Use a scheduled cloud flow when the work happens in online services, and use a desktop flow when the work must control a Windows application. A cloud flow can run on a Recurrence trigger and then call a published desktop flow. Microsoft also documents a direct Scheduled trigger for desktop flows, but that feature is preview, is rolling out by region, and should not be treated as universally available or production-ready. For a strictly local Windows schedule, Windows Task Scheduler can invoke a desktop flow through its run URL.
There is no separate Power Automate trigger reserved for artificial-intelligence work. AI is an action inside the workflow: for example, an available AI service can classify incoming text, summarize a document, or extract fields, after which the flow can save the result or use a Windows application to finish the process.
Choose where the recurring work will run
Start by identifying the execution location, not by looking for an AI-specific trigger. The schedule and prerequisites change depending on whether the task is entirely online, needs a Windows desktop application, or must be launched locally.

The table is a decision guide, not a promise that every AI provider or model has a native Power Automate connector. Verify that the service you intend to call is available in your tenant and that its authentication and data-handling requirements fit your workflow.

What an automated AI task looks like
Power Automate supplies the timing and orchestration. The AI operation is one or more actions in the flow. A typical sequence is:
- A recurrence starts the cloud flow at a defined interval.
- The flow retrieves new messages, files, rows, or other input.
- An available AI action or connector analyzes the input, such as by summarizing text, classifying a request, or extracting named fields.
- The flow stores the result, sends a notification, or passes the result to a desktop flow.
- The desktop flow opens a Windows application, enters the approved data, exports a report, or performs another UI operation that cannot be done solely in the cloud.
If every step is cloud-native, do not add a desktop flow simply because the task involves AI. Desktop automation adds a machine, connection, session, and licensing dependency. Use it only for the Windows application work that actually requires a desktop session.
Prerequisites and design decisions
Account and environment
- Use a work or school account for desktop-flow orchestration. Consumer-account availability and connector behavior can differ.
- Decide whether the run will be attended, with a person present, or unattended, with Power Automate creating the desktop session.
- For desktop execution, register the target machine or a machine group and create a desktop-flow connection.
- Confirm that the selected license and run mode permit the schedule you want. Unattended desktop execution has additional plan requirements.
Input, output, and failure policy
Define what counts as new input and what happens when an AI action returns an error, an empty result, or a response that needs human review. A recurrence only determines when the flow starts; it does not by itself guarantee that a file is processed exactly once or that a model response is suitable for automatic entry into a business system. Add an explicit output destination and a review path for uncertain results rather than silently discarding them.
Time and region
Choose the time zone deliberately. Cloud recurrence settings use a start time and recurrence interval, while the desktop Scheduled trigger interprets its start time using the configured time zone. Daylight-saving changes can make a local time ambiguous or invalid, so a schedule that must run at a fixed elapsed interval may be safer in UTC or another stable basis.
Create a recurring cloud flow
A scheduled cloud flow is the normal starting point for work that stays in online services.

- In Power Automate, choose the option to create a scheduled cloud flow.
- Add or configure the Recurrence trigger.
- Set the Interval and Frequency. Microsoft’s documented weekly example uses
Interval = 1andFrequency = Week; the available schedule units cover minutes, hours, days, and weeks. - Set the start date and time in the format accepted by the designer. Use the intended time zone and document it for anyone maintaining the flow.
- Add the action that obtains the input, then add the AI action or connector available in your environment.
- Validate the AI result before using it to update a record or control a desktop application. Save the raw input and result where your retention and security policies allow, so a failed run can be investigated.
- Test with a controlled sample, turn the flow on, and inspect run history at the first scheduled occurrence.
The exact designer screens can differ between the classic and new designer experiences. Look for the Recurrence trigger and its interval, frequency, start-time, and time-zone fields rather than relying on a particular screen arrangement.
Example cloud-only pattern
Suppose a team wants a weekday digest of new support messages. A recurrence starts the flow each morning, a connector retrieves messages since the previous run, an available AI action produces a summary and category, and the flow writes the digest to the team’s chosen cloud destination. No Windows machine is involved, so a desktop flow would add unnecessary failure points.
Run a Windows application through a desktop flow
When the recurring AI process must interact with a Windows program, keep the schedule in a cloud flow and call a published desktop flow. This separates timing and online data retrieval from UI automation.
Prepare the desktop flow
- Build the desktop flow to accept the values it needs, such as the AI-generated text, a file path, or a record identifier.
- Test the flow interactively on the target Windows machine. Confirm that controls, windows, file locations, and account permissions are stable before scheduling it.
- Publish the desktop flow so it can be called by orchestration.
- Register the machine or add it to a machine group, then create the desktop-flow connection reference required by the environment.
Call it from the cloud flow
- In the scheduled cloud flow, add the action that runs a desktop flow.
- Select the published desktop flow and its connection.
- Choose attended or unattended execution according to the actual operating conditions and licensing.
- Map the cloud values to the desktop-flow inputs.
- Map the desktop-flow outputs back to the cloud flow, or write a clear success and error status to a destination that operators can inspect.
- Run a test while watching both cloud run history and the desktop-flow result. A cloud run can succeed in reaching the machine while the Windows application step still fails, so check both records.
Attended versus unattended execution

That Windows session restriction is easy to miss: locking the workstation still leaves an active session. Before choosing unattended mode, verify the current plan, machine configuration, and session state requirements in your tenant.
Use the direct Scheduled trigger for a desktop flow when available
Microsoft documents a Scheduled trigger that runs a desktop flow on a recurring schedule without creating a cloud flow. Microsoft also labels this feature as preview, says availability is rolling out across regions, and notes that preview functionality can be restricted and is not intended as a production guarantee. Treat it as an option to evaluate, not as a universally available replacement for the cloud-to-desktop pattern.

Configuration steps
- Open the published desktop flow and choose the Scheduled trigger option if it is available in your environment.
- Select the desktop-flow connection reference.
- Choose attended or unattended mode and confirm that the required licensing is present.
- Set the start date, start time, recurrence interval, and time zone.
- Choose a supported unit: minute, hour, day, week, or month. For weekly schedules, select the intended weekdays.
- Save the schedule and run a test occurrence before depending on it for a business deadline.
The configured time zone controls how the start time is interpreted. Daylight-saving transitions can produce a local time that occurs twice or does not occur at all. The preview scheduler also does not make up occurrences missed because the start time was already in the past or because the trigger or service was unavailable; execution resumes at the next scheduled occurrence.

Prevent a skipped first weekly occurrence
Microsoft advises creating a weekly schedule with selected weekdays at least seven days before its intended first occurrence. If the schedule is created too close to the first selected weekday, the initial run can be skipped. This is a specific behavior documented for the preview Scheduled trigger, not a rule that should be applied automatically to every Power Automate trigger.
Launch a desktop flow from Windows Task Scheduler
If local Windows scheduling is a specific requirement, Microsoft documents invoking a desktop flow through its run URL from Windows Task Scheduler. This keeps the timing decision in Windows rather than in a cloud recurrence.
- Publish the desktop flow and make sure the target machine and connection are ready.
- Obtain the flow’s documented run URL from Power Automate for the desktop-flow invocation method.
- In Windows Task Scheduler, create a task with the required trigger, such as a daily or weekly schedule.
- Add the run-URL launch action using the invocation method documented for your Power Automate desktop installation. Configure the task’s account, permissions, working conditions, and retry behavior to match the machine.
- Run the task manually once. Confirm that the desktop flow starts, that the Windows application opens as expected, and that the flow’s result is recorded.
- Review the default confirmation behavior before attempting unattended use. Microsoft says a run confirmation is enabled by default for URL or shortcut starts; an unattended design that leaves this confirmation in place may wait for a person instead of proceeding.
Task Scheduler controls when Windows attempts the launch, but it does not remove desktop-flow licensing, connection, machine, or session requirements. It also gives you a second scheduler to troubleshoot, so record which component generated each run.
Understand schedule semantics before relying on a deadline
Intervals and calendar units
A recurrence expressed as one week is a calendar schedule, not a promise that the flow will run exactly 168 hours after the previous run. Configure the unit that matches the business meaning: a weekly weekday schedule for a Monday report, a daily schedule for a once-per-day process, or a minute or hour interval for short polling windows.

Missed occurrences
For the preview desktop Scheduled trigger, a missed occurrence is not replayed automatically when the service becomes available. The next occurrence is used. If every input must be processed, design an explicit catch-up method, such as querying for all items since the last successful timestamp, rather than assuming that one scheduled run represents one input.
Daylight-saving changes
Local schedules can be ambiguous or invalid on daylight-saving transition days. Decide whether the requirement is a local wall-clock time or a stable elapsed interval, then choose the time-zone setting accordingly. Test the schedule around the transition relevant to the machine’s region.
Scale beyond one machine
When multiple desktop-flow requests target one device, Microsoft describes queueing based on priority and request time. A request times out if the flow does not run within 12 hours. This limit is a product behavior, not a general performance statistic, so design alerts around it rather than promising that a queued job will eventually run.
A machine group can represent multiple machines and distribute workload. Credentials used by the desktop flow must be usable across the machines in that group. Standardize application versions, file paths, permissions, and display-dependent settings before adding machines; otherwise a job can succeed on one member and fail on another.
Make AI-and-desktop runs recoverable
Record an idempotency key
Store a stable identifier for each input, such as a message ID, file ID, or source timestamp. Before submitting an item to the desktop flow, check whether that identifier already has a completed result. This prevents a retry or a second scheduled occurrence from entering the same data twice.

Separate analysis from irreversible actions
Have the AI step produce a structured result and validate required fields before the desktop flow changes a system of record. If the result is empty, malformed, or outside an allowed category, route it for review instead of sending it to a UI action that cannot explain the mistake.
Capture evidence for each run
- Scheduled start time and time zone.
- Input identifier and source location.
- AI action status and returned fields permitted by your data policy.
- Desktop machine, flow version, and attended or unattended mode.
- Final status, error text, and any operator decision.
These records make it possible to distinguish a missed schedule, a connector failure, an unavailable machine, a Windows-session conflict, and an application-level error.
Troubleshoot by locating the failing layer

A practical implementation sequence
For a mixed workflow that summarizes incoming documents and enters the result into a Windows application, use this order:

- Add a stable input identifier and a result status before introducing desktop automation.
- Build the desktop flow with explicit inputs and outputs, then test it manually on the registered machine.
- Publish the desktop flow and add the cloud action that runs it.
- Choose attended mode for supervised work or unattended mode only after checking Process-plan, machine, and Windows-session requirements.
- Set the production recurrence with the correct time zone and a schedule that tolerates daylight-saving behavior.
- Test a successful run, a missing-input run, an AI-error run, a machine-unavailable run, and a duplicate-input run.
- Monitor cloud history, desktop-flow history, machine queues, and the final completion record after launch.
When each option is the right choice
- Choose a scheduled cloud flow when the complete task uses cloud services and no Windows UI is required.
- Choose a cloud flow that calls a desktop flow when online data or AI processing must be combined with a Windows application. This is the clearest general pattern because scheduling and desktop execution remain separate.
- Evaluate the direct Scheduled trigger only when it is available in your region and the preview status is acceptable for the workload.
- Use Windows Task Scheduler when local scheduling is a firm requirement and you can manage run-URL confirmation, credentials, and the desktop session yourself.
The reliable design is the one whose execution location, schedule semantics, machine availability, and run-mode licensing match the real task. Treat the AI operation as a step inside that design, not as a special trigger category.
