The safest way to leave an all-in-one productivity app is to treat the move as a staged migration, not an account deletion. Inventory the content you need, confirm that your role and plan allow you to export it, create the export while the account still works, download it before any link or storage deadline, keep an independent copy, inspect representative files, and test the destination before cancelling or deleting the source.

An export is a copy in the formats the service provides. It may preserve text, rows and attachments while losing relationships, automations, permissions, comments, views or other app-specific behavior. Keep the old account until the replacement and your backup have passed practical checks.

What can disappear when you leave

“My data” is usually more than the documents visible in a sidebar. An all-in-one workspace can contain several classes of information, each with different export behavior:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Documents, notes, wiki pages and database records
  • Task rows, status fields, custom fields, due dates and dependencies
  • Uploaded files, images, recordings and other attachments
  • Comments, mentions, activity history and audit information
  • Calendars, contacts, templates and saved views
  • Automations, formulas, integrations and webhooks
  • Sharing links, groups, roles, teamspaces and other permissions
  • Material in shared spaces or owned by another person

Export controls often cover only some of these categories. Access rights can exclude private pages or shared material, and the destination may accept the content without reproducing the original structure or behavior. Plan for both content preservation and workspace reconstruction; they are separate jobs.

The migration sequence that minimizes risk

  1. Inventory what matters. List essential pages, databases, tasks, attachments, comments, templates, automations, calendars and shared areas. Record who owns each important item and mark anything subject to a retention requirement.
  2. Confirm authority. Check whether you are an owner, administrator, member or guest, and whether the plan includes the required export. Ask an administrator to run or authorize the export when the workspace contains team-owned material.
  3. Read the current instructions for the exact product. Verify the export scope, available formats, exclusions, generation time, storage location and expiry period. Product labels and plan limits change, so old instructions may be wrong.
  4. Export before cancelling, transferring ownership or deleting. Keep the source account active until the archive has been downloaded and checked.
  5. Download promptly. Save the archive somewhere independent of the app and note any link-expiry or temporary-storage deadline.
  6. Inspect representative data. Open files from different ages and types; check attachments, folders, tables, nested pages and shared material.
  7. Test the destination. Import a small, representative sample where possible, then compare it with the source before attempting a full move.
  8. Close the source deliberately. After validation, decide what to do with billing, ownership, retention and the old account. Never delete the account merely to find out whether the export worked.

Step 1: Build an inventory before pressing Export

An inventory turns a vague “back up everything” request into a checklist that can expose gaps. Start with a spreadsheet or plain-text list and give each category an owner, priority and verification method.

Record the content categories

  • Core content: pages, notes, documents, task and database rows, and records in archives.
  • Binary files: original attachments, images, audio, video, PDFs and exported reports.
  • Context: comments, discussions, links between records, tags, formulas, filters and saved views.
  • Operational data: automations, recurring tasks, integrations, webhooks, templates and notification rules.
  • Access data: ownership, groups, sharing settings, teamspaces, guest access and external links.
  • Shared and private areas: items you own, items owned by colleagues, and material stored in shared drives or teamspaces.

Mark business-critical items separately from convenience items. For each critical item, note a recognizable sample—such as a recent task, an old project, a database with an attachment and a nested page—so you can locate it in the export and destination.

Confirm who is allowed to export

Workspace permissions can matter more than the Export button’s location. A member may be able to export their own material but not another user’s private pages or workspace-wide settings. In a team, ask the administrator to confirm the account role, ownership of shared content and any required export permission before the migration date.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Step 2: Check the exact product, plan and format

Use the service’s current help page for your product and account type. Check these questions in order:

  • Is the operation an account export, workspace export, selected-view export or item-by-item export?
  • Which formats are available: HTML, Markdown, CSV, PDF, ordinary documents, original files or an API response?
  • Are private pages, shared spaces, comments, history, formulas, permissions or automations excluded?
  • Does the plan or role impose a row, view, size or frequency limit?
  • Does an administrator have to start the job?
  • Where will the archive be delivered, how long will generation take, and when will the link or storage expire?

Prefer open, widely readable formats when you have a choice, but keep the service’s original attachments as well. A CSV can preserve rows and fields while omitting the relationships and presentation that made the database useful. HTML or Markdown can preserve readable page content without reproducing app behavior.

Notion: pages, databases and files are separate concerns

Notion’s help documentation checked on October 13, 2026, says users can export all pages as HTML or Markdown, databases as CSV, and uploaded files. The exporter cannot include pages that the requesting user cannot access, such as another user’s private pages, and teamspace settings can affect the result. Workspace export is available on the desktop or web application.

Notion sends a download link by email, and that link expires after seven days. Download the archive as soon as the message arrives and keep a copy outside the account. The documentation also warns that an exported workspace cannot be instantly recreated by uploading the files again. Treat the export as portable content, not a guaranteed clone of the original workspace.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

If a large workspace export fails to complete, Notion documents page-level or smaller-batch exports as a workaround. Use those batches to fill a verified gap, then record which areas were exported separately.

ClickUp: plan and permission limits affect scope

ClickUp’s documentation checked on October 13, 2026, states that Free Forever and Unlimited plans can export five List, Table or Form views. Workspace task export is separately permissioned, so a user who can view tasks may not automatically be allowed to run a workspace-wide export. Export-view files can be produced as CSV or PDF.

Before relying on a ClickUp copy, confirm the current plan, the specific export permission and whether the chosen view includes every list, archived item, attachment and custom field you need. A five-view allowance is not evidence that an entire workspace has been captured.

Microsoft services: identify the product first

Microsoft’s documentation, last updated August 29, 2025, describes several export routes, including secure APIs, PowerShell and browser portals. The correct procedure depends on the Microsoft product or service; there is no single export sequence for all Microsoft 365 data.

The same documentation notes that some technical configuration information and proprietary data are not exportable. Identify the specific service, list the data classes it supports, and distinguish an export of user content from a backup of configuration, permissions or service behavior.

Google Workspace: organization exports have long lead times

Google’s organization export is an administrator workflow. Workspace edition determines which filters and continuous or incremental options are available. A filtered export can omit content that is not owned by an individual user, including shared drives, so choose a scope that explicitly includes the material you must retain.

Google says an export is available no earlier than 48 hours after it starts, typically takes 72 hours and can take up to 14 days. A temporary Google-provided Cloud Storage bucket automatically deletes exported data after 60 days. Longer-running exports may leave less time in the bucket when they finish, so download and copy the files immediately.

Step 3: Create the export while access is intact

Start the job before ending a subscription, changing ownership or initiating account deletion. If the service offers a choice between selected content and a workspace-wide export, use the broadest scope your role and plan legitimately allow, then supplement it with targeted exports for material the broad job excludes.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Save the export request date, the account that initiated it, the selected filters and the destination location. Those details make it possible to identify a missing scope later instead of guessing what the archive was intended to contain.

Handle asynchronous exports safely

Some exports are created immediately; others are assembled in the background. Keep the source account usable until you have all of the following:

  • A completion notice or an archive that opens successfully
  • The original attachment files, not just links that point back to the old service
  • All parts of a multi-file or multi-package export
  • A written record of expiry or deletion dates

Do not assume that receiving an email means the download succeeded. Open the archive, confirm that its files can be read and check its size before changing the account.

SSK Portable SSD 1TB External Solid State Hard Drive USB C Up to 1050MB/s
  • Capacity Display Variance: 1TB external ssd often appears as around 931GB on Windows. MacOS can show full 1 TB capacity. This is binary calculation difference and doesn’t affect SSD hard drive actual physical storage

  • Always Fast: No slowdowns for large file transfers. With SLC caching (25% of current available capacity allocated as high-speed cache), this external SSD delivers steady 10Gbps for transfers within the cache capacity

Step 4: Download and store an independent copy

Keep the downloaded archive in a location that does not depend on the account you are leaving. A portable external SSD or another external drive is one practical local option; choose capacity based on the actual export size and verify that its connector works with the computer you will use. The drive is storage for the exported files, not a mechanism that restores app-specific behavior.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For sensitive work, apply the organization’s storage and encryption rules. Keep at least one copy separate from the source account and, where policy permits, another copy in a different controlled location. Do not leave the only copy in an expiring email link or temporary cloud bucket.

Respect service-specific deadlines

Service or route Documented timing or retention Action
Notion workspace export Email download link expires after seven days. Download immediately, then copy the archive to independent storage.
Google organization export Available no earlier than 48 hours; typically 72 hours; may take up to 14 days. Do not schedule account closure around the typical time alone; allow the full possible window.
Google-provided temporary bucket Export data is automatically deleted after 60 days. Copy all files out of the bucket before the retention period ends.

These figures are service-specific operational limits, not a universal promise for other productivity apps.

Step 5: Inspect the archive before importing

Inspection is where an apparently successful export becomes a defensible backup. Work through a sample that represents the whole workspace rather than opening only the newest page.

Use a representative verification set

  • One recent and one old document or task
  • A nested page or folder several levels deep
  • A database or task list with custom fields, dates and statuses
  • An item with multiple attachments, including a less common file type
  • A record containing comments, links or a formula
  • A shared item and a private item you are authorized to export
  • A large or unusual file likely to expose size or encoding problems

Check that filenames are intelligible, folders or paths are understandable, attachments open in their original applications, and tables contain expected rows and fields. Compare known values with the source while you still have access. Record omissions rather than silently assuming that an empty folder or missing comment was intentional.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Distinguish readable content from reconstructable behavior

HTML, Markdown, CSV and ordinary document formats are useful because they remain readable outside the source application. They do not necessarily carry database relationships, formulas, automations, permissions, history or view configuration. A successful import may therefore preserve the words and rows while requiring you to rebuild the operating model manually.

Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Support on Ko-Fi

Step 6: Test the destination before committing to it

When the destination supports imports, begin with a representative sample. Import one page with an attachment, one database or task set, and one nested structure before moving the entire workspace. Compare source, exported files and imported results in that order.

Notion’s documented import routes

Notion lists import routes for text and Markdown, CSV, Word, HTML, Trello, Asana, Google Docs, Dropbox Paper, Quip, Evernote and Workflowy. The list establishes supported routes, not complete feature parity or lossless conversion. Test whether the destination preserves the fields, attachments, hierarchy and links your inventory identifies as essential.

Validate relationships and permissions separately

Content checks cannot prove that a person has the same access as before. Recreate groups, owners, guest access and external sharing deliberately, and verify them with test accounts where organizational policy allows. Review integrations and automations one by one; an imported task row does not prove that its notifications, recurring rules or webhooks still run.

How to compare migration options

If a service offers several export routes, score each route against the same decision factors instead of choosing the most convenient button.

Decision factor Question to answer Why it matters
Coverage Are pages, databases, attachments, comments, private areas and shared spaces included? A readable archive can still be incomplete.
Portability Are files in HTML, Markdown, CSV or ordinary document formats, or do they require the source application? Portable formats remain usable after the account closes.
Reconstruction Does the destination preserve relationships and behavior, or only content? Workflows often depend on more than the text of a record.
Access and effort Does an administrator need to run the job, and do plan or role restrictions apply? Permission problems can block an otherwise valid export.
Timing and retention How long does generation take, where is the archive held and when does it expire? Deadlines determine when you can safely close the source.
Verification burden Can you compare representative records and attachments before losing access? A route that can be checked is safer than one that cannot.

Common failure modes and recovery steps

The export is smaller than expected

Check whether the job covered selected views instead of the workspace, whether private pages were outside your permissions, and whether shared drives or teamspaces were excluded by the filter. Ask the administrator or owner to export inaccessible material, then run targeted exports for confirmed gaps.

The archive contains links but not files

Open the attachment paths while the source account is active. If files are absent, use the product’s attachment or page-level export route and update your inventory. Do not close the account while critical links still resolve only inside the old service.

The import loses hierarchy or relationships

Separate content that imported correctly from behavior that did not. Preserve the original HTML, Markdown, CSV and attachment archive as a reference, then rebuild essential links, fields, permissions and automations in the destination. Keep a mapping of old and new identifiers where records must be cross-referenced.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The export has not finished

Use the service’s documented maximum window rather than assuming the typical time. Google’s organization export, for example, typically takes 72 hours but can take up to 14 days. Keep the account and billing arrangement intact until the archive is available, and monitor any temporary storage deadline.

A download link expired

Request a new export or regenerate the archive while access remains. Notion’s documented link lifetime is seven days, so a missed link is a reason to repeat the export—not a reason to delete the source.

Before cancelling or deleting: final checklist

  • Every inventory category has a status: exported, intentionally excluded or still unresolved.
  • The archive opens, and all parts of a multi-part export are present.
  • Recent, old, nested, shared, private and attachment-heavy samples have been checked.
  • An independent copy is stored outside the source account.
  • The destination has passed a representative import test.
  • Essential permissions, owners, links, automations and integrations have been recreated or documented as manual work.
  • Any administrator, legal-retention or records-management requirement has been resolved.
  • Export links and temporary buckets are no longer the only place a copy exists.

What account deletion actually means

Deletion behavior is product-specific. Notion states that deleting a workspace makes its content immediately inaccessible and that the content is deleted from its servers after 30 days. That policy should not be generalized to another service; read the exact cancellation and deletion terms for the account you are leaving.

Cancel billing, transfer ownership and delete data as separate decisions. A subscription cancellation may leave an account readable for a period, while ownership transfer can change who is permitted to export. Decide the sequence only after your independent archive and destination validation are complete.

The practical rule

Leave the app in three stages: preserve, verify, then close. Preserve means exporting the widest authorized scope and storing the files independently. Verify means opening representative content and testing the destination, including the parts an export cannot reproduce automatically. Close means cancelling or deleting only after the evidence in your checklist shows that the remaining differences are understood and acceptable.
