The safest way to back up a home NAS or mini PC server is to create a scheduled copy on a compatible USB external drive, verify that the copy can be read or restored, and keep at least one additional copy elsewhere. The exact procedure depends on the platform: Synology uses Hyper Backup, QNAP uses HBS 3, and a Linux or Unix mini PC can use restic with a scheduler such as systemd or cron.

A single disk attached beside the server is useful, but it is not a complete disaster-recovery plan. Drive failure, theft, fire, ransomware, accidental deletion, or a damaged server can affect both devices. Use the local drive as one copy in a broader 3-2-1 strategy.

Before you start: choose the right backup outcome

Decide whether you need a directly browsable copy of the latest files, historical versions, or a recoverable copy of selected server data. Those are different outcomes and lead to different settings.

Directly readable files

A file-and-folder copy can be opened from another computer without special backup software. This is convenient for quickly retrieving a document or photo, but a simple latest-copy job normally overwrites the previous state. It will not protect you from an unnoticed deletion that is copied faithfully on the next run.

Historical versions

A versioned repository keeps earlier snapshots so you can recover a file as it existed before corruption, deletion, or an unwanted change. The trade-off is that the destination may not look like an ordinary folder tree. You may need the backup application and its password or encryption key to browse or restore it.

Selected files versus a complete server image

The workflows below back up folders and, where the platform supports it, packages or configuration. They are not bare-metal images and do not by themselves guarantee that a replacement computer can boot with every service restored. For databases, virtual machines, and other stateful applications, use the application’s export or snapshot procedure, or pause it during the copy when consistency requires that.

Drive, cable, and capacity checks

The documented hardware category for this job is a USB external hard drive. There is no single model, capacity, interface, or brand that is universally compatible with every NAS and mini PC.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • NAS compatibility: Check the drive against the compatibility list for your exact NAS model. QNAP explicitly requires this check, and supported devices can vary by model.
  • Port and power: Confirm that the mini PC or NAS has a suitable USB port and that the drive’s power requirements are met. Some larger desktop drives use a separate power adapter.
  • Capacity: Start with the size of the data you intend to protect, then allow room for changed files and the number of retained versions. The vendor procedures do not provide a universal sizing formula.
  • Formatting: A newly attached external drive may need to be formatted before a NAS can use it. Formatting erases existing contents, so copy off anything important first.
  • Connection pattern: A permanently connected drive enables unattended schedules. Disconnecting it and storing it separately can reduce exposure to incidents affecting the running server, but it is not a replacement for additional copies.

At-a-glance workflow comparison

Platform Tool Destination setup Version behavior Scheduling
Synology NAS running DSM 6.0 or later Hyper Backup Local Shared Folder or USB Multi-version .hbk repository or single-version ordinary folders Built into the task
QNAP NAS using HBS 3 Hybrid Backup Sync (HBS 3) Local NAS destination on the attached external device Determined by the job settings and HBS version Optional schedule in the job
Linux or Unix mini PC restic Repository on a mounted external filesystem Snapshots retained according to your maintenance policy External scheduler such as systemd or cron

Menu names and available features can differ by hardware model, operating-system release, and application version. Do not apply one platform’s menu path to another.

Back up a Synology NAS with Hyper Backup

Synology’s local USB procedure applies to DSM 6.0 and later. The vendor’s local shared-folder/USB instructions were updated August 10, 2026. The exact screens can differ by model and DSM release.

1. Attach and prepare the external drive

  1. Connect the USB drive to the NAS.
  2. Open the NAS storage or external-device view and confirm that the device is recognized.
  3. If DSM asks to format a new device, verify that you selected the correct disk and understand that formatting removes its existing data.

2. Create a local backup task

  1. Open Hyper Backup.
  2. Choose Folders and Packages to create a task that backs up shared folders and supported packages.
  3. Select Local Shared Folder or USB as the destination type.
  4. Select the attached external device and the destination folder.
  5. Choose the source shared folders and any supported packages or configuration items that you actually need.

Do not assume that every service, application database, virtual machine, or system setting is captured merely because the server is included. Check the package and configuration selections for your DSM release, and use application-specific exports where required.

3. Choose single-version or multiple-version storage

Mode What is stored Recovery experience Important limitation
Multiple versions Data is stored in Hyper Backup’s .hbk repository format. Provides version history; use Hyper Backup tools to browse or restore. It is not an ordinary folder copy that can be opened directly in a file manager.
Single version Latest data remains in the original file and folder structure. Convenient direct retrieval from the external disk. Earlier backup contents are overwritten; encryption and compression are unavailable in this mode.

Use multiple versions when recovery from earlier states matters more than direct browsing. Use single version when the priority is a plainly readable latest copy and you accept that previous states will not be retained.

Everything stays effortlessly organized, powered by intelligent tagging and recognition.

4. Set protection and retention options

For a multi-version task, configure the schedule, retained versions, compression, and encryption as appropriate. If you enable encryption, preserve the password or recovery key somewhere separate from the drive. An encrypted repository without its credential may be unusable even when the disk itself is healthy.

Set the schedule after considering when the NAS is least busy and how much data changes between runs. Retention should reflect the kinds of mistakes you need to undo: short retention may cover accidental edits, while longer retention is needed to discover silent corruption months later. The exact number of versions is a policy decision, not a universal vendor recommendation.

5. Run and inspect the first task

  1. Start the task manually for the first run rather than waiting for the schedule.
  2. Watch the task log until it reports completion, not merely that it started.
  3. Check the destination for the expected repository or folder structure and confirm that the amount of data is plausible.
  4. Restore a few representative files to a temporary folder and open them. A successful job status alone does not prove that every required file is recoverable.

Back up a QNAP NAS with HBS 3

QNAP’s external-storage procedure uses HBS 3. Its FAQ was modified September 20, 2023; the HBS quick-start guide last modified December 11, 2024 applies to HBS 3 version 17 or later. Confirm the instructions and feature labels for your installed version.

1. Confirm model and drive compatibility

  1. Check QNAP’s compatibility list for the exact NAS model before relying on the drive for backup.
  2. Connect the external storage device and confirm that QTS or QuTS hero recognizes it.
  3. Format the device only after verifying that no needed data remains on it.

2. Create an HBS 3 backup job

  1. Open HBS 3.
  2. Create a new backup job.
  3. Select the source folders on the NAS.
  4. Choose Local NAS as the destination type.
  5. Select a folder on the attached external device as the destination.
  6. Set the optional schedule and any available retention or version settings.
  7. Save the job and run it once manually.

Review the job’s source selection carefully. Include application data and configuration only when HBS 3 and the relevant application support a consistent copy. For databases or active virtual machines, follow the application’s own export or quiescing guidance.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

3. Verify the result

Read the completion log for skipped files, permission errors, and capacity warnings. Browse the destination where the selected format permits it, and perform a test restore to a temporary location. Keep the original NAS data untouched while testing so that a recovery mistake cannot overwrite the source.

Back up a Linux or Unix mini PC with restic

restic stores encrypted snapshots in a repository. The repository can live on an external drive mounted by the mini PC. This is a file-and-directory backup workflow, not a bootable image of the operating system.

1. Mount the external drive deliberately

Give the external filesystem a stable mount point, and make sure the account running the backup can read the source directories and write the repository. A scheduled job that runs while the disk is unplugged or mounted somewhere else can report an error or write to the wrong local path.

  • Back Up Multiple Computers & Devices – NAS Navigator management utility and PC backup software included. NAS Navigator 2 for macOS 15 and earlier. You can set up automated backups of data on your computers.

Before every automated run, ensure the mount is present. A practical safeguard is to have the service fail when the expected mount is absent rather than creating a new repository directory on the mini PC’s internal disk.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

2. Initialize a repository

restic -r /mnt/backup-drive/restic-repo init

restic prompts for a repository password. Store that password in a password manager or another protected location separate from the drive. Without it, the encrypted repository cannot be restored.

3. Back up the intended directories

restic -r /mnt/backup-drive/restic-repo backup /home /srv

Replace the example paths with the directories that contain your data. Do not treat /home and /srv as universal answers; inspect where your server stores documents, media, service data, and configuration.

If you use --one-file-system, restic will not automatically cross into other mounted filesystems. This matters when a data disk, virtual-machine volume, or external filesystem is mounted below a directory included in the command. Either list each intended filesystem explicitly or omit the option only when crossing mount boundaries is deliberate.

restic -r /mnt/backup-drive/restic-repo backup --one-file-system /home /srv /var/lib

After the run, review the summary and confirm that the expected paths and file counts were included. A snapshot can complete successfully while omitting a separately mounted filesystem that was never selected.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

4. Inspect snapshots and test a restore

restic -r /mnt/backup-drive/restic-repo snapshots

List snapshots and identify the one you want to test. Restore it into a temporary directory rather than over the live data:

restic -r /mnt/backup-drive/restic-repo restore latest --target /tmp/restic-restore-test

Open several restored files and compare important application data with the source. Test files from different directories and sizes; a single successfully restored document does not validate every service.

5. Check repository health

restic -r /mnt/backup-drive/restic-repo check

Run the check regularly and investigate any reported errors. Keep the repository password available when running maintenance commands.

6. Schedule the command

restic does not include a built-in scheduler. Use a systemd timer or cron, and make the job verify that the expected external mount exists before starting. Schedule a separate notification or log review so a failed job is noticed.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A systemd or cron job should use absolute paths, an explicit repository location, and a protected way to provide the repository password. Avoid placing the password directly in a world-readable command line or script. Test the scheduled command manually under the same user and environment before relying on it.

Make the backup application-consistent

Copying files while an application is actively changing them can produce an incomplete or internally inconsistent result. This is especially important for databases, virtual machines, mail stores, and other services that write multiple related files.

  • Use the application’s supported backup or export command when one exists.
  • Pause or stop the service briefly when its documentation requires a quiescent state.
  • Back up the exported file or snapshot rather than assuming a live directory copy is valid.
  • Record which data is regenerated and which data must be restored first for the service to start.

The NAS and restic procedures here do not establish application-specific consistency steps. Follow the documentation for each application running on your server.

Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Support on Ko-Fi

Verification: prove that the copy is usable

Verification has three separate parts: confirming that the job ran, confirming that the intended data was included, and proving that recovery works.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Job and destination checks

  • Read the task or command log for completion, skipped files, permission failures, and out-of-space errors.
  • Confirm that the external filesystem was mounted before the run.
  • Check the destination timestamp, repository size, and snapshot list.
  • Compare the selected source directories with the backup configuration rather than relying on a default selection.

Repository integrity checks

For restic, use restic check. For a NAS-managed repository, use the platform’s verification or restore tools where available. Integrity checking can detect repository problems, but it is not a substitute for opening restored files.

Recovery drills

  1. Choose representative files, including a large file, a recently changed file, and data from each critical service.
  2. Restore to a temporary directory or spare location.
  3. Open the files and, for application data, confirm that the application can use the restored export.
  4. Document the restore path, required password, and any special tool or package needed.

Repeat the drill after changing the backup format, encryption settings, storage device, or server platform.

Use the 3-2-1 rule for real resilience

Synology and QNAP recommend a 3-2-1 approach: keep at least three copies of important data, on at least two types of storage or media, with at least one copy off-site. The local USB disk is normally one of those copies.

RAID improves availability when a disk fails, but it is not a backup. Synology specifically cautions that RAID and a local copy do not prevent every loss caused by drive or RAID failure. A second copy in the same room can still be lost to theft, fire, flooding, or a power event.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Primary copy: the live data on the NAS or mini PC.
  • Local recovery copy: the scheduled USB backup.
  • Additional copy: another medium or an off-site location, depending on your risk and budget.

Rotate a second external drive or maintain an off-site copy when the data cannot be recreated. Disconnecting and storing a drive separately can limit exposure to a running-server incident, but it does not eliminate the need for multiple copies or tested recovery.

Common failure modes and fixes

The NAS does not see the drive

  • Check the cable, port, and separate power adapter.
  • Confirm that the drive is supported for the exact NAS model.
  • Look for a pending format or permission prompt.
  • Try a compatible filesystem only after preserving any existing data.

The scheduled job runs but backs up too little

  • Compare the configured source folders with the locations where services actually store data.
  • On restic, check for mounted filesystems excluded by --one-file-system.
  • Inspect logs for permission-denied or skipped-file messages.
  • Confirm that the external disk was mounted at the scheduled time.

The destination is full

  • Reduce the source scope only after deciding which data is nonessential.
  • Adjust version retention or snapshot-pruning policy.
  • Use a larger compatible drive after checking the data-growth estimate.
  • Do not delete historical versions blindly; preserve at least the recovery points your policy requires.

A versioned backup cannot be opened in a file manager

This is expected for Hyper Backup’s multi-version .hbk format. Use Hyper Backup’s browse or restore tools and keep the encryption credential available.

The backup says it completed, but restore fails

  • Run the platform’s repository or integrity check.
  • Test another snapshot or file to determine whether the problem is isolated.
  • Verify that the required application or backup tool version is available on the recovery computer.
  • Check that the repository password or encryption key is correct.
  • Use the second backup copy rather than repeatedly modifying the damaged destination.

The mini PC was backed up, but it will not boot after a disk failure

restic file snapshots and NAS folder jobs do not automatically create a bootable bare-metal replacement. Reinstall the operating system and applications, then restore the protected data and application exports. Keep a separate record of service configuration, package names, network settings, and restore order if rebuilding the server is part of your plan.

A repeatable setup checklist

  1. Identify the platform and version: Synology DSM, QNAP QTS or QuTS hero, or Linux/Unix.
  2. Confirm that the external drive is recognized, powered, and compatible.
  3. Decide whether you need directly readable latest files, historical versions, or both.
  4. Select the source folders, packages, exports, and configuration that are actually supported.
  5. Configure scheduling and retention; use systemd or cron for restic.
  6. Run the first job manually and inspect its log and destination.
  7. Verify that every intended filesystem is included and that the external mount is present.
  8. Run an integrity check where supported.
  9. Restore representative files to a temporary location and open them.
  10. Add another copy on a different medium and keep one copy off-site when broader disaster recovery matters.

The Bottom Line

Use the backup tool native to your platform, keep the external drive compatible and mounted for scheduled jobs, verify the files and repository, and maintain additional copies. A tested restore—not a green job status—is what turns an external disk into a dependable backup.
