To find which AI agents can access company email, files, calendars, APIs, or other SaaS data, perform an identity and OAuth access review—not a search for products with “AI” in their names. Inventory dedicated agent identities, enterprise applications and service principals, third-party OAuth apps, service accounts, delegated user connections, and downstream resource connections. For each record, document its owner, business sponsor, permissions, consent path, credentials, and available activity evidence. Then remove unjustified access, disable or restrict the identity when necessary, revoke downstream credentials, and verify the effective result in every affected system.

What “logged in” means for an AI agent

An agent may not have a visible username or a browser session. Its access can be represented by several principal types, each with different evidence and removal steps.

  • Dedicated agent identity: a first-class identity created for an autonomous agent.
  • Application or service principal: an enterprise application that authenticates with its own identity and may receive app-only roles.
  • User-delegated OAuth connection: an app acts with a person’s consent and the scopes granted to that user.
  • Service account: a non-human account used to call APIs or run automation.
  • Downstream resource connection: an agent’s connection to an authorization server, secret vault, MCP server, another agent, or a SaaS integration.

These categories overlap. An agent can have its own identity while also using a user account or a downstream secret. Treat “AI agent” as a classification to verify from configuration and behavior; an application name alone is not proof that the record is an agent or that it is still active.

Define the audit scope before searching

Write down the identity providers and high-value services that are in scope. Include systems holding mail, files, calendars, customer records, source code, financial data, secrets, and administrative APIs. Record the review date, responsible administrator, and incident contact so decisions can be traced later.

Include both delegated and app-only access

Search for applications that act on behalf of a human and for principals that operate without a user. A delegated grant can let an agent read a user’s mailbox or files even when the agent has no separate account. Conversely, an app-only service principal may reach a tenant-wide API without any person being signed in.

Set evidence and retention expectations

List the sign-in, audit, consent, configuration-change, and resource-access logs available in each platform, together with their retention periods. A quiet log window does not establish that an agent is absent or safe: events may occur on a host or downstream service that the identity provider cannot see, or may have aged out of retention.

Build a complete agent and app inventory

Export records where the platform supports it; otherwise capture the details in a controlled worksheet. Use one row per identity, application, grant, or resource connection, and link related rows so a single agent with several credentials is not mistaken for several unrelated tools.

Field What to record Why it matters
Identity or app Display name, publisher, object or client ID, principal type, and status Names can be duplicated or changed; immutable IDs support reliable follow-up.
Ownership Technical owner, business sponsor, team, and escalation contact Unowned access cannot be justified or safely renewed.
Purpose Specific job, users served, data handled, and expected operating schedule Lets reviewers compare permissions and activity with a stated need.
Resources Mailboxes, drives, calendars, APIs, databases, authorization servers, vaults, MCP servers, and other agents Shows the actual blast radius rather than just the product label.
Permissions Delegated scopes, app roles, directory roles, groups, and resource-level grants Separates a narrow capability from tenant-wide or sensitive access.
Consent User, administrator, or tenant-wide consent; date and approval record Unexpected or unapproved consent is a high-value investigation lead.
Credentials Certificates, client secrets, refresh tokens, workload credentials, vault references, age, and expiry Credential changes and stale secrets can indicate takeover or poor lifecycle control.
Activity evidence Last sign-in, sign-in type, audit events, consent events, configuration changes, and resource-side logs Grants show what may be possible; activity shows what the platform recorded.

Mark whether each row is app-only, delegated, or both. A permission grant establishes a capability, not proof that the application is currently using it.

Audit Microsoft Entra agent access

Use the dedicated agent inventory

  1. Open the Microsoft Entra admin center and go to Entra ID > Agents > Agent identities.
  2. For every identity, record its name, description, status, owners, sponsors, granted permissions, and sign-in evidence.
  3. Open the detail view for agents whose owner, sponsor, purpose, or permissions are missing or inconsistent with the business request.
  4. Use sign-in logs and filter by agent type and the Is Agent field. Capture the time, result, resource, location or client information shown by the tenant, and any risk details.
  5. Review audit records for agent-related actions under the underlying identity type, including creation, ownership, permission, credential, and configuration changes.

Microsoft describes agent identity activity as being captured in Entra audit and sign-in logs. The dedicated inventory is useful for first-class agent identities, but it is not a universal catalog of every integration in every SaaS product.

Review application security operations

Also inspect enterprise applications and service principals. Monitor app-role assignments, delegated permission grants, privileged permissions, end-user consent, credentials, and authentication-flow changes. Flag broad .All scopes, sensitive Microsoft Graph access, directory-wide roles, and tenant-wide delegated grants unless a documented job requires them.

For authentication flows, Microsoft recommends authorization code flow or PKCE for most applications and advises against resource owner password credentials (ROPC), which exposes the user’s current password to the application. If an agent still depends on ROPC, treat the design as a migration and risk-prioritization issue rather than assuming the agent is safe because sign-ins succeed.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Apply Conditional Access carefully

Conditional Access can block all agents, allow only specified agents, or block agents based on risk. Use report-only mode to evaluate a policy before enforcement. Agent identity sign-ins use an agentSignIn resource type. A configured risk-based policy can block a confirmed compromise; disabling the identity prevents sign-ins across Entra and connected applications.

Before recovery, examine sign-in and risk details. After a genuine compromise, rotate credentials before re-enabling the identity, and check whether external sessions or downstream credentials also require revocation.

Understand Entra visibility limits

Calls that never reach Entra cannot be evaluated by Entra Conditional Access or tied to a user in Entra sign-in records. Check the agent host’s authentication configuration directly when traffic is brokered elsewhere, uses a stored secret, or goes straight to a downstream service. An agent identity and an associated agent user account are distinct principal types for Conditional Access; evaluate both when an implementation uses both.

Microsoft documents a visibility period of up to 90 days for agent risk detections. Treat that as a product window, not evidence that older activity did not occur.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Audit Google Workspace OAuth access

  1. In the Google Admin console, open Security > Access and data control > API controls.
  2. Review the app access control listing, including Google-owned, internal, and third-party applications.
  3. Check each app’s trust or restriction state, scopes, publisher, and the users or organizational units affected.
  4. Compare the granted scopes with the agent’s documented purpose. Pay special attention to mail, Drive, calendar, directory, and administrative data.
  5. Restrict or block apps that are not approved, then record the approval owner and the reason for any exception.

Google states that restricting access can stop previously installed apps that are not trusted and revoke their tokens. Validation is not immediate: “The accessed apps list is updated 48 hours after a token is granted or revoked.” Schedule a second check after that delay and verify the app or user’s access in the relevant Google service as well.

Because the accessed-apps list is an inventory view, pair it with Workspace audit events and the connected application’s own logs. A missing event does not prove that an agent never used a token outside the recorded coverage.

Audit Okta and connected agent resources

In Okta, map each agent to the resource connections it can use. Okta’s AI-agent documentation describes connections for Agent Gateway, authorization servers, vaulted secrets, service accounts, OAuth client-credential applications, MCP servers, and other AI agents.

  1. Identify the agent and its Okta application or service account.
  2. List every associated resource connection and its authentication method.
  3. Record the authorization server, scopes, secret or vault reference, client-credential application, MCP endpoint, and linked agent where applicable.
  4. Check owner, sponsor, status, last use, and configuration-change evidence for each connection.
  5. Confirm that the feature is available in your Okta SKU and environment; some documented capabilities vary by edition and public-sector deployment.

Do not assume an Okta agent-resource inventory includes integrations managed entirely in another SaaS ecosystem. Continue the review in the connected provider.

Evaluate permissions, consent, and accountability

Prioritize high-risk grants

  • Broad .All scopes or equivalent tenant-wide permissions.
  • Read or write access to company mail, files, calendars, directories, secrets, or administrative APIs.
  • Permissions that exceed the agent’s stated task or allow data export, deletion, impersonation, or policy changes.
  • Administrator or tenant-wide delegated consent without a current approval record.
  • Credentials added, replaced, or extended outside the expected change process.

Test ownership and purpose

Ask the listed owner or sponsor to identify the business process, data classification, expected users, and shutdown procedure. If no one accepts responsibility, classify the access as unowned and move it to containment review. A familiar publisher does not substitute for an internal sponsor.

Distinguish capability from use

Permission records answer “could this agent access the resource?” Logs answer “what activity was recorded?” Neither proves every action taken on an agent host or in a downstream service. Use both forms of evidence and document the coverage boundary.

Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Support on Ko-Fi

Check activity and investigate anomalies

For each identity or app, examine the last successful and failed sign-ins, consent events, credential changes, owner changes, permission assignments, and policy decisions. Compare timing and resources with the declared operating schedule.

  • Unexpected consent: identify the consenting user, scope set, and approval path.
  • New credential: confirm the change ticket, creator, expiry, and storage location.
  • Unusual resource: determine whether a new mailbox, drive, tenant, API, or MCP server was added.
  • Impossible ownership: reconcile departed employees, renamed teams, and inactive service accounts.
  • No identity-provider event: inspect the host, gateway, proxy, SaaS audit trail, or vault that may have handled authentication.

Do not treat a log window with no evidence as proof of absence. Record the platform, time range, retention limit, and systems not covered by the query.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Contain unwanted or compromised access

  1. Preserve evidence. Export relevant sign-in, audit, consent, credential, and resource-side records before making changes when incident procedures require it.
  2. Choose the narrowest effective control. Remove an unnecessary OAuth grant, revoke a token, remove an app role, restrict the app, disable the service account, or disable the agent identity. For an active compromise, follow the incident-response plan and block the identity or app promptly.
  3. Revoke secrets and sessions. Rotate certificates, client secrets, workload credentials, and vault entries. Revoke downstream sessions or tokens that the identity provider cannot invalidate.
  4. Verify at the identity provider. Confirm the grant, role, status, policy, and credential state now show the intended result.
  5. Verify at the resource. Test access to the mailbox, file store, API, MCP server, or other downstream system. Check that cached sessions and separately issued credentials no longer work.
  6. Document the decision. Record what changed, who approved it, the evidence reviewed, expected propagation time, and the owner responsible for reopening access.

Disabling an identity may stop new Entra sign-ins but does not by itself prove that every external credential, copied token, or downstream connection has been revoked.

Make the review recurring

Assign a permanent owner for the inventory and an approval path for new agents, scopes, service accounts, and resource connections. Set the review cadence according to data sensitivity, regulatory obligations, agent turnover, and incident history; there is no universally correct interval.

  • Alert on new tenant-wide or sensitive permission grants.
  • Alert on administrator consent, credential creation, owner changes, and policy exceptions.
  • Require a business sponsor, expiry or review date, and documented purpose for every non-human principal.
  • Track dormant identities and remove access when a project, employee, or vendor relationship ends.
  • Reconcile identity-provider inventories with SaaS-native app lists and host or gateway configurations.
  • Test the revocation procedure periodically, including downstream token and secret invalidation.

Compare audit coverage and controls

Capability Questions to ask Evidence of adequate coverage
Inventory Are dedicated agents, service principals, delegated apps, service accounts, and downstream connections included? Immutable IDs and linked records across principal types.
Permission detail Can reviewers see scopes, app roles, directory roles, consent type, and resource-level grants? Exportable grants with affected resources and approval context.
Activity Which sign-ins, consent events, configuration changes, and resource actions are logged, and for how long? Documented retention and queries that identify coverage gaps.
Accountability Are owners and business sponsors required and current? Named contacts, escalation path, and review date.
Detection Can the team alert on broad grants, risky sign-ins, new credentials, and unexpected consent? Tested alerts with an assigned responder.
Containment Can access be restricted or revoked, and can downstream secrets and sessions be invalidated? Runbook and verification test for each connection type.
Host visibility Can the tool see traffic that bypasses the identity provider? Host, gateway, proxy, and SaaS-native logs linked to the identity record.

Practical completion checklist

  • All identity providers and high-value SaaS systems are listed.
  • Every agent-like principal has an immutable ID, owner, sponsor, purpose, and status.
  • Delegated and app-only access are distinguished.
  • Scopes, roles, consent type, credentials, and connected resources are recorded.
  • Broad, sensitive, unexplained, stale, and unowned access is investigated.
  • Sign-in and audit evidence includes retention and visibility limits.
  • Host and downstream systems are checked when the identity provider cannot see the call.
  • Unnecessary access is revoked or disabled, credentials are rotated where required, and the result is tested.
  • Google Workspace changes are rechecked after its documented 48-hour app-list delay.
  • Ownership, approvals, alerts, and the next review date are recorded.
