Before signing with an AI vendor, map the data your service will receive and where it will go, verify how the vendor and its partners use, protect, retain, and delete it, and turn the important answers into contract terms you can check. Set the depth of review to the sensitivity of the data and the consequences of the AI service’s failure or misuse.
1. Set the scope and risk of the AI service
Start with the intended use, not a generic questionnaire. Record who will use the service, whose information it will process, what decisions or outputs it may affect, and what could happen if information is exposed or the service produces an unreliable result.
- Use: Describe the business task and the AI features employees or customers will use.
- People and data: Identify data subjects, data categories, sensitivity, and any information that should not be submitted.
- Impact: Note whether outputs inform decisions about people, operations, or safety, and the likely consequences of an error or service outage.
- Configuration: Record the product tier, settings, integrations, and intended deployment. Vendor answers may differ by configuration.
The voluntary NIST AI Risk Management Framework provides a way to organize risks across AI design, development, deployment, use, and evaluation. Its trustworthiness characteristics include validity and reliability, safety, security and resilience, accountability and transparency, explainability and interpretability, privacy enhancement, and fairness with harmful bias managed; see the NIST AI Resource Center’s overview. The framework is a risk-management aid, not a law, universal certification, or assurance that a vendor is safe. NIST’s framework page said AI RMF 1.0 was being revised when checked on October 7, 2026.

2. Map what happens to your data
Ask the vendor to complete the map for the specific service, product tier, and configuration under review. Include information submitted by users, information created from it, and data generated by the service.

- Read Before You Buy — No Video Output: These adapters support charging and USB 2.0 data transfer, but cannot transmit video signals. Except for standard USB webcams (which use USB data only), they are not compatible with HDMI/DisplayPort cables, video-capable USB-C hubs, or docking stations with video output.
- Convert USB-A Ports to USB-C: Designed to connect USB-C earphones, cables, flash drives, card readers, and other USB-C accessories to standard USB-A ports. Plug-and-play with no drivers or software required.
- Aluminum Alloy Housing: Built with a sturdy aluminum alloy shell that aids in heat dissipation and protects against daily wear and scratches. Designed to maintain a stable and secure connection.
- Compact & Travel-Friendly: The ultra-compact design allows the adapter to stay plugged into your device without blocking adjacent ports or adding bulk, reducing wear and tear on your original USB ports.
- 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.
- Collection and purpose: What does the service collect or receive, what does it infer or generate, and which feature needs each data category?
- Reuse: Can the data be used for model training, fine-tuning, evaluation, human review, abuse monitoring, or product improvement? Ask what each use means in practice and whether it can be disabled or restricted for your configuration.
- Access and sharing: Which employees, subprocessors, cloud providers, model providers, or other third parties may access the data, and for what purpose?
- Location and retention: Where is information stored and processed, how long is it kept, and how are backups, logs, and derived data handled?
- Deletion: What deletion method and timeline apply when you request deletion or terminate the service? Does deletion cover backups and information held by subprocessors?
- Minimization: Can you restrict fields, disable optional processing, or send only necessary information, potentially through a separate data store?
The FTC’s vendor-security guidance recommends limiting vendor access to needed data and defining how vendors may use, share or sell, retain, and delete it. NIST’s Generative AI Profile, AI 600-1, published July 26, 2024, also recommends inventorying third parties with access to organizational content as part of generative AI governance.
3. Verify security and assurance evidence
Request evidence that matches the service boundary and the data path you have mapped. Ask for the scope and date of each artifact, which service components it covers, and any relevant exclusions. A report covering a different product or environment may not answer the question you need answered.

Compare the evidence with the product, geography, configuration, and third parties involved in your intended use. No single certificate or report settles the whole review. The FTC advises putting security requirements in writing and verifying that a vendor follows them; it identifies an independent third-party assessment as one possible way to confirm claims. NIST’s SP 1326 due diligence guide, published July 8, 2026, adds supplier review dimensions including resilience and foundational cyber practices.

For generative AI, extend ordinary vendor diligence to the model and its dependencies. NIST’s AI 600-1 profile recommends procurement diligence covering intellectual property, data privacy, security, embedded technologies, ongoing monitoring and assessment, and incident or vulnerability information. It also recommends contract clauses that allow evaluation of third-party generative AI processes and standards, inventories of approved providers, and contingency planning for high-risk third-party failures.

- Which models and service components process data or affect outputs, and how will material changes be communicated?
- What training, evaluation, and monitoring information can the vendor disclose that is relevant to your use case?
- Which third parties can affect content, model behavior, or data handling?
- What notice will you receive about incidents, vulnerabilities, or material control changes?
- What fallback, data-export, or exit path is available if the vendor or an upstream provider fails?
For broader supplier diligence, NIST SP 1326 organizes review around foreign ownership, control, or influence; provenance; resilience; foundational cyber practices; and supply-chain tiers. It is a quick-start guide scoped to ICT suppliers, though NIST describes due diligence as applicable to suppliers more broadly. Use those dimensions to identify questions material to your service rather than treating them as a universal pass/fail checklist.
5. Compare vendors against the same use case
If you are evaluating alternatives, give each vendor the same use case and data inventory. Compare evidence and commitments rather than relying on broad claims such as “enterprise-grade” or “private.” These axes synthesize FTC vendor guidance and NIST AI and supplier-risk guidance; they are not an official universal scorecard.

6. Put the important answers in the contract
Do not leave critical data-handling answers only in sales materials, a questionnaire, or a general security statement. Align the agreement with the vendor’s actual documentation and the data flow you intend to use. Translate key answers into specific, testable obligations, including as applicable:

- Permitted purposes and prohibitions on sharing, sale, training, or other reuse.
- Approved subprocessors, third-party access, and notice or approval requirements when they change.
- Retention periods, deletion methods and timelines, and treatment of backups and logs.
- Access-control and security commitments, including updates as threats evolve.
- Incident notice, cooperation, and information needed to assess or respond to an event.
- Assessment rights or other ways to evaluate compliance with security and AI-process commitments.
- Material-change notice, continuity arrangements, data export, and exit support.
The FTC recommends written vendor security provisions, specific requirements, written rules for data use, sharing or sale, retention, and deletion, plus a process to confirm compliance. NIST AI 600-1 recommends clauses that permit evaluation of third-party generative AI processes and standards. Make commitments measurable enough to check: identify the covered service and data, the required action, the timing, and how evidence or notice will be provided.

7. Assign oversight after signature
Signing does not end the review. Assign an owner for vendor oversight and record how often evidence will be refreshed, which changes trigger reassessment, and which events require escalation. Revisit the assessment when the use case, data, product configuration, vendor, or an important upstream dependency changes. NIST AI 600-1 recommends ongoing supplier risk assessment and monitoring; SP 1326 emphasizes supplier research to support informed acquisition decisions.
How to interpret the review
The result should be a documented decision tied to this use case: which data may be sent, which vendor practices are acceptable, what contract protections are required, and what unresolved risks need mitigation or a decision-maker’s acceptance. Legal obligations depend on jurisdiction, industry, data type, service configuration, and use case; the facts here do not establish a legal conclusion. Have counsel review jurisdiction- and sector-specific requirements before execution. NIST’s Digital Identity Guidelines discuss AI/ML disclosure and privacy assessment in the specific context of digital identity systems; that context should not be treated as a universal duty for every AI vendor or industry.
