannot be completed, the program is not ready for a migration plan.

Set non-negotiable operating outcomes

  • Finance can close, post, pay, collect, and produce required reports.
  • Procurement can create, approve, receive, and invoice purchases.
  • Order management can accept orders, allocate inventory, ship, bill, and handle returns.
  • Manufacturing can plan, issue materials, record production, and manage quality events where applicable.
  • Human-resources processes that depend on ERP data can continue with defined ownership.
  • Interfaces, batch jobs, regulatory outputs, and downstream analytics meet their service and control requirements.

For each outcome, name a business owner, an acceptance measure, a maximum tolerable interruption, a manual or alternate procedure, and the point at which the old system may stop accepting production work. These are planning controls, not universal SAP requirements; adapt them to your industry, jurisdiction, and contracts.

Map the operational dependency chain before choosing technology

The ERP is usually the center of a network rather than an isolated application. Create a dependency inventory that connects business processes to data, interfaces, jobs, users, controls, and external parties.

Inventory the landscape

  • List legal entities, company codes, plants, sales organizations, warehouses, and other organizational units in scope.
  • Catalog master data for customers, suppliers, materials, products, chart of accounts, assets, employees, and pricing.
  • Record open transactions, recurring postings, approvals, reservations, deliveries, purchase orders, production orders, projects, and service cases.
  • Document inbound and outbound interfaces, file exchanges, APIs, middleware routes, EDI partners, banks, tax services, payroll feeds, warehouse systems, and planning tools.
  • Identify reports, data warehouses, dashboards, statutory extracts, batch jobs, print services, forms, labels, and alerting.
  • Classify custom code, extensions, user exits, workflows, security roles, segregation-of-duties rules, and scheduled variants.
  • Mark every downstream consumer that may continue reading the legacy database after the target goes live.

Turn the inventory into ownership

Assign one accountable owner to each critical process and one technical owner to each interface or job. Require owners to document the normal path, exception path, input data, output data, control evidence, and recovery action. A process that works in a demonstration but has no owner for failed messages, rejected invoices, or late postings is not operationally ready.

Choose a transition pattern deliberately

SAP describes system conversion as a technical conversion of an existing ERP system with minimal process change. Its integrated-toolchain guidance covers preparation, database migration, software update, data conversion, and configuration, followed by a coordinated go-live for systems and interfaces. This favors continuity, but it concentrates readiness work and cutover coordination into one major event.

SAP’s selective data transition material describes migrating a chosen scope with individual transformations. It identifies staged cutover by company code, a big-bang approach, and near-zero-downtime functionality as possible patterns, depending on the system and tooling. Scope-selection rules and the associated testing can require more effort. “Near-zero downtime” is an approach description, not a promise that users, interfaces, or business operations will experience no impact.

A greenfield implementation is another SAP-to-SAP route when process redesign is intentional. The available SAP material does not establish universal rankings for cost, duration, or risk against conversion or selective transition. Compare the approaches against your actual landscape.

Decision axis System conversion Selective data transition Greenfield implementation
Process intent Retain most existing processes with limited change Retain selected processes while transforming selected scope Redesign processes and configure a new baseline
Data approach Broad carry-forward, subject to target and release constraints Chosen entities, periods, or organizational scope Curated data set designed for the new model
Cutover shape Usually one coordinated transition of systems and interfaces Can support staged scope, big bang, or suitable near-zero-downtime techniques Often rollout-led, but the actual sequence depends on the program
Main operational tension Large, concentrated readiness and interface event Selection logic, reconciliation, and multiple transition states Greater process and change-management redesign
Historical reporting Assess what remains technically available in the converted system Define retained, archived, or reconstructed history explicitly Design access and reconstruction outside the new transactional model

Use a written decision record. It should explain why the selected pattern meets continuity requirements, which assumptions remain unproven, and what evidence would trigger a change.

Decide what moves, what closes, and what remains accessible

SAP migration-cockpit guidance identifies an initial scope that includes master data, open transactional data, and balances. It states that historical transactions cannot be migrated through that scope. Open documents may need processing in the source system before migration; examples include partially delivered sales orders and partially open purchase orders that must be completed or cancelled according to the project design. Exact support depends on the target product, release, migration object, and configuration.

Do not treat “data migration” as a single yes-or-no decision. Build an object-by-object disposition register.

Disposition Use when Required proof
Migrate The target needs the object for active operations or control Loaded record counts, key-field validation, relationships, and business acceptance
Close in the source An open document can be completed, cancelled, invoiced, or otherwise resolved before cutover Document status, accounting impact, and owner sign-off
Retain read-only Users need lookup or audit access but no new postings Access method, performance expectations, permissions, and retention period
Archive Records must be preserved under approved retention and retrieval controls Legal, tax, privacy, and audit review for the relevant jurisdiction
Reconstruct The target can reproduce required balances or reporting views without carrying every original transaction Reconciliation to source totals and documented calculation logic
Leave behind temporarily A dependency cannot move at go-live Owner, interface boundary, support plan, expiry date, and decommissioning condition

No single retention policy is valid for every country or industry. Confirm tax, audit, records, privacy, contractual, and sector-specific obligations with the organization’s legal and compliance owners. Keep the evidence for that decision with the migration record.

Build a migration project that can be rehearsed

SAP recommends creating migration projects in development and test systems, using a test system that resembles production, and refining the projects from test results. It also recommends simulation before migration and allows successfully simulated instances to be transferred. Treat rehearsal as an operational measurement exercise rather than a one-time technical check.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Prepare a representative test environment. Match the production release, configuration, interfaces, security roles, data volumes, and relevant customizations closely enough to expose timing and dependency problems.
  2. Load a controlled sample. Include normal records, high-volume entities, multilingual data, boundary dates, special tax cases, blocked suppliers or customers, long texts, attachments where supported, and records with complex relationships.
  3. Run the migration project in development. Record transformation rules, rejected records, correction ownership, runtime, and resource consumption.
  4. Repeat in the test system. Do not silently repair data. Log every correction and decide whether it belongs in source cleansing, mapping, target configuration, or an approved exception.
  5. Execute simulation. Compare expected and actual counts, balances, statuses, relationships, and interface outputs. Preserve the simulation evidence and identify instances that can be transferred.
  6. Conduct business-process tests. Finance, procurement, order management, manufacturing, HR, reporting, and integration owners must execute end-to-end scenarios, including reversals and failures.
  7. Measure the rehearsal. Capture extraction, transformation, loading, validation, interface redirection, user provisioning, reconciliation, and rollback times. Use observed durations to set the cutover schedule.
  8. Repeat until exit criteria pass. A successful load is not enough if a business process, control, report, or external partner still fails.

Plan for master-data freeze or double maintenance

SAP documentation notes that some master data may require a freeze period or double maintenance during cutover. Decide which records can be changed, who may change them, how changes are captured, and how the source and target are reconciled. Publish the freeze window to sales, procurement, warehouse, finance, HR, and external partners. The duration depends on the data and migration design; do not assume one standard period.

Design cutover as a business runbook

A cutover plan should read like an executable operations procedure. Every task needs an owner, predecessor, start and finish time, evidence of completion, and a decision authority for exceptions.

Before the change window

  • Approve the final scope, migration object list, open-document policy, and data-retention method.
  • Freeze or control configuration and master-data changes according to the rehearsed plan.
  • Notify employees, customers, suppliers, banks, logistics partners, and support teams of relevant service windows.
  • Confirm backups, restore procedures, privileged access, contact rosters, monitoring, and emergency communications.
  • Prepare final source extracts and a signed list of balances, open items, document counts, and interface queues.
  • Stage target roles, printers, forms, devices, certificates, endpoints, and integration credentials.

During cutover

  1. Stop or restrict source transactions at the agreed time and record the final document numbers.
  2. Process, close, or cancel open documents that the target migration scope does not support.
  3. Extract final data and preserve immutable copies of the source evidence.
  4. Run the migration, logging warnings and rejected records rather than hiding them.
  5. Reconcile record counts, balances, document statuses, organizational assignments, and critical master-data relationships.
  6. Redirect interfaces and scheduled jobs in dependency order; monitor both successful and failed messages.
  7. Enable target users in waves, beginning with support and control owners.
  8. Obtain business sign-off for each critical process before releasing normal transaction volume.

After release

  • Keep heightened monitoring for failed interfaces, posting errors, authorization defects, duplicate documents, and reporting variances.
  • Operate a staffed command center with one queue for incidents and another for data corrections.
  • Reconcile the first close, first payment run, first shipment cycle, and other high-risk business milestones.
  • Document every workaround and assign an owner and expiry date; temporary manual work must not become invisible permanent process.

Protect each operating function explicitly

Function Continuity checks Fallback or workaround to define
Finance Opening balances, subledger totals, tax postings, payment files, bank statements, close calendar, and approval controls Controlled manual posting or delayed batch with reconciliation and dual approval
Procurement Supplier master, approvals, purchase orders, receipts, invoices, blocked invoices, and payment terms Approved emergency purchasing route and later entry with document linkage
Order management Order capture, pricing, availability, delivery creation, shipment confirmation, billing, and returns Order queue or controlled spreadsheet only with duplicate-prevention and later reconciliation
Manufacturing Planning runs, material issues, confirmations, quality holds, inventory movements, and production reporting Site-level dispatch and confirmation procedure with inventory controls
HR-dependent processes Organizational assignments, payroll or time feeds, approvals, and access changes Named HR operations owner and secure exception intake
Reporting Ledger totals, operational reports, data-warehouse loads, statutory extracts, and dashboard refreshes Certified report pack from an approved source with a documented cutoff timestamp
Integrations Message queues, retries, certificates, endpoint routing, file naming, and partner acknowledgements Queue and replay procedure with duplicate and ordering controls

Set go-live gates and a fallback decision

Do not use a calendar date as the only go-live criterion. Establish measurable gates for data quality, process tests, interface tests, security, performance, training, support staffing, reconciliation, and communications.

  • Process gate: every critical end-to-end scenario passes, including a failure and recovery path.
  • Interface gate: inbound and outbound partners acknowledge test messages and the replay method works.
  • Control gate: approvals, segregation of duties, audit trails, and privileged access are validated.
  • People gate: users know the new procedure, service desk scripts are ready, and business owners are available.
  • Recovery gate: leadership has a written decision time, triggers, authority, and communications plan for stopping or reversing the release.

A fallback is not automatically a technical rollback. Once target transactions, external messages, payments, or shipments are issued, reversing them may create more risk than continuing. Define whether the response is technical restoration, operational pause, controlled correction, or a return to the source with documented reconciliation.

Plan interim support and legacy retirement from the beginning

Keeping the old ERP available has real ownership and cost implications. Budget for infrastructure or hosting, security patches where applicable, privileged access reviews, monitoring, backup, audit retrieval, interface support, licenses or subscriptions, and staff who understand unresolved processes. A system that is “retired” but still required for an audit or customer dispute is not retired operationally.

Define retirement conditions such as completion of open transactions, acceptance of historical reporting, approved archive retrieval tests, closure of interfaces, completion of legal holds, and sign-off from finance, audit, security, privacy, and business owners. Set an accountable date for each condition rather than announcing an unconditional shutdown.

Account for SAP-published timing statements

SAP’s strategy material states that mainstream maintenance for SAP Business Suite 7 core applications runs through the end of 2027, with optional extended maintenance through the end of 2030. SAP also announced in 2025 a time-bound ERP private-edition transition option for 2031–2033, with prerequisites that include an eligible move to SAP ERP private edition on SAP HANA before the end of 2030.

These are dated SAP statements, not a universal entitlement. Product coverage, contract language, commercial terms, release eligibility, and customer qualification must be confirmed directly with SAP and reflected in the program’s own contract and support review. Do not set a migration date solely from a headline maintenance date.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Govern the program with evidence, not optimism

Create a single decision log covering scope changes, unresolved data issues, interface exceptions, cutover assumptions, retention decisions, and approvals. Track risk by business impact and recovery time, not only by technical severity.

Useful indicators

  • Percentage of critical processes with an owner, tested scenario, fallback, and acceptance evidence.
  • Migration rejection rates by object and root cause.
  • Reconciliation variance by company code, ledger, inventory location, and transaction type.
  • Interface success, retry, duplicate, and acknowledgement rates during rehearsals.
  • Elapsed time for extraction, loading, validation, redirection, and user enablement.
  • Number and age of unresolved cutover defects by business impact.
  • Legacy dependencies remaining after go-live and their approved retirement dates.

Use independent assurance where the consequences justify it. SAP’s own help, support, and news pages are authoritative for SAP-described product behavior and announced terms, but they are vendor sources rather than independent evidence of typical project outcomes. No published success rate or standard downtime figure should be treated as a promise for an individual program.

Common failure modes and practical corrections

Choosing a destination after the project has started

Why it fails: Data models, interfaces, controls, and retention decisions become moving targets.

Correction: Approve the target, scope boundaries, and exit criteria before detailed migration design.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Assuming historical transactions will move automatically

Why it fails: The migration-cockpit scope described by SAP covers initial master data, open transactional data, and balances, not historical transactions through that same scope.

Correction: Create a disposition and retrieval design for each historical object, then test audit and reporting access.

Leaving open documents until the final weekend

Why it fails: Partially delivered sales orders, partially open purchase orders, and similar documents may require source-system processing before migration.

Correction: Publish closure rules early, monitor aging, and assign owners for every exception.

Promising zero disruption

Why it fails: Even a staged or near-zero-downtime approach can require freezes, interface changes, user retraining, and reconciliation.

Correction: Define tolerable interruption and manual workarounds, communicate the actual window, and measure the rehearsed duration.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Turning the legacy system off immediately

Why it fails: Audit requests, unresolved documents, downstream lookups, or legal holds may still depend on it.

Correction: Retain controlled access until documented retirement gates pass, then decommission interfaces and infrastructure in stages.

A practical decision sequence

  1. State the destination, scope, deadline drivers, and business outcomes.
  2. Map processes, organizational units, data, interfaces, reports, jobs, custom code, and owners.
  3. Compare conversion, selective transition, and greenfield against continuity, redesign, data, testing, cutover, and retirement needs.
  4. Assign every data object to migrate, close, retain, archive, reconstruct, or leave temporarily.
  5. Build and rehearse migration projects in production-like development and test systems.
  6. Measure runtimes, rejection causes, reconciliation, interface behavior, and business-process outcomes.
  7. Approve a cutover runbook with freeze rules, owners, gates, communications, and fallback decisions.
  8. Release in controlled waves or one coordinated event according to the selected pattern, with a staffed command center.
  9. Reconcile the first operational cycles and keep the legacy environment under governed access.
  10. Retire the old system only after business, audit, security, privacy, and records obligations are demonstrably complete.

The safest SAP exit is not the one with the most ambitious technical promise. It is the one whose scope is explicit, whose data decisions are testable, whose cutover has rehearsed timings, and whose business owners can prove that essential work continues at every transition point.
