Back up your Mac before handing it over for a hardware repair, then verify that the backup completed and note its date and time. A repair may require erasing or replacing the startup disk, so files on the Mac may not survive service. Apple’s built-in Time Machine can back up to an external USB or Thunderbolt drive; the steps below explain how to make and check that backup, protect it, and prepare the Mac for handoff.

A backup is not just a precaution for an unlikely mishap. Apple Support says it matters because service may require erasing or replacing the computer’s startup disk. A current, verified backup gives you a way to restore files if that happens. It does not mean a repair will necessarily erase the Mac, but you should prepare for that possibility rather than assume the data will remain untouched.

Before you start: choose a backup drive and protect its contents

Time Machine needs an external storage device connected to the Mac by USB or Thunderbolt. Choose a drive that works with your Mac’s available connection and has enough capacity for the Mac’s storage and the backup history you want to keep. Apple recommends a backup disk with at least twice the Mac’s storage capacity. Its 2026 guidance gives the example of a Mac with 1 TB of storage paired with a 2 TB backup disk.

Mac storage Apple’s capacity guidance What to keep in mind
1 TB 2 TB backup disk, in Apple’s example This is an example, not a requirement that every Mac use a 2 TB drive.
Other capacities At least twice the Mac’s storage capacity Apple’s recommendation; the cited guidance does not prescribe a particular brand or model.

These are Apple’s recommendations in its Time Machine guidance, not a guarantee that a drive of a particular size will suit every backup history. A larger drive can provide more room for retained backups. If you are buying a drive, compare capacity and connection compatibility rather than relying on a specific product label. A “2TB external hard drive for Mac backup” is a useful capacity class to consider for a Mac with 1 TB of storage, not a universal requirement.

  • Aluminum Alloy Housing: Built with a sturdy aluminum alloy shell that aids in heat dissipation and protects against daily wear and scratches. Designed to maintain a stable and secure connection.
  • Compact & Travel-Friendly: The ultra-compact design allows the adapter to stay plugged into your device without blocking adjacent ports or adding bulk, reducing wear and tear on your original USB ports.
  • 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.

Capacity and connection are the relevant selection points in Apple’s cited guidance: check the Mac’s storage capacity, apply the at-least-double recommendation, and make sure the drive connects by USB or Thunderbolt as appropriate. Apple does not rank brands or specific drive models in that guidance. Nor does its example establish a fixed price or say that a particular drive is necessary. If you already have a suitable drive, check its contents and capacity before setting it up rather than buying another one automatically.

Time Machine setup may ask to erase the selected drive. Erasing removes the drive’s existing contents. Do not approve that step unless you have confirmed the disk contains nothing you need or have saved those files somewhere else. If the drive contains important data and you are unsure whether it will be erased, cancel setup and resolve that first. This is an easy pitfall to avoid: the disk selected for backup may already contain unrelated files, and preparing it for Time Machine can remove them.

Set up Time Machine on macOS Ventura 13 or later

The following System Settings path applies to macOS Ventura 13 or later. The names and layout may differ on older macOS releases, so use the instructions for the version installed on your Mac. If the menu labels on your Mac do not match these steps, do not assume something is wrong; Apple’s stated path is version-specific.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Connect the external USB or Thunderbolt drive to the Mac. Confirm it is the drive you intend to use before proceeding, especially if more than one external disk is connected.
  2. Open the Apple menu and choose System Settings.
  3. Select General, then Time Machine.
  4. Choose Add Backup Disk and select the external drive. Check the selected disk name so you do not set up a different drive by mistake.
  5. If you want the backup encrypted, turn on Encrypt Backup. Choose and save a password when prompted; you will need it to restore files from the encrypted backup.
  6. Review any prompt to erase or prepare the drive. Continue only if you are sure its existing contents can be removed.
  7. Complete setup. The Mac begins backing up after setup.

Encryption is optional in the setup described here, but the password has a practical consequence: Apple says it is needed to restore files from the encrypted backup. Store it securely and somewhere accessible independently of the Mac. If the Mac goes in for service, the password must still be available when you later need to restore files. Do not assume that remembering the Mac login password is enough to unlock an encrypted Time Machine backup; retain the password you set for the backup.

If you are deciding whether to encrypt, consider the tradeoff in terms of access: encryption protects the backup, while also making the backup password essential for a later restore. Do not enable it and then leave the password only on the Mac that is going to service. Keep the credential secure, but make sure you can retrieve it without relying on that computer.

Start a backup now and confirm it finished

Do not rely only on the fact that Time Machine is configured. Start a backup before service and check its status so you know the latest completed backup is recent enough for your needs. Setup starts a backup, but a setup screen alone is not confirmation that the job has completed.

  1. Open the Time Machine menu and choose Back Up Now to start a backup immediately.
  2. Use the same menu to check the backup’s progress. Wait for it to finish rather than disconnecting the drive while it is active.
  3. After it completes, check the menu for the date and time of the latest backup. Note that time so you can distinguish the verified backup from an older one.
  4. Eject the backup disk or shut down the Mac before disconnecting the drive.

The first backup can take longer. Apple says later backups copy changed files and should be faster. The amount of time depends on the backup; the cited guidance does not give a fixed duration. Allow enough time before your appointment or shipment, especially if this is the first backup. If the Mac has not reported a completed backup, treat it as unfinished rather than assuming setup alone made a usable copy.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The completion time matters because a backup can be successful but older than the files you most need. Check the latest date and time in the Time Machine menu and compare it with when you last made important changes. If you made changes after that completed backup, run Back Up Now again and confirm the newer completion before disconnecting the disk. Keep the backup disk with you rather than handing it over with the Mac unless the service provider specifically instructs otherwise.

If Time Machine says the backup is incomplete

If Time Machine reports that some files were unavailable, Apple recommends trying a manual backup while the Mac is unlocked or waiting for another automatic attempt. Some protected files may require the Mac to be unlocked before Time Machine can access them. An incomplete report is not the same as a fully verified backup, so address the message before treating the Mac as ready for service.

  • Some files were unavailable: Unlock the Mac and choose Back Up Now, then check whether Time Machine completes. Certain protected files may need the Mac unlocked for access.
  • The backup is still running: Leave the external drive connected and check the Time Machine menu again for progress or completion. Do not unplug an active backup drive.
  • Time Machine reports an error or does not complete: Read the displayed error and follow Apple’s troubleshooting guidance. Do not describe the backup as ready for service until Time Machine reports a completed backup.
  • The backup disk prompts you to erase: Stop if you have not checked the disk’s contents. Save anything you need elsewhere before allowing it to be erased for Time Machine.

A backup that completed before the latest important changes may not contain those changes. Check the reported completion time and, if needed, run another backup before disconnecting the disk. If another attempt does not resolve the issue, use the actual error message to guide troubleshooting; do not guess at a cause or treat a partial copy as complete.

For a last-minute repair, resist the temptation to disconnect the drive just because the progress display has stopped changing for a moment. Check the Time Machine menu for its status. Apple’s instructions identify the menu as the place to monitor progress and the date and time of the latest backup. Once the menu reports completion, eject the disk or shut down the Mac before unplugging it.

Decide how to handle data security during service

Apple’s service-preparation guidance identifies turning on FileVault or removing data, such as by erasing all content and settings, as options for people concerned about data security during service. These are distinct from making a Time Machine backup: encryption protects data at rest on the Mac, while erasing removes data from it. Neither should be treated as a substitute for confirming that your files are backed up.

The right preparation depends on the Mac, its macOS version, and the service arrangement. A general security option is not an instruction to take every action before every repair. Read the directions for your specific service, and if an action is unclear or seems inconsistent with those directions, ask the service provider before making a consequential change.

FileVault

Apple lists turning on FileVault as an option for data-security concerns during service. If you choose this route, follow the instructions applicable to your macOS version and Mac. The cited service guidance does not establish one universal set of steps for every Mac or service arrangement. Keep in mind that FileVault relates to the Mac’s data security; it does not make the separate Time Machine completion check unnecessary.

Erasing the Mac

Erasing all content and settings is consequential: it removes data from the Mac. Do this only after you have made and checked a backup and understand the instructions for your specific service. Do not erase the Mac merely because a repair is scheduled; follow the service provider’s applicable directions. Confirm the backup’s completion date and time first, and make sure you can access the encrypted-backup password if you used one.

Complete the repair handoff checklist for your Mac

Backing up is one part of preparing a Mac for service. Apple’s send-in checklist includes additional steps that depend on the installed macOS and the Mac’s hardware. Follow the current Apple instructions for the exact Mac and any additional directions supplied for a mail-in repair. Do not apply a step for one version or hardware family to another without checking whether it applies.

  • Find My Mac or Ready for Repair or Trade-In: Apple’s send-in instructions say to turn off Find My Mac on macOS 26 or earlier. For macOS 27 or later, they say to turn on Ready for Repair or Trade-In. Use the option Apple specifies for the version installed on your Mac.
  • Repair Assistant: Apple describes checking for an unfinished repair with Repair Assistant on certain Apple silicon Macs running macOS Tahoe 26 or later. This instruction applies to those specified Macs, not every Mac. Check whether your Mac meets both conditions before relying on this step.
  • Firmware password: Apple says to turn off a firmware password when possible on Intel Macs. This is a hardware-specific item, not a general step for every Apple silicon Mac.
  • Extra service directions: Read the current instructions for your repair type. Mail-in service can have additional preparation requirements.

These steps are not interchangeable, and not all apply to every model. Check the Mac’s hardware and macOS version before following a version-specific instruction. If your service provider’s instructions differ from a general checklist, use the directions for your repair arrangement or ask the provider what to do before shipping or bringing in the computer.

It can help to work through the list in order: identify the macOS version, identify whether the Mac is Apple silicon or Intel, then follow only the applicable service instructions. A backup is common to the handoff process; the Find My, Ready for Repair or Trade-In, Repair Assistant, and firmware-password actions have the specific version or hardware limits listed above. If your Mac is being mailed, also check the mail-in directions rather than assuming the send-in checklist is exhaustive for your case.

Final check before you hand over the Mac

  • Time Machine reports a completed backup, and you have noted its date and time.
  • The completion time is after the important changes you want included, or you have run another backup and verified it.
  • The external backup disk has been safely ejected or disconnected after the backup finished.
  • If you encrypted the backup, its password is stored securely and will remain available to you.
  • You have not erased the Mac or backup disk without checking the consequences and saving anything you need.
  • You have reviewed the current service-preparation instructions for your Mac, macOS version, and service arrangement.
  • You have followed only the applicable handoff steps and checked any additional mail-in directions.

Keep the external backup and its password accessible to you after the Mac is handed over. If service involves erasing or replacing the startup disk, the backup is the route back to your files; a note that the backup exists is not enough if the drive or password is unavailable when it is time to restore.

Frequently Asked Questions

Will a Mac hardware repair erase my files?

It may. Apple Support says service may require erasing or replacing the startup disk, which is why it recommends having a backup. A backup does not mean service will definitely erase the Mac; it prepares you for that possibility.

How large should my Time Machine backup drive be?

Apple recommends at least twice the Mac’s storage capacity. Its example pairs a Mac with 1 TB of storage and a 2 TB backup disk. Apple’s guidance does not require every Mac to use a 2 TB drive or name a preferred brand.

How can I tell whether my Time Machine backup is ready?

Use the Time Machine menu to check progress and confirm the date and time of the latest completed backup. If it is still running or reports unavailable files or an error, do not treat it as ready until you have resolved the issue and confirmed completion.

What if Time Machine says some files were unavailable?

Apple recommends trying a manual backup while the Mac is unlocked or waiting for another automatic attempt. Some protected files may require the Mac to be unlocked. If the backup still does not complete, check the displayed error and Apple’s troubleshooting guidance.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Should I encrypt the Time Machine backup?

Apple’s setup lets you turn on Encrypt Backup. If you do, save the password securely and keep it accessible independently of the Mac: Apple says you need it to restore files from the encrypted backup.

Should I erase my Mac before the repair?

Not automatically. Apple lists erasing all content and settings as one option for people concerned about data security, but it removes data. First make and verify a backup, then follow the instructions for your specific Mac and service arrangement.

The Bottom Line

Before a hardware repair, make a current Time Machine backup to a compatible external drive, wait for it to complete, and note the completion time. Keep any encryption password available, protect data already on the backup disk before setup, and follow the service checklist that matches your Mac and macOS version. A verified backup is the safeguard if service requires erasing or replacing the startup disk.
