Assess an SAP ERP renewal as a business, contract, and operating-model decision—not as an automatic maintenance extension. Start with your signed order forms and system inventory, then compare continuing Business Suite 7 support, moving to SAP S/4HANA Cloud Public Edition, adopting Private Edition, running S/4HANA on premises, or using a staged transition. The right choice depends on your required processes, custom code, integrations, operational responsibilities, contract rights, and total cost over a defined time horizon.
What are my SAP ERP options before renewal?
Most customers are choosing among several materially different paths:
- Continue current SAP Business Suite 7 licensing and maintenance. This can provide time to prepare a transformation, but it does not remove the later lifecycle deadline.
- Use optional extended maintenance. SAP says extended maintenance runs from the beginning of 2028 through December 31, 2030 for the covered Business Suite 7 scope.
- Convert to a subscription-based cloud model. SAP describes public and private cloud offerings with different functional scope, release patterns, and operating responsibilities.
- Move to SAP S/4HANA on premises. This retains a perpetual-license model in SAP’s comparison and leaves upgrades and infrastructure decisions with the customer.
- Plan a staged transformation. You may renew for a limited period while completing a system conversion, new implementation, selective data transition, or another target-state program.
- Evaluate SAP’s time-bound ERP private edition transition option. SAP’s August 4, 2025 update describes a 2031–2033 continuity path for qualifying large and complex customers, subject to prerequisites; it is not a blanket extension for every ERP customer.
Do not infer your price, discount, termination right, conversion credit, dual-use right, or eligibility from a public SAP product page. SAP states that original contract terms can vary substantially. Your order forms, amendments, commercial installation, and current SAP commitments control the practical answer.

The two-percentage-point figure is a premium on the maintenance basis, not a universal increase to your entire ERP bill. SAP’s Maintenance 2040 policy page is the authoritative place to check the current scope and wording.

SAP’s maintenance and support commitments page also describes changes effective July 10, 2026. It states that the initial term for maintenance and support does not restart whenever additional licenses are purchased. It also describes termination and landscape-split options with conditions and notice requirements. Treat those as provisions to investigate, not automatic rights: compare the current SAP page with your signed contract and commercial installation.
Build a renewal fact pack before asking for a quote
A vendor discussion is much more useful when you can show exactly what is installed, licensed, supported, and business-critical. Assemble the following evidence before comparing scenarios.
1. Record the technical baseline
- SAP product names and versions, including SAP ERP release and enhancement package.
- Database platform and version, operating systems, application servers, and high-availability or disaster-recovery arrangements.
- Maintenance status for the core system, databases, add-ons, industry solutions, and third-party extensions.
- Number of productive, quality-assurance, development, sandbox, and disaster-recovery systems.
- Custom code, modifications, user exits, interfaces, reports, workflows, forms, and batch jobs.
- Critical business processes, their peak processing windows, recovery objectives, and regulatory controls.
2. Reconcile the commercial documents
- Original order forms, amendments, price lists incorporated by reference, and maintenance schedules.
- License metrics, named-user categories, engine or package entitlements, quantities, and current assignments.
- Maintenance base, renewal date, notice windows, price-adjustment clauses, and any co-termination language.
- Commercial installation definitions and the systems or entities included in each contract.
- Any contractual termination, landscape-split, portability, transition, or reallocation language.
- Open audit findings, true-up obligations, unused entitlements, and licenses that may be stranded by a migration.
3. Document the operating model
- Which team currently runs infrastructure, operating systems, databases, SAP technical operations, application management, security, and backups.
- Internal skills that would be lost, retained, or needed during a migration and after go-live.
- Security, data-residency, encryption, segregation-of-duties, and industry-compliance requirements.
- Acceptable maintenance windows, release cadence, testing capacity, and tolerance for vendor-managed change.
- Cloud architecture, network connectivity, identity integration, monitoring, and service-management dependencies.
4. Set three planning horizons
Model at least three horizons separately: the next renewal period, a transition that completes by the end of 2030, and the longer-term target state. Show dependencies and one-time costs in each horizon instead of hiding them inside an annual subscription number.

The table describes SAP’s general product positioning, not your quote. Verify the applicable order form, subscription metric, service level, infrastructure arrangement, and included capabilities before assigning a cost or entitlement to any option.
Should you renew SAP maintenance or move to S/4HANA?
Continue current maintenance when time has strategic value
Continuing the existing platform can be rational when critical processes are stable, a transformation is not yet funded, or dependencies make an immediate conversion unsafe. Use the period to remediate custom code, simplify interfaces, archive data, clean master data, and select a target architecture. A renewal should include an explicit exit plan, milestones, and decision dates; otherwise temporary continuity can become an unfunded permanent delay.

Choose Public Edition when standardization and vendor operation fit
Public Edition is a subscription service operated and maintained by SAP with monthly innovation releases. It can suit organizations willing to adopt more standardized processes and a regular release cadence. Assess gaps in finance, supply chain, manufacturing, asset management, localization, reporting, integrations, and required extensions. Confirm how extensions are built, tested, transported, and supported under the service’s governance.
Choose Private Edition when scope or transition flexibility is decisive
Private Edition is positioned for broader functional scope and more upgrade flexibility. SAP lists lift-and-shift, new implementation, system conversion, and selective data transition as possible implementation routes. That flexibility can help complex customers, but it does not eliminate transformation work: custom code, interfaces, data quality, testing, security, and process redesign still determine schedule and risk.

On-premises S/4HANA uses a perpetual-license model in SAP’s comparison and leaves upgrades under customer control. This can fit strict residency or integration requirements and organizations with mature infrastructure and SAP operations teams. Include the full cost of hardware or hosting, database and platform administration, cybersecurity, high availability, disaster recovery, monitoring, and upgrade projects.
Use a staged path when the target state is clear but the deadline is not achievable
A staged program can separate urgent support continuity from long-term design. Define which systems move first, which interfaces must remain, how data is synchronized, how dual operations are governed, and when legacy systems are decommissioned. Obtain written terms for any period in which old and new environments coexist; do not assume dual-use rights or conversion credits.
Understand SAP’s 2031–2033 private-edition transition option
In an August 4, 2025 SAP News Center update, Stefan Steinle, SAP executive vice president and head of Customer Support & Cloud Lifecycle Management, wrote: “SAP recognizes that our largest and most complex SAP ERP customers may not be able to complete this transformation by the end of extended maintenance for their installed SAP Business Suite 7 in 2030.”

The described option is a time-bound subscription intended to provide continuity from 2031 through 2033. SAP says participating systems must first move to SAP ERP, private edition before the end of 2030, use SAP HANA, satisfy other technical-readiness conditions, and take the Max Success Plan during 2031–2033. Those requirements make this a transformation checkpoint, not permission to remain indefinitely on the current Business Suite platform.
The same 2025 update described different commercial treatment by sign-up year: 2025 commitments were described as eligible for commercially equivalent terms to the then-existing subscription, 2026 sign-ups were described as receiving a 20% uplift at transition, and later sign-ups had not yet been priced. Those statements were dated vendor guidance. Verify the latest offer, eligibility rules, and order form before using any figure in a business case.
Evaluate the contract, not just the technology
Check term and renewal mechanics
Identify the exact initial term, renewal term, notice deadline, automatic-renewal language, price-adjustment mechanism, and treatment of newly purchased licenses. Map each deadline to an accountable owner and a calendar date. A technically attractive option can fail if notice is late or the required amendment cannot be executed before the renewal date.
Test termination and landscape-split rights
Read the clauses governing termination, partial termination, entity divestiture, system separation, and commercial-installation changes. Determine which systems, users, entities, and engines can be removed or reallocated, what notice is required, and whether fees or minimum commitments remain. SAP’s public commitments describe possibilities and conditions; they do not replace the language in your agreement.
Define conversion economics in writing
If you replace on-premise licenses and maintenance with a subscription, document the treatment of perpetual licenses, maintenance already paid, unused entitlements, implementation environments, temporary overlap, and future expansion. SAP Help states that moving from a maintenance-based license to a subscription-based S/4HANA Cloud Private Edition involves a contract change. Treat the conversion as a negotiated commercial event, not an administrative switch.

Protect portability and exit
Specify data-export formats, extraction frequency, retention, transition assistance, access to logs and configuration, identity dependencies, and the support available during a move to another platform. Include practical exit tests in the implementation plan so that portability is demonstrated rather than assumed.
Compare total cost across an identical horizon
Build a scenario model covering the same years, system scope, currency, inflation assumptions, and service levels. Separate recurring charges from one-time work:
- SAP charges: maintenance or subscription, user and engine metrics, support plans, cloud services, and any extended-maintenance premium.
- Partner services: assessment, remediation, implementation, testing, data migration, integration, training, and change management.
- Infrastructure: hardware, hosting, storage, backup, network connectivity, disaster recovery, security tooling, and monitoring.
- Internal effort: project staffing, business-process owners, testing, governance, temporary backfill, and operational retraining.
- Transition costs: dual running, data archiving, custom-code remediation, interface replacement, decommissioning, and contract amendments.
Use sensitivity cases for implementation delay, additional environments, higher transaction volume, extra testing cycles, and a later-than-planned cutover. Do not publish or rely on a generic “typical SAP renewal increase”: the available policy establishes no universal customer price.
Score each scenario against business and technical fit

Set explicit weighting before scoring. For a regulated organization, exit and residency may outweigh release frequency; for a lean IT team, SAP-managed operations may outweigh maximum customization. Record why a scenario scores well or poorly so the decision remains auditable after project personnel change.

- Freeze the baseline. Export system, version, database, interface, custom-code, user, and entitlement inventories. Reconcile them with invoices and order forms.
- Mark the lifecycle dates. Put the December 31, 2027 mainstream-maintenance date, the 2030 extended-maintenance endpoint, contract notice windows, and project milestones on one calendar.
- Classify business requirements. Separate mandatory capabilities from preferences, identify processes that can be standardized, and obtain written owners for every exception.
- Design at least three scenarios. Include a continuity renewal, a cloud or on-premises S/4HANA target, and a staged route if a single cutover is unrealistic.
- Request comparable commercial proposals. Give SAP the same system scope, user populations, service levels, term, environments, and transition assumptions for each quote.
- Validate implementation feasibility. Run custom-code analysis, integration assessment, data-volume review, security review, and a realistic test-cycle estimate before selecting a commercial model.
- Negotiate protections. Clarify term, notice, termination, landscape split, portability, overlap, data access, service levels, and treatment of existing licenses in the contract documents.
- Approve a funded decision. Present the preferred scenario, rejected alternatives, assumptions, risks, dependencies, total-cost range, and named owners to the steering group.
- Track readiness to the renewal date. Use measurable gates for contract signature, remediation, testing, cutover rehearsal, support coverage, and decommissioning.
Common assessment mistakes and how to correct them
Assuming 2027 means the system stops working
The date marks the end of mainstream maintenance for the covered Business Suite 7 scope, not an automatic shutdown. Correct the misunderstanding by distinguishing mainstream maintenance, optional extended maintenance, customer-specific maintenance, and the contractual services actually available to you.

Treating the two-percentage-point premium as a total renewal increase
The premium applies to the maintenance basis described by SAP. Recalculate it against your actual maintenance base and keep subscription, implementation, infrastructure, and internal costs separate.
Comparing list prices without comparing responsibilities
A lower apparent license or subscription number can conceal internal operations, integration, testing, security, or transition work. Put every responsibility in the same cost and risk model.
Assuming Private Edition is automatically a lift-and-shift
SAP lists lift-and-shift as one route, alongside new implementation, system conversion, and selective data transition. Confirm whether custom code, interfaces, data quality, add-ons, and business-process changes make another route more appropriate.
Relying on old transition statements
The 2031–2033 option and the sign-up-year pricing examples came from an August 2025 update. Ask SAP for the current eligibility criteria, commercial terms, service-plan requirement, and technical prerequisites before using them in an approval paper.
Leaving exit questions until after signature
Data extraction, landscape separation, notice periods, and transition assistance are hardest to negotiate after a new term begins. Put them in the contract review checklist and test the operational procedure during implementation.
How to make the final renewal decision
Choose the option that meets mandatory business requirements, fits your operating capacity, and preserves a credible path to the target state. A short renewal is defensible only when it is tied to funded milestones and a dated transformation plan. A cloud subscription is defensible only when the contract, release cadence, functional scope, and responsibilities match how your organization can operate. An on-premises move is defensible only when you can fund and staff the infrastructure and lifecycle obligations.
Before signing, have legal, procurement, architecture, security, finance, and business-process owners approve the same written assumptions. Attach the final system scope, metric definitions, service levels, transition plan, exit provisions, and cost model to the decision record. That evidence is more reliable than a generic renewal rule or an informal promise that a future conversion will be simple.
