The safest automatic setup uses two layers: a versioned local backup and a separate cloud copy. On Windows, combine File History with Windows Backup and OneDrive. On Mac, combine Time Machine with iCloud for selected, synchronized data. Sync services are not complete computer backups, so keep an independent local disk, monitor the last successful run, and periodically prove that you can restore a file.
What “local and cloud backup” should mean
A backup routine protects you in two different ways. A local, versioned backup keeps earlier copies on a drive or network location, so you can recover a file you changed or deleted. Cloud sync keeps selected folders and settings available on other devices and after a device replacement. These functions overlap, but they are not interchangeable.
If you delete a file from an iCloud-synced Desktop or Documents folder, Apple says that deletion propagates to the other devices using the same Apple Account. The file remains in Recently Deleted for 30 days, but iCloud Drive is still a synchronized view rather than a complete historical backup. Use a local backup for independent recovery history. See Apple’s Mac backup options.

| Method | Primary coverage | History | Internet needed for routine operation? | Best recovery target |
|---|---|---|---|---|
| Windows File History | Personal files in libraries and added folders | Previous file versions | No, when using an external drive; network destinations require network access | One file or folder |
| Windows Backup with OneDrive | Selected folders and Windows settings | Primarily current synchronized content and remembered settings | Yes for cloud synchronization and restore | New or reset Windows PC, selected files and settings |
| macOS Time Machine | Mac files and user environment on a local disk | Hourly, daily and weekly snapshots retained according to available space | No while the backup disk is connected | One file, many files or migration to another Mac |
| iCloud | Selected Apple data and synchronized folders | Current synchronized state; Recently Deleted provides limited recovery for some items | Yes for synchronization and cloud retrieval | Selected files and data across Apple devices |
Capacity, connection reliability and the way you expect to recover should determine the mix. Microsoft notes that cloud backup requires an internet connection, while external or network storage can be preferable for large files or periods without internet access. Apple recommends a Time Machine disk with at least twice the storage capacity of the Mac.
Windows: automate a local version history with File History
File History is Windows’ built-in local backup for personal files. Microsoft’s current guide covers Windows 10 and Windows 11 and describes saving versions to an external drive or a network location. Its default coverage includes libraries such as Documents, Pictures, Music and Videos; folders outside those libraries must be added through a library. Read the Microsoft File History guide if a menu label differs on your build.

Set up an external-drive destination
- Connect a drive with enough free space for the files and their version history. Keep it connected to make the schedule automatic, or connect it regularly if you store it offline between runs.
- Open Control Panel, then go to System and Security > Save backup copies of your files with File History.
- Select Turn on. If Windows shows more than one eligible drive, choose the destination you intend to keep for backups.
- Check the folders covered by your libraries. If an important project folder is elsewhere, add its parent folder to a Windows library so File History includes it.
- Leave the drive attached long enough for the first run to finish. The initial copy can take substantially longer than later incremental versions, especially with photos or video.
Use a network location instead
In the same File History control panel, choose the option to select a network location when the destination is a shared folder or network-attached storage. Confirm that the computer can reach that location whenever a backup is due. A network destination avoids carrying a disk between machines but depends on the network being available and writable.
Restore an earlier version safely
- Open File Explorer and browse to the file or folder that needs recovery.
- Use the Restore previous versions interface to view available dates.
- Open or inspect the candidate version before replacing anything. If possible, restore to a separate folder first so you can compare it with the current file.
- Confirm the selected version and destination. Microsoft warns that restoring can replace the current file or folder and cannot be undone.
File History is focused on personal files. It is not a substitute for a complete system image, application installer archive or an off-site copy.

Windows: automate cloud copies and settings with Windows Backup
Windows Backup uses OneDrive for selected folders and saves Windows settings for a personal Microsoft account. Microsoft’s currently documented consumer flow does not support work or school accounts in the app. The available folder choices include Desktop, Documents, Pictures, Videos and Music. Review Microsoft’s Windows Backup instructions if your edition presents different controls.
Turn on the cloud layer
- Open Windows Backup from the Start menu.
- Sign in with the personal Microsoft account that should own the synchronized data.
- Under Folders, select the folders you actually need on other devices. Avoid selecting large collections until you have checked available cloud capacity.
- Choose the Windows settings you want remembered, such as selected preferences offered by the app.
- Select Back up. Check the status in Windows Backup or in Settings > Accounts > Windows backup.
A free Microsoft account includes 5 GB of OneDrive storage according to Microsoft’s current support guidance. That allowance is shared with the content you place in the service, so a large photo or video library can exceed it quickly. Treat the displayed free space as a capacity constraint, not as a guarantee that every selected folder will fit.

Account and operating-system qualifications
- Windows Backup’s documented consumer workflow requires a personal Microsoft account; do not assume the same controls are available for a work or school account.
- Microsoft states that Windows 10 support ended on October 14, 2025. The cited backup pages still list Windows 10 and Windows 11, but a Windows 10 machine is on an unsupported operating-system branch and should be evaluated for upgrade or replacement.
- Cloud recovery requires the Microsoft account credentials and an internet connection. Keep recovery codes and password-reset methods current.
Mac: automate a local backup with Time Machine
Time Machine is macOS’s automatic local backup tool. Apple’s current guide says it retains hourly backups for the previous 24 hours, daily backups for the previous month and weekly backups for earlier months; when the disk fills, the oldest backups are deleted. The schedule is therefore automatic, but its historical depth depends on how much data changes and how large the destination is.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Configure Time Machine in macOS Ventura 13 or later
- Connect a suitable external USB, Thunderbolt or other compatible storage device.
- Open the Apple menu and choose System Settings > General > Time Machine.
- Select Add Backup Disk, choose the device and complete setup.
- Enable encryption if the Mac contains confidential information. Store the encryption password in a secure password manager or another protected record; Apple says the password is required when restoring.
- Keep the disk connected for routine operation. If you must disconnect it, eject it first and reconnect it later; Time Machine resumes when the disk is available.
Apple recommends a Time Machine disk with at least twice the storage capacity of the Mac. This is a sizing recommendation, not a promise of a specific retention period: a Mac with rapidly changing video files can consume historical space faster than a mostly static document Mac.

Check that backups are actually running
Use the Time Machine menu to view the latest backup timestamp and current progress. Do not infer success merely from the disk being connected. A current timestamp confirms that the Mac completed a run recently; an old timestamp calls for checking the disk, available space, permissions and whether the Mac was awake long enough to complete the job.
Restore from Time Machine
For an individual item, open the folder where it belonged, enter Time Machine from the menu and move through the timeline to locate the required version. For a replacement or erased Mac, use the migration or macOS recovery workflow that offers restoration from a Time Machine backup. Keep the encrypted-disk password available before starting; without it, encrypted backup data cannot be restored.
Use iCloud for selected Mac data, not as the whole-Mac backup
iCloud is useful when documents, photos or other supported data must stay current across Apple devices. It does not back up the entire Mac. Apple’s Mac guide states that iCloud storage starts at 5 GB, with additional storage available for purchase. The allowance is shared by the data stored in iCloud, so check the storage panel before enabling large folders.

- If Desktop and Documents synchronization is enabled, a deletion on one device is reflected on the other devices using that Apple Account. Recently Deleted can provide a 30-day recovery window for deleted files, but it is not the same as a long-term versioned archive.
- Before expecting Time Machine to capture a cloud-managed file, make sure the file is downloaded locally and synchronization has finished. Apple’s Time Machine troubleshooting guidance notes that cloud syncing can delay some files from being backed up.
- Keep Time Machine enabled even when iCloud appears to contain every document. iCloud protects the synchronized selection; Time Machine supplies an independent local history.
A practical two-layer routine for each platform
Windows routine
- Put the working folders you cannot replace into the File History libraries, including any project folders that are outside the defaults.
- Connect or reach the File History destination on a schedule that matches how often the files change.
- Enable Windows Backup for the selected Desktop, Documents, Pictures, Videos and Music folders and the settings you want remembered.
- Check the OneDrive capacity indicator before adding another large folder. The free-account allowance is 5 GB, according to Microsoft’s current guidance.
- At least once a month, inspect File History’s latest run and restore a noncritical test file to a separate location.
- Keep the external disk or network destination independent from the computer. If ransomware or accidental deletion affects the PC, an always-mounted destination can be exposed too.
Mac routine
- Choose a Time Machine disk with at least twice the Mac’s storage capacity where practical.
- Configure it in System Settings > General > Time Machine > Add Backup Disk and enable encryption if appropriate.
- Leave it connected, or eject and reconnect it routinely if the disk is stored separately.
- Use iCloud only for the files and data that benefit from cross-device synchronization.
- Wait for cloud files to download and finish syncing before relying on a local Time Machine run to include them.
- Check the latest-backup timestamp and periodically restore a test document.
How to choose local, cloud or both
| Your situation | Recommended emphasis | Reason |
|---|---|---|
| You edit documents daily and need yesterday’s version | Local versioned backup plus cloud sync | File History or Time Machine provides historical copies while the cloud layer keeps selected files available elsewhere. |
| You travel without dependable internet | External-drive backup first | Local storage avoids waiting for uploads and can handle large collections offline. |
| You are replacing a computer | Keep both layers current | Cloud settings and selected folders can speed setup, while a local backup supplies files and older versions. |
| You need protection from loss or theft of the computer | Local disk stored separately plus cloud copy | A disk left beside the computer can be lost with it; a cloud copy or separately stored disk provides another location. |
| You have a large photo or video library | Size the local disk generously and verify cloud capacity | Microsoft’s free OneDrive allowance and Apple’s starting iCloud allowance are each 5 GB, which may not cover a large library. |
Capacity, internet and encryption checks
- Capacity: Reserve room for versions, not just one current copy. Time Machine’s two-times-the-Mac recommendation gives changing files space to accumulate history. On Windows, estimate the size of all selected folders plus the number of versions you need.
- Internet: The first cloud upload can take a long time and depends on upload bandwidth. Local backups avoid that initial transfer and remain usable during an outage.
- Credentials: Cloud recovery depends on the relevant Microsoft or Apple account. Encrypted Time Machine backups additionally require the encryption password. Store both types of recovery information somewhere that is protected but accessible when the computer is unavailable.
- Privacy: Encryption protects a lost backup disk, but it also makes password retention essential. Test access to an encrypted backup before an emergency rather than discovering a missing password during a restore.
Restore testing and failure diagnosis
If File History has no recent versions
- Reconnect the selected external disk or restore network access.
- Confirm that the destination still has free space and is the same location configured in File History.
- Verify that the missing folder is in a covered library. Folders outside the defaults must be added through a library.
- Run a small test backup, then use Restore previous versions on a test file.
If Windows Backup shows an incomplete or paused state
- Open Windows Backup or Settings > Accounts > Windows backup and read the status rather than relying on the folder’s appearance in File Explorer.
- Confirm that the signed-in account is personal, not a work or school account in a flow that requires a personal account.
- Check OneDrive’s remaining capacity and reduce the selected folders if the 5 GB free allowance is insufficient.
- Reconnect to the internet and allow the client time to finish the initial upload.
If Time Machine is not advancing
- Check the latest timestamp and whether the destination is mounted and writable.
- Confirm that the disk has free space. Time Machine deletes the oldest history when full, but a disconnected or unavailable disk cannot make progress.
- Reconnect the disk after safely ejecting it, then watch the next run in the Time Machine menu.
- For cloud-managed files, wait until local download and synchronization complete; Apple documents this as a possible reason files are delayed from backup.
- If the backup is encrypted, locate the stored password before attempting a restore.
If a restored file is wrong
Stop overwriting the current copy. Restore another dated version to a separate folder, compare its contents, and only then replace the working file. On Windows, Microsoft specifically warns that restoring can replace the current file or folder and cannot be undone.
A maintenance calendar that keeps automation trustworthy
- Every week: glance at the latest successful timestamp for File History or Time Machine and resolve any warning while the details are fresh.
- Every month: restore one small document to a temporary location from each platform’s local backup. Open it, then remove the test copy.
- When adding data: check that a newly created project folder is covered by File History or included in the Mac’s Time Machine scope, and decide whether it belongs in cloud synchronization.
- Before travel or hardware changes: complete a backup, safely eject a portable disk, and verify that account credentials and encryption passwords are available.
- After a major operating-system change: revisit menu paths and backup status. Microsoft and Apple can change labels and behavior between Windows and macOS releases.
Automation is successful only when the destination is available, the selected data fits, and a known restore path works. Pairing a local version history with a separate cloud selection gives Windows and Mac users protection against accidental edits, device replacement and loss of internet access without mistaking synchronization for a complete computer backup.
