A proper NAS backup keeps the NAS as the working copy and adds at least two independently recoverable copies: three copies in total, on at least two kinds of storage media, with one copy outside the primary location. RAID is not a backup. It can keep a NAS running after a disk failure, but it cannot restore files deleted by mistake, encrypted by ransomware, or destroyed with the NAS in a fire or theft.

What the 3-2-1 rule means for a NAS

The 3-2-1 rule is a recovery design, not a particular product. Backblaze defines it as “at least three copies of data, stored on two different types of media, with one copy kept off-site.” For a NAS, count the live dataset as copy one, then create two backup copies that can be restored without relying on the original disks.

Requirement What it means in a NAS plan Example
3 copies The production data plus two additional recoverable copies. NAS volume, USB backup disk, cloud backup.
2 media types Use different storage media or storage systems so one failure mode does not remove every copy. NAS disks plus an external USB hard drive; or a NAS plus object storage.
1 off-site At least one backup must be outside the building where the primary NAS sits. Cloud storage, a NAS in another building, or removable media stored elsewhere.

Synology’s Knowledge Center, updated May 8, 2026, recommends following the 3-2-1 strategy to protect NAS data during an IT disaster. The rule does not require a specific NAS brand or cloud provider. It requires enough separation that a single event cannot reach every copy.

Why RAID does not count as a backup

RAID distributes or mirrors data across disks to improve availability and tolerate specified disk failures. It does not create an independent historical copy. A deleted file is removed from the array; ransomware can encrypt every mounted share; a failed controller, power event, theft, flood, or fire can affect the entire NAS and all disks at once. Rebuilding a degraded array also does not recreate an earlier version of a file.

Keep RAID for uptime if your workload needs it, but plan backups separately. A backup job must write to a destination that can survive the failure of the production array and retain versions that are not immediately altered when the source changes.

Start with recovery requirements

Before choosing targets, decide what must be recovered, how far back you may need to go, and how quickly the business or household must be operational. These decisions determine whether a local copy, a cloud copy, snapshots, or a combination is appropriate.

  • Recovery point: identify the maximum amount of new work that can be lost. A daily schedule may be acceptable for archives but not for constantly changing project files.
  • Recovery time: local USB or second-NAS copies normally restore faster than downloading a large dataset from cloud storage, especially when the internet connection is limited.
  • Recovery scope: file-level versioning handles individual deletions; snapshots provide fast point-in-time rollback on supported volumes; application data may require an application-aware backup rather than copying visible files alone.
  • Retention: keep enough historical versions to cover delayed discovery of corruption or ransomware. Longer retention consumes more local capacity or cloud storage.

Write these requirements down for shared folders, databases, virtual machines, photos, and configuration files separately. A single schedule for every dataset often wastes storage on unimportant data while leaving critical application data unprotected.

A practical 3-2-1 layout for a home or small office

  1. Keep the NAS as the production copy. Users and applications work from the NAS, not from the backup disk. Enable the NAS features needed for disk redundancy and snapshots, but treat them as availability and fast-recovery tools rather than the complete backup plan.
  2. Create a scheduled, versioned local backup. Use an external USB hard drive or a second NAS. Configure the job to retain multiple versions instead of mirroring only the latest state. This layer handles accidental deletion, user mistakes, and many short outages without waiting for an internet transfer.
  3. Create a separate off-site backup set. Send a backup—not merely a live synchronization—to cloud object storage such as Backblaze B2 or Synology C2, or replicate to a NAS at another location. The off-site job should have its own retention and credentials.
  4. Encrypt the backup and protect access. Use the backup software’s encryption option where available, store recovery keys safely, and do not reuse the NAS administrator account for the remote destination. A remote account that can delete every version is a single point of failure.
  5. Monitor and test recovery. Review successful and failed job reports, investigate missed runs, and periodically restore representative files, permissions, and required application data. There is no universal restore-test interval specified by the cited vendor material; choose a cadence based on how much data can be lost and how quickly it must be recovered.

Choose the local backup target

Target Strengths Limitations and precautions Best fit
External USB hard drive Low complexity, fast local restores, portable, and inexpensive compared with maintaining another NAS. It is exposed while connected. Disconnect or power it down after a completed job when practical, and rotate more than one drive if you need an offline copy. Homes and small offices needing a straightforward second copy.
Second NAS Automated network backups, larger capacity, and the option to place the unit in another room or building. A second NAS in the same room can still be lost to the same fire, theft, power event, or ransomware credentials. It also adds hardware and administration. Organizations needing frequent restores or a local replica for large datasets.
Snapshot storage on the NAS Very fast point-in-time rollback on compatible file systems and volumes. Snapshots share the NAS enclosure and are not protection from site loss. They also consume space and may be affected by an administrator or attack that can delete snapshots. Fast recovery from recent user errors when combined with independent backups.

Size a USB disk or second NAS for the current dataset plus the versions you intend to retain, not merely for today’s used space. Include application exports, NAS configuration backups, and metadata that your restore process requires. If a single disk cannot hold the retention window, use additional disks or a larger target rather than silently reducing history.

Pick an off-site method

Method Recovery characteristics Operational considerations
Cloud object storage Geographically separate and highly accessible; practical for selected files or a complete backup set when bandwidth allows. Recurring storage charges and possible transfer or retrieval charges apply. Initial upload and a large restore depend on the internet connection. Enable versioning or retention at the destination when the service supports it.
NAS at another location Fast restores over a good site-to-site connection and direct control of the hardware. Both sites need power, network access, monitoring, and secure authentication. The remote NAS must not share the same physical risks as the primary one.
Rotated removable media Can be completely offline and therefore difficult for ransomware to reach. Someone must exchange media reliably, protect it from heat and moisture, and track which version is stored where. An untested disk is not a dependable backup.

Backblaze documents native integrations for Synology, QNAP, and TrueNAS. S3-compatible object storage is another option when the NAS software supports it. Compare providers on retention controls, encryption, portability of the backup format, storage cost, and download cost—not only on the advertised capacity price.

Configure Synology systems

Local copy with Hyper Backup or USB Copy

Synology Hyper Backup supports local folders, another Synology system, and cloud destinations. Use it for a scheduled, multi-version backup to a USB disk, a second NAS, or an off-site service. USB Copy is designed for removable local copies and is useful when a disk is attached only for the backup window. Select the folders, include the application data the restore will need, set a schedule, and choose version retention rather than a one-way mirror.

Keep a USB destination disconnected or powered off after a successful run when your workflow permits. If the disk remains mounted continuously, a compromised administrator session may be able to alter or delete it.

Snapshots and synchronization

Snapshot Replication is useful for fast point-in-time recovery on compatible Btrfs volumes, but snapshots remain on the NAS or its replication partner and therefore do not replace an off-site backup. Cloud Sync handles synchronization workflows; synchronization is not automatically a versioned backup. A synchronization job that propagates deletion or encryption can remove the very data you hoped to recover, so use Hyper Backup or another versioned method for the backup layer.

Synology’s 2023 backup solution guide describes a flow from endpoints to a NAS, followed by Hyper Backup to C2 Storage or Hyper Backup Vault. The important design principle is the separation between the working repository, the local recovery copy, and the off-site copy.

Configure QNAP systems

QNAP Hybrid Backup Sync 3 (HBS 3) can back up or synchronize data to another QNAP NAS and to cloud or S3-compatible targets. Create separate jobs for the local and off-site destinations so each has its own schedule, retention, encryption, and failure notification. Include shared folders and application data explicitly; a job that covers only user files may not be enough to rebuild a service.

QNAP also describes a 3-2-1-1-0 extension: the familiar three copies, two media types, and one off-site copy, plus one isolated or air-gapped copy and a goal of zero errors after verification. An offline USB disk or a destination with effective immutability can provide the extra isolation. Verification should read back or validate the backup according to the software’s available integrity check, rather than treating a completed upload as proof that every file is restorable.

Configure TrueNAS or another platform

TrueNAS can use Cloud Sync to send data to compatible object-storage targets, including Backblaze-supported workflows. Other NAS platforms can use S3-compatible storage when their backup software supports it. Whatever the interface calls the feature, configure a backup job with historical versions, encryption, and a retention policy; do not assume that a replication or synchronization task has those properties.

Export the NAS configuration and document shares, users, network settings, encryption keys, and application dependencies. Store that documentation with the off-site backup, but keep secrets such as encryption keys in a separate secure location so a stolen backup does not automatically reveal the credentials needed to access it.

Protect backups from ransomware and administrator mistakes

  • Use independent credentials: the off-site account should not be the NAS administrator account. Limit it to the permissions required to write backups and, where possible, prevent the backup job from deleting protected historical versions.
  • Retain versions: a backup that contains only the latest state may faithfully preserve encrypted files. Keep daily, weekly, or event-based history appropriate to the data’s change rate and the time an intrusion might remain unnoticed.
  • Add isolation: disconnect removable media, use a second site, or select an object-storage retention or immutability feature. Online copies are convenient but reachable; an isolated copy adds a different failure boundary.
  • Encrypt in transit and at rest: protect transfers and stored data, and test that the recovery key is available to an authorized operator. Encryption without key management can turn a recoverable backup into unreadable data.
  • Separate management paths: protect NAS and backup accounts with strong authentication, limit remote administration, and alert on failed jobs, unusual deletion, or a sudden change in the amount of data written.

Back up versus synchronize versus snapshot

Method What it records What happens after a source deletion or ransomware event Use it for
Versioned backup Historical copies according to a retention policy. Earlier versions can remain available if the destination is not allowed to prune them immediately. Primary protection against user error, corruption, and ransomware.
Snapshot Point-in-time state on a compatible storage system. Rollback can be very fast, but the snapshot may share the same NAS and administrative boundary. Rapid local recovery from recent mistakes.
Synchronization or replication A mirror or near-current copy of selected data. Changes, deletions, and encryption may propagate to the mirror. Keeping another working location current, only when paired with historical backups.

Schedule, monitor, and verify jobs

Run the local job often enough to meet the recovery-point requirement, then run the off-site job often enough that its lag is acceptable. Schedule heavy initial uploads outside busy hours if bandwidth is limited, and use bandwidth controls if the NAS software provides them. Keep an eye on destination free space: when retention pruning starts earlier than intended, the plan may no longer cover delayed ransomware discovery.

Every completed job should produce a reviewable status. Investigate skipped folders, permission errors, authentication failures, destination disconnections, and checksum or verification errors. A green status from one job does not prove that the other copy ran, so monitor local and off-site jobs independently.

Perform a restore test that proves the plan

  1. Select representative data. Include a small file, a large file, a directory with permissions, and any database or application data that is important to operations.
  2. Restore to a separate location. Do not overwrite production data during the test. Confirm that filenames, timestamps, permissions, ownership, and metadata are usable.
  3. Test an older version. Choose a historical point before an intentional deletion or simulated corruption and confirm that the backup software can browse and restore it.
  4. Test the off-site path. Restore at least one item from the cloud or remote NAS, noting authentication, download time, and any transfer fees.
  5. Record what was learned. Document the job name, selected version, restore duration, missing application steps, and the location of encryption keys. Update the procedure while the details are fresh.

For a complete disaster exercise, assume the primary NAS is unavailable and follow the documented process on replacement hardware or a temporary system. A backup is only operationally useful when another authorized person can locate it, unlock it, and understand the restore sequence.

Common failure modes and fixes

“The backup finished, but the disk is full.”

Check whether the job is retaining more versions than the target can hold, whether temporary files consume space, and whether the dataset grew beyond the original estimate. Expand the target, add another rotation disk, or revise retention deliberately. Do not allow automatic pruning to erase the only versions that cover your threat window.

“The cloud copy is current, but ransomware encrypted it too.”

The destination was probably a synchronization mirror or had no protected history. Replace it with a versioned backup, enable destination retention or immutability where available, and add an offline or otherwise isolated copy.

“The local restore works, but the remote restore fails.”

Check remote credentials, encryption keys, destination permissions, and whether the software’s proprietary backup format is available on a replacement system. Perform a small remote restore after every major configuration change rather than waiting for a disaster.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

“A second NAS is in the same office.”

It improves recovery from a failed primary array but does not satisfy the off-site requirement. Move or replicate one copy to another building or to cloud storage, and protect the remote NAS with separate credentials.

“The job reports success, but an application will not start.”

Visible files may not be sufficient for databases, virtual machines, containers, or NAS packages. Use the application’s supported export or backup method, include configuration and license data where required, and test the complete startup process in an isolated location.

How to choose between USB, a second NAS, and cloud

Priority Prefer Reason
Fast recovery of a large dataset USB disk or second NAS on the local network Local reads usually avoid a long cloud download.
Protection from a building disaster Cloud object storage, a remote NAS, or rotated media stored elsewhere The copy is outside the primary site.
Protection from an online attack Offline or isolated media plus versioned online backups An attacker cannot easily alter a disconnected copy.
Minimal administration USB plus a managed cloud destination Less hardware than maintaining two NAS units, while retaining a local restore path.
Maximum portability A documented, exportable backup format and ordinary removable media You are less dependent on one vendor or service during a rebuild.

Many robust plans combine all three layers: a local USB or second-NAS backup for speed, cloud or remote replication for site loss, and an offline rotation for additional isolation. The right combination is the one whose costs, bandwidth, staffing, and restore time match the value of the data.

Final checklist

  • The NAS is the production copy, not the only copy.
  • There are two additional recoverable copies.
  • The copies use at least two storage media or systems.
  • At least one copy is outside the primary building.
  • Local and off-site jobs retain historical versions.
  • Backup credentials are separate from the NAS administrator account.
  • Encryption keys and configuration documentation are recoverable.
  • Job failures, destination capacity, and verification results are monitored.
  • A representative local restore and an off-site restore have been performed.
  • An offline or isolated copy is added when ransomware resilience requires more than basic 3-2-1 protection.
