Audit third-party AI apps by inventorying every OAuth connection, inspecting the exact scopes and grant type, identifying the approving user and business owner, and then applying the narrowest control that meets the business need. Use Salesforce Connected Apps controls, Slack app-management and approval controls, and Microsoft Entra audit logs as separate control planes; use Microsoft Defender for Cloud Apps as a consolidation layer only for the connectors and app types it actually supports.
Do not approve an app because its name says “AI” or because it appears in a marketplace. A useful decision requires the app identity, publisher, purpose, permissions, installation location, authorizing principal, recent use, data-handling terms, and a documented owner. Restriction, blocking, revocation, and removal are different operations, so plan the effect on automations and exported data before taking action.
Define what you are auditing
Start with an inventory boundary that includes more than chatbots. Include AI assistants, meeting note-takers, summarizers, workflow agents, browser-connected SaaS add-ons, and any integration that requests access to an account, workspace, CRM, files, mail, messages, or directory data. Confirm what each product actually does instead of classifying it from its name alone.

Assign one accountable owner for the inventory and one business owner for every connection. The technical administrator can enforce a control, but the business owner must explain why the app exists, what workflow depends on it, and when the access should be reviewed again.

Minimum inventory fields
| Field | What to record | Why it matters |
|---|---|---|
| Identity | App name, stable application or connected-app identifier, publisher, tenant or workspace, and installation location | Names can be duplicated or changed; a stable identifier lets you match grants, sessions, and audit events. |
| Purpose and owner | Specific business workflow, internal owner, technical contact, and review date | An ownerless integration cannot be safely renewed or investigated. |
| Authorization | Authorizing user or administrator, grant date, delegated versus app-only access, and approval record | The principal and grant type determine whose authority the app represents. |
| Permissions | Every OAuth scope or app role, including optional scopes that were granted | The app name does not reveal whether it can read, write, post, delete, or act as a user. |
| Use and lifecycle | Last-use information when the platform exposes it, renewal date, contract status, and planned retirement date | Unused access is a candidate for removal, but verify that a scheduled job or export is not the hidden dependency. |
| Data handling | Vendor retention, training use, subprocessors, residency, deletion process, and incident-notification terms | Platform scopes show what the app can reach, not what the vendor does after receiving data. |
Keep the record in a system with access controls and an audit trail. Store the permission snapshot at every approval or material scope change so that a later reviewer can see what was authorized at that time.
Audit Salesforce connected apps
Salesforce provides connected-app OAuth usage and session controls for administrators. The OAuth Usage view can show active connections, user counts, usage details, and blocked or denied attempts. The relevant Salesforce documentation also describes installing or uninstalling third-party apps, revoking active sessions, and blocking or unblocking organization-wide access: Salesforce connected-app sessions and usage.
Inventory active grants
- Open the Salesforce administration area for Connected Apps and review the OAuth Usage information.
- For each app, record the connected-app identifier, users with active connections, recent usage shown by the org, and any blocked or denied attempts.
- Match each user to a business owner and confirm that the app still performs the stated workflow.
- Compare the recorded users and activity with your identity directory, leavers list, and approved-app register. Investigate a grant that belongs to a departed user or has no current owner.
The usage page requires suitable setup permissions. Access-policy controls and available fields can vary by Salesforce edition and configuration, so verify the controls shown in the specific org rather than assuming every setting is present.
Control organization and user access
Connected-app access policies can limit which users may access an app, apply IP restrictions, and set refresh-token duration. Salesforce also supports administrator-approved preauthorization for designated profiles or permission sets. Use the narrowest profile or permission-set assignment that supports the workflow instead of allowing every user by default. The policy options are described in Salesforce OAuth access policies.
When one person’s grant is the problem, the user can revoke that app approval in personal settings. Salesforce states that revocation stops the app’s access to that user’s Salesforce data; the user-level procedure is documented at Manage Salesforce app approvals in personal settings.
When the app itself violates policy, an administrator can block organization-wide usage or revoke active sessions. Blocking ends current user sessions and prevents new sessions until the app is unblocked. Record the decision owner, timestamp, affected users, permission set, and expected business impact before applying it.

Audit Slack apps and scopes
Slack permissions are expressed as scopes. A scope can allow an app to read workspace information, access messages or files, post content, or perform actions. Review the requested and granted scopes rather than relying on the marketplace description. Slack explains the distinction in Understand app permissions.
Inspect installed apps and authorizations
- Open the workspace app-management view and list installed apps, configurations, authorizations, and requested scopes.
- For each app, capture the app identity, installer or authorizing principal, workspace, requested scopes, optional scopes, channels or resources involved, and the business owner.
- Ask whether each scope is necessary for the stated workflow. A summarizer that only receives selected messages should not receive broad workspace history if a narrower configuration is possible.
- Check whether the developer has changed scopes since the original approval. Slack can require a new request when an app’s requested permissions change.
Slack says that, by default, members can install apps without workspace-owner approval. Owners can require approved apps and can optionally allow app requests, automation, or delegated app managers. Configure those choices in Manage app approval and installation settings.
Use an approval workflow
With approval enabled, a request identifies the app, requester, and scopes. The approver can approve or restrict the request and, for optional scopes, choose which permissions to grant. Define an internal standard before requests arrive:
- Require a named business owner and a documented use case.
- Reject scopes that are not needed for the stated workflow.
- Require a service identity or restricted workspace location when a personal account would expose unrelated conversations.
- Require current vendor terms covering retention, training use, subprocessors, residency, deletion, and incident handling.
- Set a review date and an owner for every approval.
Slack’s own security guidance cautions that marketplace review is not certification: "Though we review all apps in the Slack Marketplace, including their requested permissions, Slack doesn’t endorse or certify these apps." Read the guidance at Security recommendations for approving apps.
Audit Microsoft 365 and Microsoft Entra grants
Use Microsoft Entra enterprise-application views and permission audit logs to distinguish delegated access, app-only access, consent, and later removal. Microsoft documents these event types:
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesAdd app role assignment to the service principalRemove app role assignment from the service principalAdd delegated permission grantConsent to application
For every event, preserve the application or service-principal identity, principal that received or granted access, permission, time, and whether the event added or removed access. The official event guidance is at Microsoft Entra application permission audit logs.

Review the audit trail
- Open the Entra audit-log view for enterprise applications and filter for application permission and consent events.
- Search both additions and removals. A removal record proves that a change occurred; it does not prove that no other grant remains.
- Separate delegated grants, which use a user’s authority, from app roles or application permissions, which can permit app-only access.
- Confirm that the reviewer has an appropriate role. Microsoft lists Reports Reader, Security Reader, Security Administrator, and Global Reader among roles that can view application activity logs.
- Export or forward the relevant records to your longer-term evidence store if your tenant’s retention does not meet the organization’s requirement.
Audit events show the authorization change, not the vendor’s downstream retention or model-training behavior. Obtain those details from the app’s current contractual and privacy documentation before approval.
Use Defender for Cloud Apps carefully
Microsoft Defender for Cloud Apps can display user-installed OAuth apps connected to Microsoft 365 and Salesforce, including permissions and authorizing users, and can mark apps approved or banned when the relevant connection and feature are configured. Microsoft documents this workflow at Manage OAuth apps in Defender for Cloud Apps.
The supported inventory is not a universal cross-platform catalog. The documented coverage includes Microsoft 365 and Salesforce; the reviewed Microsoft documentation does not establish equivalent Slack coverage in that OAuth inventory. Confirm the connector, app category, licensing, remediation actions, and interface location in your tenant. Microsoft notes that the page presented can differ when App governance is enabled.
Translate permissions into business risk
For each grant, write a one-sentence mapping from permission to function: for example, “read selected channel messages to produce a meeting summary” or “create Salesforce records from approved form submissions.” If you cannot explain the mapping, pause approval.
| Question | Evidence to collect | Decision signal |
|---|---|---|
| What data can the app read? | Scopes or app roles covering messages, files, mail, CRM records, contacts, directory data, or metadata | Prefer a selected-resource or least-privilege scope over tenant-wide read access. |
| What can it change? | Post, create, edit, delete, send, share, or administrative action scopes | Write and delete capabilities require a stronger owner, approval, and rollback plan than read-only access. |
| Whose authority does it use? | Delegated user grant, administrator consent, service principal, or app-only role | App-only access can continue without an interactive user; monitor it as a separate risk class. |
| Is access still needed? | Last-use information, workflow schedule, owner confirmation, and renewal date | Remove stale grants only after checking scheduled jobs, exports, and downstream dependencies. |
| What happens after transfer? | Retention period, model-training use, subprocessors, data residency, deletion and breach terms | Do not infer these practices from a marketplace listing or from OAuth scopes. |
Ask whether a designated service identity, a restricted channel, a limited Salesforce permission set, or a manually supplied data set can replace broad personal access. If the vendor cannot answer retention or training questions, document that uncertainty as a condition of approval rather than treating marketplace presence as evidence of safety.
Set preventive guardrails
Salesforce
- Use connected-app access policies to restrict eligible users or permission sets.
- Apply IP restrictions where the workflow permits them.
- Set the shortest refresh-token duration that will not break the integration.
- Use administrator-approved preauthorization for apps that should be available only to named profiles or permission sets.
- Require a review date and owner before enabling org-wide access.
These settings require suitable administrative privileges and may differ by edition or setup. Validate the resulting behavior with a low-risk user before applying a broad policy.

Slack
- Require app approval instead of allowing unrestricted member installation.
- Make scope review mandatory and record optional scopes separately from required scopes.
- Assign app managers deliberately; delegated managers should have a defined remit and periodic review.
- Use requests for legitimate exceptions and restrict requests that lack an owner, purpose, or data-handling evidence.
- Re-review an app when its developer changes scopes, even if the app name and workflow are unchanged.
Workspace owners should also distinguish installation approval from data access. Approving an app does not make every requested scope appropriate for every channel or team.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Microsoft Entra
- Set user-consent and administrator-consent policy to match the organization’s risk tolerance.
- Limit who can grant tenant-wide consent and require an accountable reviewer for high-impact permissions.
- Monitor both delegated permission grants and app-role assignments.
- Send grant and revocation events to a retained evidence store where the native retention period is insufficient.
- Review enterprise applications with no owner or no recent business activity.
Consent policy controls who can authorize access; it does not replace app-specific review of purpose, scope, vendor terms, and downstream handling.
Choose the right containment action
Use the least disruptive action that removes the actual risk. The same word can mean different things on different platforms.
| Action | Use it when | Important consequence |
|---|---|---|
| Restrict a request | The app is not approved for a new installation or requested scope | Existing installations may remain active. |
| Block org-wide access | The connected app must stop creating new sessions or using the organization | Salesforce documentation states that current user sessions end and future sessions are prevented until unblocked. |
| Revoke a user grant | One user’s authorization is excessive, stale, or tied to a departed worker | Other users’ grants can remain active. |
| Remove or uninstall | The integration is no longer wanted in the workspace or org | Automations, exports, and dependent workflows may stop; verify ownership of stored data first. |
| End active sessions | Immediate containment is needed while the longer-term decision is made | Users may need to reauthorize after the incident is resolved. |
Salesforce response sequence
- Capture the app identity, users, scopes or policy, active sessions, and reason for action.
- For a single-user issue, revoke that user’s grant through the personal approval mechanism or remove the user’s eligibility through the connected-app policy.
- For an app-wide issue, block org-wide usage and revoke active sessions.
- Check the OAuth Usage view for denied attempts and remaining active users.
- Contact the business owner before unblocking, and record the new scope or policy that resolves the issue.
Slack response sequence
- Determine whether the problem is a pending request, an existing installation, or an individual authorization.
- Restrict the request or scope if the app should not receive additional access.
- For an existing installation, remove the app from the affected workspace or revoke the individual third-party authorization as appropriate.
- Verify that the installation is gone in app management and that dependent workflows have an owner or replacement.
In an Enterprise organization, restricting an app at the organization level does not itself remove existing workspace installations. The distinction and organization-level controls are described at Manage apps in an Enterprise organization. Removal procedures are documented at Remove apps and custom integrations from a workspace.
Microsoft Entra response sequence
- Identify whether access is a delegated permission grant or an app-role assignment.
- Remove the specific grant or assignment through the tenant’s enterprise-application controls, using the least broad change that meets the incident need.
- Search the audit logs for the corresponding removal event.
- Check for another principal, service principal, or consent record that still grants the same app access.
- Document the application, principal, permission, timestamp, approver, reason, and verification event.
Preserve audit evidence and retention
Your evidence record should contain the original permission snapshot, approval or consent record, scope changes, containment decision, affected principals, verification result, and owner sign-off. Keep timestamps in a consistent time zone and retain the stable app identifier so that a renamed app cannot evade history matching.
Slack Enterprise audit logs can be viewed in the interface, exported as CSV or JSON, or accessed through the Audit Logs API for custom monitoring. Slack states: "As of April 30, 2026, audit logs are retained for a maximum of two years for all Enterprise customers." See Audit logs in Slack. Export records to an external, access-controlled store if legal, contractual, or incident requirements exceed two years.

Do not treat a successful removal click as verification. Confirm the platform view no longer shows the grant, inspect subsequent audit events, and test a harmless access attempt when appropriate. Preserve the result even when the control worked; the record demonstrates what was removed and when.
Run the review as an operating process
At onboarding
- Collect the app identity, publisher, purpose, owner, installation location, requested scopes, grant type, and vendor data terms.
- Map every permission to a required workflow step and remove optional access that has no clear use.
- Test with a low-risk account, restricted workspace location, or limited Salesforce permission set.
- Record the approver, expiry or review date, rollback method, and expected downstream dependencies.
At each periodic review
- Compare the current scopes with the approved snapshot.
- Confirm the business owner and verify that the workflow is still active.
- Review recent use, denied attempts, consent changes, and new principals.
- Check whether the vendor’s retention, training, subprocessor, residency, or deletion terms changed.
- Remove stale user grants and schedule a controlled retirement for unused integrations.
After a scope change or incident
- Pause new approvals for the affected app while you identify the changed permission or behavior.
- Preserve the old and new permission snapshots and the relevant audit events.
- Choose user-level revocation, session termination, org or workspace blocking, or full removal based on the actual exposure.
- Check exports, scheduled jobs, webhooks, and automations for data that may continue to flow after access is removed.
- Reapprove only after the owner documents the corrected scope and a rollback plan.
Decide whether native controls are enough
Native controls are usually the authoritative place to change access because they understand the platform’s own scopes, sessions, installations, and consent model. A consolidated cloud-access or SaaS-security product can reduce manual work, but evaluate it against the native controls rather than assuming broader coverage.
| Evaluation area | Questions to answer before adoption |
|---|---|
| Connector coverage | Does it inventory the exact Salesforce orgs, Microsoft 365 tenants, Slack workspaces, and app categories you use? |
| Identity resolution | Can it distinguish a user grant, administrator consent, service principal, connected app, and workspace installation? |
| Permission detail | Does it show individual scopes and app roles, including optional or newly requested permissions? |
| Remediation | Can it revoke, block, restrict, or remove access, and does each action affect existing installations or only future requests? |
| Evidence | Can it export decisions, preserve before-and-after snapshots, and retain audit events for the required period? |
| Rollback | Can administrators restore an approved app or session safely if a business workflow is interrupted? |
Test any additional tool with one low-risk app and a documented rollback. Confirm Slack coverage explicitly; Microsoft’s documented Defender OAuth inventory supports Microsoft 365 and Salesforce, but the cited documentation does not establish the same Slack coverage.

Approving by app name
Problem: “AI assistant” sounds harmless but says nothing about read, write, posting, deletion, or app-only authority. Fix: require the stable identity, scopes, grant type, owner, and workflow mapping before approval.
Confusing a marketplace review with certification
Problem: A listing is treated as a security endorsement. Fix: use the marketplace only as an identity and discovery source; obtain current contractual and privacy terms and perform your own scope review.
Blocking a request but leaving an installation active
Problem: New approval is denied, yet an older workspace installation continues to operate. Fix: inspect existing installations and remove the app or authorization where required.
Looking only for delegated consent
Problem: An app-only role or service-principal assignment is missed because no user recently clicked consent. Fix: search both delegated permission and app-role audit events.
