Back up only what you are entitled and authorized to keep. Before your last day, separate personal material from employer records, read the company’s exit and acceptable-use rules, and ask IT, HR, a records officer, or legal contact about anything unclear. Put personal data through an approved export or transfer process, leave business records in the organization’s approved repository, protect any authorized copy at least as well as the original, and open the backup to verify it.
A file being on your laptop, or a contact being visible in your address book, does not establish ownership or permission to copy it. Account type, Outlook version, local caching, data classification, contract terms, and jurisdiction all affect what you may preserve.
Start with ownership, not with a USB drive
Make a copy only after you know which category the material belongs to and which process applies. Access is not ownership: a document you wrote may still be an employer record, and a customer list in your contacts may be confidential business data.

Personal material
Examples include your private tax records, family photographs, personal correspondence, or a résumé that you stored on a work device. Even genuinely personal items can be subject to device, monitoring, or acceptable-use rules. Ask how the employer wants personal material removed or transferred rather than silently emailing it to a private account.

Employer records
Project files, customer and supplier details, internal messages, source code, financial records, case files, and official contacts normally belong in the employer’s systems. Organize the current version in the team’s approved repository and follow the handoff plan. Do not create a personal archive “for reference” unless the employer expressly authorizes it.
Mixed or uncertain material
A document can contain both your personal information and company information; an address book can mix family entries with customers; and a mailbox can contain both private messages and business records. Put these items on a hold list and ask the designated contact for a written decision or supervised export. Do not resolve uncertainty by copying everything.
What federal guidance does—and does not—say
The U.S. National Archives and Records Administration (NARA) gives federal employees a specific rule: “The federal records you create belong to your agency.” Its guidance says departing federal employees cannot take records when they leave, although some copies and personal materials may be allowed under restrictions. It recommends consulting the agency records officer when unsure. That is federal guidance, not a universal rule for every private employer or country.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsInventory your accounts and data before the exit date
Use a short inventory so you can ask focused questions and avoid a rushed, indiscriminate export. Record where each item lives, who controls the account, and what outcome you need.
| Location or item | Questions to answer | Likely action |
|---|---|---|
| Personal files on a work computer | Are they truly personal, and does policy permit transfer? | Request an approved copy or supervised removal. |
| Team documents and project folders | Who owns them, and where is the official repository? | Update the repository and hand over ownership; do not retain a private copy. |
| Exchange or Microsoft 365 contacts | Is the account managed, and which Outlook edition is installed? | Ask the administrator about retention and export scope; export only permitted personal entries. |
| Local address books or phone contacts | Which entries are personal, and which came from company directories? | Separate entries and follow the device and policy instructions. |
| Cloud drives and synced folders | Is synchronization still active, and can downloading create a new company copy? | Use the approved transfer or handoff workflow; do not bulk-download by default. |
| Notes, chats, and email | Are they records, evidence, or personal correspondence? | Preserve business records in the system of record and ask about personal-data requests. |
List the account name, device, folder or mailbox, approximate date range, and the specific items you believe you may keep. This gives IT or HR enough detail to approve a narrow transfer instead of a risky full export.

Read the rules and obtain approval
Check the employee handbook, acceptable-use policy, confidentiality and intellectual-property clauses, records procedures, data-classification rules, and your exit instructions. Look for requirements about removable media, personal cloud storage, forwarding email, screenshots, printing, and deleting accounts.
Send questions before your final week becomes busy. Ask the employer’s IT helpdesk, HR representative, records officer, privacy officer, or legal contact:
- Which personal files may be transferred, and to what destination?
- May you export personal contacts from a managed account?
- Which work records must be handed to a named colleague or repository?
- Should IT perform the export or supervise it?
- How should mixed files be separated, redacted, or retained?
- What must happen to local profiles, synchronization, and personal accounts before the device is returned?
Keep the approval and instructions with your departure records. A technically available download is not permission to retain employer data. Microsoft’s customer-data export documentation also distinguishes exportable customer data from some Microsoft proprietary information; technical capability cannot settle your employment or confidentiality rights.
Choose a preservation route for each category
| Material | Destination or route | Permission check | Verification |
|---|---|---|---|
| Authorized personal files | Employer-approved transfer to your personal storage or an encrypted removable drive | Written policy or approval; confirm the destination is allowed | Open representative files from the destination |
| Employer work records | Approved team repository, successor’s account, or records system | Follow the handoff owner and retention instructions | Ask the owner to confirm access and completeness |
| Managed contacts | Administrator-assisted export or a permitted contacts file | Confirm entries are personal or expressly approved | Import or open a sample in the intended application |
| Uncertain or mixed data | Do not copy until IT, HR, records, or legal gives a route | Resolve ownership and confidentiality questions first | Document the decision and resulting action |
For physical media, a hardware-encrypted USB flash drive is one possible destination for authorized personal files. NIST advises that removable-media backups be protected at least as well as the original data and notes additional considerations when sensitive data is backed up externally. No particular drive model is required by that guidance.
Back up permitted files safely
Prepare the source
- Close applications that may still be writing files, such as office editors, mail clients, and accounting software.
- Review the inventory and select only approved folders or files. Do not include hidden system folders, browser profiles, credential stores, or entire user directories unless IT specifically directs it.
- Check for synchronized folders. A sync client can continue uploading a copied file to an employer-controlled service or can create duplicate versions. Pause or use the approved transfer method rather than improvising.
- Record the source path, file count, and approximate total size. This creates a simple completeness check without exposing the contents.
Use an approved destination
Apply the employer’s required encryption, access controls, and retention settings. If you are allowed to use removable media, enable its hardware or operating-system encryption, set a strong unique passphrase, and keep that passphrase separately from the drive. Do not leave an authorized backup in an unlocked desk, shared cloud folder, or personal account that lacks equivalent protection.

Copy, then verify
- Copy the selected items through the approved method. Avoid drag-and-drop of an entire profile when a narrower folder is sufficient.
- Compare the destination’s file count and approximate size with your source notes.
- Open several files of each important type directly from the destination: for example, a document, spreadsheet, image, archive, and any file that contains links or attachments.
- Check that dates, names, folder structure, and embedded attachments are present. A file that merely appears in a directory listing is not proven usable.
- For a larger set, ask IT whether an approved integrity or hash check is available. Do not install unapproved utilities on a managed device.
If a file will be needed after departure, test it on the software and account you expect to use. A backup can be intact yet unusable if it depends on a company license, encrypted container, network path, or proprietary application that you will no longer access.
Exporting contacts from Outlook: edition and account matter
Microsoft states that Exchange contacts are stored on the Exchange server and recommends asking the helpdesk or administrator how often server data is backed up. That server copy is an employer-controlled backup, not automatically a personal copy you may take. First identify which entries are personal and obtain approval for their export.
Classic Outlook for Windows
For permitted contacts, Microsoft’s classic Outlook procedure is:
- Open File and choose Open & Export.
- Select Import/Export.
- Choose Export to a file, then select Outlook Data File (.pst).
- Select the Contacts folder (or the specifically approved subfolder). Do not select the whole mailbox unless that is expressly authorized.
- Choose an approved destination, set any requested options, and finish the export.
- Protect the resulting file and verify it by opening or importing it on an approved system.
Keep the export scope narrow. A .pst can contain more than the contacts you intended if you select the wrong folder, and it may carry sensitive fields or notes.
Cached Exchange Mode can limit what you receive
Microsoft notes that Cached Exchange Mode may limit an export to the current local cache. Older messages or contacts not present in that cache might not be included. Ask the administrator whether the profile is cached, what synchronization range applies, and whether a server-side export is the approved way to obtain permitted personal entries.

New Outlook limitations
Microsoft currently says new Outlook does not support importing a .pst mailbox or calendar. That limitation concerns importing; it does not turn an employer mailbox into personal property or guarantee that every export path is available. Confirm whether you are using new Outlook or classic Outlook and ask IT which supported method preserves the specific contacts you are allowed to keep.
When an administrator should perform the export
Use an administrator-assisted process when the account is managed, the contacts are shared, retention rules apply, or the list mixes personal and business entries. The administrator can export only the approved records, preserve the organization’s copy, and document the handoff. Do not bypass conditional access, e-discovery holds, mobile-management controls, or other device restrictions.
Handling personal employment information requests
Requesting a copy of personal information held about you is different from taking a mailbox or work files. GOV.UK describes a route for employees in the United Kingdom to ask what personal data an employer holds; its guidance is UK-specific and distinguishes employees from other work statuses such as contractors and freelancers. If you use that route, follow the rules that apply to your jurisdiction and status. It does not authorize exporting customer lists, project records, or an entire mailbox.
Prepare the device for return
- Complete the approved transfer and verification while you still have authorized access.
- Sign out of personal cloud accounts, browsers, password managers, messaging apps, and device services according to IT’s instructions.
- Remove only your approved personal files and accounts. Do not delete, rename, wipe, or alter employer records, logs, backups, or audit information.
- Ask IT how to handle mixed folders, personal browser data, and files that cannot be separated safely. A managed device may need an IT-led reset.
- Return removable media, access cards, tokens, and other company property as instructed. Do not retain a copy of credentials or recovery codes.
Do not factory-reset a company device or use deletion software to conceal activity. Device controls and retention holds can make such actions a policy or legal problem even when your intention is to remove personal material.

The export option is missing
You may be in new Outlook, a web-only interface, a restricted profile, or an account without export rights. Note the exact application and version, then ask IT for the supported, approved route rather than installing a different client or using a third-party converter.

The .pst opens but contacts are missing
Check that you selected the correct Contacts folder, that the entries were synchronized, and that Cached Exchange Mode did not exclude older data. Ask for a server-side or administrator-assisted export if the local cache is incomplete.
The backup contains more than intended
Stop sharing or transferring it, preserve the original evidence of what was copied, and notify the approved IT, privacy, or security contact. Do not try to hide the excess by deleting files from the destination without guidance; the organization may need to assess the exposure.
A copied file will not open
Test the destination, encryption password, file permissions, and required application. If the file depends on a company network path or license, request an approved neutral format or handoff instead of circumventing access controls.
You cannot tell whether a contact is personal
Leave it in the uncertain category. Provide IT or HR the folder or label and ask them to separate entries under the organization’s policy. A familiar name or a relationship outside work is not enough to establish that a managed contact may be exported.
Departure-day checklist
- Inventory completed and personal, employer, and uncertain items labeled.
- Policy, confidentiality terms, and exit instructions reviewed.
- Written approval obtained for every personal export from a work account or device.
- Business records placed in the approved repository and handed to the named owner.
- Outlook edition, account type, cache scope, and contact folder confirmed.
- Backup destination encrypted and protected at least as strongly as the source.
- Files and contacts opened from the destination and checked for completeness.
- Backup password stored separately and securely.
- Personal accounts removed using IT’s process; employer data and controls left intact.
- Questions and approvals retained with your departure documentation.
The Bottom Line
Leaving with the right information means preserving authorized personal material—not taking everything you can technically download. Classify first, obtain approval, use the employer’s handoff process for work records, export only the permitted Outlook contacts, protect the destination, and verify every copy before access ends.
