The reliable way to separate recurring revenue from usage fees is to make the metric policy explicit before building a chart. Put eligible recurring subscription commitments in ARR, annualize the point-in-time run rate, and show usage above an included amount or contractual minimum in a separate variable-usage measure. Do not call invoiced overages ARR simply because they appear on the same invoice.
Your dashboard should show the definition, currency, contract-status rules, source systems, and data-as-of timestamp beside every headline number. It should also distinguish current ARR from committed ARR, booked ARR, and recognized revenue, because those measures answer different business and accounting questions.
Start with a written ARR policy
Annual Recurring Revenue is not a universal synonym for all revenue on a subscription invoice. The SaaS Metrics Standards Board’s Annual Recurring Revenue (ARR) Metric Standards Document, Version 1.0 (January 10, 2023) defines it as “recurring revenue, as defined by your revenue recognition policy, calculated on an annualized basis.” The document describes ARR as a point-in-time metric and gives the common calculation:

Write your organization’s interpretation in a policy document before selecting dashboard visuals. At minimum, record:

- Which contract and subscription statuses count as active.
- Which recurring charges are eligible and which are excluded.
- How contractual minimums are treated for usage-based plans.
- Whether discounts, credits, refunds, pauses, and concessions reduce the recurring base.
- How monthly and annual contracts are annualized.
- The reporting timestamp and time zone.
- The reporting currency and foreign-exchange conversion rule.
- How cancellations, downgrades, upgrades, trials, and backdated changes are handled.
The standards document notes that treatment of monthly versus annual contracts remains a debated policy choice and that its board had not taken an official position on that question in version 1.0. Pick one consistent rule, publish it beside the metric, and do not present it as a universal accounting consensus.
Decide what belongs in ARR
Include only recurring revenue that qualifies under your documented revenue-recognition policy. The cited ARR standard excludes one-time fees and professional services, even when a service engagement happens to recur. Common exclusions therefore include implementation fees, onboarding charges, consulting, training, hardware, and other non-recurring items unless your policy explicitly classifies a charge as recurring.
Separate variable consumption from the recurring subscription base. A bill can contain both components, but the invoice layout does not determine the metric classification.
Use four visible revenue components
- Contracted recurring subscription base: eligible recurring minimum commitments under your policy, annualized at the reporting point.
- Usage above the included amount or minimum: metered consumption that varies with activity and is not part of ARR under the cited standard.
- Total billed usage charges: an operational billing measure that can include all metered charges, whether or not they have been collected.
- Recognized revenue: revenue earned under the applicable accounting rules, shown only when it is reconciled to the accounting system.
Keeping these series separate lets an executive see whether growth comes from durable contractual commitments or from variable consumption that may change next month.
Model recurring minimums and overages correctly
For a fixed-fee-plus-overage contract, put the fixed recurring fee or contractual minimum in the ARR base. Put consumption above the included amount in a separate usage series. The SaaS Metrics Standards Board standard explicitly says usage overages above contracted minimums are not included in ARR, whether or not those overages have been invoiced.

Example: fixed fee plus overage
Assume a customer contract has a $2,000 monthly subscription that includes 10,000 API calls, with an additional charge for calls above that allowance. At the as-of date, the dashboard records $2,000 of monthly recurring base, or $24,000 ARR. If the customer generates $600 of excess-usage charges in the month, the dashboard shows $600 as variable usage; it does not add that $600 to ARR.
If the contract is amended to raise the guaranteed monthly minimum to $2,500, the recurring base becomes $2,500 per month, subject to the effective date and status rules in your policy. The overage line remains separate.

Some plans charge only for consumption and contain no contracted recurring minimum. Under the cited ARR standard, there is no ARR for that model. You may still report usage revenue, average monthly usage, or a separately named consumption run rate, but do not label that measure standard ARR without clearly identifying an alternative internal convention.
Do not infer a minimum from historical usage
A customer that spent $3,000 every month on an uncommitted pay-as-you-go plan has a usage pattern, not necessarily a recurring contractual commitment. Historical regularity cannot turn an uncommitted charge into ARR. The contract or subscription record must establish the recurring obligation.
Keep current, committed, booked, and recognized measures separate
Put each measure in its own card or series with a full definition. A generic “revenue” heading invites users to compare numbers that have different timing and accounting bases.

Stripe’s guidance on committed ARR describes it as a planning measure built from contracts and billing data, with known churn or downgrade adjustments, rather than a replacement for formal financial reporting. Use that distinction in your labels even if your internal calculation differs.

Assemble reproducible source data
A dashboard is auditable only when another person can reproduce its number from source records. Maintain lineage from each displayed value to the contract, subscription, invoice, usage event, and accounting entry that produced it.
Contract and subscription records
- Customer and contract identifiers.
- Plan, term, currency, recurring price, and contracted minimum.
- Effective start, renewal, amendment, cancellation, and end dates.
- Included usage allowance and overage rate.
- Status at the reporting timestamp.
- Discounts, credits, refunds, and concessions with their effective dates.
Metered usage records
- Usage event or aggregation identifier.
- Meter name and measurement unit.
- Event timestamp and billing period.
- Included quantity, consumed quantity, and quantity billed above the allowance.
- Rate, currency, and resulting charge.
- Late-arriving, corrected, or rejected events.
Future commitment records
For committed ARR, maintain a distinct data set for signed contracts that have not started, renewal terms, scheduled expansions, and known churn or downgrades. Stripe recommends connecting CRM, billing, and subscription systems for this purpose. The general principle is to preserve the contract source and the billing source separately, then join them with stable identifiers.
Accounting and reconciliation data
Recognized revenue requires the applicable accounting ledger or subledger, including the period, performance-obligation treatment, and journal status needed by your accounting team. Never substitute an invoice total for recognized revenue without documenting the policy.
Build the dashboard in a controlled sequence
- Publish the metric policy. State inclusion and exclusion rules, the as-of timestamp, annualization method, contract statuses, minimum-usage treatment, discount and credit handling, and currency conversion.
- Extract source snapshots. Take a timestamped snapshot of contracts, subscriptions, usage, invoices, and—when displayed—future commitments and accounting records. Record refresh completion and late-data windows.
- Classify every component. Map each charge or contract line to recurring base, variable usage, one-time fee, professional service, recognized revenue, or another documented category.
- Apply effective dates. Use the contract version that was active at the reporting timestamp. Do not let a future amendment alter historical ARR before its effective date.
- Calculate current ARR. Sum eligible recurring monthly-equivalent commitments and multiply the latest MRR by 12, or apply your disclosed annual-contract rule. Keep the underlying customer-level rows available for drill-down.
- Calculate usage separately. Aggregate consumption and overage charges by customer, meter, and period. Display usage as a separate amount and trend, not as an ARR contribution.
- Calculate committed and booked views separately. Use signed future contracts and their statuses for committed ARR; use your published signed-contract definition for booked ARR. Do not blend either into current ARR.
- Reconcile totals. Compare dashboard base amounts with contract and subscription records, usage totals with billing records, and recognized revenue with the accounting system. Log every exception.
- Publish lineage and freshness. Show the definition, source systems, refresh time, currency, and reconciliation status beside the number. Provide a drill-through to the records included and excluded.
Design a dashboard that explains the number
Top-level cards
- Current ARR: the primary point-in-time recurring run rate.
- Recurring subscription MRR: the amount used in the ARR calculation before annualization.
- Variable usage this period: overages or other metered charges, clearly labeled with the period.
- Committed ARR: future signed commitments, with a planning-measure label.
- Booked ARR: signed-contract value under the stated booking rule.
- Recognized revenue: accounting-period revenue only when reconciled.
Supporting views
- A customer table showing recurring base, included allowance, actual usage, overage, contract status, and effective dates.
- A bridge from the previous as-of date showing new business, expansions, contractions, cancellations, and policy adjustments.
- A usage panel by meter and customer, with billed and unbilled quantities distinguished.
- A reconciliation panel showing source totals, dashboard totals, variance, exception count, and last successful refresh.
- A definition drawer containing the policy version, currency rule, data sources, and as-of timestamp.
Do not hide the date in a tooltip. ARR is point-in-time, so a number without an as-of timestamp is incomplete.

Compare pricing models on the right axes
Pricing architecture determines which parts of a bill can become recurring commitments. Stripe documents flat-rate, per-seat, tiered, and usage-based patterns, including fixed fee plus overage, pay as you go, and credit burndown.

Compare companies only after checking their policies. Two businesses can use the same “ARR” label while treating annual contracts, credits, discounts, or minimums differently.

ARR jumps when usage spikes
Check whether the calculation is summing invoice lines instead of recurring contract components. Remove overage lines from ARR and expose them in the usage series. Then verify that a contract amendment, rather than consumption alone, changed the recurring minimum.
ARR falls after an invoice correction
Trace the change to the contract effective date, subscription status, credit, refund, or backdated amendment. An invoice correction should affect ARR only when it changes an eligible recurring commitment under the policy.
Dashboard and billing totals disagree
Check period boundaries, time zones, currency conversion, tax treatment, cancelled invoices, credit notes, and late usage events. Compare like-for-like populations before investigating arithmetic.

Committed ARR is higher than current ARR
This can be expected when signed contracts have future start dates or scheduled expansions. Make the timing visible and keep committed ARR labeled as a planning measure.
Recognized revenue does not match billed revenue
Billed amounts and earned revenue follow different timing rules. Reconcile recognized revenue to the accounting records and show the accounting period; do not force the two measures to agree by relabeling one.
Multiple currencies produce misleading trends
Store source-currency amounts, conversion rates, conversion date, and reporting-currency amounts. Use one disclosed conversion rule for the dashboard and preserve the source values for audit.
Controls that keep the metric trustworthy
- Version the policy and show its version on the dashboard.
- Freeze an as-of snapshot before publishing executive reports.
- Require a reason code for manual overrides.
- Track records excluded from ARR and the exclusion reason.
- Alert when usage arrives after the billing close or when a contract lacks a minimum classification.
- Reconcile customer-level totals before relying on an aggregate chart.
- Give finance, sales, and billing owners responsibility for their respective source fields.
Stripe Support describes Billing Analytics data as generally available within one hour. Treat that as a Stripe-specific product statement, not a universal freshness requirement. Set your own service-level target based on event latency, close procedures, and the decisions the dashboard supports.
Worked dashboard interpretation
Suppose the active customer base has $4.2 million of eligible recurring subscription MRR, $180,000 of current-period overage charges, and $5.1 million of signed contracts scheduled to start over the next two quarters. The headline current ARR is $50.4 million, calculated from the $4.2 million MRR. The $180,000 remains variable usage for the period. The $5.1 million belongs in committed or booked views according to your contract-status definitions, not in current ARR before those commitments become active.
Place the three figures in separate cards, each with its own date and definition. A reader should be able to answer, without opening a spreadsheet, how much is live recurring run rate, how much is variable consumption, and how much is signed future business.
Publication checklist
- Does the dashboard state what ARR includes and excludes?
- Is the as-of timestamp visible beside the number?
- Are recurring minimums separated from usage above the minimum?
- Are pure-usage customers prevented from inflating standard ARR when no minimum exists?
- Are current, committed, booked, and recognized measures separately labeled?
- Can each total be traced to contracts, subscriptions, usage, billing, and accounting records?
- Are currency, discounts, credits, cancellations, and effective dates documented?
- Is freshness labeled as a source-specific property rather than presented as a universal benchmark?
The result is a dashboard that explains both the size and the quality of recurring revenue: contractual run rate is visible in ARR, consumption is visible as usage, future signatures are visible as commitments, and earned revenue remains an accounting measure.
