The safest construction backup is not a single cloud folder or a successful-looking backup job. Keep several copies of drawings, models, schedules, submittals, photos and project records; make at least one encrypted copy unreachable from ordinary workstation and domain credentials; and regularly prove that clean files can be restored. Cloud synchronization, platform replication and version history improve availability, but an attacker may be able to encrypt or delete those copies too.
What a ransomware-resilient construction backup must do
Ransomware becomes a business-continuity disaster when every accessible copy is changed at once. A file server, mapped drive, synchronized cloud folder and administrator account can all be part of the same attack path. The goal is therefore not simply to have “a backup,” but to maintain an independent recovery path.
- Multiple copies: Keep the production data plus additional backup copies.
- Different storage locations or media: A failure or compromise in one environment should not automatically affect every other copy.
- Isolation: At least one copy must be offline or otherwise protected from ordinary network access and compromised credentials.
- Encryption and key control: Encrypt backup data and ensure authorized recovery staff can obtain the recovery keys even when normal identity systems are unavailable.
- Tested recovery: Regularly restore representative files and verify that they open correctly and contain the expected information.
This approach follows the 3-2-1 baseline—three copies, on two media types, with one off-site copy—but adds an important security question: can an attacker who controls a user account or domain administrator reach, alter or delete the supposedly protected copy?

Start with an inventory of construction data
You cannot protect files that no one has identified. Make an inventory by project and by storage location, then assign an owner to each item. A construction-focused inventory commonly includes:
#1 Best Overall
- Slim durable design to help take your important files with you
- Vast capacities up to 6TB[1] to store your photos, videos, music, important documents and more
- Back up smarter with included device management software[2] with defense against ransomware
- Help secure your important files with password protection and hardware encryption
- 3-year limited warranty
- Shared project folders and file-server volumes
- Local workstation folders used by project managers, estimators, superintendents and designers
- Design models, including Revit cloud workshared models and other discipline files
- Sheets, drawings, specifications, schedules, cost data and change-order records
- Submittals, RFIs, contracts, meeting minutes, daily reports, site photos and videos
- Exported files and records from construction-management or document-control platforms
- Supporting configuration, permissions and project metadata needed to reconstruct the working environment
Record where each data set lives, who administers it, how it is currently copied, how long versions are retained, and how it can be exported. Include data hosted by a construction platform even when the vendor operates the underlying infrastructure; the firm still needs to understand what it can recover itself.
Set loss and downtime limits before choosing a schedule
Define the recovery point
Your recovery point objective (RPO) is the maximum amount of recent work the firm can afford to lose. If a project team cannot recreate more than one hour of coordination work, a daily copy is not enough. The sources for this guidance do not prescribe one construction-specific frequency, so set the interval from actual business requirements rather than a generic promise.
Define the recovery time
Your recovery time objective (RTO) is how long the firm can operate without a particular system or project file set. Separate critical services: active design coordination, field access to drawings, payroll and safety records may not have the same priority as an archived project.

- State the copy frequency for each class of data.
- Specify which versions must be retained for contractual, legal or regulatory reasons.
- Identify who can approve a restore and who performs it.
- Define the clean-system checks required before restored files return to production.
Build a 3-2-1 design with a genuinely separate copy
| Layer | Purpose | Ransomware question |
|---|---|---|
| Production copy | Normal project work on file servers, workstations and construction platforms | Assume this copy could be encrypted or deleted. |
| Routine backup copy | Frequent, automated copies for ordinary deletion, corruption or rollback | Can the same user, domain or API credentials alter it? |
| Protected recovery copy | Offline, immutable or otherwise isolated copy used after a major compromise | Can an attacker using ordinary network access reach its data or retention settings? |
The protected copy should be outside the normal attack path. “Off-site” alone is not enough if it is continuously mounted through the same identity system. Conversely, a second cloud region is not automatically independent if the same compromised administrator can delete both locations.

Choose an isolation method
| Method | How it helps | Controls and limitations |
|---|---|---|
| Disconnected external drive or SSD | Provides a physical copy that malware cannot reach while it is unplugged. | Connect only during the backup or restore window, then disconnect it. Encrypt the drive and protect its recovery key. It requires disciplined handling and a process for rotating media. |
| Immutable cloud or object storage | Retention controls can prevent deletion or alteration during a defined period. | Configuration must be carefully reviewed. CISA notes that immutable storage can create significant cost and compliance issues when misconfigured; verify that administrators cannot shorten retention during an incident. |
| Cloud-to-cloud backup | Copies data hosted in a cloud service into a separately managed environment, helping cover SaaS data that a local job cannot see. | Confirm coverage, export format, retention, identity separation and restoration rights. A synchronized folder is not the same as an independently controlled backup. |
| Offline copy held at another location | Protects against a local network compromise, equipment loss or site disaster. | Maintain chain of custody, encryption and a documented retrieval process. Geographic separation does not help if the copy remains connected to the same compromised credentials. |
Use more than one method when the consequences justify it. For example, a frequent automated backup can support quick file-level restores while a disconnected encrypted drive or carefully configured immutable repository provides the last-resort recovery path.
Implement the backup in practical steps
- Map every source. List project folders, file servers, endpoints, construction-cloud projects, models, drawings, schedules, photos and records. Include the export or API method for hosted data.
- Classify business importance. Mark data as critical, important or archival and assign its RPO, RTO and retention requirement.
- Create the routine copy. Automate copies often enough to meet each RPO. Monitor failures rather than treating a scheduled job as proof of recovery.
- Create the protected copy. Send a separate copy to disconnected media, immutable storage or an independently administered cloud-to-cloud destination. Use credentials that are not ordinary workstation or domain credentials.
- Encrypt before or during storage. Keep encryption recovery keys in a controlled location available to authorized recovery staff. Do not leave the only key on systems that ransomware can lock.
- Separate administration. Use a dedicated backup account or management boundary, multi-factor authentication where supported, and least privilege. Ensure the backup operator cannot casually erase the protected repository.
- Disconnect physical media. CISA advises not leaving an external drive connected when it is not actively being used for backup. Label media, record the last successful copy and store it where unauthorized users cannot access it.
- Review cloud retention and versioning. Check how long earlier versions remain, whether retention can be changed by an administrator, how deleted files are recovered and whether a complete export is possible.
- Back up supporting information. Preserve project metadata, folder structure, permissions and configuration needed to make restored files usable, while avoiding restoration of malicious executables or compromised settings.
- Document ownership. Write down who starts a restore, who supplies keys, who validates the files and who communicates project availability to the field and clients.
Why synchronization is not a ransomware backup
Synchronization is designed to make the same working set available in several places. If ransomware encrypts local files and the synchronization client treats those changes as legitimate, the encrypted versions can propagate to the cloud and overwrite unaffected files. CISA specifically warns about this failure mode.
Keep synchronization for collaboration, but verify the protections around it:
- Is there version history, and can users or administrators recover an earlier clean version?
- How long are old versions and deleted files retained?
- Can an attacker with a normal account or a compromised administrator change retention or purge history?
- Can the firm export project data independently of the synchronization client?
- Does the backup include cloud-hosted models, comments, metadata and permissions, or only files visible on a workstation?
Version history is useful for rollback, but it does not remove the need for an isolated copy. Treat its retention and recovery behavior as a configuration to verify, not an assumption.

Understand what a construction platform replicates
Autodesk’s customer-facing Regional Offerings FAQ says project data is replicated between storage locations as part of its business-continuity strategy. The same documentation states that this strategy does not replace a customer’s own business-continuity or data-backup and recovery plan. Replication can improve service availability after an infrastructure failure; it does not automatically give the construction firm an independently administered, ransomware-safe copy.
Regional offerings use different corresponding backup regions. Firms with contractual, sovereignty or data-residency obligations should check the current regional documentation and confirm which configuration applies to each project. Do not assume that a vendor’s region, replication schedule or retention period satisfies your contract.
Autodesk’s learning material covers recovery standards, cloud version history, cloud-file backup and recovery of Revit cloud workshared models. Use those product procedures as part of the operational plan, then add an independent copy aligned with the firm’s threat model, retention obligations and recovery priorities. Product documentation should be checked for the reader’s region and subscription before relying on a specific feature or retention window.

A green status message only shows that a job ran. CISA’s #StopRansomware Guide calls for regular testing of backup availability, integrity and procedures. A construction test should include both a small file and a realistic project set.

- Select representative data. Choose a drawing, a model, a schedule, a submittal, a photo set and the metadata needed to locate them.
- Use a clean recovery environment. Do not restore into a workstation, server or cloud tenant suspected of compromise.
- Retrieve the protected copy. Demonstrate that the authorized operator can reach the repository, obtain the encryption key and locate the required version.
- Validate integrity. Open files with the normal applications, inspect model links and confirm that drawings, schedules and records are complete and unaltered.
- Measure the result. Record elapsed time, staff required, access approvals, bandwidth and any manual reconstruction. Compare the result with the RTO.
- Record and correct failures. Fix missing data, expired credentials, inaccessible keys, unexpected permissions or excessive restore time, then repeat the test.
Exercise both file-level recovery and a larger project recovery. A project may appear restored while linked models, folder permissions, issue history or exports remain missing.
Plan the recovery sequence before an incident
When ransomware is suspected, preserve the protected copy by stopping automated jobs that could overwrite it. Isolate affected systems according to the firm’s incident-response plan and involve qualified security, legal and insurance contacts. Do not begin mass restoration into machines that have not been assessed as clean; otherwise recovered files can be encrypted again.
- Contain the spread. Disconnect affected endpoints and networks as directed by the incident team, while preserving evidence needed for investigation.
- Protect backup systems. Suspend replication or synchronization that could carry encrypted changes into clean versions. Confirm that retention locks and offline media remain intact.
- Establish a clean recovery zone. Rebuild or verify identity, endpoint and server systems before reconnecting restored data.
- Restore by business priority. Follow the documented order for critical services and active projects, rather than restoring every archive at once.
- Validate each restored set. Check file integrity, application compatibility, permissions and links before users resume work.
- Monitor for reinfection. Keep restored systems under heightened monitoring and do not reintroduce unverified devices or credentials.
CISA recommends restoring from offline, encrypted backups according to critical-service priorities and avoiding reinfection during recovery. Your incident plan should name the decision-maker who can authorize each stage.
Compare approaches using the questions that matter
| Evaluation area | Questions to ask | Evidence to retain |
|---|---|---|
| Isolation | Can a compromised user or administrator reach, alter or delete the copy? | Network path, account list, retention-lock permissions and disconnect procedure |
| Versioning and immutability | Can the team select an earlier clean version? Can an attacker shorten retention? | Configured retention, deletion controls and a successful rollback test |
| Coverage | Are local files, cloud-hosted project data, models, photos, metadata and configuration included? | Inventory-to-backup mapping and sample restore results |
| Recovery | Can the firm restore one file, a project or a complete operating environment? | Runbook, elapsed time, staff requirements and validation checklist |
| Access and keys | Are backup credentials separate? Can authorized staff obtain encryption keys during an identity-system outage? | Break-glass procedure, key escrow record and access review |
| Location and responsibility | What does the construction-platform provider manage, and what must the firm manage? | Contract and product documentation, region selection and export process |
| Cost, compliance and retention | Does the design meet contractual, legal and regulatory requirements without uncontrolled storage growth? | Retention schedule, cost review and compliance sign-off |
Common designs that fail
“The synchronized folder is our backup”
It may copy the encryption just as efficiently as it copies legitimate edits. Add versioned, independently controlled and isolated storage.
Best Value
- USB-C and USB 3.1 compatible.Specific uses: Business, personal
- Innovative style with refined metal cover
- Password protection with 256-bit AES hardware encryption
- Formatted for Mac
“The platform replicates data, so we are covered”
Replication supports provider continuity but does not transfer responsibility for your recovery plan. Verify exports, retention, access and restoration for each platform.
“The backup job succeeded every night”
Success can mean only that bytes were transferred. Without a restore test, you do not know whether files are complete, keys are available or the process meets the required recovery time.
“The external drive stays plugged in for convenience”
A connected drive is reachable through the same compromised computer. Disconnect it between backup sessions and encrypt its contents.
“One administrator can manage everything”
That account can become the attacker’s shortcut to production, backups and retention settings. Separate duties, limit privileges and maintain a controlled break-glass path.
“Immutable means risk-free”
Immutability depends on correct retention, scope and permissions. CISA warns that misconfiguration can create substantial cost and compliance problems. Test deletion resistance and confirm that the retention period matches the business requirement.
Operating checklist for project and IT leaders
- Every project data source has an owner and appears in the inventory.
- RPO, RTO and retention are documented for each critical class of data.
- At least one encrypted copy is offline or otherwise isolated from ordinary credentials.
- Backup administration and encryption-key access are separated from everyday user accounts.
- Synchronization, version history and deletion-retention behavior have been verified.
- Construction-platform replication is documented as a provider service, not the complete firm backup.
- Representative files and a full project set have been restored in a clean environment.
- Recovery order, contacts, approvals and clean-system checks are in the incident plan.
- Tests are repeated after major platform, identity, network or retention changes.
For a construction firm, the practical standard is simple: ransomware may take the working environment, but it must not be able to take every recoverable copy with it.
