Build a project cash flow statement from when money is actually received and paid, not simply from invoiced income and recorded expenses. List dated cash receipts and payments, group them by reporting period, classify them for the reporting purpose, calculate receipts minus payments, and reconcile opening cash plus that movement to closing cash.
A project schedule is usually a management tool. A statement included in an entity’s financial statements must also follow the applicable accounting framework—such as IAS 7, which presents operating, investing and financing cash flows. Confirm the jurisdiction, reporting basis and whether the project has a separately tracked cash balance before calling the result a statutory statement.
What a project cash flow statement shows
A cash flow statement explains the change in cash over a defined period. For a project, it answers four practical questions:
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errors- How much cash was available at the start?
- Which receipts actually arrived during the period?
- Which payments actually left the project?
- How do those movements produce the closing cash balance?
The basic calculation is:
Net cash movement = cash receipts − cash payments

Closing project cash = opening project cash + net cash movement
This is different from an income statement. Accrual revenue can be recorded before a customer pays; an expense can be recognized before a supplier is paid; depreciation and other non-cash charges can reduce accounting profit without reducing cash. A reliable cash statement therefore uses bank, cash and accounting records to identify the date and amount of each actual or expected cash movement.
For formal financial reporting, IAS 7 describes historical changes in cash and cash equivalents and requires classification into operating, investing and financing activities. A project’s internal headings—materials, labor, travel or software—are useful for control, but they are not automatically the required entity-level statement headings.

Choose the reporting purpose
Write the purpose at the top of the schedule. A management cash schedule helps a project manager monitor liquidity, payment timing and funding needs. A forecast estimates future receipts and payments. A formal financial-statement cash flow must follow the accounting framework adopted by the reporting entity and the policies applied in its jurisdiction.
Do not present an internal project schedule as IAS 7-compliant merely because its arithmetic balances. Formal reporting may require cash-equivalent definitions, activity classifications, disclosures and reconciliations that are not needed for project control.
Define the project, period and currency
Record the project name or code, reporting currency, start and end dates, and whether each figure is actual, forecast or a mixture. Use one consistent convention for signs: show receipts as positive and payments as positive in separate columns, or show inflows as positive and outflows as negative. Do not alternate conventions between periods.
Establish what “opening cash” means
Use an opening amount only when project cash is separately tracked. If a project has its own bank or cash account, reconcile the opening balance to that account. If funds are pooled with other projects, document the allocation method—for example, an approved project ledger balance or a defined funding allocation—and state that it is an attribution rather than a separate bank balance. Never imply that the project owns a separate cash account when it does not.
Build the statement step by step
1. Set up the period columns
Choose months, weeks, milestones or project phases according to how decisions are made. A monthly schedule is often suitable for routine control; a phase-based schedule can be clearer for short projects with large milestone payments. Keep the same periods in the underlying ledger and in the report.

2. Extract dated cash receipts and payments
Start with bank statements, petty-cash records and the accounting ledger. Capture the transaction date, counterparty, amount, currency, project code, description and proposed classification. Include receipts such as customer collections, grants or funding draws, and other project inflows. Include payments to suppliers, employees, contractors, tax authorities and other recipients.
For a forecast, use the expected date money will be received or paid. An invoice date, purchase-order date or expense-recognition date is not a substitute for a cash date.
3. Preserve the source trail
Give every line a source reference, such as a bank transaction ID, payment batch, payroll report, approved forecast item or journal entry. Keep the original amount and currency before applying any reporting conversion. This lets you investigate a mismatch without rebuilding the schedule from memory.

Retain project categories that help management—materials, payroll, subcontractors, travel, permits and so on. Add a separate mapping field for operating, investing or financing where formal reporting is required. The two dimensions answer different questions: project categories explain what the project spent money on, while formal classifications explain the nature of the cash flow under the governing framework.
5. Separate cash from accrual and non-cash entries
Reconcile invoiced income to collections and recorded expenses to payments. An unpaid supplier invoice is a payable and possibly an expense or accrual, but it is not a cash payment in the period it remains unpaid. Depreciation is non-cash. A customer invoice that has not been collected is not a cash receipt.
Keep these items in supporting schedules so that an indirect-method reconciliation can adjust for them without adding them to gross cash receipts or payments.
6. Total each period
For every period, total receipts and payments independently, then calculate net movement:
Net movement = total receipts − total payments
Apply the same currency and sign convention to every line. If a transaction is reversed, show the reversal in the period it occurs and retain the link to the original entry.

7. Reconcile to closing cash
Calculate closing cash as opening cash plus net movement. Compare the result with the project bank or cash ledger balance, or with the documented allocation for pooled funds. Investigate differences before issuing the report.
8. Explain material movements
Add concise notes for major receipts, milestone collections, delayed payments, advances, equipment purchases, financing draws, foreign-exchange effects or reclassifications. Label assumptions in a forecast and identify which figures are actual.
Use this management schedule layout
The following is a practical project-control layout, not a prescribed IAS 7 form.
| Period | Opening project cash | Cash receipts | Cash payments | Net movement | Closing project cash |
|---|---|---|---|---|---|
| Month or phase | Opening balance | Collections, grants or draws, and other project inflows | Supplier, payroll, contractor, tax and other payments | Receipts less payments | Opening cash plus net movement |
For formal reporting, add columns for operating, investing and financing classification, the supporting ledger account, and a reconciliation or disclosure note. Keep the detailed transaction register behind the summary so a reviewer can trace every total.
Classify cash flows for formal reporting
Operating activities
Operating cash flows arise from the entity’s ordinary revenue-producing activities and other flows that are not investing or financing. Project customer collections and routine payments for labor, suppliers and services will often be operating, subject to the entity’s accounting policy and the applicable framework.
Investing activities
Investing cash flows generally relate to acquiring or disposing of long-term assets and investments. A project purchase of equipment may therefore need a different presentation from routine materials. Do not classify every project expense as operating merely because it appears in the project budget; assess the nature of the cash flow.
Financing activities
Financing cash flows reflect changes in the size or composition of contributed equity and borrowings. A project funding draw may be financing at the entity level, while a customer advance may be treated differently under the applicable policy. Use the entity’s accounting guidance rather than a project manager’s informal labels.

| Management view | Formal reporting question | Action |
|---|---|---|
| Customer collection | What is the nature of the inflow? | Map to the applicable operating, investing or financing line and retain the project code. |
| Routine materials or contractor payment | Is this an ordinary operating outflow or part of an asset acquisition? | Check the underlying transaction and policy; do not rely on the budget heading. |
| Equipment purchase | Does it create or acquire a long-term asset? | Evaluate investing classification and connect the payment to the fixed-asset ledger. |
| Loan or equity funding | Does it change borrowing or contributed capital? | Map to financing and reconcile to the debt or equity records. |
Project coding supports traceability, but it does not by itself create a compliant entity-level statement. Receivables, payables, accruals and non-cash effects still need to be reflected when the chosen reporting basis requires them.

Choose the direct or indirect operating method
IAS 7 permits two methods for presenting operating cash flows. The choice depends on the reporting rules that apply and on the quality of the records available.
| Feature | Direct method | Indirect method |
|---|---|---|
| Starting data | Gross cash receipts and gross cash payments | Accrual profit or loss plus balance-sheet and other adjustments |
| What readers see | Major receipt and payment classes, such as customer collections and supplier payments | A reconciliation from profit or loss to operating cash flow |
| Best fit | A project ledger or bank export that cleanly identifies cash types | An entity that starts with accrual accounting records and reliable receivable, payable and accrual balances |
| Main control | Agree each gross category to bank and cash records | Explain every non-cash, timing and investing or financing adjustment |
| Requirement | Use where permitted by the applicable framework and policy | Use where permitted by the applicable framework and policy |
How to prepare a direct presentation
- Export actual cash transactions for the period.
- Group receipts into major classes, such as customer collections, grants or other project inflows.
- Group payments into major classes, such as suppliers, payroll, contractors and taxes.
- Exclude unpaid invoices, depreciation and other non-cash entries from the gross cash totals.
- Reconcile the resulting operating subtotal to the ledger and then include investing and financing cash flows as required.
This approach makes the project’s cash timing visible, but it depends on consistent transaction coding and the ability to distinguish categories in the source records.
How to prepare an indirect reconciliation
- Start with profit or loss for the relevant period, using the basis required by the reporting framework.
- Remove or adjust non-cash items, such as depreciation and other non-cash charges.
- Adjust for movements in operating receivables, payables, accruals and deferrals that explain why recognized income or expense differs from cash collected or paid.
- Remove income or expenses associated with investing or financing cash flows when they are included in profit or loss.
- Check that the resulting operating cash flow, combined with investing and financing movements and any required reconciliation items, agrees with the change in cash.
Do not mix a direct list of receipts with an unexplained indirect subtotal. If both views are used internally, label one as a supporting reconciliation and show how the totals connect.

Handle timing differences and non-cash items correctly
Income recognized before collection
Suppose a customer invoice is recorded in April but paid in May. April contains revenue for accrual accounting, but no April cash receipt. The direct cash schedule records the receipt in May. In an indirect reconciliation, the receivable movement adjusts profit so the operating cash flow reflects the collection timing.
Expense recorded before payment
If a supplier invoice is recorded in April and paid in May, the April expense does not become an April cash payment. The payable or accrual movement is part of the indirect reconciliation; the direct schedule records the payment in May.
Non-cash charges
Depreciation, amortization and similar charges can reduce accounting profit without using current-period cash. Keep them out of gross cash payments and adjust them in an indirect presentation when required.
Advances and deposits
A cash advance can arrive before the related revenue is recognized, or a deposit can be paid before the related expense is recognized. Record the cash date in the cash schedule and retain the contract or ledger treatment needed to explain the timing difference.

Foreign currency
Record the transaction currency and the conversion basis used for the reporting currency. If the applicable framework requires a separate foreign-exchange effect in the reconciliation of cash and cash equivalents, identify it rather than forcing it into operating receipts or payments.

Worked project example
Assume a project has $2,000 of separately tracked cash at the start of April. During April, it collects $8,000 from customers, pays $3,000 to suppliers and pays $2,000 in project payroll.
| April item | Cash amount |
|---|---|
| Opening project cash | $2,000 |
| Customer receipts | $8,000 |
| Supplier payments | ($3,000) |
| Project payroll | ($2,000) |
| Net cash movement | $3,000 |
| Closing project cash | $5,000 |
The arithmetic is $8,000 − $3,000 − $2,000 = $3,000 of net movement, followed by $2,000 + $3,000 = $5,000 of closing cash. If the project also records $1,000 of unpaid supplier invoices in April, that amount is an expense or accrual, not an April cash payment. It belongs in the supporting payable and, where applicable, indirect-method reconciliation.
Reconcile and troubleshoot differences
When calculated closing cash does not agree with the bank or ledger, work through the difference systematically:
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- Check the period cut-off. Look for transactions dated just before or after the reporting window.
- Check opening cash. Confirm that the prior period’s closing balance rolled forward and that pooled-fund allocations were applied consistently.
- Search for omitted or duplicated transactions. Compare the transaction register with bank lines, payment batches and receipts.
- Check reversals and refunds. A reversed payment or customer refund may have been recorded with the wrong sign or date.
- Separate transfers. Transfers between project-controlled accounts are not new project cash, while transfers between the project and another entity may need separate classification.
- Review currency conversion. Confirm rates, transaction dates and any required foreign-exchange reconciliation.
- Investigate restricted or cash-equivalent balances. Verify whether the balance belongs in the defined cash total under the applicable framework.
Document the final explanation for every unresolved-looking item. A statement that balances only because of an unexplained plug is not controlled reporting.
Forecasts: turn expected income and expenses into expected cash
A forecast uses the same structure but replaces actual dates with expected receipt and payment dates. Start with signed contracts, approved purchase orders, payroll calendars, tax deadlines and known billing milestones. Distinguish committed, probable and merely possible amounts, and show the confidence or assumption in a note.
Do not copy an invoice schedule directly into a cash forecast. Apply expected collection delays, payment terms, approval cycles and milestone conditions. When actual transactions arrive, replace the forecast line or mark it as actual rather than counting both.
If a report mixes actual and forecast figures, label each period and use a visible boundary or separate columns. A blended total without that distinction can make a project appear liquid because unpaid invoices are being treated as cash.
Formal IAS 7 considerations and jurisdiction limits
IAS 7 is the international standard titled Statement of Cash Flows. Its objective is to provide information about historical changes in cash and cash equivalents, classified as operating, investing and financing activities. It states that an entity prepares a statement of cash flows and presents it as an integral part of its financial statements for each period for which financial statements are presented.
The IFRS Foundation’s current IAS 7 materials describe cash and cash equivalents and the direct and indirect operating methods. They also note changes associated with IFRS 18. A secondary summary reports that the IFRS 18 amendments to IAS 7 apply when IFRS 18 is applied, with IFRS 18 effective for annual periods beginning on or after 1 January 2027. Confirm the effective date, local endorsement and transition requirements for the reporting jurisdiction rather than applying that date universally.
Local standards can have jurisdiction-specific issue and operative dates. The accounting framework, entity policy, industry, cash-account arrangement and reporting purpose were not specified for this project topic, so the schedule should be reviewed by the responsible accountant before inclusion in statutory financial statements.
Common mistakes to avoid
- Using income minus expenses as cash flow. Replace accrual totals with actual collection and payment data, then use an indirect reconciliation when appropriate.
- Treating every expense as operating cash. Evaluate equipment, investments, borrowings and equity separately under the governing framework.
- Counting unpaid invoices as payments. Record them as payables or accruals until cash leaves.
- Counting depreciation as a payment. It is non-cash and belongs outside gross cash payments.
- Assuming project codes are formal classifications. Keep management categories, but add an independent operating, investing or financing mapping.
- Inventing a project bank balance. Disclose the allocation method when funds are pooled.
- Mixing actuals and forecasts without labels. Mark the basis and update forecast lines when transactions occur.
- Plugging a reconciliation difference. Trace cut-off, duplicates, omissions, transfers and currency effects instead.
- Calling an internal schedule statutory reporting. Confirm the framework, local adoption and entity policy first.
Final review checklist
- Project, period, currency and reporting purpose are stated.
- Opening cash is reconciled or its pooled-fund allocation is explained.
- Every receipt and payment has a date, amount, source and project code.
- Actual, forecast and mixed periods are clearly labeled.
- Accruals, receivables, payables and non-cash items are kept separate from cash movements.
- Operating, investing and financing mappings are documented when formal reporting requires them.
- Direct or indirect operating presentation is identified and applied consistently.
- Net movement and closing cash agree with the underlying records.
- Material movements, assumptions and classification judgments have notes.
When these controls are in place, the statement does more than total project income and expenses: it shows precisely when cash becomes available, when it leaves, and why the closing balance changed. That makes it useful for project decisions while keeping the limits of a management schedule clear for formal financial reporting.
