If OneDrive is filling up because Windows is backing up your folders, you can stop that folder protection and use File History to save recurring copies of personal files to an external drive or network location. First distinguish OneDrive cloud quota from space on your PC: Files On-Demand can reduce local disk use, but it does not free OneDrive storage.

What is using your OneDrive storage?

For personal Microsoft accounts, Windows Backup can sync selected Desktop, Documents, Pictures, Videos, and Music folders to OneDrive. Those files count against your OneDrive cloud storage. Microsoft Support currently lists 5 GB of storage with a free Microsoft account and 1 TB with a Microsoft 365 subscription; these are product allowances, not additional backup space reserved for Windows.

Windows Backup can also handle settings and some app-related information. File History is a different tool: it saves versions of personal files, not a complete copy of Windows, installed applications, and all settings. If you switch to File History, check separately whether you need to preserve other Windows Backup information.

Stop OneDrive folder backup without losing files

Before changing the setting, decide whether you want the files to remain in OneDrive, on the PC, or in both places. Some cloud files may be placeholders rather than full local copies. Download cloud-only files you need before turning off protection, and verify the files are present in the intended location before deleting any copy.

  • To get set up, connect the portable hard drive to a computer for automatic recognition software required
  • This USB drive provides plug and play simplicity with the included 18 inch USB 3.0 cable
  • The available storage capacity may vary.
  1. Click the OneDrive cloud icon in the taskbar notification area.
  2. Select Help & Settings, then Settings.
  3. Open Sync and backup and select Manage backup.
  4. Switch off the folders you no longer want protected, then choose whether to keep the files only in OneDrive or only on the PC.

If a folder contains cloud-only files, set those files to Always keep on this device and let them download before stopping backup. After protection is turned off, previously backed-up files may remain in OneDrive, while new files added to the local folder will no longer sync automatically. Review both locations before removing a cloud copy.

These current OneDrive controls are documented by Microsoft for Windows 10 and Windows 11. Windows 10 support ended on October 14, 2025, so use a supported Windows version where possible.

Set up File History for local personal-file backups

File History can save recurring copies of personal files to an external drive or a network location, then let you browse and restore earlier versions. It covers common folders such as Documents, Pictures, Videos, and Desktop through libraries; you can add other folders to a library if you want them included. It is not a system-image replacement.

  1. Connect an external drive or make sure the network destination is reachable.
  2. Open Control Panel and go to System and Security > Save backup copies of your files with File History.
  3. Select a drive if one is not already selected, then turn File History on.
  4. Check that the folders you care about are included in libraries; add folders to a library if needed.

An external drive must be connected and reachable often enough for File History to write copies. If Windows shows Reconnect Your File History Drive, reconnect the drive or reselect the network destination. A backup that cannot reach its destination cannot receive new versions.

Choose cloud or external storage for the job

Consideration OneDrive cloud backup File History to external or network storage
Access across devices Convenient when you have internet access and want files available across devices. Depends on access to the drive or network destination.
Internet dependence Requires internet access for cloud use and syncing. An external drive can be used without an internet connection; a network location must be reachable.
Large or numerous files Uploading can take longer and uses cloud storage. Microsoft describes external or network destinations as useful for large or numerous files.
Cost and availability Uses account storage; additional storage may be available as a paid entitlement. An external drive has an upfront hardware cost and needs to be available for backup and recovery.

If your PC’s disk is low but your OneDrive quota is not, Files On-Demand can keep smaller placeholders on the PC while the full files remain in OneDrive. That saves local disk space, but the cloud files still count against your OneDrive allowance. If the OneDrive quota itself is the problem, Files On-Demand will not solve it.
