The safe way to switch open-source applications is to treat migration as an app-specific project, not as a folder-copy exercise. First identify the source and destination apps, operating system, installation type, and versions. Then read the current backup instructions for the source and the import instructions for the destination. An export file, a complete profile copy, synchronization, and a raw settings-folder copy preserve different things; none guarantees that every preference, extension, credential, attachment, or custom feature will appear in the new app.

Create an independent backup before changing anything, test what the destination can import, and keep the original backup untouched until the new installation has been opened and checked. The examples below use Thunderbird, Firefox, and KeePassXC because their documentation shows the practical differences between profile backups, transfer formats, synchronization, and protected application databases.

Why app migration is not a universal process

Open-source does not mean that applications share one settings format. Each project decides where it stores data, how it represents preferences, which secrets it protects, and what its import tool can read. Even two applications serving a similar purpose may use unrelated profiles or databases.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A source application’s backup can therefore be excellent for restoring that same application while being useless to a different application. Conversely, a CSV or other interchange file may be easy for another application to read but omit features that matter in the original. The destination may also import only selected categories rather than the whole profile.

Before you uninstall, reformat a computer, or delete an old profile, establish three facts:

  • What the source backup actually contains and what it excludes.
  • Which file types or profiles the destination can import on your operating system and version.
  • How you will verify accounts, preferences, personal data, attachments, credentials, and key files after the move.

If any of those answers is unknown, the migration is not ready to begin.

Four things people commonly call a “backup”

Method What it usually preserves What it does not guarantee Best use
Native export or interchange file Data categories the format defines, such as messages, contacts, bookmarks, or selected records. App-specific preferences, extensions, custom fields, encryption settings, attachments, or credentials may be omitted. Moving usable data into a different application that explicitly supports the format.
Complete profile backup The source application’s profile state, often including settings and application-specific files. Another application may not understand the profile at all; a damaged or incomplete copy cannot be reconstructed by an import wizard. Restoring the same application or moving it to another computer.
Synchronization Items selected by the service and supported by that application’s current sync implementation. It is not automatically a restorable archive, and it may not carry every local setting, extension, secret, or history item. Keeping supported profile data current across devices while the source app remains in use.
Raw settings-folder copy Whatever files happen to be in the copied directory at that moment. It can miss data outside the folder, include transient or incompatible state, and fail across operating systems or versions. A documented fallback when the project specifically instructs you to copy a profile folder.

Use the source project’s supported method first. A raw copy is not a substitute for reading the documentation, and a sync account is not a substitute for an offline backup.

Make a migration inventory before touching the old installation

Write down the environment before you change it. This prevents a common failure in which a correct backup is applied to the wrong profile, build, or platform.

  1. Record the source app and exact version. Include the edition or channel if the project offers more than one.
  2. Record the destination app and exact version. Import support can differ between releases.
  3. Identify the operating system and architecture. Profile locations and available features can vary by Windows, macOS, Linux, or another platform.
  4. Note how each app was installed. A distribution package, sandboxed package, portable build, and manually installed build may use different data directories.
  5. List the data you cannot afford to lose. Examples include preferences, accounts, messages, address books, bookmarks, passwords, attachments, encryption keys, recovery codes, and plug-in configuration.
  6. Measure the source data. Size matters when an export tool has a limit, and it helps you recognize an obviously incomplete copy.

Keep this inventory with the backup. It gives you a reference when the destination asks which profile or source type to select.

Read both sides’ documentation and confirm the import path

Start with the source application’s official export, backup, or profile-copy procedure. Read the section describing scope and exclusions, not just the button label. Then open the destination application’s current import documentation and check whether it accepts the exact artifact you plan to create.

Look for answers to these questions:

  • Does the destination import a native profile, an archive, or only an interchange format?
  • Can you select individual categories, or does the import replace the whole profile?
  • Are passwords, encryption keys, attachments, extensions, and custom fields supported?
  • Does the destination require the same major version, a running source installation, or a particular operating system?
  • Are there file-size limits, and does the tool report an error or silently skip data?
  • Can you perform a dry run or inspect a summary before committing?

Do not infer compatibility from similar names or from both projects being open source. Compatibility exists only when the destination documents support for the source’s format or profile.

Choose a backup strategy that matches the goal

Use this decision table after reading the two sets of instructions.

Your goal Preferred artifact Important qualification Verification before deleting the source
Restore the same app on another computer The app’s native profile backup or documented profile-folder copy. Include every file the project identifies; do not assume the visible settings directory is complete. Launch the restored profile and inspect representative data.
Move selected data to a different app The destination’s documented interchange format or import route. Expect feature loss where the format has no equivalent field. Import into a test profile first and compare counts and important records.
Keep supported data current on several devices The application’s synchronization feature. Sync scope and availability can change by version and operating system; retain a separate backup. Confirm the expected items appear offline on a second device.
Handle a very large profile A documented full-profile copy or the project’s large-profile procedure. Archive limits may require direct copying or split-volume compression. Compare folder size and open the copy before the old profile is changed.

Create and protect the backup

Use a separate destination

Save the backup outside the source application’s working directory. A second internal drive, external storage, or a USB flash drive can be used; Mozilla’s Thunderbird guidance gives a USB flash drive as one example for a copied profile. The important property is separation: an uninstall, profile reset, or mistaken import must not overwrite the only copy.

Give the backup a descriptive name containing the app, version, operating system, and date. Keep the original read-only or otherwise untouched while testing. If the data is sensitive, protect the storage with the operating system’s encryption or the application’s documented encrypted format.

Preserve keys and recovery material separately

A database file can be useless without its key file, passphrase, or recovery codes. KeePassXC’s documentation specifically advises keeping a backup of the key file in a safe place. Store that key backup separately from the working database, but in a location you can retrieve when restoring. Do not place passwords or recovery codes in an unprotected text file merely to make migration convenient.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Record the backup’s scope

Write down whether the artifact is a complete profile, a selected export, a synchronized copy, or a folder snapshot. Note the source version, size, and any documented exclusions. This prevents an interchange file from being mistaken for a full disaster-recovery backup months later.

Perform the migration in a controlled sequence

  1. Finish or pause changes in the source. Close the app if its documentation requires a closed profile for a consistent copy. Complete pending downloads or database operations first.
  2. Create the native backup or export. Follow the documented UI path or profile-copy procedure exactly. If the tool offers a scope summary, save or record it.
  3. Make a second copy when practical. Keep one untouched copy and use another for experiments or import attempts.
  4. Install the destination without removing the source. A parallel installation gives you a recovery path if the import fails.
  5. Open the destination’s import tool. Select the source type that the documentation names. Do not rename a file merely to make it resemble a supported format.
  6. Choose data deliberately. If the wizard presents checkboxes or categories, select only what you need and read the summary before starting.
  7. Import into a clean or test profile first. This makes it easier to distinguish imported data from defaults created by the new installation.
  8. Inspect the result. Check representative records, preferences, accounts, and sensitive data rather than assuming a successful completion message means everything transferred.
  9. Repeat only from the untouched backup. If you change the test copy, start the next attempt from the original backup so that partial imports do not compound.
  10. Retire the old installation only after successful use. The reviewed documentation does not establish a universal retention period, so keep the backup until you have used the new setup and verified the information that matters to you.

Thunderbird: profile export, large profiles, and selective import

Thunderbird illustrates the difference between a native profile backup and an import into another installation. Mozilla Support says the Export tool backs up a Thunderbird profile containing accounts, messages, address books, and settings to a ZIP file. The documented ZIP export limit is 2 GB.

Export a normal-sized profile

Use Thunderbird’s profile export command while the source profile is available. The resulting ZIP is intended to be restored with Thunderbird’s Import Tool, typically on another computer. Treat it as a Thunderbird profile archive, not as a generic mail format that every mail application can read.

Before exporting, check the profile size and the export summary. If the profile is near the limit, do not assume the operation produced a complete archive; use the large-profile route instead.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Back up a profile larger than 2 GB

Mozilla’s large-profile instructions describe locating the Thunderbird profile folder and copying its contents to a backup location. A USB flash drive is one possible destination. The same guidance mentions split-volume compression as another option when a single archive is impractical.

Copy the complete folder identified by Thunderbird’s documentation, not only a subfolder that appears to contain messages. Keep the copy separate and do not use it as the working profile until you have preserved an untouched duplicate.

Import into Thunderbird

Thunderbird’s Import tool can accept settings and data from Thunderbird profiles, other applications, or certain files. The wizard lets you choose which portions to import. Use that selection deliberately: importing accounts and messages does not necessarily mean every preference or extension state will be reproduced.

Mozilla documents the same 2 GB limit for ZIP imports and gives a profile-folder route for larger profiles. If the destination rejects the archive because of size, return to the untouched source copy and follow the folder-based procedure rather than splitting or renaming files at random.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What to verify

  • Each expected account appears and points to the correct server or local store.
  • Recent and older messages open, including messages with attachments.
  • Address books contain representative contacts.
  • Important account settings and folders are present.
  • The destination profile opens after restarting Thunderbird.

Firefox: backup files, operating-system differences, and Sync

Mozilla’s current Firefox help page describes a Firefox backup file as containing profile data such as bookmarks, settings, and passwords. It also states that feature availability differs by operating system and version. Check the requirements for the exact Firefox build you are moving; do not rely on an older screenshot or an instruction written for another platform.

Use the documented backup feature when available

Confirm that your Firefox version and operating system support the backup and restore feature. Create the backup from the source installation, store it separately, and verify that the file exists before changing the old profile. The backup’s documented scope is the authority for what you should expect to recover.

Understand the role of Firefox Sync

Mozilla also describes Firefox Sync as a way to keep profile data updated across devices. Sync is useful when you are continuing to use Firefox and want supported data available elsewhere, but it should not automatically be treated as an offline archive of every local setting. Check which categories your account and version synchronize, and retain an independent backup for recovery.

Verify after restore

  • Open several bookmarks from different folders.
  • Check settings that affect privacy, downloads, and startup behavior.
  • Confirm that saved passwords are available only after the destination is secured and unlocked as required.
  • Check extensions and customizations individually; a profile backup may contain them, while an interchange or sync path may not.

KeePassXC: why a plain export is not a complete database backup

KeePassXC demonstrates the risk of confusing a transfer format with a native database. Its project documentation covers import and export operations and warns that formats such as CSV do not retain all database features. A CSV can move records into another tool, but it is not equivalent to the encrypted KeePassXC database.

Keep the native database for recovery

When your goal is to continue using KeePassXC, preserve the native encrypted database and follow the project’s documented backup procedure. Keep the key file backed up in a safe place, as the project documentation advises. Without the correct key file or passphrase, a copied database may not be recoverable.

Use CSV only for a defined transfer

Choose CSV or another interchange format only when the destination explicitly supports it and you understand the loss. Fields, attachments, custom attributes, groups, icons, history, and encryption are examples of features that may not map to a simple table. Review the destination’s field mapping and import report, then inspect sensitive records manually.

Protect the export during the move

A plain export can expose every password in readable form. Store it only in protected storage, limit who can access it, and remove the temporary export securely after the destination database has been verified. Keep the encrypted native database and key backup as your recovery path.

Verify the destination instead of trusting a success message

A migration is complete only when the data you rely on works in the destination. Use a written checklist tailored to the source app.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Identity and access

  • The destination opens with the intended profile, not a newly created default.
  • Accounts, sign-in state, encryption keys, and recovery material are available through the documented process.
  • Permissions and file paths work for the destination user account.

Content and structure

  • Old and recent records are present.
  • Folders, tags, address books, bookmark hierarchies, or database groups retain their expected structure.
  • Attachments and other linked files open.
  • Search, sorting, and indexing return expected results.

Preferences and extensions

  • Critical preferences have the intended values.
  • Extensions or plug-ins that are essential to your workflow are installed and configured, if the destination supports them.
  • Custom fields or application-specific features have been checked individually rather than assumed to transfer.

Restart and test normal use

Close and reopen the destination. Perform the everyday actions that matter: send or receive a test message, open a password entry, visit a bookmark, or change a noncritical preference and confirm that it persists. A profile that looks correct immediately after import can still fail when reopened.

Common failure modes and what to do

The destination says the file is unsupported

Verify that you selected the documented source type and that the file was created by the source application’s current export tool. Do not change the extension or edit the archive. If the destination supports only an interchange format, create that format from the source and accept its documented scope.

The archive exceeds a size limit

Check the tool’s stated limit. Thunderbird’s documented ZIP export and import limit is 2 GB. For a larger Thunderbird profile, use the documented profile-folder copy or split-volume compression route. Preserve the original profile while trying again.

Only some data appears

Review the import categories and the destination’s supported fields. Selective import may be working as designed, and an interchange format may not represent app-specific features. Import the missing category separately if the tool supports it; otherwise retain the source profile for access to features that have no destination equivalent.

Passwords or encrypted data cannot be opened

Locate the correct key file, passphrase, or recovery code from the protected backup. Do not assume that a CSV or profile copy includes external key material. If the key is missing, stop experimenting on the only database copy and work from the untouched backup.

The imported profile behaves oddly after a version change

Check the source and destination version requirements. Test the import in a clean profile and update or downgrade only according to the project’s documented compatibility guidance. Keep both the original backup and the pre-import destination profile so you can roll back.

The old computer is no longer available

Work from the backup’s recorded scope and inspect its contents without modifying it. A complete native profile may restore to the same application, while a selective export may be the only usable artifact for another application. If the backup never contained a required category, no import setting can recreate it.

A practical decision checklist

Use this short checklist immediately before you switch:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. I have written down source and destination versions, operating system, and installation types.
  2. I know whether my artifact is a complete profile, a selective export, a sync copy, or a raw folder copy.
  3. The destination documentation explicitly accepts this artifact or format.
  4. I know the documented size limit and have checked my source data against it.
  5. I have separately protected passwords, key files, recovery codes, and other sensitive material.
  6. I have at least one untouched backup outside the source application’s working directory.
  7. I can install and test the destination without deleting the source.
  8. I have a verification list for the data and settings that matter.

If one item is false, postpone the destructive step and resolve that item first. The cost of a second backup or a test import is small compared with discovering after an uninstall that the only copy was incomplete.

What to do with the old installation

Do not overwrite, repurpose, or delete the source profile during the first import attempt. Keep the untouched backup and, where possible, the original installation available while you use the destination normally. Once you have opened the new setup repeatedly and verified important data, decide how long to retain the old copy based on your own risk and storage needs; the official examples do not define one universal retention period.

Frequently Asked Questions

Can I copy one open-source app’s settings folder into another app?

Usually not. A settings folder is normally a private profile format. Copy it only when the destination project explicitly documents support; otherwise use the destination’s supported import format and expect that some app-specific features may not transfer.

Is synchronization enough to move settings to a new computer?

Not by itself. Synchronization covers the categories supported by that app, operating system, and version, and it may not be a restorable archive. Keep a separate native backup and verify the synchronized data on the new computer.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Should I delete the old profile after a successful import?

No immediate deletion is necessary. Keep an untouched backup and use the destination long enough to verify important accounts, content, credentials, attachments, and preferences before removing the old copy.

What is the safest way to move a password database?

Keep the encrypted native database and its required key file or passphrase as the recovery backup. Use CSV or another plain export only for a documented transfer, protect it during the move, and verify every important entry before securely removing the temporary export.
