To make your Mac repeat a sequence of steps, build a shortcut in Shortcuts: add actions in the order they should happen, run it yourself, and test each result. You can keep launching it manually or attach an event-based automation. On Mac, Apple’s current automation guide says an event produces a notification asking you to run the automation—not an unattended background run.
What a Mac shortcut does
A shortcut is a workflow assembled from actions. Apple defines an action as “a single step in a task”; a shortcut combines one or more such steps to interact with apps, content on your device, or internet services. For example, a work-start shortcut might open a set of apps in a chosen order, if the needed action is available on your Mac. A different shortcut could process a repeated sequence of app actions, provided those apps expose the actions you need.
Shortcuts executes the actions from top to bottom. That makes it a good fit when a task can be described as a dependable sequence: first do this, then that. It does not mean every app can be controlled, every step can run without interaction, or every shortcut can be launched silently. Some actions ask for input or permission to access private device data.
Apple’s Shortcuts User Guide reviewed for this guide is labeled for macOS 27. Interface details and action availability can vary by macOS version, app, service, and region; Apple also notes that not all apps, services, or content shown in its guide are available everywhere.

Choose a task that is a good fit
Start with a recurring task whose steps and desired result are clear. A shortcut is easier to build and troubleshoot when each step has a specific purpose and a visible outcome. A workflow that depends on an app action that is unavailable, or on an interaction that still needs your attention, may not be suitable for full automation.
Good first candidates
- A repeated launch sequence: prepare a work session by opening the apps you routinely use, if the action library on your Mac provides the necessary app actions.
- A repeated sequence inside an app: look for the app’s own Shortcuts actions, then arrange the supported steps in the required order.
- A routine you want to start at a particular event: build and test the shortcut manually first, then consider an automation trigger such as a time of day or opening an app.
Check feasibility before building
Do not assume that an app can participate just because it is installed. The action library may have actions from that app, but Shortcuts does not guarantee that every third-party app exposes them. Search the library for the action or browse actions by app before designing a workflow around it. If an action uses another app, the shortcut editor may ask you to grant permission.
Write the task as a short ordered list before you begin. Identify where you expect a prompt, what information a step needs, and what result would tell you it worked. This turns a vague aim such as “get ready for work” into steps you can add and verify.
It helps to define the job narrowly. “Prepare for my work session” could mean opening a few apps; it does not automatically mean signing in, navigating to a particular screen, or completing work inside each app. Those extra steps are possible only if the action library exposes the specific capabilities you need. Separating the essential outcome from optional conveniences makes it easier to discover whether Shortcuts can handle the task.
Build a shortcut in Shortcuts
You can start with a curated shortcut in the Gallery and customize it, or make a new shortcut around your own task. The specific controls and labels can differ with macOS version, so use the Shortcuts app on your Mac and follow the version-specific interface you see. Apple’s current guide is labeled macOS 27.

- Open Shortcuts. Decide whether a Gallery shortcut is a useful starting point or whether you want to create a new one. Inspect a Gallery shortcut before relying on it; a template is a starting point, not proof that it matches your apps or routine.
- Find the first action. In the action library, search by a task term, browse categories, or view actions by app. If the action you need involves another app, check that the app is installed and that the relevant action is offered.
- Add the actions in task order. Arrange one action for each step the workflow should perform. Shortcuts may suggest a next action based on the one before it. Suggestions can help you explore, but confirm that each proposed action is appropriate to your task.
- Check the action’s input and output. Action details can show what information an action accepts and what it returns. Use that information to verify that the next step can use the result of the previous one. If a step needs information from you, account for that rather than assuming the shortcut will proceed unattended.
- Grant only the access the workflow needs. An action may request permission to use another app or private device data. Read the prompt and allow access only when it is needed for the result you intend.
- Run the shortcut manually and inspect the result. Confirm that each action ran in order, that the output is right, and that any prompts or permissions make sense. Fix problems here before adding a trigger.
Example: prepare a recurring work session
Suppose you routinely open the same group of apps before starting work. First search the action library for an action that opens an app or otherwise launches the app you need. If it is present, add the needed app-opening steps in the order you prefer, choosing the apps available on your own Mac. Run the shortcut and confirm that each app opens as expected.
This example depends on the actions available in your setup; it is not a claim that every app offers a Shortcuts action or that every launch sequence behaves identically. If a required app action is missing, choose a different supported task or leave that step out. Do not build the workflow around an action you cannot find.

Think of the shortcut as a small, ordered recipe. Each action is one step, so add the action for the first thing you want done, then the next, and continue until the task has a clear endpoint. For the work-session example, the recipe might consist of the app-opening actions you can actually find for your setup. The order matters: an action that uses information produced by an earlier step needs to come after it.
Use the action details to understand the information each step accepts and returns. If the next action cannot use the previous action’s output, the sequence may not work as intended; choose compatible actions or change the order. Shortcuts can suggest a possible next action, but a suggestion is not a guarantee that it suits your workflow. Confirm its purpose and test the result.
Test before you rely on the shortcut
A shortcut that looks right in the editor is not necessarily a shortcut that produces the result you want. A manual run reveals missing permissions, unexpected input requests, unavailable actions, and ordering mistakes while you can observe the workflow.

- Check every step: confirm the outcome after each action, not only the final screen or result.
- Watch for requests: an action can ask for input or permission to use private device data. Decide whether that interaction is acceptable for the way you plan to run the shortcut.
- Verify app-dependent steps: make sure the app is installed and the action is offered in your Shortcuts library. App availability can change what the workflow can do.
- Cancel if needed: you can cancel a shortcut while it is running. If a run is producing an unintended result, stop it and correct the action order or configuration before trying again.
When a run fails, isolate the problem instead of changing several steps at once. Check the action that did not produce its expected result, review its accepted input and output, and check whether it needs an app or permission. Run the shortcut again after the change so you know whether that particular fix worked.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsFor a useful test, compare the run with the task list you wrote earlier: did every intended step happen, in order, and did the last step leave you with the result you wanted? If the shortcut pauses for input or permission, note where that happened and decide whether the pause is acceptable. A workflow that needs your attention may still be useful as a manually launched shortcut, even if it is not appropriate for an event-based routine.
Launch it manually or add an automation?
A working shortcut can remain a deliberate, manual command or be associated with an event. Manual launch gives you control over when to begin. An event-based automation is useful when you want Shortcuts to respond to a recurring time or an event, but Apple’s Mac guide specifies an important limit: when the event occurs, you receive a notification asking you to run the automation.
| Choice | What happens | Best suited to |
|---|---|---|
| Manual launch | You choose when to run the shortcut, including from the Shortcuts app or its Dock menu. | Tasks you want to start only when you are ready, or workflows that you are still testing. |
| Event-based automation | A supported event—such as a time of day, arriving at a location, or opening an app—triggers a notification asking you to run the automation on Mac. | Tasks where a reminder to run the shortcut at a particular event is useful. |
Add a trigger only after a manual run works
- Choose the event. Select a supported trigger that matches when you want to be prompted, such as time of day or opening an app.
- Associate the tested shortcut with the automation. Use the automation controls available in your version of Shortcuts; exact labels may vary.
- Allow the event to occur and check the notification. On Mac, expect a notification asking you to run the automation. Do not plan on the reviewed Mac behavior as an unattended background run.
- Keep the manual launch option in mind. If you do not want to act on a particular notification, you can leave the automation unrun and start the shortcut manually another time.
Automations are specific to a device. Apple says they are backed up to iCloud, but when they sync to other devices the automation is disabled there. Do not assume that setting up a trigger on your Mac will make the same automation active on another device.
Choose a trigger for the reminder it actually provides. A time-of-day trigger can prompt you at a regular time; an arrival-at-a-location or app-opening event ties the prompt to that event. In each case, the notification is a request for you to run the automation, not evidence that the workflow already completed. If you need to know whether the task ran, check the shortcut’s actual result rather than treating the event itself as confirmation.

Gallery, custom shortcuts, and Automator workflows
There are three practical starting points, depending on what you already have and how tailored the task needs to be.
| Starting point | Use it when | What to keep in mind |
|---|---|---|
| Gallery shortcut | You want to inspect a curated starting point and customize it. | Check its actions and assumptions against the apps and task you actually use. |
| Custom shortcut | You want to assemble a sequence around your own repeated task. | Build only from actions available in your setup, then verify the result with a manual run. |
| Existing Automator workflow | You already have a workflow in Automator and want to bring it into Shortcuts. | Apple says Automator workflows can be imported into Shortcuts, where they become shortcuts ready to run. |
Importing an existing Automator workflow is a migration path; it does not require you to recreate the entire workflow from scratch as a Shortcuts sequence. If you already rely on Automator, consider whether importing the existing workflow is more appropriate than rebuilding it. For a new action-based workflow, Shortcuts lets you combine the actions available for your task.
The Gallery and a custom build solve slightly different problems. A Gallery shortcut can help you inspect a curated example and adapt it, while a custom shortcut starts from the sequence you have identified yourself. Neither route bypasses the need to check action availability, app access, or the actual result on your Mac. If the Gallery example is close but not exact, customize and test it rather than assuming its original configuration fits your routine.

Once a linear shortcut works, you can investigate more advanced Shortcuts topics, including branching, repetition, variables, web requests, and command-line launching. These features can support workflows that need decisions, repeated processing, or connections beyond a straightforward sequence. Their exact actions and behavior depend on the apps and macOS version involved, so begin with the relevant action details and test the extended workflow before relying on it.

When Shortcuts is not the answer
Shortcuts is not a guarantee that a Mac can perform any repeated computer action. It can automate only the steps that the available actions and their permissions support, and a step may still ask you for input. If the action library does not provide a required app action, a key step fails in testing, or an event-based run needs your confirmation, adjust the task or choose a workflow that suits those constraints.
- If an action is missing, search by term, browse by category, or view actions by app; confirm that the associated app is installed.
- If a step fails, inspect its accepted input and resulting output, then check whether it needs permission to access another app or private data.
- If you need a fully unattended Mac run, do not infer that behavior from an event trigger: Apple’s reviewed Mac automation guide describes a notification asking you to run it.
- If you have an Automator workflow already, consider importing it instead of starting over.
Do not treat a missing action as a problem you can solve by rearranging steps. First check whether the app exposes the capability at all. If it does not, narrow the task to the supported portion, select a different workflow, or keep the unsupported step manual. Likewise, a permission prompt is part of the workflow’s practical requirements: if you cannot or do not want to grant the needed access, that action may not be usable for your purpose.
What to remember
- A shortcut is one or more ordered actions, and actions may interact with apps, device content, and internet services.
- Action availability varies; verify the exact actions and permissions on your Mac.
- Run the shortcut yourself and check each result before attaching an event trigger.
- On Mac, an event-based automation prompts you by notification to run it; it is not documented here as a silent background task.
- Existing Automator workflows can be imported into Shortcuts.
Frequently Asked Questions
How do I make my Mac do the same steps for me?
In Shortcuts, create a shortcut and add the actions for the steps you repeat, in the order they should happen. Search, browse categories, or view actions by app to find supported steps. Run the shortcut manually and check each result before relying on it.
Can Shortcuts run automatically on Mac?
You can connect a shortcut to an event such as a time of day, arriving at a location, or opening an app. Apple’s Mac automation guide says the event produces a notification asking you to run the automation, so do not count on that trigger as an unattended background run.
Do I need to create a shortcut from scratch?
No. You can browse the Gallery for a curated shortcut to inspect and customize, or create a custom shortcut for your task. If you already have an Automator workflow, Apple says you can import it into Shortcuts.
Why can’t I find an action for an app?
Shortcuts does not guarantee that every app, especially a third-party app, exposes actions. Search by a task term, browse the action categories, or view actions by app; also confirm the app is installed. If the action is not available in your setup, choose a supported step or keep that part manual.
Will my Mac automation work the same way on my other devices?
Automations are specific to a device. Apple says they are backed up to iCloud, but when they sync to other devices the automation is disabled there. Do not assume a Mac trigger will be active on another device.

To automate repetitive Mac tasks with Shortcuts, turn a clear sequence into ordered actions, make sure the needed app actions and permissions are available, and test the shortcut manually. Keep it as a manual launch if you want to choose when it runs; add an event trigger only if a notification prompting you to run it fits the routine. Existing Automator workflows can be imported rather than rebuilt.
